Introduction to Flight Schedule Pro v3.0 We are excited to bring you the next version of Flight Schedule Pro! The purpose of this document is to introduce you to some of the new features that are available with v3.0. We are sure you ll be excited! Our goal for v3.0 was to make Flight Schedule Pro more user-friendly, improve communication with our customers, and provide a solid framework to build upon in the future. We re sure you ll agree that we have accomplished exactly that... Introduction to Flight Schedule Pro v3.0 Page 2 of 8

New Concepts for v3.0 Do you want more user-level flexibility to specify what users can and cannot do on the system? With v3.0 we are introducing a few new concepts that will give you the ultimate in user-level flexibility. We think you will find these concepts very easy to understand, not to mention powerful when applied! Here are a few key definitions to get you started: 1. Roles: Roles are designed to help you manage different types of users and what activities those users can and cannot do on the system. v3.0 allows you to create multiple custom user-levels, which we refer to as roles. Some role examples you could use: Front desk role, Dispatcher role, Assistant role, etc. Essentially, a role is a group of role preferences and role permissions that can be given to users. 2. Role Permissions: A role permission is a rule stating an activity a user can or cannot do. An example would be, Users assigned to this role can edit reservations. A role permission is generally set to either yes or no. 3. Role Preferences: Much like a permission, a role preference is a rule that can be set for a particular role, which will be applied to any users assigned to that role. Role preferences, however, cannot be set to simply yes or no. For example, users assigned to this role can make a total of 5 reservations. 4. Rights: Each user on your system, as a result of being assigned to a role, will have certain user Rights, which is the sum of all you have allowed them to do on the system. These, however, are not unalienable rights, because you can take them away any time you d like :) What are the advantages to using Roles? Flexible First of all, the large number of permissions and preferences you will be able to set for each user will give you much more flexibility to control what each user can do. Quickly setup new users Roles make it easy to setup permissions quickly for new users. Once you ve created a role, you can assign as many users to it as you want. When you add or approve new users you can quickly assign them to a role, automatically instating the permissions and preferences you previously defined for that role. Easy to change the user Rights for multiple users at once Editing a role allows you to change what multiple users can and cannot do on the system at one time. Changes you make to a role will be applied to every user that is assigned to that role, unless you have overridden a specific user s Rights. Introduction to Flight Schedule Pro v3.0 Page 3 of 8

New Features and Improvements for v3.0 Store more information about your customers, members, and staff Store up to 5 email addresses for each user: home email, mobile, office, pager, etc. Store and categorize unlimited phone numbers for each user. Optionally store photo ID, date of birth, social security number, passport number, nationality, gender, drivers license info, and emergency contact info. New Pilot Information section will help you store information for pilot certificates, medical certificates, insurance, TSA documentation as well as create your own custom pilot currency checks! More user-level flexibility with roles Create custom roles within your company such as a front desk role and highly define what users assigned to those roles have permission to do. You ll have greater flexibility to say what each user may or may not do on the system, instead of being forced to give a certain user permission that you d prefer not to. Each user will be assigned to a role and therefore receives the permissions that you set for that role. This will allow you to quickly setup new users, as well as change the permissions of a group of users all at once. You can also override the role permissions for an individual user if you want, giving you the ultimate in flexibility. For more information see New Concepts for v3.0 Better support for multiple locations Define multiple locations and tie resources and users to those locations. If you prefer, you can give users access to all locations or require them to register for each location they want to access. Having predefined locations will help you quickly report on activity occurring across locations. Improved international support V3.0 provides multiple sets of address fields, date and currency formats and time zone information that can be localized by country and/or time zone. New features for Instructors Instructors now have one schedule listing all their reservations and appointments together. Depending on company preference, Instructors can be listed on the schedule as read only if they choose, thus not allowing users to make reservations for them. Instructor s time off schedule has been greatly simplified. Instructors can setup regular shifts that repeat indefinitely, yet at the same time schedule additional recurring available or not available time for vacations and such. Communicate more effectively Mass email certain roles only or all users at once. You can also send email attachments. The improved text box will let you bold and highlight certain text, change the font size, and insert your own links. You can also use HTML if you prefer. The main menu now has five optional sections you can use to build your community and to communicate with your customers and members. You may want to use these sections, and you may not, that s why we made them optional. The five sections are Alerts, News, Bulletin Board, Links, and Image Gallery. For alerts, news, and bulletin board items, the post on date and run until date can be set individually so you won t have to regularly clean up your entries. News and alerts can be posted only to certain roles or for all users simultaneously. The new links section will allow you to specify your own categories for external links you want to post. Faster loading and more intuitive scheduling preferences Revision 1.4 Time format can be Standard Clock or UTC. Schedule time interval can be set to 5, 10, 15, or 30 minutes to fit your needs. Customize reservation types and their display colors. As an option, allow certain users to make reservations by aircraft type only in contrast to allowing users to select a specific tail number or registration. Specify separate business hours from schedule display hours as well as different weekend hours for both. Give users the option to include instructor preflight or postflight minutes with their reservation to help maximize aircraft utilization. Optionally gather more information for each reservation such as the flight rules (VFR or IFR), flight type (local or cross country), flight route/legs, total estimated flight time, etc. Quickly mark new reservations as All Day if needed. Advanced options for recurring reservations are much more user-friendly. Recurring reservations are grouped in a series and can be edited as a whole. New types of resources have been built, namely Aircraft, Simulators, Instructors, Flight Equipment, and Other Resources. The system allows for many additional types of resources to be scheduled such as hangar space, tractors, lawn mowers, staff positions, you name it! Look-and-feel, navigation, and layouts One of the most important questions we asked ourselves when we began to plan for this version was How do we build a system that will have a growing number of features, yet make it increasingly more user-friendly for our customers over time? A key element to solving that challenge is to design and build layouts and navigation that are intuitive and easily scalable for growth. A large amount of our resources were devoted to solving that issue, and we think you ll be pleased with the result. Here are some high-points on the improvements to the look and feel, navigation, and layouts. Drop-down menus linking to main pages will be readily available on virtually every page, thus making it much easier to get from one section to another. The look-and-feel of the system is setup for interchangeable themes. In the future we will release other themes which will allow you to drastically change the colors and look of the entire system with the click of a button. For the users that have permission to see the schedule views, there will be links available when you login to load today s schedule, tomorrow, this week, this month, or a day of your choice. In complex areas of the site, such as the system setup section, you will find an expandable tree-view that will help you navigate to different pages, always showing you where you are so you know how to get back to where you came from. Schedule views improvements You will enjoy the new schedule views that have been simplified a great deal and make it easier to see activity. There is a new single and two day view with resources listed down the left hand side of the screen that runs the reservations horizontally, thus giving you more viewable area for larger fleets. The times are much clearer and reservation lengths are represented much better. Calendar picker is highly visible to so you can quickly navigate schedule views as well as hide it all together for a larger viewing area. A multiple resource month view won t be too far down the road as well as other schedule reports to help you get a birds-eye-view on activity. Usability improvements You ll have the option to stay logged in to the system without being kicked out. If you are kicked out, your username can be remembered so you can login more quickly. Once you login again, you will be redirected back to where you were! To save you time, anywhere a date needs to be entered, an in-page date picker will load without launching an entirely new window. A new quick user search will help you quickly locate a specific user in the system by beginning to type their name, instead of searching through a long list of drop down choices. Error messages and confirmation messages are easier to understand. Introduction to Flight Schedule Pro v3.0 Page 7 of 8

New reporting section Revision 1.4 Get reports on cancellations, aircraft activity, instructor activity, user information, student activity, pilot currency information, aircraft squawks, etc. New reporting section will allow you to generate reports based on different criteria and quickly export reports into Microsoft Excel or Adobe PDF format for printing or storage. Feedback, support, and email updates One of our biggest goals is to be able to gather your feedback and translate it into solution-based features for you much more quickly. Therefore, on every page you will see a Support and Feedback link you can click to send us information on bugs, improvements, or additional features you would like to see. To keep you better informed, you will be able to opt-in to receive our e-mail newsletter which will go out regularly to let you know of new features, tips and tricks and bug fixes. New help system At the top right of every screen there is a main help link that will load the main index for the help system, as pictured here: Help contents are searchable. There is also an index for easy navigation, a glossary of terms and links to related topics.
