Welcome to Workday! Dear Colleague, At Travelex we use a global HR Information System to make your life easier. Workday is our online self service HR system where you login to: 1) Ensure your personal information is up to date 2) Update your bank account details 3) Log your leave requests 4) Complete your time and attendance tracking Ensuring you are paid on time and correctly is very important to us and we can only do this if we have the right information. Your involvement in this process from Day One will set us both up for success. On your first day it is critical that you login to Workday and complete the checklist on page 3. Failing to do this may result in us being unable to deposit your pay into your bank account so please make this a priority on Day One. In the following pages of this document you ll find detailed information on how to complete each step of the checklist. On your first day if you do not have access to Workday then you must raise this as a query via the IT Service desk. If you do not have access to email then please ring 01733 503 434. AD (Account Directory) Log in Details AD log in details received from Hiring Manager Your hiring manager will receive an email from IT as soon as they create an account for you. Your hiring manager will pass these details onto you immediately along with this document. This is your Single Sign On (SSO) log in details for all the computer systems you will need to sign onto: Computer o Gain access to your emails Workday o Process all your work related HR activities Ulearn o Access online tutorials & learning material PeopleFluent o For Hiring Managers only RTS o Point of Sales system Update Personal Information in Workday The below information is important to check and update as this feeds into your payroll information. Your personal information ensures that all official documentation is sent to the correct address and ensures that any optional benefits are correctly calculated. Sign in to Workday Using your SSO log in details that your hiring manager passed on to you, log into Workday via the Tnet (Travelex Intranet) here (link below) and choose the Workday option from the drop down list. https://idp.travelex.net/adfs/ls/idpin itiatedsignon.aspx In the username box type in your current windows personal login username (AD), type in your AD password and then select EMEA from the drop down domain list. Update your personal information Use the UK Workday process cards (http://tnet/obss/onetravelexcomms/assets/pdfs/wd_22_process_cards.pdf), found on the UK Workday Materials page within the HR Homepage, to navigate your way through the system and update or add the following personal information: Home Contact Information o Address o Telephone/Mobile contact number o Email address Emergency Contact Information Gender Date of Birth Marital Status Update your Bank Account Details (Compensation Details) To ensure that you get paid on time you must update your Payment Elections information. Once in Workday, use the search bar and enter Payment Elections. Then click on Change Account and update the following: Account Type Bank Name Bank Sort Code Account Number Name on Account (Name that appears on Bank Card) Update your National Insurance Number In the Workday search bar, start typing in Change my Government IDs and select the option of the same title from the drop down field. You will see two options to enter data, enter your National ID in the National IDs option. Pass on P45/New Starter Tax information to Line Manager When you join Travelex you need to hand your P45 to your Line Manager on your first day of work. If you do not have a P45, you need to submit a New Starter Form and hand it to your line manager: http://www.hmrc.gov.uk/forms/starterchecklist.pdf, (if the link does not open, copy and paste it into an internet explorer tab). Once your Line Manager has received either a P45 or a completed New Starter Form they can either post it to: The In House Payroll Team, Worldwide House, Thorpe Wood, Peterborough, PE3 6SB or email it to UK HR Payroll: P45UKPAYROLL@travelex.com Please note, for the correct tax code to be associated with your pay the forms must be received before the payroll cut off date. Payroll cut off dates are typically around the 8th 10th of the month but a communication will go out to all Travelex employees a week before and the day before each month s payroll cut off date. 15 th September 2014 5 P age
HR Evolution Registration (Online Payslips) To register for HR Evolution and gain access to your online payslips, you must first complete your checklist and update all of your personal information in Workday. Our payroll partner, Ceridian, then pick up this information once a month before pay day and upload it into their system. This information forms the security questions you need to match in order to register online, e.g. you need to confirm your date of birth, gender, address etc If our payroll partners are unable to pick up your personal details from your Workday account, i.e. if the details are missing, you will be unable to register for access to online payslips. You may only register once both systems are aligned, this will happen one or two days prior to payday (typically on the 28 th of the month, but this may vary (+/ ) by a couple of working days). Self registration to the Online Pay Documents (OPD) Site Click here to view the OPD User Guide on Tnet. This guide takes you through self registration. (http://tnet/obss/hronline/html/evolution_user_guide.html) To access OPD you need to self register here. Note: when self registering, you must use your 7 digit payroll number in the format 70#####, not your Workday E ID. (https://www.ceridianhre.com/portal/login.aspx?organisation=2384&showorganisation=false). If you don t know your payroll number; login to Workday, click on IDs and see your UK Payroll number under Other IDs. During self registration you will need to provide specific personal data. This will validate your identity with the details already held by the HR / Payroll system and enable you access to your Travelex pay history. About OPD OPD is a secure site hosted by Ceridian who already look after your data in the HRIS and Source Self Service systems.
