Annual Maintenance Review Report on the status of maintenance at Lanes End in Irvine Assignment We were contacted by Keystone Pacific Property Management, Inc. to conduct a third-party one-time maintenance review of all the Common Area and Improvements that Lanes End Homeowners Association maintained as of September, 2008. This report is based on existing conditions observed from a jobsite visit made on September 23, 2008. The weather preceding the review was hot and dry. Following is a summary of existing conditions; maintenance recommendations in punchlist form for the landscape contractor and painting contractor; and, a description of future improvements. Included with this report is a photo log. Summary of Existing Conditions Landscaping: In general, the landscape and hardscape are in very good condition and the aesthetics of the project are appealing. The turf appears to be mostly healthy, but the irrigation should be checked to make verify that there is full coverage for all the small parkways. It would be a good idea to add mulch to the planters in order to help keep down weeds and to conserve water. It appears that there are some areas that are maintained by the homeowners (e.g. right next to the houses) that are a little overgrown. Notices should be sent to the homeowners to keep their trees from growing into any structure and to keep them trimmed at least 3 feet away from the houses and kept 7 feet off of the sidewalks and at least 10 feet above any driveways and streets. The same goes for the HOA maintained trees. The wood components throughout the community need to be kept clean and should be painted this year or next. The wood appears to be in good condition at this time because it is painted regularly. 2
Streets, Curb and Gutter: The condition of the streets, curbs and gutters that the Association maintains is acceptable by industry standards. The streets have been recently slurry coated. The fire hydrants look good and the mailboxes appear to be in good condition. The steel gate and park bench look to be in fairly good condition, but need touchup painting in spots to get rid of rust. While the overall condition of the community is good, there are several items of specific concern that should be brought to the attention of the Board. These items will be discussed under the Maintenance Recommendations category below and in the photo log. Maintenance Recommendation Punchlists Landscape Punchlist: 1. Add mulch to bare soil in planters (see picture 7). 2. Keep trees trimmed off structures (see pictures 8 & 11). 3. Notify homeowners to keep trees trimmed away from structures (see pictures 8 & 9). 4. Keep trees trimmed at least 7 feet above sidewalks (see picture 10). Painting Punchlist: 1. Touch up painting needed on rust on the steel fire gate by the front entrance (see picture 15). 2. The wood trellises and signs need to be kept clean and should be painted this year or next (see pictures 3, 6, & 14). 3. Contact The Gas Company and have them paint their gas meters (see picture 13). 4. The park bench is starting to oxidize and rust and should be painted or refinished (see picture 12). 3
Future Improvements Long Term Maintenance: There are a number of maintenance items that may be coming up soon, please check the recommendations of the Reserve Study to determine time lines of repair and/or replacement of major components: 1. Replace lighting timers and photocells every five years. 2. Repaint steel fencing every three years. 3. Replenish mulch in planter beds every three years 4.
