Unstructured file systems and e-mail data present particular challenges in growth and management, because of the nature of how and when the data is created. Users are typically not responsive to quotas, and are typically disorganized in saving and naming their files and in managing their e-mail folders. This makes it more difficult to determine which files and messages are business-critical and which can be retired to help control data growth. This data chaos also makes it difficult for administrators to help users to find missing or lost files when required. The CommVault Solution CommVault offers a radically better approach that removes the degrees of separation typically found between users and their data. Instead of requiring users to work through a help desk and administration teams to find and recover their data, CommVault s Search Web Interface provides users with easy-touse, direct web access to files and e-mail managed by CommVault software. The Search interface operates against the single, virtual pool of managed data created by CommVault s exclusive Singular approach, making it easier and more cost effective to search, access and make use of that data. The CommVault Search interface services the growing demands of business compliance and legal discovery teams as well as end-users. It includes capabilities designed to assist organizations in responding to legal discovery actions and compliance audits, and to enable higher levels of business productivity and competitiveness by offering users direct access to data. Easy, Direct Access to Data The CommVault Search interface is a webbased browser that enables users to search for files and email using attributes and content that can be anywhere within the file, document or email message, including attachments. Simple and advanced criteria can be applied, including search by file/message attributes, content keywords and phrases and data policy properties (for example, source, agent, timestamps, and job-id). Wildcard and Boolean search methods are supported, along with alternative spelling suggestions to improve the quality of the search results. Search views offer intuitive features such as relevancy scoring, hit sorting and dynamic content teasers to allow users to quickly determine which items they need. When a search returns hundreds or thousands of hits, the user can use the drop-down Search Navigators to filter the results based on content and attribute categories. Search-within-a-search capabilities offer an easy way to quickly refine and narrow searches by applying more targeted criteria.

The capabilities are called Pin Media and Pin Job. The data that is searchable through the Search interface includes CommVault backup and archive copies that have been Content Indexed. This data can be secondary or offline copies of: u Any file system data u Microsoft Exchange messages and attachments u IBM Lotus Domino messages and attachments u Microsoft SharePoint documents and objects u Data stored on disk and tape Search capabilities can also be extended to online or production copies of Windows file system data, by applying CommVault Content Indexing to Windows file system servers. Flexible Use of Search Results The user-friendly experience of the Search interface extends beyond single search and item retrieval. Users can name save searches, as Queries, for easy re-use. Users can also save selected items from search results into one or more named Result Set lists. The items in the Result Set can be appended or deleted at the user s discretion. The Search interface also provides a place to comment on every item in the Result Set, enabling a user to make notes for future use or follow-up research. Working with Result Sets makes it efficient and fast for users to organize items associated with specific research and discovery projects, to categorize and group items found from more than one search, and to gain more value over time. Result Set lists can be exported into PST and CAB files and shared, enabling research teams or discovery teams to work together to select data before any files are retrieved from the pool. This helps to ensure that only the data that is relevant to a research project, audit or legal discovery action is retrieved before the time is taken to retrieve the items. Efficient Retrieve and Viewing Items, either files or email messages, can be selected and recovered for local viewing and use either individually or as a group. Recovered items are stored on the local web server, in the Job Results directory. Recovered items can be opened and viewed directly from the Search interface, and exported quickly and easily into PST and CAB files. Locally-stored files and messages can also be copied and opened in read/write form using the file system or messaging application. The process of retrieving the files or email messages from the managed pool operates as a normal CommVault retrieve (from archive) or restore (from backup) operation. The associated

The Search interface switches from Result Set to Media views with the touch of a button. The Media view provides a complete list of all of the media on which the items listed in the Result Set are stored, including disk library locations and tapes. This is helpful for confirming the availability of media ahead of attempting to retrieve items, such as when tapes are stored offsite. Users can also use this view to pin media, to prevent that media from being removed from the library. Business Results: Optimized Information Access Optimizing information the ability to search and access it is gaining board-level attention in most companies today especially as it relates to e-discovery and audit. As courts and regulators become less tolerant of data management mistakes, the need grows for a unified approach to search and find any copy of managed data when the clock is ticking. With CommVault software, multiple different types of data are combined into a single, searchable archive. Search and discovery is enabled across data types and site boundaries. Using a single index, CommVault Search can rapidly find data according to parameters such as date, time and application. Once responsive data has been identified, legal holds can be affected with point-and-click ease. Discovery users can email Result Sets to reviewers or to outside counsel when preparing for litigation, as well as export files and email messages into PST and CAB files for easy import into legal discovery workflow tools. With information at their collective fingertips, key decision makers, legal compliance officers and business end-users are able to make more informed decisions and improve multi-channel collaboration.
