YOUR AUTOMATED EMPLOYEE Foxtrot Deployment Guide Enterprise Edition Introduction This Deployment Guide is intended for administrators in charge of planning, implementing and maintaining the deployment of Foxtrot Technology in an organization. Note: This document should only be given to individuals who are authorized to access administrative areas of the Foxtrot Suite. This document contains default administrative passwords that may allow access to administrative functionality in Foxtrot Suite. 1

What is Foxtrot? Foxtrot is a robust automation tool that allows non-technical users to easily automate computer tasks, by taking inefficient manual data processes off of your hands and performing them for you flawlessly, in a fraction of the time. Foxtrot seamlessly works with drag-and-drop simplicity to automate tasks in web and Legacy applications, or in Windows applications like Excel and Outlook. No coding or programming required. A hero that accommodates multiples skill levels, Foxtrot empowers the non-technical knowledge worker to improve productivity today. Your Foxtrot works with: Windows desktop applications Web-based browser applications and websites Microsoft Excel spreadsheets Terminal emulators (AS400, IBM Mainframe, UNIX, etc) Databases / Datasets Files and folders FTP Servers 2

Foxtrot Technology is delivered in a package of products collectively called the Foxtrot Suite. Getting Started Whether deploying Foxtrot Suite for the first time, or upgrading an existing installation, it is recommended to confirm you have the following to ensure the deployment goes smoothly. Latest Software Version To ensure you have the latest features, enhancements, and bug fixes, obtain the Latest Version of Foxtrot before beginning deployment. For additional training materials, click on the Documents tab on the Latest Version webpage. Product Key To complete the deployment, have your product key ready. Your product key will be emailed upon purchase of Foxtrot Suite. The product key will be in the following format: XXXXX-XXXXX-XXXXX-XXXXX-XXXXX Please contact EnableSoft Support if you do not have a product key. 4

Minimum System Requirements Certain system requirements must be met in order for Foxtrot products to run correctly. Before installing the product on any servers or workstations, verify that each computer meets the requirements below: System Requirements (Recommended) 4.0 ghz processor 4 CPU cores or more 16GB RAM 500MB hard drive space 1024 768 display resolution or higher Dual monitors Internet Explorer 11 Local administrator rights Supported Operating Systems Windows 8.1 Windows 8 Windows 7 (32-bit and 64-bit) Windows Vista (SP2 or higher) Windows XP Pro (SP3 or higher) Windows Server 2012 Windows Server 2008 (SP2 or higher) Windows Server 2003 (SP2 or higher) System Requirements (Minimum) 1.8 ghz processor 2 CPU cores or more 3GB RAM 30MB hard drive space Supported Browsers Internet Explorer 11 Internet Explorer 10 Internet Explorer 9 Internet Explorer 8 1024 768 display resolution Internet Explorer 8 Local read, write, execute, delete rights 5

Deploying Foxtrot Several deployment options are available. It is important to understand these options to choose a deployment that best meets your needs. There are three deployment options Local, Server, or Folder. Choosing a Deployment Option Deployment Type Advantages Restrictions Local Deployment The software and licenses are installed locally on a single workstation. The user of the local workstation will always have one or more licenses available for immediate use. Each workstation can be running a different version of the software. Each workstation can be running on a different domain or workgroup. Licenses cannot be shared and utilized by users on other workstations. The Foxtrot administrator will be unable to centrally manage security settings, user profiles, and global settings. The Foxtrot administrator will be unable to centrally monitor license usage and user activity. 6

Server Deployment Recommended. The software and licenses are installed on a centralized server (referred to as the License Host). No services or applications need to run on the server to use this type of deployment. The software is then installed on each user workstation and configured to obtain a license from the License Host. Licenses can be shared and utilized by users on other workstations. The Foxtrot administrator can centrally manage security settings, user profiles, and global settings. The Foxtrot administrator can centrally monitor license usage and user activity. A user will not be able to acquire a license if all licenses are already in use. The server and all workstations must be running the same version of the software. The server and all workstations must be on the same domain or workgroup. Folder Deployment The software and licenses are installed in a License Path. To accomplish this, the installation is run from a remote workstation (referred to as the Managing Machine). During the installation, the License Path is chosen as the Destination Folder for the install. The software is then installed on each user workstation and configured to obtain a license from the License Path. Allows the licenses to be placed in a License Path (including a folder on a Novell file server). Licenses can be shared and utilized by users on other workstations. The Foxtrot administrator can centrally manage security settings, user profiles, and global settings. The Foxtrot administrator can centrally monitor license usage and user activity. A user will not be able to acquire a license if all licenses are already in use. The Managing Machine and all client workstations must be running the same version of the software. The Managing Machine and all client workstations must be on the same domain or workgroup. The software and license files in the License Path can only be upgraded from the Managing Machine. 7

Option 1: Local Deployment In a Local Deployment, the software and licenses are installed locally on a single workstation. Consider these advantages and restrictions when selecting this option: Advantages: The user of the local workstation will always have one or more licenses available for immediate use. Each workstation can be running a different version of the software. Each workstation can be running on a different domain or workgroup. Restrictions: Licenses cannot be shared and uti lized by users on other workstations. The Foxtrot administrator will be unable to centrally manage security settings, user profiles and global settings. The Foxtrot administrator will be unable to centrally monitor license usage and user activity. 1. For the installation to complete successfully, you must be logged into the workstation with a Windows account that has local administrator rights 2. Download the Foxtrot Suite from http://www.enablesoft.com/foxtrot-support/latest-version/ 3. Run the installation on the machine in which the software and licenses will be installed 4. Click Next on the Welcome Screen 8

Option 1: Local Deployment 5. Select a Setup Type. The Complete Setup Type is the recommended selection and will be selected by default, which will install all applications and help files. Alternatively, Custom can be selected to customize which Foxtrot Suite applications are to be installed. Click the Next button to continue If Complete was selected, skip to Step 7 6. If Complete was selected, skip to Step 7. Select the Foxtrot Suite applications to install, and click the Next button 7. Select the destination folder in which the application as licenses will be installed. The recommended path will be selected by default. To change this location, click the Change button. Note that the user must have read, write, and modify permissions to this path. Click Next to continue. 9

Option 1: Local Deployment 8. Once all the installation options have been chosen, the Ready to Install the Program screen will be displayed. Click Install to continue 9. While the software is installing, the following screen will be displayed. Wait for the installation to complete. The progress bar may reach 100% then start over several times, this is normal 10. Once the installation has completed successfully, the following screen will be displayed. Click Finish to exit the installation 10

Activating Licenses To begin using Foxtrot, licenses must first be activated using the Foxtrot Administrator. The following provides instructions on how to activate licenses to a Local Machine. did foxtrot just crash? Windows may be preventing this program from launching. Find out why 1. Launch the Foxtrot Administrator Having Trouble Logging in? Verify that username and password you have entered is a valid admin account. If using the default admin account, try admin for the username and Foxtrot for the password. Still unsuccessful? We might not have the recommended permissions to access certain files. Help me fix this 2. You will be required to enter login credentials Use the following default Administrator account to access the Foxtrot Administrator: Username: admin Password: Foxtrot Note that the password is case sensitive. Click OK to log in. 11

Activating Licenses 3. Once the application is opened, click on the Licenses view ( ), followed by the Manage Licenses button ( ) 4. The following License Wizard screen will appear. Enter your Product Key and click Next to continue 12

Activating Licenses 5. Confirm the product key entered. If it appears incorrect, click the Change Product Key link and return to the previous step. If the product key appears correct, click Next to continue 6. When the following Add or Remove Licenses screen appears, select the Add Licenses option and click Next to continue 7. When the following Agreement screen appears, read the End-User Software License Agreement. Click the checkbox labeled I accept the terms and conditions to continue to the next screen. Optionally, click the Print terms and conditions to print a copy of the agreement for future reference. Clicking Next will enable you to activate your license 13

Activating Licenses 8. The License Sharing screen will appear. In this case, choose the Do Not Share option 9. The final screen will display the number of licenses available to add. Click Next to activate your license 10. If successful, the Confirmation screen should be displayed. Click Close to exit the License Wizard 11. After Licenses have been successfully added, permission levels must be verified on the C:\ProgramData\Foxtrot Suite directory. Assign read, write, and modify permissions to all users on this folder. Option 2: Server Deployment In a Server Deployment, the software and licenses are installed on a central server (or workstation). This centralized server is referred to as the License Host. The software is then installed on each user workstation and configured to obtain a license from the License Host. Share the Network Path (installation folder chosen in Step 7) with all users sharing licenses. Navigate to this folder and view the Folder Properties, clicking on the Sharing tab. Modify the folder properties and give the appropriate users read, write, and modify permissions to that directory 18

Depending on the permissions level of the user logged on, either click on the Share button, or click Advanced Sharing followed by checking the checkbox labeled Share this folder 13. All users will need read, write, and modify permissions to this folder. If necessary, modify the permission levels of those users/groups, and assign the appropriate permissions 19

Option 3: Folder Deployment In a Folder Deployment, the software and licenses are installed in a License Path on a Managing Machine. The folder in which the licenses are installed is referred to as the Central Folder. To accomplish this, the installation is run from a remote workstation. During the installation, the License Path is chosen as the Destination Folder in Step 7. The software is then installed on each user workstation and configured to obtain a license from the Central Folder. Consider these advantages and restrictions when selecting this option: Advantages: Allows the licenses to be placed in a License Path (including a folder on a Novell file server). Licenses can be shared and utilized by users on other client workstations. The Master Workstation can centrally manage security settings, user profiles and global settings. The Master Workstation can centrally monitor license usage and user activity. Restrictions: A user will not be able to acquire a license if all licenses are already in use. The Master Workstation and all Client Workstations must be running the same version of the software. The Master Workstation and all Client Workstations must be on the same domain or workgroup. The software and license files in the centralized folder can only be upgraded from the remote workstation that was part of the original install. 1. For the installation to complete successfully, you must be logged into the Managing Machine with a Windows account that has local administrator rights 2. Download the Foxtrot Suite from http://www.enablesoft.com/foxtrot-support/latest-version/ 28

Configuring a User Workstation If either the Server or Folder Deployment options were chosen, multiple users may use the licenses in which have been shared. Begin by running the Foxtrot Suite installation. 1. For the installation to complete successfully, you must be logged into the Client Workstation with a Windows account that has local administrator rights 2. Download the Foxtrot Suite from http://www.enablesoft.com/foxtrot-support/latest-version/ 3. Run the installation on the machine in which the software and licenses will be installed 4. Click Next on the Welcome Screen 40

configuring a user workstation 5. Select a Setup Type. The Complete Setup Type is the recommended selection and will be selected by default, which will install all applications and help files. Alternatively, Custom can be selected to customize which Foxtrot Suite applications are to be installed. Click the Next button to continue If Complete was selected, skip to Step 7 6. If Complete was selected, skip to Step 7. Select the Foxtrot Suite applications to install, and click the Next button 41

configuring a user workstation 7. Select the destination folder in which the application as licenses will be installed. The recommended path will be selected by default. To change this location, click the Change button. Click Next to continue. 8. Once all the installation options have been chosen, the Ready to Install the Program screen will be displayed. The progress bar may reach 100% then start over several times, this is normal 10. Once the installation has completed successfully, the following screen will be displayed. Click Finish to exit the installation 43

Configure User Workstation To begin using Foxtrot on a user s workstation, we must instruct Foxtrot to look at the location in which the license were stored. Please have License Path available. did foxtrot just crash? Windows may be preventing this program from launching. Find out why 1. Launch the Foxtrot Administrator from the Client Workstation 2. You will be required to enter login credentials Use the following default Administrator account to access the Foxtrot Administrator: Username: admin Password: Foxtrot Note that the password is case sensitive. Click OK to log in. 44

configure user workstation Having Trouble Logging in? Verify that username and password you have entered is a valid admin account. If using the default admin account, try admin for the username and Foxtrot for the password. Still unsuccessful? We might not have the recommended permissions to access certain files. Assign read, write, and modify permissions to all users on this folder 46

The Enhanced Import Wizard To import data into Foxtrot from a Microsoft Excel or Access file, the Enhanced Import Wizard must be activated. Note that the Enhanced Import Wizard can only be activated if the machine has Microsoft Office installed. Activating this feature is optional, however it is recommended. 1. Click on the Data Settings view and check the checkbox labeled Use Microsoft Office Automation for Enhance import as well as the option labeled Use this DSN to open Microsoft Access files. 2.
