Please note: This document contains basic recommendations for backing up the Client Profiles database using SQL Server and is to be used as a guideline. For complete backup procedures please visit http://msdn.microsoft.com/library/default.asp?url=/library/psdk/sql/ad_bkprst_63eh.htm. Setting up the Database Maintenance Plan 1. On the SQL Server go to Start\Programs\Microsoft SQL Server\Service Manager. 2. Switch the Services field to SQL Server Agent. 3. Verify that the Agent is running and that the Auto Start Service when OS Starts checkbox has a check. 4. Go to Start\Programs\Microsoft SQL Server\Enterprise Manager 5. Expand the server group, and then select the server. 6. Go to Tools and Database Maintenance Planner. 2
7. Hit Next on the Welcome to the Database Maintenance Plan Wizard screen. 8. On the Select databases screen select the CPSQL Database and hit Next. Please note: You will want to setup a separate plan to back up All System Databases as well. 3
9. We recommend running the Reorganize data and index pages once a week. To change the schedule hit the change button to bring up the Edit Recurring Job Schedule box. 10. We recommend running the database integrity check once a week. To change the schedule hit the change button to bring up the Edit Recurring Job Schedule box. 4
11. Make sure that there are checks in both the Back up the database as part of the maintenance plan and Verify the integrity of the backup when complete checkboxes. We recommend backing up the database nightly on days that people are entering information into Client Profiles. To change the schedule hit the change button to bring up the Edit Recurring Job Schedule box. 12. We recommend specifying the directory to save the backed up database in and saving the database files under the C:\CPShare\CPWin\SQLData\Backup directory. Your tape backup software will need to be scheduled to go to this directory and make a copy of the backed up database. We recommend keeping the backed up files for 2 days or longer depending on the disk space of your server. Please note: When setting up the backup plan for the system databases select the default backup directory and to create a subdirectory for each database. 5
13. Make sure that there are checks in both the Back up the transaction log as part of the maintenance plan and Verify the integrity of the backup when complete checkboxes. To change the schedule hit the change button to bring up the Edit Recurring Job Schedule box. We recommend backing up the transaction log every couple of hours throughout the day to keep data loss to a minimum should the backup need to be restored. Enter the starting and ending time based on times that users will be entering information into Client Profiles. 14. Specify the directory to save the backed up database in. When the database is backed up transactions in these log files will be committed to the database therefore it is not necessary to keep these files. Please note: When setting up the backup plan for the system databases select the default backup directory and to create a subdirectory for each database. 6
15. You may choose to write a report or e-mail the results of the backup plan. 16. Place a check in the Write history to the msdb.dbo.sysdbmaintplan_history table on this server box. 7
17. Enter the plan name and select Finish. 18. To view or change the maintenance plan go into Enterprise Manager and to the Management folder. Go under Database Maintenance Plans and right-click on the plan and choose Properties to make any changes. 8
Configuring Client Profiles 1. To get to this screen go under Administration\System Setup\Other Settings and then to the Backup Notification tab. 2. Check the Enable backup Notification checkbox. 3. Select the weekend days that users in the firm enter information into Client Profiles. This lets Client Profiles know how far back to look for the backup. (For example: In the screen shot above if a user logs in on Monday and the database was last backed up on Friday the selected users will receive a notice) 4. Select the users that will be notified if a backup has not occurred. See below for the following notices that the users will receive. 9
If the Backup Notification is enabled and there are no backups that can be located the selected users will see this warning when they log into Client Profiles. If the Backup Notification is enabled and the backup was not successfully completed on the previous night the selected users will see this warning when they log into Client Profiles. 10
If the Backup Notification is enabled and there has not been a backup within the days specified under Other Settings the selected users will see this warning when they log into Client Profiles. To check and see when the latest back occurred go to Help\About screen and you will see a section called Last Backup which lists the database along with the dates and the start and end times of the backup. 11
