ARCONICS CONTENT MANAGEMENT SYSTEM FOR UL MENU OPTION CLASSIFICATION MANAGER Creating a new classification / menu 1. Click Classification manager 2. Click on the plus sign beside WWW to expand the folders until you reach the parent folder of your website. 3. Ensure you click on the menu where the new menu is to reside under i.e. if the new menu is to be visible on the top level, click on the name of your department. 4. Click New 5. Type in the name i or names of the classifications / menus that you want to create [you can create up to 10 new menus at one time] 6. Click on the Save button 7. Return to Internet Explorer and check your website to ensure the new menu is visible. Click on the menu you will notice that you will get a list of websites. Continue to the next section. Apply Templates to the New Menus created 1. Navigate again to the new menu you created above and click on the Build 2. Click on Page Layout 3. Click on the Base Template that you want to apply to the new classification 4. Click apply 5. Click on Page Layout again 6. Click on the body template tab and select the body template that you want to apply to the new classification / menu (the body template that you select will determine how text is displayed on the page of that menu) 7. Click apply 8. Click on publish 9. Return to Internet Explorer and check your website to ensure the new menu is visible.
MENU OPTION CONTENT CONTRIBUTOR Adding Text Content to the classification / menu created 1. Click on Content Contributor 2. Click on New 3. Choose your template (ignore 00test) your text template will be named appropriately. Most people only have one text template available. 4. Type a title ii for your content and click on Next > 5. Classify iii the document by clicking on the relevant classification / menu 6. Click Next > 7. You can at this stage either a. Type text (see notes on pasting text from another source) or b. upload a document (this is covered below) 8. Click on Next > and then Submit 9. Check your website for the new content in Internet Explorer. Uploading a Document Instead of typing text into the Content field, you can upload a document iv (word, excel, pdf ) Click on the Browse button and navigate to the location on your hard drive where the document exists. Click on the document and Upload Document. A smaller window will appear illustrating the transfer of the document. Click on Next Click Submit Many users of the content management system will store their documents in one menu which is then hidden from public view. It simply acts as a document repository. This procedure is used in the situation where a piece of content has a link to a document. Create a classification and name it docs Apply a Multiple links templates to this menu Click on the Hide / Show button this will place an asterisk on the menu in the left of window. The * indicates that the menu has been hidden from public view. You can now upload many documents and classify them at the hidden menu location. MENU OPTION CONTENT EDITOR Editing / Updating a piece of content 1. Click on Content Editor 2. Use the navigation tree on the left of the window to find the content that you wish to edit. Clicking on a classification / menu will display the content that is associated with that classification / menu 3. Click on the title of the content to open it 4. Click on the Edit button (located across the top) 5. Make the relevant changes to the text within the Content field and click Save or Submit 6. Return to the live view of your webpage and refresh the page that you edited to see the changes Replacing an existing document with an updated version of same document It is important that you do not delete the document but simply update the current one with the latest version. Each document is assigned a unique number. 1. Click on Content Editor 2. Use the navigation tree on the left of the window to locate the document that you want to update. Clicking on a classification / menu will display the content or documents that are associated with that classification / menu 3. Click on the title of the content / document to open it 4. Click on the Edit button (located across the top) 5. Click on the remove button followed by clicking on Browse 6. Locate the updated document on your hard drive and click on Upload Document. 7. Click Save or Submit 8. Return to the live view of your webpage and refresh the page that you edited to see the changes
HYPERLINKING LINKING TEXT TO ANOTHER PAGE IN YOUR WEBSITE 3. Click on the second hyperlink in the toolbar (refer to illustration below) 4. Using the tree on the left, navigate to the menu / classification that you want to link the content to. 5. Click OK and Submit LINKING TO A WEBSITE OUTSIDE YOUR WEBSITE 3. Click on the first hyperlink in the toolbar (refer to illustration below) 4. Type the URL of the website into the URL space and click OK 5. The tab target allows you to open the linked website in a new window 6. Click OK and Submit LINKING TO A DOCUMENT ON YOUR WEBSITE Before you carry out these instructions you should navigate to the location of the document you want to link to (from your live website). Copy the address of the document (found in the address bar). 3. Click on the first hyperlink in the toolbar (refer to illustration below) 4. Paste the URL of the document into the URL space and click OK 5. The tab target allows you to open the linked website in a new window 6. Click OK and Submit v
PASTING TEXT INTO A CONTENT BOX There are 3 different pasting options and each has its own function and reason OPTION 1 Paste from word is used to bring over a block of text from a Microsoft product. When you click on this button a window will pop up (if not ensure that you have your pop up settings to always allow popups from this website). This is a cleanup box, it is designed to allow you to keep the format and layout of your selected text (i.e. tables, hyperlinks). Paste your text into the box window using ctrl+v then click on remove styles definitions and then press ok. This will put the text into the content window in a more acceptable format. OPTION 2 Paste as plain text will paste the selected text in the most basic text possible with no formatting of any type. This is used if there is a lot of undesired formatting already in the text that you are copying OPTION 3 Paste This is designed to be used on a piece of text that has already been through arconics and has already been put into an acceptable format so therefore does not need to be formatted i The menu name must not contain spaces instead of typing Contact Us enter Contact_Us underscores are used in place of spaces. ii Title Do not leave the title blank enter an appropriate title for the piece of content as this will assist you with Search Engine Optimisation and when you need to edit the content at a later stage. iii Classify where is the text / document to appear on a website iv Document this is any type of file pdf, word, excel, powerpoint etc v To open a link in a new window click on the target tab and from the dropdown menu, select the NewWindow_blank option
