TNC s Weed Information Management System (WIMS 3) Installation Guide & Checklist Updated February 2008 This WIMS Installation Guide & Checklist guide you through the installation process of WIMS on both the desktop and the handheld unit. Installation Checklist ALL WIMS Users must: Install the WIMS Access database onto your desktop or laptop PC computer following the Installation Steps 1-4 (detailed below). 1. Create a WIMS folder 2. Download and unzip the WIMS files 3. Open and start the WIMS Access database 4. Import (Excel Import) Support Table Baseline Data WIMS Handheld Users must also: 5. Install Microsoft ActiveSync (comes with your handheld unit) 6. Download and install ArcPad 7.1, 7.0.1 or 6.0.3 onto both your desktop and handheld unit 7. Install WIMS onto your handheld unit (using ArcPad SetUp)
WIMS Installation Details WIMS can be used as a stand-alone MS Access database application on your PC- Desktop to organize your weed Area, Occurrence, Assessment, and Treatment data, or it can be used in combination with a handheld unit (using ArcPad mapping software) to view and/or collect data in the field. System Requirements All WIMS Users Desktop/Laptop minimum The WIMS Desktop Database requires a desktop or laptop computer using at least MS Access 2000. If you are running Access 2002, you must have Service Pack 3 for Office XP installed for WIMS to run correctly. This update can be downloaded at http://www.microsoft.com/downloads/details.aspx?familyid=85af7bfd-6f69-4289-8bd1- eb966bcdfb5e&displaylang=en from the Microsoft website. To run ArcPad 6.0.3 on your desktop computer, you must have the Microsoft Operating Systems Windows 95 or higher. ArcPad 7.0.1 requires MS Windows 2000, Windows XP, or the new Windows Vista. WIMS Handheld Users for those who wish to use WIMS in the field Required Hardware To use WIMS on a Pocket PC unit with ArcPad, you must obtain a handheld unit with a Pocket PC (or Windows CE) Operating System. Models manufactured by Dell, Hewlett-Packard, Compaq, etc. can all be used as long as they can run the ArcPad 7.1, 7.0.1 or 6.0.3 software application (generally anything with at least Windows CE version 4.2). Palm-related devices cannot run ArcPad. To make your Pocket PC unit have GPS capabilities, you have the following options: 1. A GPS module that is attached directly into the Pocket PC unit (for instance, Pharos or Holux GPS units fit into the Compact Flash slot of a Dell Axim, or a NAVMAN sleeve for a HP ipaq), 2. An independent GPS unit which is connected to the Pocket PC using a connection cable (a variety of cables are available through www.bluehillsinnovations.com). If you choose the connection cable option, most independent GPS units (such as Garmin etrex, Garmin Rino, Magellan SporTrak, etc.) can be used. Or, 3. A Pocket PC-GPS integrated unit, for example, a Trimble GeoExplorer XT or XM or Juno. As long as your Pocket PC-GPS unit can run ArcPad, you can use it to run the WIMS.. Required Software ArcPad is the GIS software program developed by ESRI that is used to run WIMS on the Pocket PC. There are several versions of ArcPad that is currently supported by WIMS: ArcPad 7.1 http://www.esri.com/software/arcgis/arcpad/download.html ArcPad 7.0.1 http://support.esri.com/index.cfm?fa=downloads.patchesservicepacks.viewpatch&pid=26&metaid=1335 ArcPad 6.0.3 http://support.esri.com/index.cfm?fa=downloads.samplesutilities.viewsample&pid=26&metaid=709 The WIMS forms adapted for ArcPad 7.x will also work with ArcPad 6.0.3, but this older version of ArcPad will not run on Pocket PCs running Windows Mobile 5 and is no longer supported by ESRI. On the Pocket PC, all weed Occurrences, Assessments and Treatments are directly mapped and recorded in ArcPad. Upgrading WIMS from a Previous Version Follow the directions (below) for steps 1-3. Next, from the Main Menu select the <Upgrade to this Version> button. Point your browser to where you have stored your prior version of the WIMS database (perhaps stored in C:/WIMS), then follow the directions presented. WIMS will automatically transfer the data from your prior version into the new version. Note: Be sure to save your prior version of your WIMS database (but not in the same directory where you are running the new version) as a backup copy. If you created a Shortcut to the old version, you should delete it and create a new shortcut to the new version. WIMS Installation Procedure (for a New Install) 1. Create a new folder Create a new folder in your C:/ drive (or other drive), and label the folder as you prefer (for instance, name it WIMS ). Choose MS Windows Explorer > File > New > Folder. 2. Download and unzip the WIMS files Download the following zipped WIMS file folders (right-click on the file, then Save Target As ) from http://tncweeds.ucdavis.edu/products/wims/downloads.html into your newly created C:/WIMS folder. Next, unzip all of the files using WinZip (or a similar program) into that same folder. All Users must download: a. WIMS Desktop file which is a MS Access file b. Baseline Data and State/County files which are several MS Excel files Handheld Users also download and unzip: c. WIMS ArcPad Interface Note: Due to the need to zip files (to keep them relatively small for downloading), you may end-up with your files nested within more folders than is necessary (and may result in the application not able to find certain files). Make sure that your files are organized like this: All Users must have these files Handheld users must also have these files C:/WIMS (folder) WIMS 3 AccessXP.mdb (or Access2000, which is a MS Access file) Baseline Data (folder) State/County data (folder with county data in Excel for all 50 US states) WIMS Baseline Data.xls (an Excel file with optional herbicide, bioagent and vegetation data) ArcPad_WIMS (folder) ArcPad Applet (folder with 7 files) Srego (folder with one ocx file) 10 other files (.apl and.vbs)
If you create a WIMS folder in your C:/ drive, your files should look something like this. Note: Be sure that your ArcPad folder opens up to directly look like this (at right). If you unzip your files into a named folder, this often results in your ArcPad_WIMS folder being nested within another folder. Be sure that there are no additional folder layers. 3. Open and start the WIMS Access database Open the WIMS Access XP or 2000.mdb file by double-clicking on the Access file. Depending on which version of Access you have on your computer, you may be asked if you prefer to convert the Access file into a more recent version of Access. Choose which version you prefer, but it is best to work with the most recent version installed on your computer. The opening page (Main Menu) of the Access database will be shown on your screen. WIMS Desktop Main Menu Hint: If you plan to use the WIMS Desktop Database regularly, create a shortcut to WIMS by right clicking on WIMS Main Access file > Create Shortcut. You can then drag this icon onto the desktop, and rename it however you wish. 4. Import Support Table Background data Your database now needs to be populated with some Background data (for the pulldown menus, etc.). Use the Excel Import process to insert some data that has been provided in this download, which is already correctly formatted. First, make sure Excel is not running; if it is, you will get an error message and be asked to close it. From the WIMS Main Menu > Excel Import (in the Inputs/Outputs section of the Main Menu). Next, Browse directly to where you stored the Baseline Data Excel files that you wish to install (which have been unzipped; at C:/WIMS/BackgroundData), and install those files one at a time. At a minimum, you should import: a. WIMS Baseline Herbicides and BioAgents, and b. WIMS State Counties (for your state) From this screen, browse to where you stored your Baseline Data Excel files, then Import them into WIMS one at a time.
When you have finished importing the Excel files, <Close> to exit the Excel Import window and to return to the WIMS Main Menu. WIMS Desktop Users: At this point, you have completed the WIMS Desktop Installation! Skip the rest of this Installation Guide and you can start learning about how to use WIMS using the WIMS Exercise Guide. WIMS Handheld Users continue with WIMS installation onto your handheld unit! 5. Install MS ActiveSync (if you have not already done) Follow the instructions provided with your handheld unit for how to install MS ActiveSync onto your computer, so that your PC and handheld unit can communicate (synchronize information) with each other. You will be asked if you want to set up a Standard or a Guest partnership. If your handheld is the only one that you will be using with your PC, and if you wish to synchronize your e-mails, contacts, etc., set up a Standard partnership. If you will be using your handheld with other PCs, or if you will be synchronizing with more than one handheld, choose a Guest partnership. Note: If MS ActiveSync has been correctly installed, the green MS ActiveSync symbol will become active (on your quick-launch toolbar and the MS ActiveSync window popsup) when you connect your handheld into the cradle. MS ActiveSync is connected and active if this symbol becomes green on your quick-launch toolbar, located on the lower-right of your computer screen. You can now transfer files and other data between your PC computer and handheld unit. The ActiveSync window now allows you to transfer files and data! 6. Install ArcPad onto both your Desktop & Pocket PC Install ArcPad onto your desktop PC using the instructions included with the software application. If you are working on a TNC network with ArcPad already installed (under ArcGIS applications), you do not need to download and install ArcPad again onto your desktop PC. Next, with your Pocket PC in the cradle (and with MS ActiveSync active), install ArcPad onto your Pocket PC handheld unit. Do this by using the Start Menu to navigate to ArcPad (usually found within All Programs > Applications > ESRI > ArcGIS > ArcPad). Then, choose Install ArcPad 7.x or 6.0.3 Application for Windows Mobile and follow the on-screen instructions. No other files are needed to run WIMS.
Once you have installed ArcPad, you need to supply a registration number when opening ArcPad for the first time on the Pocket PC to make it functional. If you have problems installing ArcPad, be sure to read the instructions that are distributed with ArcPad. Note: If you are a previous WIMS user with ArcPad 6.0.3 on your handheld unit, you must first completely uninstall ArcPad 6.0.3 from your handheld prior to installing ArcPad 7.x. Do this by going on your handheld Start > Settings > Systems > Remove Programs. Then, remove all of the files associated with the previous version of ArcPad. License registration numbers for ArcPad 6.0.3 will not work for ArcPad 7.0.1, and ArcPad 7.0.1 licenses will not work for 7.1 Click on this file to install ArcPad onto your handheld To check if ArcPad has been correctly installed on your handheld unit: On your handheld unit, tap on the ArcPad shortcut icon from the Start Menu (or from the ArcPad icon within Programs). ArcPad should automatically launch. Pocket PC Start Menu > Start > Programs > ArcPad Press the MS flag and select the ArcPad icon to launch ArcPad. Important Note re: Exiting vs. Minimizing the ArcPad application Whenever you are transferring data between WIMS and ArcPad, the ArcPad application must be closed by formally exiting ArcPad (or the application may crash). To formally exit ArcPad, you must go through File > then Exit. If you just x out of ArcPad (the lower right corner of ArcPad), this only minimizes the application, and you will see the ArcPad icon in the lower right of your handheld screen Start. If you have really exited ArcPad, this icon will no longer be visible.
To formally exit ArcPad, you must choose Exit from the File menu. If you see the ArcPad icon here, you have not exited ArcPad, you have only minimized it. Pressing the x here does not exit ArcPad, it only only minimizes the application. 7. Install WIMS onto your handheld unit/arcpad Next, install the WIMS toolbar and associated data files onto your handheld unit. First, make sure that you have (since you are now transferring files): a. Exited ArcPad (not just minimized it), and that b. MS ActiveSync is active and running, Then from the WIMS Main Menu click the <ArcPad Setup> button and follow the instructions on tabs 1-3 to install the required ArcPad files and directories onto your Pocket PC. We recommend that you create your WIMS folder on the Secure Digital (SD) Card (or other storage device) and store all mapping files on this card. This will ensure that WIMS files and other data layers are not lost if your Pocket PC loses power.
To begin installing WIMS onto your handheld unit, press the <ArcPad SetUp> button. Make sure that you have completed all 3 items in this first step, then click on the Step 2 tab. First click on the button on the left to <Show the folders> on your handheld/pocket PC unit. If you have purchased and inserted a SD (Secure Digital) storage card, it should be displayed here. The SD card gives you a place to store your imagery and WIMS files (should your battery die in the field). Optionally, you can also create these files in My Documents the files will just not be backed-up in case of a power failure. Next, click the button on the right to <Create a WIMS folder> on your handheld. Then click on the Step 3 tab. Finally in Step 3, press the top button to <Copy ArcPad forms>, and when this is completed, press the bottom button to <Copy the Applet files>.
Note: If you are using a Trimble handheld unit, create your WIMS folder on the Disk drive, instead of selecting the SD Card. Similarly, change the path from the default to Disk\Program Files\ArcPad\Applets. To check if WIMS has been installed correctly on your handheld unit: When you launch ArcPad (Start Menu > ArcPad icon), you will now see the WIMS Toolbar now present. If you see this toolbar, WIMS has been successfully installed on your handheld! WIMS Handheld Users: You have now completed the entire WIMS Desktop and Handheld Installation! Below are some operating Options for using the Handheld Unit and within ArcPad that we prefer to use. You can elect to use the defaults, or change your preferences to mimic those below.
