Overview This document is for Business Intelligence administrators only. It contains the information that is necessary to set up Business Intelligence users and to assign them access to one or more of the following Business Intelligence services: Images This service is only available to clients who use the U.S. Ceridian Payroll System to process PSIDs. Analytics Dashboard Currently, this service is only available to U.S. clients who have Analytics activated and who use the Human Capital Management universe. As a Business Intelligence administrator, you are: Assigned the Client Administrator Master User role for Business Intelligence in the user management system Assigned access to all PSIDs or pay groups for your company Assigned the Analytics Administrator role if Analytics is activated for your company Responsible to set up your company s users for Business Intelligence User Management system A user management system is the Ceridian product where the users, user roles, and PSID or pay group data security for Business Intelligence are set up and managed. The setup information in this document is organized by the following user management systems: Ceridian Security Manager InView Ceridian Identity and Access Management Before you set up a user in Business Intelligence Before you can set up a user on the User Access page in Business Intelligence, the user must be: set up in the user management system assigned one of the following Business Intelligence user roles in the user management system: client user client administrator subuser client administrator master user (without access to all PSIDs or pay groups) Page 5 of 41
client administrator master user (with access to all PSIDs or pay groups) Only Ceridian representatives or organization administrators who use the Identity and Access Management user management system can add these users and set them up in Business Intelligence. Determining your user management system Use the following table to determine which user management system your company uses: If your company has Only U.S. PSIDs Only Canadian PSIDs for HR/Payroll Latitude Both U.S. and Canadian PSIDs for HR/Payroll Latitude (transnational) Only Canadian pay groups for Insync or Powerpay Then your user management system is Ceridian Security Manager. Setup instructions for Ceridian Security Manager This section contains the setup instructions for customers who use the Ceridian Security Manager user management system. For more information about user management systems, see User Management System on page 5. Setup process Before a user can access Business Intelligence, you must do the following: Task Description 1 In Business Intelligence, verify that the user is assigned a Business Intelligence user role. Use this procedure: To verify a user s role on page 8 Important: If the user isn t assigned a Business Intelligence user role, before you can continue, you must assign a role to the user in Ceridian Security Manager. Use this procedure: To assign access to Business Intelligence on page 13 If the user doesn t appear in Ceridian Security Manager, you must request that Ceridian set up the user as a contact in your company s account at Ceridian. Use this procedure: To add a user to Ceridian Security Manger on page 15 2 In Business Intelligence, assign the user access to one or more of the following services: Images Analytics Dashboard Use this procedure: To assign access to Business Intelligence Services on page 8 Important: The services available for user assignment are limited to the services activated for your company. To verify a user s role 1. In Business Intelligence, on the menu bar, click Client Setup User Access. 2. On the User Access page, in the Users section, find the user you want to work with and click the user s name in the list. The user s assigned Business Intelligence user role appears in the General Information section. Important: If the user doesn t appear in this section, then the user isn t assigned a Business Intelligence user role in Ceridian Security Manager. In Business Intelligence, on the menu bar, click Client Setup User Access. 2. On the User Access page, in the Users section, select the user you want to work with and then click Edit at the bottom of the page. Page 8 of 41
Important: If the user doesn t appear in this section, then the user isn t assigned a Business Intelligence user role. Complete the procedure To assign access to Business Intelligence on page 13. 3. To assign access to Payroll Images, in the Images Access section, select the Grant check box. Note: Tax images will be available in a future release. 4. To assign access to Dashboard, in the Dashboard section, do the following: a. Select the Grant check box. b. To establish the user s row-level security, do one of the following: To indicate that the user has access permissions to all HR/Payroll Latitude data for your company and that row-level security isn't necessary for the user, select the Access to All Client Data check box. To use the row-level security permissions that are set up for the user in HR/Payroll Latitude, enter the user's HR/Payroll user name. Caution: To use row-level security from HR/Payroll Latitude, the user must be set up in that product. Even if the user doesn't use the product, this information is necessary to support the user's row-level security in Analytics. Note: If the Dashboard service isn t activated for your client, then this section doesn t appear. Page 9 of 41
5. To assign access to Analytics, in the Analytics Access section, select an Analytics role for the user. 6. Assign one or more universes to the new user. To assign the Payroll US universe to the user, do the following: a. In the Analytics Universe section, select the Payroll US check box. Note: If a universe isn t activated for your company, then it doesn t appear. b. To establish the user s row-level security, do one of the following: To indicate that the user has access permissions to all of the company s divisions and departments, in the Payroll Options section, select the Access to All Divisions and Departments check box. To indicate the divisions and departments that the user can access, in the Divisions and Department section, select one or more divisions and departments and move them to the Selected Departments and Selected Divisions lists. c. Optionally do the following: In Field Access, select the secure fields that the user can access. In Folder Access, select the universe and company folders that the user can access. Page 10 of 41
To assign the Human Capital Management / Latitude or Human Resource Payroll Web universe to the user, do the following: a. In the Analytics Universe section, select the Human Capital Management / Latitude or Human Resource Payroll Web check box. Note: If a universe isn t activated for your company, then it doesn t appear. Page 11 of 41
b. To establish the user s row-level security, do one of the following: To indicate that the user has access permissions to all HR/Payroll Latitude or Web data for your company and that row-level security isn't necessary for the user, select the Access to All Client Data check box. To use the row-level security permissions that are set up for the user in HR/Payroll Latitude or Web, enter the user's HR/Payroll user name. Caution: To use row-level security from HR/Payroll Latitude or Web, the user must be set up in that product. Even if the user doesn't use the product, this information is necessary to support the user's rowlevel security in Analytics. c. In Folder Access, optionally select the universe and company folders that the user can access. 7. Click Save. Page 12 of 41
To assign access to Business Intelligence If a user doesn t appear on the User Access page in Business Intelligence, use this procedure to assign access to the user in Ceridian Security Manager. 1. In Ceridian Security Manager, on the menu bar, click User Accounts. 2. On the User Search page, enter search criteria for the user and click Search. 3. On the User Search Results page, do one of the following: If the user doesn t have a user ID, do the following: a. Click the option button for the user. b. Click Add User Account. c. Go to step 4. If the user does have a user ID, do the following: a. Click the option button for the user. b. Click Edit User Account. c. On the menu bar, click User Assignments. d. Go to step 5. Important: If the user doesn t appear in this section, then the user isn t set up as a contact for your company at Ceridian. Complete the procedure To add a user to Ceridian Security Manager on page 15. Page 13 of 41
4. On the User Account Details page, in Section 2, do the following: a. Enter a valid user ID or click Generate ID. b. Enter or select an effective date and an expiration date. c. Select an option to indicate the access status of the user account. d. Click Submit. 5. On the User Assignments page, in Section 1, do the following: a. Select a Business Intelligence user role for the user. b. Select one or more PSIDs for the user s role. c. Click Add User Assignment. For new users, Ceridian sends a secure welcome email message to the user, which includes the: web address or URL for the My Ceridian Solutions login page user s login credentials (client ID, user ID, and temporary password) 6. To add a user to Ceridian Security Manager If a user doesn t appear on the User Search Results page in Ceridian Security Manager, then the user isn t set up in your company s account at Ceridian as a contact. To add the user, do the following: 1. Contact your Ceridian Service Assistant representative and ask the representative to add the user to Ceridian ResponsePlus.net (RPN) as a contact for your company. RPN is an internal Ceridian tool that Ceridian representatives use to review and manage your database information, such as your PSIDs, payroll setup information, and general information. 2. Wait approximately 48 hours for RPN to process your request. After the Ceridian Service Assistant representative adds the user s contact information to Ceridian RPN, the user appears in Ceridian Security Manager approximately 48 hours later. 3. Setup instructions for InView This section contains the setup instructions for customers who use the InView user management system. For more information, see User Management System on page 5. Setup process Before a user can access Analytics, the following tasks must be completed: Task Description 1 A Ceridian representative uses InView to: add the user set up the user s security including the user s assigned PSIDs assign a Business Intelligence user role to the user enable Business Intelligence for the user 2 You use Business Intelligence to assign an Analytics user role to the user and set up the user s permissions. Use this procedure: To assign access to Business Intelligence services on this page To assign access to Business Intelligence services Note: For more information about the User Access page, see Working with the User Access page on page 24. 1. In Business Intelligence, on the menu bar, click Client Setup User Access. 2. On the User Access page, in the Users section, select the user you want to work with and then click Edit at the bottom of the page. Page 16 of 41
Important: If the user doesn t appear in this section, then the user isn t assigned a Business Intelligence user role. Contact your Ceridian representative. 3. In the Setup Information section, scroll to the Analytics Access section and select a role for the user. 4. To assign the Payroll Canada or Payroll US universe to the user, do the following: a. In the Analytics Universe section, select the Payroll Canada check box, Payroll US check box, or both check boxes. Note: If a universe isn t activated for your company, then the universe doesn t appear. b. To establish the user s row-level security, do one of the following: To indicate that the user has access permissions to all of your company s divisions and departments, select the Access to All Divisions and Departments check box. To indicate the divisions and departments that the user can access, select one or more divisions and departments and move them to the Selected Departments and Selected Divisions lists. c. Optionally do the following: In Field Access, select the secure fields that the user can access. In Folder Access, select the universe and company folders that the user can access. Page 17 of 41

Setup instructions for Identity and Access Management This section contains the setup instructions for customers who use the Identity and Access Management user management system. For more information, see User Management System on page 5. Some Business Intelligence administrators are assigned as organization administrators for Identity and Access Management and use this service to add the new user and assign the user a Business Intelligence user role. Setup process Before a user can access Analytics, the following tasks must be completed: Task Description 1 You use Identity and Access Management to: add the user set up the user s security including the user s assigned pay groups assign a Business Intelligence user role to the user enable Business Intelligence for the user optionally set up single sign-on to Powerpay or Solution Center for the new user Single sign-on lets users log in to Identity and Access Management and access all of their products, such as Business Intelligence, Powerpay, and Solution Center. Use this procedure: To add a user to Identity and Access Management on page 22 2 You use Business Intelligence to assign an Analytics user role to the user and set up the user s permissions. Use this procedure: To assign access to Business Intelligence Services on page 20 3 You send the Identity and Access Management login credentials (customer ID, user name, initial password) to the user in a secure email message. The first time the user logs in to Identity and Access Management, the user must change the initial password and set up the security questions and answers. Page 19 of 41
To assign access to Business Intelligence services Note: For more information about the User Access page, see Working with the User Access page on page 24. 1. In Business Intelligence, on the menu bar, click Client Setup User Access. 2. On the User Access page, in the Users section, select the user you want to work with and then click Edit at the bottom of the page. Important: If the user doesn t appear in this section, then the user isn t assigned a Business Intelligence user role. To add the new user, see To add a user to Identity and Access Management on page 22. 3. In the Setup Information section, scroll to the Analytics Access section and select a role for the user. 4. To assign the Payroll Canada Insync / Powerpay universe to the user, do the following: a. In the Analytics Universe section, select the Payroll Canada Insync / Powerpay check box. Note: If this universe isn t activated for your company, then the universe doesn t appear. b. Optionally do the following: In Field Access, select whether the user can access information for Social Security numbers or Social Insurance numbers in Analytics. In Folder Access, select the universe and company folders that the user can access. At this time, the Bank Account Numbers option is ignored. 5. Click Save. Page 21 of 41
To add a user to Identity and Access Management Only organization administrators and Ceridian representatives can add users to Identity and Access Management. 1. In Identity and Access Management, on the menu bar, click Admin Org Admin Users. 2. On the Organization Selection page, select your organization and then click Continue. 3. On the Users page, click Create New User. 4. On the Create User page, in the Account Information section, do the following: a. Select the user s locale. b. Enter the user s first, middle, and last name. c. Enter the user s account name or user ID. d. Enter the user s initial password and enter it again for verification. Page 22 of 41
5. In the User Roles section, select one of the following user roles: Ceridian BI Client Admin Master Ceridian BI Client Admin Sub Ceridian BI Client User Note: Ignore all other roles and don t select more than one user role for a user. If a user is assigned more than one user role, Business Intelligence uses the lowest-level role assigned. 6. In the Data Profile section, select one of the predefined data profiles for the user s row-level security. 7. Click Create. The User Details page displays information for the new user. The new user is available in Business Intelligence in approximately 5 minutes. 8. To set up single sign-on for the new user, do the following: a. On the User Details page, click Edit. b. In the User Attributes section, in the Attribute Value field, type the user s Powerpay or Solution Center user ID and click Save. Note: Before you complete this step, the user must be set up in Powerpay or Solution Center and you must know the user ID. If the user doesn t have a Solution Center user ID, contact Ceridian Service to add the user for you. Important: The first time the user logs in to Identity and Access Management, the user must change the initial password and set up the security questions and answers. Page 23 of 41
Working with the User Access page In Business Intelligence, use the User Access page to set up Business Intelligence users and assign them access to Images, Analytics, or both. To access this page, on the menu bar, click Client Setup and then click User Access. The following sections describe how to use this page to set up users. Users and General Information sections Users section This section displays all users who are assigned a Business Intelligence user role in the user management system. This section displays the services that are activated for your client and for each service, the user's access permissions. The following icons indicate the user's access permissions: - no access - access General Information section This section displays the following information for the user from the user management system: User name and ID Business Intelligence user role The user role assigned to the user in the user management system. BI Administrator indicator ( ) Indicates a client administrator master user who has permissions to all of your company s PSIDs or pay groups. Otherwise, this field doesn t appear. Page 24 of 41
PSIDs or pay groups that are associated with the user's role assignment in the user management system Important: All changes to this information must be made in the user management system. Images Access section Use this section to manage a user's access to Payroll Images. To activate Images for a user, click Grant. The PSIDs or pay groups associated with the user s role assignment in the user management system and listed in the General Information section on this page are the PSIDs or pay groups the user can access in Images. If this service isn t activated for your client on the Client Profile page, then this section doesn't appear. Note: Tax images will be available in a future release. Dashboard section Currently, this service is only available to U.S. clients who have Analytics and the Human Capital Management universe activated. To activate and set up Dashboard for a user, you must do the following: 1. Click Grant. 2. Select the PSID or pay group security options for the user in the following fields: Human Resource-Payroll Options HPW or HPL User Name Page 25 of 41
3. Optionally activate and set up Analytics for the user. You can assign the Dashboard service to users as a standalone service or together with Analytics. To assign as a standalone service, you grant the user access to Dashboard and verify that the No Access Analytics role is selected. The user can open and use Dashboard, but the Analytics tab won't appear on the menu bar for the user. To assign together with Analytics, you grant the user access to Dashboard and you select an Analytics role. The user's Analytics role controls what the user can do with the Template document in Dashboard, such as edit the query. If this service isn t activated for your client on the Client Profile page, then this section doesn't appear. Dashboard security options Human Resource-Payroll Options Select the Access to All Client Data check box to indicate that the user has access to all data for your company and that row-level security is unnecessary for the user. If the user is set up in HR/Payroll Latitude, then Analytics ignores the user s rowlevel security settings in that product. HPW or HPL User Name Enter the user s HR/Payroll Latitude user name to use the row-level security settings in that product for Analytics. If Clock Number is selected in the HPW or HPL Field for Linking User Names on the Client Profile page, then this field is disabled and Analytics uses the rowlevel security associated with the user s HR/Payroll Latitude clock number. Dashboard roles A Dashboard user s assigned Analytics role affects what the user can do with the Dashboard template documents, such as: Add variables to the template document Edit the query for the dashboard template to pull additional data onto the template If a user isn t assigned access to Analytics, then by default, the user is assigned the No Access Analytics role. For more information, see About Dashboard Roles in the Dashboard Help. Page 26 of 41
Analytics Access section To activate and set up Analytics for a user, you must do the following: 1. Select a role for the user in Analytics Role. 2. Select one or more universes for the user in Analytics Universe. 3. Select the universe options for the user in the following: For the Human Capital Management or Human Resource Payroll Web universe, use these fields: Human Resource-Payroll Options HPW or HPL User Name For the Payroll US or Canada universe, use these fields: Payroll Options Divisions and Departments Field Access For the Payroll Canada Insync / Powerpay universe, use the Field Access field. 4. Select the company and universe folders that the user can access in Folder Access. If this service isn t activated for your client on the Client Profile page, then this section doesn't appear. Analytics roles As a Business Intelligence administrator, you can assign Analytics roles to your company s users except other Business Intelligence administrators. Only Ceridian representatives can assign Analytics roles to these users. Important: Only Business Intelligence administrators are assigned the Analytics administrator role. Page 27 of 41
The following table describes the tasks for each Analytics role: Analytics Administrator Power User Report Writer Report Viewer No Access Set up Analytics users, set up user security, manage access to company and universe folders Add a report from scratch and save it to the My Favorites or company folder Edit the report query Open a template, save it to the My Favorites or company folder, and then edit (Limited to the data retrieved by the query.) Add filters and variables to a report Save a report to the My Favorites or company folder Open a template or report, then export it to Excel, PDF, or CSV Analytics universe The following universes are currently available for Business Intelligence and appear in this field if activated for your company: Human Capital Management / Latitude Human Resource Payroll Web Payroll (U.S., Canada, or both) Payroll Canada Insync / Powerpay Use this field to assign an Analytics user access to one or more universes. Note: When you assign the Human Capital Management universe to a user, you don t assign the Payroll universe. The Human Capital Management universe contains both human resource and payroll data. When you select a universe check box for a user, the associated universe options appear. Human Capital Management / Latitude universe and Human Resource Payroll Web universe options Human Resource-Payroll Options Select the Access to All Client Data check box to indicate that the user has access to all data for your company and that row-level security is unnecessary for the user. If the user is set up in HR/Payroll Latitude or Web, then Analytics ignores the user s row-level security settings in that product. HPW or HPL User Name Enter the user s HR/Payroll Latitude or Web user name to use the row-level security settings in that product for Analytics. If Clock Number is selected in the HPW or HPL Field for Linking User Names on the Client Profile page, then this field is disabled and Analytics uses the rowlevel security associated with the user s HR/Payroll Latitude or Web clock number. Payroll US and Payroll Canada universe options Payroll Options Select the Access to All Divisions and Departments check box to indicate that the user is assigned access to all of your client's divisions and departments. When you select this check box, the: Divisions and Department field is disabled User has access to all current divisions and departments for your company and any new divisions or departments added in the future Divisions and Departments Use this field to limit the user s access to information in Analytics to specific divisions and departments. The divisions and departments that appear in this field are those that are associated with the PSIDs or pay groups that the user has access to. If you select the Access to All Divisions and Departments check box, this field is disabled. Field Access Select whether the user can access information in Analytics for Social Security numbers or Social Insurance numbers, bank account numbers, or both. Page 30 of 41
Payroll Canada Insync / Powerpay universe options When you assign the Payroll Canada - Insync / Powerpay universe to a user, the pay groups assigned to the user in the user management system control the data that the user can access in Analytics. Field Access Select whether the user can access information for Social Security numbers or Social Insurance numbers in Analytics. At this time, the Bank Account Numbers option is ignored. Folder access Select the universe and company folders that the user can access. If a universe is activated for your company but not selected for the user, a red X appears in the folder ( ). Note: If you select a child folder, you must also select the parent folder. For more information, see Working with Folders on page 33. To remove user access to Images In the Images Access section, click Deny for Payroll Images. Page 31 of 41

Working with folders The Folder Access section on the User Access page contains the universe and company folders that are set up for your company and are available to assign to users. Rules for working with folders Consider the following rules when you manage folder access on the User Access page: Only Business Intelligence administrators and Ceridian representatives can manage folder access on this page When you assign the Power User, Report Writer, or Report Viewer role to a user, by default the user is: Assigned access to all universe folders Denied access to all company folders You must then select the specific access for each user. To: Assign a folder to a user, select the check box Block a folder from a user, clear the check box. If you allow access to a child folder, you must also permit access to the parent folder. If the user s access to a folder is blocked: a red X appears on the folder on the User Access page the folder doesn t appear for the user in Analytics Page 34 of 41
Adding company subfolders As an Analytics administrator, you can add subfolders to the company folder. Use subfolders to organize your company reports. For example, you can add subfolders for categories of reports and then assign access to the folders to specific users. To add a company subfolder 1. In Business Intelligence, on the menu bar, click Analytics. 2. On the InfoView Home page, on the menu bar, click Document List. 3. In the tree panel, expand Public Folders, right-click your company folder and then click New Folder. 4. On the Create Folder window, enter the name for your new company folder and click OK. The new folder appears in the company folder and is available to assign to users. Page 35 of 41
Reviewing audit reports Use the predefined Analytics audit reports to monitor the activity for Analytics reports. These reports collect information for the activity performed by you and the other users in your company. This audit report Deleted Reports Modified Reports New Reports Reports Accessed Lists the Analytics reports that were Deleted during the specified date range. Changed during the specified date range. Added during the specified date range. Opened during the specified date range. Rules for working with audit reports Consider the following rules when you work with the audit reports: Audit reports are available to Analytics administrators and Ceridian representatives only. You can save audit reports to your computer as Excel worksheets, PDF files, or CSV files. You can t delete or change the audit reports. You can t save the audit reports to a different folder. Layout of audit reports All audit reports share a similar layout. In Business Intelligence, on the menu bar, click Analytics. 2. On the InfoView Home page, on the menu bar, click Document List. 3. 4. To open a report, do one of the following: Double-click the report name. Right-click the report name and then click View. 5. On the Prompts window, do the following: a. Enter or select the date range for the report. b. Optionally enter other criteria. c. Click Run Query. Page 37 of 41
Reviewing the status of Analytics data Use the Data Status page in Analytics to determine whether Payroll data is available for one or more PSIDs. When the status is Processing Complete, the data is available in Analytics. This page displays the status for Payroll data for the following universes: Human Capital Management / Latitude Payroll Canada Payroll Canada Insync / Powerpay Payroll US To access the Data Status page 1. In Business Intelligence, on the menu bar, click Analytics and then click Data Status Payroll. 2. In the Criteria section, select one or more PSIDs. The PSIDs in this section are the ones you have access to. 3. In the Results section, review the status for the selected PSIDs. To determine the status, use the legend in the Criteria section. Note: At this time, Employee Detail always appears in the Description field, which indicates Payroll data from the Ceridian Payroll System (Signature). Page 38 of 41
Reviewing your client profile Use the Client Profile page to review the Business Intelligence options that are currently selected for your company. This page is available to Business Intelligence administrators and Ceridian representatives only. For most clients, the information on this page is display-only. However, if the Payroll Canada universe is activated for your company, then Business Intelligence administrators can map control fields to the division and department fields. Page 39 of 41
To access the Client Profile page In Business Intelligence, on the menu bar, click Client Setup. The following table describes the information that appears on this page: Section Images Access Analytics Access Payroll Analytics Universes Human Resource Payroll Analytics Universes HPW or HPL options Dashboard Canada Division and Department Setup Description Indicates whether Payroll Images are activated for your company. If Deny is selected, your company s users can t access the service. Indicates whether Analytics is activated for your company. If this option is selected: Grant, then users who are assigned an Analytics role on the User Access page can open Analytics Deny, then Analytics tab doesn t appear on the menu bar in Business Intelligence Indicates whether one or more Payroll universes are activated for your company. Indicates whether a Human Resource universe is activated for your company. Indicates the HR/Payroll universe options that were set up for your company during implementation. HPW or HPL Installation Location The Ceridian site where the HR/Payroll Latitude or Web installation is hosted for your company. HPW or HPL Field for Linking User Names Indicates whether the employee s clock number is used for the user name and HR/Payroll Latitude or Web user ID. HPW or HPL Company Code The code that Business Intelligence uses to identify your company. Ceridian uses this information to establish PSID or pay group security for Analytics users. For more information, see Client Profile in the Business Intelligence Help. Indicates whether the Dashboard service is activated for your company. If Deny is selected, your company s users can t access the service. Use this section to select the control field that maps to division and department information for each PSID or pay group.
