Company signatory FAQs HOW CAN WE TRANSFER LEAD BRAND IF WE ARE NO LONGER DOING BUSINESS WITH A FACTORY? Please contact the other active brands in the factory to explain your situation, update on remediation status and request them to volunteer as lead brand. You can find the email contacts for the other brands in your factory list in FFC. Please then email miriam.neale@bangladeshaccord.com to inform of the lead brand change or the lack of response from other brands. A FACTORY IS NOT COOPERATING I.E. NOT RESPONDING TO EMAILS OR HASN T STARTED THE KEY REMEDIATION WORK, WHAT SHOULD WE DO? Email the Accord Case Handler for the factory and advise them which steps you have taken to support the factory in the remediation process and your specific concerns. In cases of no response from the factory, we will issue a non-cooperation letter which is the first step in the escalation procedure. In cases of inadequate remediation, we will schedule a follow up inspection to evaluate remediation status and if necessary issue a non-compliance letter which is also the first step in the escalation procedure. Please see the Escalation Procedure for further information, available in the signatories login. THE FACTORY HAS SUBMITTED THEIR DEA BUT IT STILL HASN T BEEN APPROVED, WHAT SHOULD WE DO? Firstly, please check with the factory whether they have had a presentation meeting at the Accord and ask if revisions were required. If so, please advise the factory to implement the revisions asap and resubmit their DEA. Secondly, if the factory has submitted all required DEA revisions and is awaiting a presentation meeting, please email the Accord Case Handler to enquire when the presentation will be scheduled. N.B. If the factory has completed all other CAP issues, please advise the Case Handler and they will make every effort to prioritise this DEA review so that the factory can complete their initial CAP asap. WE ARE NO LONGER DOING BUSINESS WITH THIS FACTORY, CAN WE BE REMOVED FROM THE INSPECTION COMMUNICATIONS? If your company listed this factory as active at the time of inspection or since the inspection then you are responsible to ensure that the factory completes remediation (or to implement the escalation procedure). Therefore, you will still be included on all inspection-related communications. N.B. If you believe that this listing was an error on the part of FFC, please write to tatiana.delany@bangladeshaccord.com to explain the mistake and forward any emails relating to the relevant factory updates sent to FFC. THIS FACTORY HAS CLOSED DOWN OR RELOCATED, CAN WE BE REMOVED AS LEAD BRAND? If we get confirmation of a relocation or closure and the factory listing is closed in FFC then we remove the lead brand for this factory as coordination for remediation follow up is no longer needed. The confirmation steps are as follows: 1) The factory and brands write to confirm relocation or closure. 2) Brands get confirmation from the factory that workers have been paid according to the law. 3) The factory to share the employee list with the Case Handler in order for the Accord to monitor that workers received all entitlements. WHO DO I CONTACT TO UPDATE OUR KEY CONTACTS FOR RELEVANT COMMUNICATIONS AT THE ACCORD? WHAT ARE THE DIFFERENT MAILING LISTS FOR COMPANIES IN THE ACCORD? The Accord keeps 2 mailing lists of company signatory contacts for the following types of communication: 1. General mailing list: contacts receive Accord newsletter, invitations to Accord events, notifications of new posts in the signatories login, letters from SC representatives 2. Inspection communications mailing list: contacts receive inspection notifications & remediation updates for all your active and inactive responsible factories; contacts receive emails from other Accord companies regarding specific factories (i.e. are included in the FFC database and are listed next to each factory so that email addresses are available to other Accord companies in that factory) 3
Signatories login & regular Accord communications The signatories login is a private page on the Accord website accessible only by Accord staff & signatories. Quick guide to managing your factory list There are three key documents regarding company signatories factory data: Factory Data Disclosure Protocol: full explanation of what company signatories are required to disclose regarding factories producing their products. HOW TO UPDATE YOUR FACTORY LIST: Step 1: Use the correct list for your updates: Login to FFC Accord system with your provided login details: (URL:http://accord.fairfactories.org/ffcweb/Web/Common/LogonPage.aspx?previous_pa ge=logoutpage) Go to your Active factory list report under User configured reports Scroll down the Active factory list & select the option Download the Correct format in order to update your factory list Do not delete or remove any columns or rows from this factory list Step 2: To add a factory to your active factory list: Include all new factories at the bottom of your factory list in the first new row and highlight in orange Step 3: To make an existing factory inactive i.e. to de-list: Highlight the row for the factory you would like to make inactive (i.e. de-list) in green Step 4: Update details for existing factories Make any other changes to the information in your factory list (e.g. tiering, factory contact information etc.) and highlight the cells that need updating in blue Step 5: Submitting your updates to the Accord Email accordupdates@fairfactories.org with your updated factory list, it is important that you include the following information in the email: Clarify your colour coding for adding and removing factories, for example: I have highlighted one factory to be removed from my factory list in green. Company Caucus Regional Coordinators The caucus coordinators are volunteers who stepped forward in 2015 to enable communication between company signatories and their representatives on the Steering Committee. Each region* has a coordinator and alternate who provide a channel for consultation and feedback between company signatories and their Steering Committee representatives.
