Email Archiving is critical for performance of storage, disaster recovery, compliance, litigation support and business continuity. While Exchange 2010 offers basic Email Archiving, an enhanced solution will reduce the load on your Exchange infrastructure as well as provide more sophisticated information management to support Retention, ediscovery and Compliance processes. Exchange Server 2010 ArchiveOne To enable the archive feature of Exchange 2010 an Enterprise CAL needs to be purchased in addition to the Standard CAL at a significant extra cost Works with Exchange 2000, 2003, 2007, 2010 END USER FEATURES Exchange Server 2010 ArchiveOne Combined Mailbox The user has 2 separate mailboxes to look in, to locate email. The Archiving / Secondary Mailbox is only accessible if the user has an Exchange Enterprise CAL With ArchiveOne the user maintains a single mailbox making email easier to locate. Real time access to archived email is also provided in the same manner that the user accesses live email Archive Mailbox The user has the ability to move older items into an archive for long term storage The user has the ability to move any items into an archive for long term storage Real time access Browse Archive The user has real time access to the archived data, though having to navigate to the secondary mailbox first, and locate the item The user has the ability to browse through a hierarchy of folders to locate their live and archived emails The user maintains real time access to both live and archived email at all times The user has the ability to browse through a hierarchy of folders to locate their live and archived emails Search Archive The user has the ability to search the archive from within Outlook The user has the ability to search the archive from within Outlook OWA Access The user has OWA access to both live and archived email, however the archive shows up as a second mailbox The user has OWA access to both live and archived email Mobile Access No support for mobile devices to access the Archive Mailbox The user has access to both live and archived email on their mobile device Offline Access There is no access to the archive data while offline Even when offline the user has full access to their archived email Integration with Outlook Live and Archived email are both fully integrated into Outlook 2007 and 2010. There is no plan to support Outlook 2003 or earlier versions or any versions of Outlook for MAC (Entourage) Live and Archived email are both fully integrated into Outlook 2000, 2002, 2003, 2007 and 2010. Web based retrieval support is also provided for other email clients such as Outlook for MAC

ARCHIVING FEATURES Exchange Server 2010 ArchiveOne Folder Based Criteria Specific folders can be configured to have their contents automatically archived Specific folders can be configured to have their contents archived Age Based Criteria Items over a specific age can be configured to be automatically archived Items before or after a specific date, items over a specific age, or items between dates can be configured for archiving Size Based Criteria Size of an item cannot be used as a basis for automated archiving Size of the item or of any attachments can be used as a basis for configuring whether an item gets archived or not Quota Based Criteria There is no provision for automatic archiving data based on the current mailbox quota / size of the user Mailbox quota criteria such as Warn Limit and Stop Sending Limit as well as percentage size of mailbox can be used as criteria for archiving Other criteria No other criteria can be used as a basis for archiving Over 70 other aspects of mailbox, folder and email metadata including any word in the subject, body or attachments can be used as criteria for archiving User Selected Content The end user can select messages to be archived The end user can select messages to be archived Public Folders Data residing in Public Folders cannot be archived Data in Public Folders can be targeted for archiving Calendars/Notes Calendar, Contact and Notes data cannot be automatically archived Calendar, Contact and Notes data can be targeted for archiving Secondary / Low Cost Storage Single Instance emails to reduce storage demands Single instance attachments to reduce storage demand Exchange 2010 can utilize lower cost SATA disks for storage of email data. However, this should still be at least RAID 5, and (likely) protected by DAGs As for Exchange 2010, however most of the data will have been archived so the live storage demand is much less. retention features Exchange Server 2010 ArchiveOne Retention by User/Role Retention periods for email data can be defined by User/Role, for primary and archive mailboxes Retention periods can be set for live or archived email data, and can be defined by User/Role, but may also be overridden if needed, down to an individual item Retention by age Age based criteria can be used for primary mailbox retention policies Age based criteria can be used for defining retention periods of both live primary mailbox data and archive data Retention by Folder/Location Retention periods for email data can be defined by Folder / Location Retention periods for email data can be defined by Folder/Location, but may also be overridden if needed, down to an individual item Retention on Public Folder Exchange 2010 does not provide the ability to set retention periods on Public Folder data ArchiveOne provides the ability to manage retention regardless of whether the data is in the mailbox, in a remote PST file, a server PST file or Public Folders Retention on PST Retention Recycle Bin Administration Tools Exchange 2010 does not provide the ability to set retention periods on PST data without going through the process of ingesting all the PST data first Exchange 2010 does not have a concept / feature of a recycle Bin for items that have expired their retention periods, however it does allow users to restore items that have been deleted or have expired their retention period There are graphical user interface and command line tools for Administering retention features in Exchange 2010 ArchiveOne provides the ability to manage retention regardless of whether the data is in the mailbox, in a remote PST file, a server PST file or Public Folders ArchiveOne provides a full Recycle Bin facility for items that have expired their retention periods ArchiveOne provides an MMC style graphical user interface to allow simple yet sophisticated administration of Retention features and also a business specialist s console LEGAL HOLD FEATURES Exchange Server 2010 ArchiveOne Legal Hold (Mailbox/User) The only option with Exchange 2010 is to put the whole Mailbox on Legal Hold, preventing any data from being deleted. This may be OK for a few months but cases often run for many years A user mailbox can be put on Legal Hold, preventing any data from being deleted but other options are available Legal Hold (Item) An individual item (email) cannot be put on Legal Hold An individual item (email) can be put on Legal Hold without the rest of the mailbox being on Legal Hold. Also, each individual item may be put on multiple Legal Holds Multiple Legal Holds (when an item is required for multiple investigations) Mailboxes can be on or off Legal Hold, there is nothing to signify how many items or cases the data consists of ArchiveOne provides multi-dimensional Legal Hold with individual item granularity and the capability to put one or more items on multiple Legal Holds Legal hold (Public folder) Public Folder data cannot be put on Legal Hold Public Folder data can be put on Legal Hold (individual items, folders, or whole hierarchies) Legal hold (PST) PST Data cannot be put on Legal Hold PST data (whether the PST is on a client machine or server) can be put on Legal Hold (individual items, folders or other selected data items)
