Please refer to the ODP License Description and Procedure Policy Letter that was distributed to you by your Distributor. This will have all the details needed to setup a Smartphone account. You can also find the policy letter posted on the Pro Portal. How can I find the App? For iphone, search Olympus Dictation in the Apple Store. For Android, search Olympus Dictation in Google Play. Is there a Demo License or a Trial license available? And if so, what is the difference between the two? Yes, both demo licenses and trial licenses are available to each dealer. Demo Licenses: Demo licenses are automatically issued when a Distributor or Dealer s account is created. A total of three demo licenses will be available. Trial License: Only dealers can issue trial licenses to a customer s account. A maximum total of 100 trial licenses can be issued to any one account. Trial licenses are valid for 30 days. If for some unknown reason, a customer requests more time to access the app, the dealer can extend the trial period another 30 days, bringing the total number of days to 60. Once the trial date expires the license will automatically terminate. If standard licenses are issued during the trial period, the trial licenses will automatically be terminated. Can a client reload the App if they change Smartphones without additional charges? Yes, the App can be transferred from Smartphone to Smartphone with some essential steps needed by the dealer.
How does the App integrate with a Hospitals or clinics patient demographics? The App has the ability to be used remotely in a hospital or clinical setting. The files are encrypted via the ODDS server utilizing DSS or DS2 file formats (128 or 256-bit AES encryption). These files are then routed to the ODMS system currently installed on the administrators or Transcriptionists computer. Can you please cover the purchase & activation process for the Dealer and the Client? The dealer will setup their version of the Olympus Dictation Portal (ODP) that was created by their distributor. The dealer will then need to pre-purchase standard licenses following their distributor s guidelines. The dealer will then create an account for the customer in ODP. ODP will automatically send an email to the customer alerting them of the account that was created. They will then setup their account and request the number of standard licenses they would like to purchase. Once the dealer receives the payment from the customer, the license can be issued through ODP. Does the App work on the ipad? Yes, the App does currently work on the ipad. Is there a demo feature currently installed within the app? Currently, there is no installed demo within the App. There is an App walk-through that will be available via the Pro Portal as of October 8, 2013. Are there any plans for blackberry compatibility? There are no current plans for compatibility with Blackberry. What is the difference between the Non-Licensed and Licensed version of the Smartphone APP? The non-licensed free version will only allow the user to send non-encrypted filed via email to the administrator or transcriptionist. These files will be sent in AAC (iphone) or AMR (Android) file formats. These files will not include: Encryption, Compatibility with ODMS, Metadata, Priority Settings, or Administrative Settings.
Regarding Conversion Times, how long would a 30 min dictation take to send through the ODDS system? DSS conversion time for 1 minute of recording: iphone4: about 1 minute iphone4s: about 30 seconds iphone5: about 15 seconds For example: A 30 minute recording via an iphone 5 will take approximately 2 minutes to send the dictation through the Smartphone. Does the audio play back through the Smartphone loud speaker? Yes, the audio play back is directly through the Smartphone loud speaker. Is there a cost for the transcriptionist to have access to the server? There is no cost other than the current ODMS software that is utilized on the transcriptionists device. Only the user will be billed for usage of the server. Can the file be converted to DSS before it is sent via email? When utilizing the PAID Smartphone version: When the file is recorded on the Smartphone, it can automatically encrypt in either DSS or DS2 formatting while the dictation is taking place. When utilizing the FREE Smartphone version: When the file is recorded on the Smartphone it is non-encrypted and is only able to be sent via AAC (iphone) or AMR (Android). When will the system go live? The Olympus Dictation app will go live as of October 8, 2013. Are you limited to the amount of phones that can be connected to ODMS? Phones are not connected to ODMS R6. The phones are actually connected to the customer s ODP account. Within ODP, you have the ability to set the destination you would like the email to be sent. With this in mind, you can set up as many phones as you have licenses in your account. Do any Firewall ports need to be open for the direct connect? Everything is done through HTTPS. ODP is web-based.
Does the iphone App have FTP capability if a user has their own FTP they would like to utilize? You can only set the FTP site information in ODP. It cannot be set on the phone itself. You said the App could connect directly to the ODMS Transcription module. Is that on a LAN only or over the internet? The App connects to ODP. It does not connect directly to the ODMS R6 TM program directly. You would set the Email or FTP settings in ODP to direct it to the person who is using ODMS R6. If the settings in ODMS R6 are setup appropriately, the file from the Olympus App will be received in ODMS R6. What are some of the selling features for the Smartphone App? 1. Tosihba FlashAir SD Card remote connection between the DS-7000 & DS-3500 devices to the Smartphone 4. DS2 Recording Format (256-bit encryption for highly classified files) If someone has the Licensed App, do they really need a DS-7000 or DS-3500? Yes, they still ABSOLUTELY need a DS-7000 or DS-3500. The Smartphone application is an additional *accessory* to the Olympus Pro product family. In conjunction with your remote dictation device, a USB enabled RecMic, and lastly a simple backup/short note taking device in your Smartphone application, you now have a broad portfolio to never go without dictation. The Smartphone app is not a replacement to your current Olympus hardware. It is an add-on which enhances your current devices.

Yes, ODP will allow you to input information for a secure FTP site. Can the voice files be deleted automatically? Yes, voice files can be deleted automatically; this can be setup by each individual Smartphone or by a central administrator. How does it get from the hub back to a transcriptionist? What if an encrypted file is being sent to a transcription service that is not using the ODMS transcription module? You can set either within ODP. The transcriptionist must have ODMS R6 TM installed in order to decrypt an encrypted or password protected file.
