GENERAL INFORMATION 1.1 WELCOME TO PANORAMA BERLIN Dear exhibitors, To ensure smooth stall and stand construction and a successful event, could we ask you to read the following information on your participation at Panorama Berlin carefully. Please inform your stall or stand construction company about the technical guidelines, to avoid delays or unpleasant surprises. Please also note that additional orders or requests, like extra lighting can only be ordered in writing and at an additional fee. You can also buy or rent further services, like floral decorations, on site and at short notice. ARRIVAL AND PARKING Please note that International Green Week will take place at the same time on the Messe Berlin Exhibition Grounds, so there will be a lot of traffic and longer waiting periods at the entrance. Please take this into consideration when you do your logistics planning. We recommend that you use public transportation when traveling to the exhibition on exhibition days and if possible also beforehand. 2.1 BY CAR You can reach the Panorama Berlin by taking the Autobahn A115, A111 or A100 exit Messedamm. The deposit has to be paid on the log-point on the parking area P11a. After payment you will be guided to the gate 7 to access the fair ground. Please check the traffic guide below for details about the stay on the grounds. Trucks and cars that have not left the trade fair grounds by 8 pm on the last construction day, Sunday, 18.01.2015 will be towed at the owner s expense. Prior to construction, all staff and stand construction companies must sign into the grounds. The stand is assigned the exhibitor, with all technical details. The stand will be confirmed one day before the fair starts. IMPORTANT: On the days of set up the aisles need to be clean at 6 pm! Dismantling Vehicle access to the grounds is permitted on Wednesday, 21.01.2015 between 7 pm and 10 pm for 2 hours upon payment of a Euro 100 deposit. Entry via log-point on parking area P11a. 3.3 EXHIBITOR REGISTRATION To ensure simple and fast registration, we will be sending you (registered exhibitor mailing list) a link to an online registration form, where you can create your exhibitor s pass. Please pick it up at the exhibitor counter on site in the entrance and wear this at all times during the trade show. Exhibitor passes allow you and your employees access to the grounds for the duration of the fair and are non-transferrable. 3.4 STAND CONSTRUCTION TEAM REGISTRATION Please register your stand construction team using the corresponding form. Upon presentation of your registration, you will then receive your access passes/wristbands for the grounds. Every person registered will receive a wristband that permits access to the grounds and must be worn at all times during construction and dismantling. 4. ADVERTISING For successful, lasting promotion of your brand at Panorama Berlin Fall/Winter 2015/16, we recommend optimizing your brand attention with the help of the following targeted advertising measures: Busbranding (Shuttles) Panorama Berlin magazine Billboards outdoor individual Promotion Billboards indoor Should you have any questions, please get in touch with Vanessa Vulcano, v.vulcano@panorama-berlin.com 5. STAND SERVICES ADDITIONAL SERVICES 5.1 SECURITY The trade fair grounds and the halls are guarded by a security company both during construction and dismantling hours and for the entire duration of the event. We do however need to point out that your exhibition goods could be at a greater security risk during construction and dismantling. The promoter accepts no supervision responsibility for exhibition goods brought to the trade fair, for stand equipment or for any items belonging to persons working in the stand and excludes any warranty for damages or loss. You can book stand security through the provider using the corresponding form. It is not permitted to commission an external security company. 5.2 WASTE DISPOSAL Exhibitors are responsible for disposal of the waste they produce. Use the corresponding form to book waste disposal services for construction and dismantling as well as during the exhibition period. Should exhibitors leave waste behind, they will be invoiced the waste disposal services plus additional charge of 50%. 5.3 STAND CLEANING The exhibitor is obliged to clean their stand on a daily basis. In so far as the stand staff do not clean the stand themselves, cleaning services must be booked via the promoter using the corresponding form. It is not permitted to commission an external cleaning company. page 10 von 79

5.4 STAND LIGHTING Basic lighting is available in approx. 300 lx in hall 1 6 (at a height of 1.5m from the floor), in hall 7a 7c in approx. 100lx. For individual lighting in your stand, you can book additional lighting in the corresponding form. 5.5 ELECTRICITY SUPPLY The stand spaces all have basic power supply. They are fitted with an electric cabinet, a 3.3 kw/16 A AC connection with 230 V and a European norm shockproof socket. The power socket is in one of the corners. If you would like to change the position of the basic power supply, a fee will be incurred if a floor plan has not been submitted in advance. To book additional electricity supply, please use the corresponding form. Individual power supply points will not be provided. The exhibitor is respon sible for the sub-distribution on the stand. Statutory regulations and EN-standards must be complied with. 5.6 SUSPENSIONS Suspensions are only allowed at the allocated technical facilities in compliance with construction guidelines. Please fill in the corresponding form for a quote. 5.7 STAND STRUCTURE DESIGN Please see the form in the handout to book an individual design for your stand. We would be glad to make you a quote. Therefor please contact technik@panorama-berlin.com 5.8 FOILING/DIGITAL PRINT/ADVERTISING TECHNOLOGY For digital prints on adhesive foil/textile, cutter plots or other advertising opportunities we are happy to prepare a quote on request. Therefor please contact technik@panorama-berlin.com For orders on the fair, a 30 % surcharge will be added to the costs. 5.9 RFID-SCANNER To scan your contacts at your booth you can rent a RFID-Scanner with the corresponding form. Within one week after Panorama Berlin you will receive the data of all your scanned contacts. 5.10 LOGISTICS/TRANSPORT/STORAGE On request, our transport and logistics partner Schenker Deutschland AG would be glad to help you transport or store your goods safely or can help rent technical equipment. (IF AVAILABLE) PACKAGING #: 1/2... 7.4 CUSTOMS DOCUMENTS Invoice/packing list For import or export clearance in Germany for goods from third countries, we require a commercial invoice and packing list in quadruple in original in German or English. This should provide information about number of packages, type of packaging, dimensions, weight, exact description of goods with single and total goods value. Please also indicate the type required customs clearance (temporary import with export after the fair/permanent entry). Invoices labeled Exhibits or Advertising material will not be accepted by customs. Please note that separate invoices are required for temporary and permanent entry imports. Import regulations Strict import regulations apply in Germany for consumption and advertising goods, food and luxury items. Special import applications/authorization are partly required for the import of these goods. We would be glad to help you with further information and assist you in filling out these forms. Please note that some goods are subject to additional controls by German authorities. These products include: Alcohol, tobacco, food, plants, seeds, luxury items, textiles, parts of animals (e.g. products made of leather), radios, or other broadcast receivers, transmitters, telecommunications appliances, computers, monitors, toys, chemicals, drugs, medical devices, accessories and pharmaceutical products. Please contact us, if you wish to send these types of goods to Germany. Please note that for the release for permanent imports, an EORI number is required from the applicant. 7.5 INSURANCE Please purchase transport insurance for your goods. This policy should cover all shipments and the duration of the trade fair. We would be happy to help you choose the right transport insurance. Otherwise, we automatically cover transport insurance, which covers damage that occurs to goods in the custody of Schenker Deutschland AG. 7.6 SCHENKER TERMS & CONDITIONS Schenker operates exclusively on the basis of the Allgemeinen Deutschen Spediteurbedingungen (general terms & conditions for German logistics companies) latest version. IN CLAUSE 23 ADSp THESE LIMIT THE LEGAL LIABILITY FOR GOODS DAMAGES IN COMPLIANCE WITH 431 HGB FOR DAMAGES DURING LOGISTICAL SAFEKEEPING TO EURO/KG 5; WHEN MULTIMODAL TRANSPORTATION UNDER INCLUSION OF SHIPMENT BY SEA ON 2 SZR/KG AS WELL AS BEYOND THAT FOR EACH CASE OF DAMAGE AND/OR. EVENT TO 1 MILLION EUROS AND/OR EURO 2 MILLION OR 2 SZR/KG, DEPENDING ON WHICH AMOUNT IS HIGHER. Paragraph 27 ADSp does not constitute an agreement for alternative maximum liability sums within the meaning of article 25 of the Montreal Convention. In addition, the transport provisions of the fair and the trade fair logistics specifications apply. 7.7 EXHIBITION FREIGHT HANDLING TARIFF GENERAL CONDITION 1 The exhibition freight handling tariff is valid for all operations and services undertaken on the ExpoCenter City ground by the official forwarding agents of Messe Berlin GmbH. This includes all on-site handling of freight and carrying out of all necessary formalities for both domestic and foreign shipments. 2 The official tariff will form the basis for all invoices by the official forwarders. Prices shown are maximum rates, Calculations 1cbm = 333kg, and exclude German VAT. The administration charges cover planning and supervisory work carried out by the official forwarders (i.e. arranging and holding available sufficient labour and equipment, handling of empties/ exhibition goods, etc.). Commission will be levied for non-pre-booked orders percental on the order value. 3 In addition to the fairs and exhibition tariff all orders are undertaken strictly as per the German Forwarders Terms and Conditions (ADSp) latest issue. All orders of cranes and heavy load orders are undertaken as per the BSK terms and conditions latest issue, copies of both terms are available on request. 4 Shipments can only be accepted on a Freight Prepaid basis up to free arrival exhibition ground Berlin. In order to ensure prompt delivery to stand it is imperative each individual package marked with exhibitor s name, the name of the exhibition together with the hall and stand number. 5 Official Forwarding Agents Contractual Responsibilities and Liabilities. The responsibility and liability for the freight ends once the goods have been delivered to the exhibitors stand, whether the exhibitor is present or not. In the absence of written instructions to the contrary, goods may be delivered to the stand commencing on the first day of the official build-up period. The responsibility and liability for storage during the exhibition of empty packing materials and / or freight commence with collection of same from the exhibitors stand and ends when the material has been returned at the close of the exhibition. Under no circumstances are goods to be left in cases labelled for empty case storage. In such instances no liability can be accepted for such goods. Goods which are required to be storage during the exhibition are to be separately declared and labelled as such. The responsibility and liability for freight at the close of the exhibition commences with its collection from the stand during the official dismantling period whether the exhibitor is present or not. The surrendering of documents by the exhibitor at the Forwarders office and the acceptance of same does not constitute any admission responsibility or liability for freight which has not yet been collected from the stand. Exhibitors are recommended to take out transport and storage insurance for their goods, details of such insurance can be obtained from the official forwarders. Insurance cover over the storage of empty packing materials can only be obtained on special request from the official forwarder. The official forwarder cannot be held responsible for any verbal order or instructions given by the exhibitors directly to the labour force. 6 The collection and storage of empty packing material is carried out by the fficial forwarder following receipt of a written order. The Building and Fire authorities do not allow the storage of empty packing materials in the exhibition halls. Should such materials be discovered following the end of the official build-up period, it will be removed by the official forwarders of the Messe Berlin GmbH at the exhibitors cost even in absence of an official order. Empty cases are to be clearly labelled and suitably secured for removal before being handed over to the official forwarder for storage. 7 All claims of whatever nature must be made in writing at the forwarders office immediately. Verbal claims alone cannot be accepted. 8 Forwarder invoices are payable upon receipt. The customer is deemed to be default (without warning or other preliminary action being required) at the latest 10 days after receipt of invoice. In case of such default the forwarder is entitled to charge interest as per the German Forwarders Terms and Conditions (ADSp). 9 The sole place of performance for all contractual obligations is Berlin. The sole place of jurisdiction for the both parties in any lawsuit arising from such contracts is Berlin. 10 This tariff takes effect as from March 1st 2010, at which date all previous tariffs are deemed to be invalid. 03/2010 page 16 von 79
