Bring Your Own Device (BYOD) Laptop Setup Guide Overview The BYOD Laptop Setup Guide is targeted toward students active in the School of Business BYOD e-learning Program. Content covered in this guide is part of the course requirements for Business Productivity Tools and Technology. The purpose of this guide is to provide users with one-click access to BYOD e-learning processes and procedures; commonly-asked questions; and troubleshooting tips. Its goal is to enable users to: Maximize use of the School of Business network & Internet resources. Encourage independence in respect to computer technology. Laptop Basics: Usage Guidelines The following guidelines were established to govern the ethical use of SAIT Polytechnic's computer, network and classroom resources in e-learning. They are intended to both encourage, and ensure, that those resources are used entirely for legitimate educational purposes only. SAIT Polytechnic students must at all times comply with these guidelines, and SAIT Polytechnic faculty and staff are encouraged to enforce them without exception. These guidelines are not intended to replace the Academic Regulations as published in the SAIT Polytechnic calendar. In cases where there may be conflict between the two, the Academic Regulations will prevail. You are required to familiarize yourself with the SAIT Acceptable Use Policy for computer systems (hardware, software, and/or network facilities) and SAIT e-learning Usage responsibilities (listed below). You also need to ensure you meet the BYOD Minimum Laptop Requirements. Knowing your responsibilities will ensure that your BYOD e-learning experience is a rewarding one. While in class Turn off cell phones. Disable chat programs. Do not use printer in class while the instructor is lecturing. Game playing and recreational use of the Internet is prohibited during class. Only appropriate business content on desktop backgrounds and screen savers see the SAIT Acceptable Use Policy. No food or drink allowed in any classrooms/labs. It is strongly recommended you access SAIT network resources, (H: and O: drives, Internet, printers) using an Ethernet connection, especially when taking online assessments (tests).

Laptop Basics: Hardware and Software Requirements One of the biggest e-learning advantages is having a powerful productivity tool, your laptop, to help you succeed in your studies. As with any tool, it is important to know what it does, how it works, and how to care for and maintain it properly. Be certain to read your laptop s user guide. This manual provides valuable information in respect to utilizing your laptop's tools and resources to their full potential. The minimum laptop requirements for laptops in the BYOD Program are: Hardware Software Using a Mac Intel I5 processor 250 GB Hard Drive 6 GB RAM Minimum resolution of 1280 X 720 Wireless 802.11 b/g/n Ethernet port or adaptor Ethernet cable Internal or external DVD drive is recommended for textbook software Windows 7 or higher operating system (even if using a Mac) Up-to-date Antivirus and Mal Ware software protection Office 365 will be made available to SAIT first year BBA students for the Fall semester Program specific software included with textbook purchases If you intend to use a Macbook, it must still meet the minimum device requirements. (A smartphone or ipad will not suffice) It must be configured to run a Windows 7 or higher operating system and the required Windows-based applications. Laptop Basics: Suggested Accessories Physical laptop lock It is recommended you obtain a laptop lock that will utilize the existing security slot in your laptop. It is a one-piece unit to attach your laptop to a desk or other stationery object to prevent theft. The lock may be combination or key and provides only limited theft security. Never leave your laptop unattended or in your locker. USB mouse laptop It is recommended that a USB mouse be obtained for use with your laptop. Using a mouse, rather than the touchpad, to navigate and perform complex tasks in specific software applications increases accuracy and efficiency. Please mute your volume during class time as music and other forms of audio may be distracting to your classmates. You may wish to have a set of headphones or ear buds should you want to listen to audio available during class time.

Network Access: User Account Overview A user account is required in order to utilize SAIT Polytechnic's network, intranet and Internet resources and remains valid throughout your association with SAIT Polytechnic. The SAIT user account allows access to network resources (printers, network drives, email, the wireless network, VPN). If you meet one of the following criteria, an account will be issued to you: Full-time or part-time student status Alumni, with valid identification Students are automatically issued an account upon registration at SAIT Polytechnic. A user account, consisting of a user name and password, conforms to the following naming conventions: User Account Student User Name Password* Student Identification Number without the leading zeroes. For example... if your Student ID Number is 000123456; then your user name is 123456. Your initial password is your birth date. It must be input in the following order - YY/MM/DD. For example... if your birth date is January 25, 1989; then your password is 890125. * Upon logging on to the network for the first time, you must change your password for security purposes. Receipt of a network access account is a privilege. You are required to read and comply with SAIT Polytechnic's Acceptable Use Policy. Consequences of improper use may include but are not limited to: suspension or loss of computer privileges, suspension, expulsion, employment termination, legal action, and/or criminal charges.

Network Access: Wireless Network Connectivity SAIT provides wireless network connectivity on SAIT campuses. Wireless access is free for SAIT students. To setup access to SAIT's wireless network and utilize its resources via Wi-Fi, follow the procedures below: 1. Plug your Ethernet cable into your laptop s Ethernet port then plug the other end of the Ethernet cable to an Ethernet port located anywhere on SAIT campus. 2. Open Internet Explorer, (Internet Explorer is the recommended browser for all sait.ca websites), and access SAIT Wi-Fi at http://wireless.sait.ca/. 3. For security reasons, we require you set up your laptop for secure wireless access by clicking on the following link: >>> Set up SAIT Secure Wireless automatically using Quicksetup tool <<< On the SAIT Secure Wireless Quick Setup Tool page click on the link: Users with private computers, or all cellphone, tablets, and other mobile devices Click on the check box located in the lower right-hand corner to accept the End-User License Agreement and click the Start button.

4. You will see a window similar to this: 5. Click on the Install button below on the information bar. Note: It is recommended that you click on the manual download page link if you experience problems with the XpressConnect automatic installation. 6. You might see a Security Warning message, click Yes to allow Windows to install XpressConnect.

7. Once XpressConnect is loaded you will see the following window: 8. Ensure SAIT Student Wireless is selected and click the Continue button. 9. The next window will direct you to enter your login credentials to access the network. Click the Continue button. Student Identification Number without the leading zeroes. For example... if your Student ID Number is 000123456; then your user name is 123456. Password is your birthday YYMMDD for example...if your birth date is January 25, 1989, then your password is 890125.

10. Once you are successfully connected you will see a similar window. Click the Done button. 11. After connecting to the SAIT wireless network for the first time you are required to Change your password.

Network Access: Wireless Disconnect Procedure Disconnecting ensures that no one else can access SAIT s network and Internet resources using your account. Remember - you are responsible for your user account. If someone else gains access to SAIT s network and violates its user policies, it is you that will be held responsible. Once you have finished your laptop session, it is extremely important to disconnect from the network. When you disconnect from the network, you close your user account but the laptop remains on for easy access the next time you wish to log on to SAIT s network. To disconnect your user account, follow the disconnect procedure below: 1. Click the Wi-Fi icon on the taskbar. 2. Click on the sait-acdm-student Wi-Fi link. 3. Click the Disconnect button to complete the process.

Network Access: VPN Network Connectivity Use VPN to connect SAIT's network off-campus and access its resources (H: and O: drives). Follow the procedures below to setup a SAIT VPN connection: 1. Ensure you have Internet access. 2. Open Internet Explorer, (Internet Explorer is the recommended browser for all sait.ca websites), and access SAIT VPN at http://vpn.sait.ca/. 3. Click on the STUDENT link. 4. Login using your SAIT user id without the leading zeroes and your SAIT network password. 5. Once you are logged in, the Cisco AnyConnect VPN client installation will start immediately.

Note: If you experience problems with the automatic installation, you can click on the link to manually install the program. 6. You might see a similar Security message, if so, click the Allow button to continue the installation.

7. Once the installation is complete you will see a similar screen. It will indicate that your laptop is connected. 8. The first time you connect to the SAIT network using Cisco AnyConnect you must select the correct domain. Click on the Cisco AnyConnect icon. (In the Start Menu or in the Notification area). 9. If your computer is connected to anyconnect.sait.ca. Click the Disconnect button. 10. Select Student_ACDM from the drop down menu. Click the Connect button. 11. If you manually installed Cisco AnyConnect type Student_ACDM in the domain name textbox. Click the Connect button.

12. Enter your Username (Student ID without the leading zeroes) and network Password and click OK. 13. Once you are connected to the SAIT network via VPN do the following to connect to your H: and O: drives: Click the Start or Windows button Computer If you have previously mapped your network drives you will see the icons for your H: and O: drives with a red x (indicating that they are not connected) Double-click on the network drive icon to connect it. The network drive should open. If a network drive does not open, right-click on the network drive s icon and select Disconnect from the short-cut menu. Then map the network drive. If you have problems installing or using VPN refer to the SAIT VPN User Guide or go to a Services Desk for assistance.

Network Access: Disconnect AnyConnect VPN Procedure Disconnecting your VPN session ensures that no one else can access SAIT s network and Internet resources using your account. Remember - you are responsible for your user account. If someone else gains access to SAIT s network and violates its user policies, it is you that will be held responsible. Once you have finished your laptop session, it is extremely important to disconnect from the network. When you disconnect from the network, you close your user account but the computer remains on for easy access the next time you wish to log on to SAIT s network. To disconnect a VPN connection: Right-click on the AnyConnect icon and select VPN Disconnect from the shortcut menu. Or Click on the Cisco AnyConnect icon and click Disconnect.

Network Access: Shut Down Options There are several power options available to help you manage your information and your laptop. The following information can help you choose which option to use when turning off your laptop. Please refer to your laptop User Guide for instructions on how to perform these options. Shut Down Use this option to safely turn off your laptop instead of manually shutting it down. Shutting down or turning off your laptop saves any Windows settings that you changed and saves any unsaved information in memory to your hard disk. Restart Use this option to shut down your laptop and then automatically turn it back on. It's a good idea to use this option whenever Windows recommends it; for example, to finish installing important updates. Restarting saves any Windows settings that you changed and saves information in memory to your hard disk. Note that, unlike hibernation, your Desktop is not restored when your computer restarts. Tip: It is recommended you shut down your laptop if you are on campus and moving from floor-to-floor or building-to-building or if you are going to put your laptop in a laptop bag. This will avoid losing network resources (H: and O: drives, printing) or overheating if you are putting your laptop in a laptop bag..

Network Access: Change Your Network Password After logging on to the network for the first time, you are required to change your user account's network password. Setting a unique password ensures that your account remains secure. Insecure passwords can be easily obtained by hackers using techniques such as automated trial-and-error guessing using a dictionary list or by employing a password cracker. To prevent this from happening, you must create a strong password to protect your laptop and the information stored on it. The following guidelines will help you choose a secure password: Do select a unique password. Do not use a password you are using elsewhere, such as your bank PIN number or your password to another account. Do not include any dictionary words (including foreign language dictionaries), names, words spelled backwards, personal information, words with numbers attached to the beginning or the end of the word, or keyboard sequences. Do create a password between 6-12 characters long. This can include letters and numbers. Do not use spaces or any special characters (!@#$%^&*-+). Do not tell anyone your password or record it where others may see it. Do change your password regularly. Tip: A secure password consists of a 6-9 character combination that has at least 2 numbers interspersed among the characters for example, co8lle3ge or la2pt5op. To change your user account's password via Outlook Web Access (OWA), follow the instructions below: 1. Open Internet Explorer. Avoid using another browser (e.g. Firefox) because other browsers will only access the Light version of Outlook Web Access. 2. To connect to Outlook Web Access, enter one of these addresses in your browser: owa3.sait.ca (if your student ID is an ODD number) owa4.sait.ca (if your student ID is an EVEN number) If your ODD or EVEN web address doesn't work, then you can use the other address.

3. You will be presented with an Outlook Web Access login screen. In the User name field, enter Ensure you select the option: This is a private computer before logging in. 4. Login using your Student ID without the leading zeroes for your User name. For example... if your Student ID Number is 000123456; then your user name is 123456 5. Use your current network password for your Password. If it is your first time changing your password, your password is your birthday YYMMDD for example...if your birthday is January 25, 1989, then your password is 890125. 6. Click Log On. 7. If you entered your credentials correctly, you should see the Outlook Web Access window displaying the most recent message in your Inbox. 8. To change your password click on the Options button located on the tool bar. 9. In the Options window Click Change Password located in the right panel 10. Where indicated, carefully input the following information: Old Password New Password Confirm New Password 11. Click the Save button.

12. If you were successful in changing your network password you will see the following message: 13. Click the OK button to log back into OWA using your new password Tip: You, and only you, know what your password is. If you forget your password, no one can retrieve it for you. Refer to the Access Problems? Page for reset password instructions. Very Important! If you are accessing the SAIT network using VPN, log off VPN immediately after changing your password and log back on to VPN using your new password.

Network Access: Smartphones and Tablets Personal smartphones and tables can connect to the SAIT mail system but you will need a data plan or wireless setup. To connect to SAIT wireless, go to wireless.sait.ca and follow the prompts for a non-sait device. To configure your device to connect to your SAIT mailbox follow the steps below: 1. Got to your devices mail settings. 2. Select Microsoft Exchange. a. or Other Mailbox if Microsoft Exchange is not available. 3. Enter your email address, password and add a Mail box description such as SAIT mail and press next. For your e-mail address use one of the following: a. Student ID no leading 0 s (123456@edu.sait.ca) or b. firstname.lastname@edu.sait.ca 4. In the Server field type owa4.sait.ca a. If owa4.sait.ca does not work try owa3.sait.ca 5. In the Domain field type acdm a. or acdm.ds.sait.ca if acdm fails 6. In the Username field type in your username and Click next a. Student ID no leading 0 s 7. Save 8. Select the content you would like to Synchronize with your exchange. a. Mail, Contacts, Calendar or Reminders 9. Go back to the main screen and Tap on the Mail Icon to confirm you are receiving your emails on your phone. Note: when connecting to the SAIT mail server, a mandatory passcode security policy will be applied to your smart phone. Some features on your phone may be disabled as a result of the security policies.

Network Access: Access Problems? Laptop users often take network access for granted. We assume that the network will always be available when we need it. It can be very frustrating when one requires network access and cannot connect to it. The good news is that most network access problems are easily resolved. Before heading to a Services Desk for assistance, try one of the troubleshooting tips below. Problem Logon message... The system could not log you on.> Account is locked out by the network administrator. Troubleshooting Tip Did you input your user name correctly? Students must input their student identification number without the leading zeroes. Is the ACDM domain selected? Your password must be typed using the correct case. Make sure the Caps Lock key is not activated. Resolution... Ensure you are logging on to the right domain. Carefully input your user name and password again. Three (3) unsuccessful attempts were made to log on. (This will temporarily lock your account for 10 minutes). Wait the 10 minutes and try to login again. Sometimes unsuccessful log on attempts originate from mobile devices trying to connect to the network via Wi-Fi. Remember to change the Wi-Fi password on your mobile devices when you change your network password. Your account is suspended for user policy violations. Customer Service has disabled your account. Resolution... Go to a Services Desk for assistance. Resolution... Go to a Services Desk to have your password reset. Cannot connect to SAIT's network resources. Refer to the applicable Network Resources pages in this BYOD Laptop Setup Guide.

Network Resources: H: Drive H: drive is a network storage location that is backed up nightly and can be accessed in any computer lab, the library, in faculty and staff work areas as well as through SAIT Polytechnic's Virtual Private Network (VPN) for staff and students. It serves as a network storage facility with drive space allotted for each SAIT account holder. Listed below are attributes of the H: drive: Storage capacity is virtual. If upper-limits, set by network administrators, is exceeded, messages will be conveyed to the account holder via email. Read/Write permissions. Secure storage space that can be accessed only by the account holder. Use the drive to back-up important academic data files. Files and folders are backed up nightly and may be restored should you accidently delete a file or folder or should a file or folder become corrupted. Go to a Services Desk for assistance in recovering lost data. To access and utilize your personal storage space on H: drive, follow the instructions below: 1. From the Start or Windows menu, select Computer. 2. In the Network Location section, double-click on the H: drive icon to open it. The drive name is expressed as \\vfil4512.acdm.ds.sait.ca\h_student$\student_id The student id will display as your Student ID number without the leading zeroes. Tip: If you cannot see the H: drive icon in My Computer, click here for instructions to manually map to the drive or check your network connection. If you are not connected to the SAIT network, log back on. 3. Utilize your personal space on the H: drive to suit your needs. You may create a logical folder structure to save important data files. Suggested logical folder structure: 4. You may connect to your H: drive from home using VPN.

Network Resources: O: Drive O: Drive is a segment of SAIT Polytechnic's network that can be accessed on campus or through SAIT Polytechnic's Virtual Private Network (VPN). It serves as a repository for: Course-specific data files and resources. Course-specific assignment and project submissions. School of Business account holders have restricted access to specific folders and subfolders on the O: drive. Access permissions are determined by your account status; the school you belong to; and the program you are registered in. O: drive permissions are set as follows: Students have Read Only access to selected School of Business and assigned instructor folders. This allows you to read and copy files shared by your instructors. You cannot modify, move or delete files. To access the O: drive, follow the instructions below: 1. From the Start or Windows menu, select Computer. 2. In the Network Location section, double-click on the O: drive icon to open it. The drive name is expressed as rootdfs on 'acdm.ds.sait.ca' (O:). 3. Tip: If you cannot see the O: drive icon in My Computer, click here for instructions to manually map to the drive or check your network connection. If you are not connected to the SAIT network, log back on. 4. Once opened, you see the O: drive's main folder structure. 5. To access the School of Business instructor folders, refer to the table below. O: Drive Folder Instructor Share Instructor Submit Path O:\student\business\instructor\instructor name\share Copy the file you wish to submit to your instructor s submit folder O:\student\business \instructor\instructor name\ Right-click on the Submit folder and paste the file Note: You are not allowed to open an instructor s submit folder. You only have permission to paste files to it. You must therefore verify with your instructor that your submitted file was received. Tip: If you can only gain partial access to the above folders, it is likely that your user account permissions are set incorrectly. Go to a Services Desk for assistance.

Network Resources: Map a Network Drive The first time you wish to access either the H: or the O: drives you must manually map them. You can manually map to a network drive if the following criteria are met: You are logged on to the SAIT network either via Ethernet cable, Wi-Fi or VPN. To manually map the H: drive, follow the instructions below: 1. From the Start or Windows menu, select Computer. 2. From the menu bar, Map Network Drive. 3. The Map Network Drive dialog box appears. 4. In the Drive field, input or select the drive letter -H: 5. In the Folder field, input the applicable server and share name of the resource. To map to H: drive, input the folder name: \\vfil4512.acdm.ds.sait.ca\h_student$\###### where # are the Student ID number without the leading zeroes. 6. Select the Reconnect at logon check box. 7. Click Finish.

8. In the Windows Security window enter the following information: acdm\###### (where ####### is your Student ID without the leading zeroes) Your password Click the Remember my credentials checkbox 9. Click OK. To manually map to O: drive, repeat steps 1-3. 10. At step 4 In the Drive field, input or select the drive letter - O: 11. At step 5 input the folder name: 1. Repeat steps 6-9. \\acdm.ds.sait.ca\rootdfs Tip: If you cannot access the requested drive(s) after finishing this process, go the nearest Services Desk for assistance.

Network Resources: Printing Policies & Quotas Black and white laser printers are available for use in most computer labs across campus. As print quotas and restrictions are in place, it is important to familiarize yourself with SAIT's printing policies. Below is a summary list of these policies. Students are issued a 1,000 page black laser print quota per semester at no cost. This is represented by a dollar amount due to a cost difference between colour and black copy. Students are given a print quota for each term they are registered at SAIT. The print quota is based on the Program of study in which a student is enrolled. Some print limits have been adjusted based on identified student needs. The quota is calculated as $0.10 per black & white sheet. Colour printers are available in the Business Technology Centre on the 8th floor of the Burns building. Colour print deducts $1.00 per page from your print quota. The print quota has no cash value; is non-refundable; and cannot be carried over from one semester to another. Print quota is provided to be used to print course material for your class work. Additional print quota is available at the SAIT Bookstore in $10.00 increments. Unused purchased quota will be carried over to the next term. To give all students timely access to printing services, and to prevent accidental volume printing, print limits are 20 pages per print job. To periodically view your print quota, you may add a Print Balance icon to the Notification Area on the task bar. To do this, you must be connected to the SAIT network. Follow the instructions below: 1. Go to O:\Student\Common\Apps\PCounter and double-click on the WBALANCE.EXE file to install it. 2. Once this program is installed, you can double-click the icon in the Notification Area to see your remaining balance. Hovering over the icon will also display the balance.

Network Resources: Map a Printer To print in a selected computer lab or other permissible location, you must first map to the printer. Mapping is defined as pointing your laptop to a physical address on the network. This enables you to connect to a printer from any computer lab and print to any other computer lab on campus. Once you have mapped to a specific printer, it will remain on your laptop until you delete it. To map to a printer, used by School of Business students, follow the instructions below: 1. For Windows 7: From the Start menu, type Run in the Search programs and files field. 2. Choose Run from the search results under Programs (It should appear at the top of the list) 3. The Run dialog box appears. In the Open field, input one of the following paths: Building & Classrooms Senator Burns Building Stan Grad Centre MB and MC classrooms NJ Burns building wing classrooms Crandall building G classrooms Stan Grad Centre MD classrooms Johnson-Cobb Energy Centre KA classrooms Aldred Centre CA, CB classrooms Path \\vprn2845.acdm.ds.sait.ca \\vprn161.acdm.ds.sait.ca \\vprn161.acdm.ds.sait.ca \\vprn161.acdm.ds.sait.ca \\prn251.acdm.ds.sait.ca \\vprn2845.acdm.ds.sait.ca \\vprn2845.acdm.ds.sait.ca 4. Click OK. 5. The specified Print Server window appears. 6. Scroll through the printer list; find the printer you want to map to; and then double-click on it. As each printer path is quite lengthy, concentrate on locating the room number in the path. An example is shown below. 7. The newly installed Printer window appears. 8. Close the Printer window. You may print to the newly installed printer from any application.

9. For Windows 8 and Higher: Press the Windows button on the laptop keyboard. Repeat steps 5-8. Tip: Always select the printer prior to printing rather than using a quick print icon. This gives you the ability to select a specific printer and ensures that your print job goes to the correct printer.

Network Resources: Printing Problems If a Print command is issued and the print job does not print, try one of the troubleshooting tips below: Check that your print job does not exceed 20 printed pages. For print jobs over 20 pages, set the pages to print within the print dialog box for each block of 20 pages. Check your default printer before attempting to print again. Always select the printer prior to printing rather than using a quick print icon. This gives you the ability to select a specific printer. If the printer you want to use is not listed in the dialog box, you must map the printer before attempting to print again. Check the printer paper tray(s). Additional paper can be obtained from any Services Desk. Check the printer's status display (found on the top of the printer) to ensure it is online. If the display indicates an error message, notify your instructor or go to a Services Desk for assistance. Ensure that the printer's network cable is connected from the back of the printer to the network port. If it has disappeared, go to a Services Desk for assistance. If you experience technical difficulty while printing (i.e. paper jam or poor quality) you will receive a credit on your print quota account. Go to a Services Desk and provide the following information: Student Name & Student ID Number Department & Program Name of file printed & number of pages Date and time of print job (approximate) Location of the printer (room number) Tip: Print quota credits will not be issued for any accidental print jobs or duplicate jobs. Ensure you are printing to the correct printer and click the print button only once. Check for the print job before trying to print it again.

To cancel a print job, follow the instructions below: 1. Open the print queue by right-clicking the Printer icon in the Notification Area on the task bar. 2. Select Open Devices and Printers 3. Select the printer you sent the print job to from the list. 4. The Printer dialog box appears. A list of all print jobs waiting in the print queue displayed. 5. Right-click the document you want to stop printing and then click Cancel. Tip: You only have permission to cancel your own print job(s). To determine which print job(s) belong to you, look in the Owner column in the Printer dialog box.

Security Practices: Anti-Virus Protection SAIT is vigilant in protecting its hardware, software, and data files from computer viruses. SAIT therefore requires that every student in the BYOD program provide proof that they have installed an up-to-date virus detection program. A computer virus is a program or piece of computer code that is installed or executed onto any computing device without the knowledge of the owner and runs against the owner's wishes. Most computer viruses will disrupt or alter the normal operation of the infected computer. Some computer viruses are destructive, permanently damaging data files or programs on a computer.

Security Practices: Anti-Spyware Scanning Spyware is any software that covertly gathers user information through the user's Internet connection without his or her knowledge, usually for advertising purposes. Once installed, the spyware monitors user activity on the Internet and transmits that information in the background to someone else. Spyware can also gather information about e-mail addresses and even passwords and credit card numbers. Unauthorized adware and spyware usually install on your laptop secretly by using one of two methods: Tricking you into clicking a link that installs it. Links to spyware can be deceptive. For example, a website that's trying to push spyware onto your laptop might open a window that looks like a Windows dialog box, and then trick you by installing when you click a Cancel button to close the dialog box. Sometimes, spyware pushers will put a fake title bar in an empty window, and then install spyware when you try closing the window. Installing freeware that includes it. For example, you might install a free file-sharing program that secretly installs spyware on your computer. File-sharing programs are notorious for this. The main problem that most people notice with spyware is that it causes performance issues with their laptop. Spyware symptoms include: Your laptop might hang more frequently. Your laptop might slow down significantly. Internet Explorer might not work properly any more. Pop-up advertisements continually appear. Software may not run properly and impede ability to complete assignments or assessments (tests). If your laptop exhibits any of the above symptoms, check the CPU usage to confirm your suspicions. To do this, follow the instructions below: 1. Press Ctrl-Alt-Del on the keyboard. 2. Click Start Task Manager 3. The Windows Task Manager dialog box appears. 4. Click the Performance tab. Note the CPU Usage. Even with several applications running simultaneously, CPU usage is typically 15% or less. If your laptop's CPU usage is significantly higher (50%+), it likely your laptop is inundated with spyware. Removing spyware successfully is difficult enough; make preventing it a priority. Cleanup and removal of spyware and adware is the responsibility of the student. SAIT encourages every student in the BYOD program have an installed up-to-date spyware detection and removal program.

Security Practices: Data File Back-Ups With the proliferation of spyware, computer virus infections and hacker attacks, it is critical that important data files be backed-up to an external source. Read your laptop User Guide to determine your laptop back-up options. It is recommended that all important data files be saved to your H: drive.

Security Practices: Lock Your Laptop Screen To help protect your laptop's data files, you lock the screen when you are away. When you log off the SAIT wireless network, other users can still use your laptop. When you lock your laptop screen, only you can unlock the screen (provided you have set a password for your laptop screen. See below). Open files and running programs are immediately available to you when you unlock the laptop screen. Make sure you have set a password on for your laptop screen or else there s no point in locking it. To set a password for your laptop screen: 1. Press Ctrl-Alt-Del on the keyboard. 2. The Windows Security screen appears. 3. Click Change a password... 4. Since you don t have a password, leave the Old password field blank. 5. Type in the New password and Confirm password 6. Click the arrow to the right of the password textbox or Press Enter. A password-protected screen saver offers another layer of protection by preventing others from seeing your screen and using your laptop when you are away from it. Never leave your laptop unattended or in a locker. To lock a laptop, follow the instructions below: 1. Press Ctrl-Alt-Del on the keyboard. 2. The Windows Security screen appears. 3. Click Lock this computer. 4. Windows displays the Computer Locked window. Your laptop is now locked, preventing everyone except you unlocking your system and viewing any open files or programs. To unlock your computer, follow the steps below: 1. Press Ctrl-Alt-Del on the keyboard. 2. Enter your password. 3. Click the arrow to the right of the password textbox or Press Enter.

Security Practices: Microsoft Windows Updates Microsoft Windows and Microsoft Office are both very complex sets of software. Over time, minor flaws that allow viruses and hackers to access the system are discovered. When Microsoft finds such a flaw, they issue an update (or patch). Updates address known issues and help protect against known security threats. However, these updates are only useful if they are actually installed. This could have disastrous effects, including: Losing all your valuable data files from your laptop's hard drive. Spending considerable time having your software re-installed. Put other computer users at risk by allowing a virus from your laptop to infect theirs. Ensure your laptop has been setup to automatically check for and install Windows and Office updates. If you need to manually install updates, perform the following: To download and install Microsoft Windows Updates, follow the instructions below: 1. Launch Internet Explorer. 2. Go to http://update.microsoft.com 3. Follow the steps on the web page to update Windows. Tip: You may be required to restart your computer to complete the installation. If so, save all your unfinished work and click the Restart button.

Email: Account Overview Your SAIT email account is the official method for communication with other students, instructors and program academic chairs. Email privileges are extended to all students in the School of Business. You may access your SAIT email account remotely, from any computer that has an Internet connection. Just as with your network access account, SAIT's Acceptable Use Policy apply to all email accounts. Additional policies, specific to all email accounts are as follows: Email harassment is not tolerated. If you are harassed, notify security, or SAIT staff or faculty member immediately. All complaints are investigated and if harassment is determined, the sender's network access and email accounts will be suspended. Mass email, defined as email sent to a large number of people, is monitored. No one is allowed to send mass email without prior permission from the School of Business Technical Manager. Email that promotes or advertises a person or a person's possessions is prohibited. Email must not be used to sell goods or services, to promote a candidate in an election or for anything that is associated with an advertisement. There is one exception to this rule. Organizations that are supported by the School of Business (such as SAITSA and ENACTUS) may email to notify their members of upcoming events or for membership appeals. Restrictions concerning election campaigns still apply. Tip: Consequences of violating any of the foregoing may include but are not limited to: suspension or loss of computer privileges, suspension, expulsion, employment termination, legal action, and/or criminal charges. SAIT email addresses are standardized with one naming convention for students and another for faculty and staff. Below are naming conventions for each: Account Type Naming Convention Student firstname.lastname@edu.sait.ca Faculty & Staff firstname.lastname@sait.ca Tip: Be certain to input your first and last name exactly as it shown on your SAIT ID card. When more than one email account holder has the same name, a middle initial is required.

Email: Mailbox Quotas To encourage and support sound mailbox management practices, mailbox quotas are in effect for all SAIT email account holders. Microsoft Exchange provides three mailbox quota levels: Level 1 - Issue Warning Storage Limit Level 2 - Prohibit Send Storage Limit Level 3 - Prohibit Send and Receive Storage Limit Refer to the table below to determine your acceptable mailbox quota and what will transpire if you exceed the stated quota. Level 1 2 3 Student Mailbox Quota 80 MB: Receives a daily warning message from the System Administrator when exceeding this quota. 90 MB: Receives a daily warning message and is unable to send any messages when exceeding this quota. 102 MB: Receives a daily warning message and can neither send nor receive messages. There are several remedies for those who are unable to send messages when their mailbox size exceeds the Level 2 quota because of the receipt of one or more large messages: Delete the message first from the Inbox and then from the Deleted Items (or execute a Shift- Delete for immediate deletion). Check your Sent Items, Deleted Items and System Cleanup folders for messages you can easily discard. Move the message to a Personal Folders file. Save attachments to a local or network drive and then remove the attachment from the message. For those sending messages containing large documents, below are useful methods to reduce your mailbox size: Uncheck the "Save sent message to Sent Items" option under View Options. Enable the "Empty Deleted Items folder upon exiting" option under Tools Options Other. Items removed from the Deleted Items folder remain accessible for four days after purging and can be recovered under Tools Recover Deleted Items.

Email: Netiquette Tips Email etiquette can be defined as the practice of using technology effectively to communicate with others both personally and professionally with knowledge, understanding and courtesy. For most businesses, email is the standard way of communicating within its organization, along with customers, external contacts and business partners. However, the formality of email messages tends to vary with most people giving little thought as to how they construct a message. Remember - email messages are permanent! For the following reasons, many organizations have implemented email policies that employees are expected to follow. In fact, many organizations monitor and screen their employees online communication. Professionalism: By using proper email language you and your organization will convey a professional image. Efficiency: Email messages that get to the point are much more effective than poorly worded emails. Protection from Liability: Employee awareness of email risks will protect you and your company from potential law suits. Email Etiquette Dos & Don'ts When sending or receiving email messages, it is important to adhere to the following rules; thus avoiding any potential problems or miscommunication: Do include a relevant subject line. Many people delete received email messages that do not include one. Do think about a message's content before sending it. Being abrupt is often misinterpreted. Do remember to specify an attachment's format. Do be careful when replying to mailing list messages or messages sent to many recipients. Do include a brief signature with each email message, especially if you don't know the person very well. Do tell a person if you forward their message to someone else. Don't reply to an email message when angry or conduct arguments via email. Don't type in capital letters, which is considered to be shouting. Don't include personal remarks about third parties. Don't send large attachments without checking with the recipient first. Don't mark messages as "urgent" if they aren't. Email: Attachments Zip files are archives used for storing and distributing files, and can contain one or more files. Usually the files archived in a zip file are compressed to save space, to attach to an email message or to publish on a website. Zip files are often used to: Distribute files on the Internet: Only one zip file transfer operation (download) is required to obtain all related files and file transfer is quicker because the archived files are compressed. Send a group of related files to an associate: When you distribute the collection of files as an archive you benefit from the file grouping and compression as well. Save disk space: If you have large files that are important but seldom used, such as large data files, simply compress these files into an archive and then unzip (or "extract") them only when needed. To zip files or folders from My Computer or the Desktop, follow the instructions below: 1. Select one or more files or folders in My Computer or on the Desktop. 2. Then, right-click any of the selected files or folders. Select Send to Compressed (zipped) folder 3. Windows automatically compresses the files or folder, archiving them into one zip file.

To unzip files or folders from My Computer or the Desktop, follow the instructions below: 1. Right-click a zip file. 2. Click Open to view the zip file in a Window or click Extract All to extract all the files in the zip file to a designated location. 3. Windows extracts the file or folder. Open the unzipped file or folder to view its contents. You can attach any type of file (zipped or otherwise) that is accessible from your computer or through a network to an email message. When you wish to attach multiple files to a message, it is considered proper netiquette to zip them so the recipient receives only one attachment to open. To attach a file to an email message, follow the instructions below: 1. After composing your message, select the Attachments: button (the paper clip icon on the email toolbar).

2. The Attachments dialog box appears. 3. In the Choose a File to Attach: field. do one of the following: Type the path to the file, or... Click the Browse button to locate the file. 4. Click the Attach button. Repeat steps 1-3 for any additional files you want to attach. The selected files are displayed in the heading, next to Attachments. When a message contains an attachment, Microsoft Outlook displays a paper clip icon next to it in the main window. When the message is opened, the name of the attached file appears in the message heading information. Some attachments, such as.txt and.gif files, can be opened directly in the web browser. Tip: As attachments are a common method for spreading computer viruses, it is recommended that you save attachments to your computer's hard drive and scan them for viruses before opening them. To view an attachment, follow the instructions below: 1. Double-click the attachment file name located in the message header. 2. The File Download dialog box appears.

3. Do one of the following: If you feel confident that the attachment is safe, click Open. If you are unsure of the attachment's source, click Save to save the attachment on your computer s hard drive and scan the attachment before opening it. Click Cancel to cancel the file download. Note: Zip files must be saved to your laptop. To do so, right-click on the file name and select Save Target As from the shortcut menu to save the attachment on your computer's hard drive before opening it.

Email: Remote Access Outlook Web Access (OWA) is a method for remotely accessing your SAIT mailbox. Your mailbox is called an Exchange mailbox because it lives on a Microsoft Exchange server. However, when you access your Exchange mailbox through a web browser, you are using a technology Microsoft calls Outlook Web Access. The Outlook Web Access (OWA) client provides a significant amount of the functionality of the Microsoft Outlook client. Because it uses a secure network protocol, OWA can be used to access your mailbox from anywhere on campus or anywhere in the world. You must use Internet Explorer to utilize the full functionality of OWA. If using another browser (e.g. Firefox) you will automatically be using the Light version of OWA. If you have upgraded your browser to Internet Explorer Version 11, access the Tools options (Press F10 to see the menu bar Click Tools I Compatibility View Settings Enter https://owa3.sait.ca into the Add this website: textbox Click the Add button do the same to add https://owa4.sait.ca Click the Close button To access your SAIT email account remotely, follow the instructions below: 1. Launch Internet Explorer. owa3.sait.ca (if your student ID is an ODD number) owa4.sait.ca (if your student ID is an EVEN number) If your ODD or EVEN web address doesn't work, then you can use the other address. If the Security Alert window appears. Click OK.

1. The Outlook Web App login window appears. 2. You will be presented with an Outlook Web Access login screen. In the User name field, enter Ensure you select the option: This is a private computer before logging in. 3. To input your User name, do one of the following: Students: Input your Student ID Number - without the leading zeroes. 4. To input your Password, do one of the following: Input the same password you use to access your network access account. If you have never changed your password, input your birth date using the following format - YYMMDD. Tip: Your SAIT network access account logon and email logon are identical. 5. Click Log On. If you entered your credentials correctly, you will see the Outlook Web Access window displaying the most recent message in your Inbox.
