Please read the content of these Release Notes for full information regarding what s new in this release, product compatibilities, installation and known issues. Workshare Professional secures document exchange, eliminating content leaks, while providing on demand and policy driven PDF conversion and metadata management. IMPORTANT INSTALLATION INFORMATION Workshare Professional 4.5 now requires Microsoft.NET Framework 1.1 and above. If a previous version of the.net framework is detected, Workshare Professional 4.5 will automatically upgrade it to 1.1. This may take several minutes depending on specification of the machine. Administrators extracting the.msi from the download will need to manually install this prior to installation. Upgrading to Workshare Professional 4.5 from any of the following previous releases of the product is fully supported: Workshare 4: build # 7786 DeltaView 2.9 SR1: build # 3241 Workshare 4 SR1: build # 8154 Workshare 4 sr1b build # 8185 Workshare 4.5: Build # 8411.50 Workshare 4.5: Build # 8411.60 DeltaView 2.9 SR1+I8: build # 3241 Protect 4: build # 2568 Protect 4 SR-1: build # 2602 Protect 4 sr1b: build # 3526 Protect 4.5: build # 8411.50 Protect 4.5: Build # 8411.60 If you have installed any other build of Workshare (including all Beta builds), you must first uninstall it before installing Workshare Professional 4.5 Default Mail Client You must ensure that your email application is set as the default mail program in Internet Explorer. In Internet Explorer, select Internet Options from the Tools menu. In the Programs tab, select your email program (Microsoft Outlook) from the E-Mail dropdown list. If this is not done, you will not be able to send a document for review. Important Notes Workshare Professional 4.5 installs program files to a sub-folder within the Workshare folder named Modules. It is not possible to send a Password Protected document for review through Workshare Professional 4.5. Install: Before installing the product, please ensure all Document Management Systems, Microsoft Word, Excel, PowerPoint and email applications are closed, making sure that no executables are running in the background. Interwoven Users: If there are existing DeltaView users accessing the DMS to ensure Workshare Professional 4.5 users are able to launch WDF files from the DMS, the default installation location for Workshare Professional must be changed to that of your existing DeltaView location.
KNOWN ISSUES General Hidden Data Report Excel and PowerPoint [REF: 00037677] After generating a Hidden Data report on a current opened document, then switching focus to another document the Hidden Data report will be hidden behind the application. Cleaning Options Platform specific Office 2K and 2003 [REF: 00026431] When a user sends an e-mail and selects the preview option, the e-mail is redisplayed, the user then attaches a second document, selecting the preview option and changes the cleaning options notice that these new options will also be applied to the first attached document. Restricted Documents [REF: 00025408] A user has the ability to send documents with a Full Restrictions status externally if using the option File>Send to>mail Recipient Offline Mode Intelligent Import [REF: 00037668] When a user attempts to intelligently import a document when the original document has been checked out they are informed that the document cannot be imported however when navigating to the Manage Changes Pane all changes have been imported. PDF Attachments [REF: 00024937] PDF attachments are not zipped when the parameter Automatically zip attachments when sent externally is selected. Apply Change Styles [REF: 00026382] When selecting the option Apply Change Character Formatting the following style changes will NOT be applied: Strikethrough, double strikethrough, emboss, engrave, outline, shadow, hidden, color Apply Changes Forms [REF: 00051496] Workshare does not display changes made to forms within a Microsoft Word document PDF Hyperlinks [REF: 00025801] Hyperlinks are stripped when converting to PDF. PDF Preview [REF: 00049978] A previewed document will not be displayed if Adobe is open in the background. A user is advised to close down Adobe before previewing a Workshare PDF Navigation buttons [REF: 00049106] When selecting to navigate through changes in a comparison document the navigation arrows no longer work after a footnote number change. Comparison Page numbering [REF: 00049841] After running a comparison, page numbering which has been center aligned will appear left aligned
Comparison [REF: 00052743] Selecting anything other than a Microsoft word document when performing a comparison in DeltaView, causes an incorrect error message and DeltaView will close down PowerPoint Hidden Data Clean Platform Specific: Office 2000 and 2002 [REF: 00050086] A PowerPoint presentation is unresponsive after a Hidden Data clean. A user is advised to close and re-open the presentation. PowerPoint Preview [REF: 00051487] A user does not have the ability to preview a PowerPoint Presentation when sending from within the application to an external recipient. Intelligent Import Platform Specific: GroupWise [REF: 00043226] A user does not have the ability to import an emailed response which have been moved to an archive folder Uninstall Microsoft Hidden Data Tool [REF: 00051459] When uninstalling Workshare Professional on a platform which consists of Microsoft Remove Hidden data a user is informed of the following error An error occurred while trying to launch the Remove Hidden Data Tool. Try reinstalling. A user is advised to re-install the Hidden Data tool after uninstalling Workshare Professional. Install -.Net Framework 2.0 [REF: 00054415] If a user attempts to install.net framework 2.0 followed by Workshare on a machine with no prior versions of.net framework, an error message appears informing the user that they do not have Microsoft.net framework 1.1 installed. A user is advised to install.net Framework 1.1 before installing 2.0. Printing Footnotes [REF: 00049653] Footnotes within a document are not printed correctly when printing from within DeltaView Workshare Toolbar HOTDocs [REF: 00050085] The Workshare Toolbar will overwrite the HOTDocs icon, a user is therefore advised to use the Workshare drop down menu. Workshare Drop Down Menu [REF: 00052747] Workshare dropdown menu will not be available if Adobe is installed after Workshare. A user is advised to install Adobe first. Preview Excel Platform specific: Office 2000 [REF: 000 52760] When selecting to preview an Excel spreadsheet from the Email dialog, a "COM error "Error returned from a call to a COM object. Error code -2147319784" error message appears. Preview and Apply PowerPoint [REF: 00052739] When selecting to apply, preview and then send a PowerPoint Presentation a Temp error message appears. Please note however the e-mail with attachment is sent. Text Boxes - Font - [REF: 00045621] If a font is smaller than 5pt within a text box, it will not be cleaned
Send With Protect [REF: 00050779] If a user Cancels out of the "Send with Protect" option and selects to send, the Protect dialog box will still appear. Converting to PDF [REF: 00050782] All documents which are e-mailed internally and converted to PDF, using the configuration option "to convert all internal attachments to PDF" are viewed by the recipient with its original icon, however these documents are still opened in Adobe Reader. Lotus Notes Right Click - Response Document Platform specific: Lotus Notes 6.5 [00040873] Selecting to right click on a response e-mail will launch the modified document when it should launch the modified response. A user is advised to double click on the response e-mail. Lotus Notes Password Prompt [REF: 00040876] The Lotus Notes Password prompt dialog will not disappear if user selects to cancel when attempting to send for review when Lotus Notes is closed. A user is advised to ensure Lotus Notes is open before sending for review or to complete the Lotus Notes prompt dialog with a correct password. Send for Review [REF: 00040878] If a user sends a document for review more than once the document will be given a temporary file name. Please note this issue has been highlighted without our product installed if a user sends a document more than once from within Lotus Notes. PDF Documents [REF: 00040880] When sending a Word, Excel or PowerPoint document and converting it to PDF as a restricted user, the document will appear with an incorrect file extension when viewed by a recipient; however double clicking on the attachment will launch the PDF correctly. A user is advised to convert documents to PDF with administrative rights. Interwoven Users Auto-profiling [REF: 00024764] If auto-profiling has been selected as part of Interwoven setup, then when saving a comparison from within the Workshare Panel, the Interwoven Profile is not populated. Locating an Email Platform specific: Office 2003 [REF: 00026127] If a user has moved an original email into a sub-folder within their Inbox after importing the response, Workshare will not be able to locate the email when a user selects View Email from the Actions menu on the Incorporate Changes page. Locating an Email Platform specific: MailSite 8, Office 2003 [REF: 00026140] A MailSite error message is displayed if a user moves an email to a Matter folder before importing, and then selects View Email from the Actions menu on the Incorporate Changes page. The email will still be located. Temporary connection to servers Platform specific: MailSite 4, DeskSite 6x [REF: 00056121] If a user attempts to perform a comparison with documents on a server which has not been connected, the comparison will fail. It is not possible to temporarily connect to additional servers from the DeltaView document selector. A user is advised to ensure that all servers the user wishes to connect to from DeltaView are connected in the configuration.
Hummingbird Users Preview a document Platform specific: DOCSOpen 3.9.6 and 4.0, Office 2000 and 2002 only [REF: 00051493] A user will be prompted to save a normal.dot when selecting to preview from within the PDF dialog Version Drop Down Menu Platform Specific: DOCSOpen 4.0 [REF: 00051464] Only the latest version is displayed when selecting a version to compare against Saving a PDF Platform specific: PowerDOCS [REF: 00037673] An error message appears when attempting to save a PDF as an attachment to a document which already has a PDF file attached. A user is advised to save this as a new document, or manually delete the existing PDF before attempting to save. Incorporate Changes Platform specific: PowerDOCS 4, DOCSOpen 3.9.5, 3.9.6 After a user has incorporated changes and closes word, a user is informed that the normal.dot is in use by another application or user. A user is advised to select the option use current instance of word from within Workshare configuration Options. Saving Redline as an Attachment DOCSOpen Only Overwriting an existing attachment when saving the redline in the same file format may result in the lock of the document being lost. Further saves on the document may not be reliable. SharePoint Users Document History Report [REF: 00049975] The Document history report will display the "Send for Review" event but no information will be associated to the report. Microsoft Office 2000 SR-1 Original Email Sent on Right Click Send If you are using Office 2000 SR1, we recommend that you apply SP3. If you are unable to apply the service pack you may encounter the following issue: When sending a document using the right-click Send option from the desktop, Internet Explorer or DMS, Workshare Protect will appear to process the email correctly. However when you view the email in your Sent folder, you will see that it has not been cleaned, restricted or converted to PDF. Workaround: Copy OUTEX.DLL version 8.30.3172.0 to C:\Program Files\Common Files\System\Mapi\1033\NT. This DLL can either be obtained from Workshare, or from Office 2000 SP3. Converting Attachments to PDF [REF: 00025732] When the parameter Convert attachments to PDF when sending e-mail internally is selected in the Workshare Configuration Manager and if a user uses the right click method to send an attachment, the Microsoft Word document is not converted to PDF.
