Retrival The ARTS EXPLORER client provides user-friendly access to your data and offers a multitude of functions including search forms, Boolean operators, automatic thumbnail views, sort functions according to available attributes, etc. Authorised staff editing index values is as much a part of the standard scope of functions as displaying documents directly from the hit list, printing documents or sending them by e-mail or link. Documents can be selected either as complete documents or page by page. Search requests, hit lists, documents or entire virtual records can be stored with customised settings. The retrieval functions are very easily integrated directly into your business applications so that users are able to access ARTS from their usual working environment. The solution enjoys very high levels of acceptance with users. The platform-independent ARTS iexplorer client allows searches via a web browser. This means you can access your data securely at any time via the internet, intranet and/or extranet. Remote sites, branch or field offices, etc., can all be linked up easily. Communications and data traffic are encrypted. A complex and flexible rule system allows the implementation of the most complex access concepts to satisfy even the most stringent security requirements.
Records Management Observing statutory regulations pertaining to information retention is increasingly a key issue in corporate environments. This is true regardless of the industry, and applies equally to the private sector and to public administrations. It is not exclusively about data archiving and availability in accordance with the applicable legislation and audit requirements; it is also about the traceability of activities in various business processes. ARTS offers a broad spectrum of solutions in this area, in a variety of price categories. They range from storage-related procedures to complex sequences involving digital signatures. ARTS has the unique ability to store data in different ways according to process-related criteria, guaranteeing a more effective ILM (Information Lifecycle Management) than has ever been the case before. With its document-neutral approach, ARTS is able to process every conceivable document format (Office documents, COLD lists, data streams, etc.). ARTS is ideally suited for processing transaction data in any format, with XML archiving a particular strength. Even image formats and streamed video files can easily be stored and retrieved using ARTS. As a matter of principle the documents are always stored in their original format. However ARTS is also capable of converting documents into independent long-term formats during the archiving process (e.g. PDF, TIFF, etc.). The original document is then archived in its original format alongside the unmodified, converted format so that it remains available for processing at a later date. These representation formats managed by ARTS go far beyond traditional rendition management and are extremely adaptable.

It is then possible to display the same document simultaneously in different dossiers or to structure the same dossier according to different viewpoints. This standard ARTS function makes the acquisition of additional file management software redundant. Office Integration and Version Management ARTS can be fully integrated into Office environments. Documents can be stored directly from these applications, with the possibility of automatic conversion into long-term formats. Generally speaking, ARTS can be integrated into any Windows application. The ARTS VERSIONING option offers integrated version management functions such as check-in / check-out, locking, etc., and template management. This means that any changes made by different users can be retraced at any time. Unlike many other products currently on the market this product is entirely homogeneous.
E-mail Retention E-mail storage and archiving has become increasingly important in recent years. Here, too, ARTS has solutions on offer which integrate seamlessly into existing work processes and provide long-term security throughout the company in keeping with statutory provisions. In principle we differentiate between server-based e-mail archiving, which processes e-mails directly on the server without the need for user intervention. Rule-based processing allows classification to be made even at this early stage. With the clientbased variant, additional menus and toolbar buttons are added to the e-mail client. They are freely configurable and allow e-mails to be stored manually either together with or separately from any attachments. ARTS also offers a combined variant with the advantages of both server- and client-based e-mail archiving and management. E-mails can then be assigned to several dossiers from different areas (e.g. customer and project dossiers), without creating any redundancies within the system. Business Management Coping with each day s incoming mail is a time-consuming and labour-intensive task. The ARTS DOCUMENTFLOW option offers you a cost-effective solution with workflow and mailbox functions for automating your work processes. Centrally scanned documents are forwarded electronically from the in-box directly to the relevant staff members or groups. Forwarding, resubmission, etc., are workflow functions which characterise ARTS in this area, too. The ARTS DOCUMENTFLOW option supports business transaction management. It is used to create business transactions, assign documents to a given transaction, close transactions once completed, and carry out other transaction-related operations. With the business monitoring feature it is possible to compile extensive statistics at any time on the state of progress, processing times, capacity utilisation rates, etc., providing you with yet another valuable management tool. Capturing, Classification One of the basic tasks to be performed by any ECM solution is to transfer, store and archive incoming paper documents or existing physical document stocks in electronic form and do so fully and efficiently. ARTS CAPTURE is a powerful tool designed specifically for this purpose. A clearly structured classification procedure, which references incoming documents quickly and efficiently, is used to capture, index, distribute and store even large volumes of documents in an instant. Known or externally specified values can be automatically incorporated and do not have to be re-entered by hand each time. This not only reduces the workload but also helps lower costs. ARTS is also often run with integrated external capture and classification solutions.
Integration, ARTS Middleware With ARTS Middleware you can exchange information and data between different business applications. Business critical systems are closely interlinked via a multitude of configurable interfaces and ARTS s own development environment.
