ImageMaster AdminTool. 04 05 The central system management interface. The ImageMaster ServerSuite creates a firm framework for all document management solutions. The AdminTool allows you to adjust the necessary customizing settings for every client comfortably, from access authorizations to file definitions. Documents, files and data. The added value of document management is basically the result of structuring document and data inventories and the resulting automation of technical and organizational processes. In ImageMaster, any number of document types can be defined by means of the AdminTool, which link an extensive information structure with every document: Meta data pertaining to the document, links to other documents, relational links to other document types, notes and several files (so-called compound documents). Document types can be arranged logically into folders. In addition, master data folders linked to various document types can be defined. With its extensive data model, ImageMaster offers the required degree of freedom to display the relationships between data and documents. This represents the basis for successful information management. Users, access control and safety. The multi-layered safety system allows you to restrict access to information to those users the information is intended for. Users and user groups can be managed by means of the ImageMaster AdminTool. The hierarchic group concept allows you to allocate authorizations both to individual users as well as to any users with the same responsibilities. The structure of the authorization management is very complex. Authorizations can be allocated at document type level or based on conditional clauses, including individual documents. More than ten different individual authorizations are distinguished for this purpose (read, print, export, etc.). Form designer. The form designer is used for the interactive design of group- and user-specific masks to enter and display information. Several masks to support the various tasks of the user can be designed for each document type. ImageMaster ScanClient. 06 07 Automatic digitalization of documents. Use the advantages of an Enterprise Content Management system with the automatic digitalization of incoming and existing documents and data. The use of ImageMaster ScanClient as a capturing solution saves valuable time. To save your qualified colleagues the time-consuming search for data and documents in the paper archive you can provide them with the required data in electronic format instead. As a result, the valuable knowledge of your employees is not wasted by conducting unnecessary archive searches, but can be used efficiently at the work place. Incoming mail reaches the responsible experts faster thanks to the automatic electronic distribution and inquiries can be processed faster by the concerned departments. Automated indexing. Documents can be indexed automatically with the use of OCR technologies (Optical Character Recognition) or barcodes. Data such as the document type or invoice number are extracted from the documents. Then the data is being interpreted and directly allocated to this document as an index value. This way the documents can be forwarded directly electronically to the responsible professional. In addition, index values are used for the explicit identification and retrieval of documents. Manual indexing. In addition to automated indexing of documents, the documents can also be indexed manually. Index values are allocated to predefined criteria by a skilled worker. Manual indexing is particularly useful for individually scanned documents or for documents captured in small quantities. It is possible to re-index automatically captured and indexed documents, e.g. if certain index values could not be generated automatically during the capturing process. Manual indexing is also necessary if the values can not be determined exactly. In that case the documents are not forwarded to the production departments because they have to get re-indexed first. As a client application, the ScanClient is integrated bidirectional into the Image-Master archive. In addition to archiving data, the ScanClient offers extensive search and retrieval functions. For example, the ScanClient can be used to access documents directly in the archive. Thanks to the similarity with other ImageMaster clients, the operation of the ScanClient is easy and intuitive.
