This paper answers questions common to IT managers to help understand and support Jedox deployments. Jedox empowers business users with self-service analytics and performance management. Business users have diverse information issues and often only use Excel to help manage them. Excel is commonly considered the most widely used BI tool in the world. The most widely used function in traditional Business Intelligence (BI) tools is the export to Excel. This creates significant key-person risk, data-security risk and means critical business processes like the corporate budgeting model are obscured in hundreds of linked spreadsheets. Jedox helps IT directly address such information management issues and drive corporate data strategy - adding rigour like centralised corporate business rules, security, audit trail, common metadata, and workflow - while enabling business users to retain autonomy and flexibility. Jedox enables IT to provide a balance between information standardisation and centralisation and local customisation and responsiveness to answer rapidly changing questions in volatile business environments. The business benefit of this balanced approach is evidenced in the global BARC BI Survey 12 where Jedox achieved fastest implementation times, lowest administration and support, and 98.7% customer satisfaction compared with peers. Typical business applications for Jedox include dashboards, and guided analysis, scenario-planning, forecasting, consolidations, and management reporting. Technology researcher Gartner describes Jedox as a particularly good fit for finance and planning areas, where spreadsheets are still the de facto standard for information analysis and reporting. 4
Jedox provides read and write functionality through the Web, Mobile, Excel, Word and Powerpoint so business users can work within tools they are already adept in. From Gartner s perspective, this allows Jedox to work as a complementary tool to an existing BI platform, bringing additional control and better da\ta exploration capabilities to plain Excel, while retaining its flexibility. Easy to start, easy to use, and easy to scale, Jedox provides IT a tool that enhances business-user productivity but requires little IT management overhead beyond hosting a server. Jedox is rapid to roll out and empowers users while providing controls and visibility to previously fragmented reporting and planning processes. The following sections introduce the Jedox architecture, deployment, security and administration. Jedox has a scalable, robust, n-tier client-server architecture built on open standards and serves mobile clients, web clients and MS office clients. Jedox works within an organisation s existing data strategy and security protocols. The Jedox Server: Is multi-process/multi-threaded Manages network bandwidth efficiently Provides a highly granular security model with role-based access Supports high availability Runs on physical, virtual machines and cloud 5
The Jedox OLAP server serves as an analytical appliance that is hundreds of times faster than traditional relational OLAP systems, Jedox in-memory system easily handles real-time and cross-data source calculations. Jedox in-memory algorithms compress tabular data by over a factor of 20. A 100GB source relational table means less than 5GB when in-memory. Typically Jedox does not require transactional data loaded. Because Jedox Web also supports direct relational queries, you do not need to bring all your data in-memory - you can directly leverage your investment and drill-through to transactions. The Jedox unified dimensional model manages corporate metadata, incorporating both master data from corporate repositories and enabling end-user metadata to be shared across reports and planning scenarios. Jedox supports multi-dimensional formulas and data write-back. This enables business user modelling with the Jedox declarative rules language and scales with both CPU and GPU parallel processing capability on computationally intensive models. The Jedox supervision server provides an event-driven layer over the data engine based on user interactions and data changes. For extreme data scenarios, the optional Jedox OLAP accelerator supports Graphics Processor Unit 4 (GPU) technology. This approach lines up hundreds to thousands of small processors simultaneously. Driven by GPU processors, the Jedox OLAP accelerator outperforms traditional in-memory CPUmulticore architectures. GPU can be applied to any existing Jedox model at any time without custom data configuration or software install and so can easily be added to servers at any point. Jedox is unique in its use of GPUs for business analytics. Jedox GPU can significantly speed individual queries that do not normally benefit from multithreading approaches. GARTNER COOL VENDOR REPORT Jedox provides a consistent and responsive experience across devices. This enables business users to quickly and flexibly to improve reporting, analysis and planning irrespective of which user-interface they access Jedox from. 4 GPU is optional and only required for analytics on very large datasets. Many typical performance management requirements (Enterprise Budgeting, Sales and Management reporting etc.) are typically delivered in standard CPU-based Jedox Server. For more detail on GPU, see Jedox OLAP Accelerator Factsheet; BARC Whitepaper usage scenarios for GPU technology; Jedox OLAP Accelerator GPU Whitepaper at 6
Common Jedox business applications Planning: Budgeting, forecasting, driver-based modelling and what-if scenarios. Consolidations: management and statutory reporting, financial and nonfinancial KPIs, scorecards and dashboards. Analytics: supply chain, market basket, customer and product profitability and cost models. Jedox Web contains the tools and modules for creating real-time planning, analysis, and reporting applications. Every component is 100% web-enabled, no desktop installation required. Jedox Web Spreadsheets provide Excel-like fluidity over the web with enhanced features such as DynaRanges and dynamic charting to easily generate flexible reports, dashboards and planning templates. In addition to standard interactive usage, Jedox web can generate snapshot reports - for example as pdf s - and these automatically. Jedox web is compatible with all modern browsers including IE 8+, Firefox 10+, Safari and Chrome. With Single Sign-On in web standalone mode, you can easily include Jedox web reports seamlessly inside Content Management Systems and existing corporate intranets, for example as web-parts in MS Sharepoint. Jedox provides native add-ins for Word, Powerpoint and Excel. The Excel add-in transforms Excel into a real-world BI client for planning, analysis, and reporting. Excel with Jedox is an easy-to-use tool accessing all of Jedox OLAP Server s functionality directly from Excel. You can create a new Jedox report in seconds and publish this as a live read/write report direct from Excel to Web, to Mobile. Add-ins are compatible with all Excel versions from 2003 SP3 onwards. Jedox also provides add-ins for Open Office, and Google Spreadsheets. Jedox Mobile provides complete performance management functionality via your ipad, iphone, Android-based smartphone, tablets, and mobile end-user devices. Jedox provides two options for mobile devices native apps which you can use to access data as soon as this is loaded into Jedox, and Jedox touch a mobile optimised web front-end which enables any custom reporting or planning from a mobile interface. 7
Jedox includes an industry-standard ODBO provider enabling Jedox in-memory data to be accessed by through any XMLA/ODBO client. Third-party transformation tools include data connectors to Jedox include Kettle and Talend. Jedox server includes an http api to communicate with third party apps. Application programming Interfaces include.net, C++, php, and java to securely query data, update Jedox objects and control Jedox functionality. The Jedox ETL Server (Extraction Transformation Load) supports Jedox OLAP servers both as source and target systems. The ETL data provides built-in connectors to SQL Server, DB2, Oracle, SAP (BW & R/3-ECC6), Vectorwise, and many more. Jedox ETL server provides a generic ODBC connector for database with a non-native connector and other data types including Soap, files systems, XML and LDAP. The ETL updates both metadata and data in Jedox and can either enable direct drill through to underlying transactions or store transactions in a persistent table structure. Both ETL and Jedox support partial loads for example you can load the last hour of transactions while enabling users to continue to continue interact with the data. You can review each transform visually and the server generates documentation on-demand to understand the data lineage and for auditing. The ETL management interface is 100% web-based and provides wizard-based transforms to quickly absorb new data into Jedox, as well as providing advanced calculation transforms in groovy, javascript, java and the statistical language, R. 8
You can execute ETL jobs on-demand; internally trigger with a Jedox Web script (e.g. a button on a user report); trigger by a Supervision Server process (e.g. on a data event), schedule with the in-built Jedox Task scheduler; or called from command line from Windows scheduler (or Cron jobs) or other remote processes. In many organisations, a single server with the recommended hardware configuration provides fast performance even with high data volumes. Compatible operating systems 5 Jedox supports 32 and 64bit Windows Server ) / 2008 / ), Windows Vista, Windows 7. Windows 8 Jedox supports 32 and 64bit Linux with Kernel or higher Red Hat EL 6 / CentOS 6, SUSE LE 11, Debian 6.0.3, Ubuntu Server LTS. A minimum recommended server is 4 CPU cores and 8gb ram. The Jedox platform guide provides detail sizing information for calculating depending on users, data volumes and planning requirements. Each Jedox server component enables multi-threading. Because the high-performance data engine enables multi-threading on a single query for individual user, adding more CPU cores increases both top query speed for an individual user, as well as average query speed across a community of users. On a new server, the Jedox all-in-one install automatically installs all Jedox services, apache webservices. The installer also checks for, and can automatically update, dependent Microsoft and Java program versions and service packs as needed. New Jedox releases and Jedox Service Releases upgrade cleanly over the top of previous version, with no data migration. The Jedox Excel client provides silent deployment options to roll out quickly across the enterprise. 5 For the more information, download the Jedox Setup Guide; List of installed files on Windows and Jedox Platform Support Guide at 9
Because each Jedox service is fully self-contained and independent, you can cluster the servers with a server for the data connectors (ETL services), the data layer (OLAP & Supervision services) and the presentation layer (Web services). There are no special considerations for running Jedox on virtual infrastructure. Jedox is often installed on Virtual environments. This` provides you the flexibility to increase memory processors cores, for example during high user access times, like the annual budgeting cycle. You can provide client access with the Jedox Excel-add-in through Terminal Server, Citrix and other remote technology. When running Jedox Suite (or components) on Amazon EC2 Instances, to access, ensure the Public DNS field in AWS Management Console (including ordering/creating SSL certificates), allowing inbound connections to specific ports and the Firewall is configured appropriately. Jedox provides robust enterprise security features with highly granular access rights. A typical application for Jedox is a budgeting process where many hundreds or thousands of users securely access and update their own data, but are restricted from access to all other data. Security consists of users, user groups, and roles. These are given rights with reference to cell data as well as to selected system operations. Jedox authenticates the user whenever a user connects to Jedox, through any client interface with configurable timeouts. Authentication: 1. Challenge login (user name and password managed in Jedox). The user is challenged when connecting. 2. SSO with Active Directory for Windows Servers 3. LDAP for Windows and Linux Servers 10
User security is group and role based. This means that users are members of groups, and groups have certain characteristics defined for them by their role memberships. You can set rights to the following areas: Objects 1. Users 2. Passwords 3. Groups 4. Databases 5. Cubes 6. Dimensions 7. Dimension elements 8. Rights 9. Cell data 10. System operations (SysOp) 11. Rules 12. SVS events 13. User info objects 14. Subsets. This makes it is easy to enable an IT administrator with access to develop new data integration projects; or for a Help Desk to add new users, without providing access to confidential data such as payroll information used in budgeting by Finance. Jedox has a robust data security model. You can allocate permissions to cubes, dimension, elements, attributes and down to cell-level if required. A cell is the lowest-level intersection of dimensions so a group may have write access for Customer 100, for Mar 2015, for Forecast version, for all products under Prod category 200; read access to Actual and Budget from 2002; and no visibility to any other customers. All security objects are held within cubes and dimensions, so it easy mange either through standard System Manager or any custom view of these cubes using standard Jedox reporting functionality. The security is at the data level, not the report-level, so the user gets the consistent access control irrespective of the access type (for example, on a web dashboard, or an Excel ad-hoc analysis). Published web reports are also controlled as data elements, so you can manage access rights to web reports, templates and folders - as well as to the data visible on the report. 11
Higher rights include subordinate rights automatically which makes it easy to manage complex security assignments. Data access rights include the following options: Rights S (splash): Exists only for the rights object cell data. It includes writing into consolidated cells and (indirectly) their children down to the lowest level. D (delete): Permits the deletion of rights objects. W (write): Permits the writing of rights objects. R (read): Permits the reading of rights objects. N (none): No type of access permitted. Jedox OLAP connectivity is encrypted with MD5 by default and is transmitted using the HTTP protocol. Jedox supports communication through HTTPS, i.e. using SSL to encrypt HTTP communication between clients when using valid security certificates. By default Jedox Excel client accesses over port 7777 and 80 for Web. This can be set to any required port in the configuration manager by the administrator. Encryption is supported on ETL connections to source systems, XML process definitions, and all Jedox database objects. Jedox is in-memory performance management solution. A single model typically runs from 1GB- 1000GB in size. With a 20 times compression ratio, a 100GB model is equivalent to a 2 TB relational database. Typically, loading all data from a relational database like a Data Warehouse is not required in Jedox. As a performance management solution for modelling and analytics, it is not typically required to load data at a transactional level and typically a model is at some level of aggregation on data when loaded into Jedox, and enable transactional drill-through. A single machine is the fastest configuration as adding additional machines introduces latency between machines. The exact load at which distributed configuration becomes important varies based on variables including load type, network speed, hardware, database performance. 12
The Jedox Excel client provides multiple connection formulas to optimise refresh speed and minimise the impact of latency over a network. For example, the DATAV function in Excel generates an array formula for the complete area enabling this to be a single query back to the server. In addition to an environment that is optimally designed, there are best practices optimise performance and reduce the average response time: While you can add 256 dimensions to a single cube, create millions of elements in a single dimension and add as many cubes/databases as you require, it can be good design practice to create multiple cubes on the same data. This can makes it conceptually simpler to meet different data needs for different users. Less dimensions make a cube simpler to comprehend, less sparse, and more intuitive for the end-user. This is especially the case when combining de-normalised data at different levels of granularity. There are many model optimisations when there is a good knowledge of the underlying data. Typically where there is a 1:N relationship this may be combined into multiple hierarchies in the single dimension. The decision to do so is affected by: Reporting requirements For example, multiple hierarchies are consolidations or attribute of a detail element like product or customer. To analyse on columns and on rows and titles, there may be a good reason to split these into multiple dimensions. In other instances, combining dimensions enables end-users to create sophisticated subset-based reports. Relationships changing over time For example, to report based on historic relationships, rather than shifting all history to reflect the current relationship when relationships change. Planning Planning requirements and other specific analysis or reporting requirements. 13
While Jedox often extracts data directly from an existing data warehouse, extracting information first into a relational database is not required to load data into Jedox. Jedox stores data in persistent in-memory cubes and dimensions and these can directly query any data source using the Jedox data integration tool. One of the advantages loading direct is during month-end, where you can reload the current month in seconds/minutes and see the results rather than being dependent on a DW load. Jedox provides multiple calculation engines for different analytical and planning requirements. They provide a broad and deep toolset for users and developers. Making using of the full functionality enables comprehensive and high performance models. Rules in-memory ETL calculations Subsets Supervision Web Excel and declarative multi- Standard Dimensional Server Macro Jedox Web dimensional transforms, sql, filters based enabling both functions cell-based expressions. groovy, javascript, on attributes, procedural and (PHP) functions Conceptually like a java and R. 15 Jedox Web enables reports to be published live from Excel and enables both Jedox connectivity and most Excel functions. This makes it very easy and intuitive for business users. As these are web reports, served to users across countries and continents, so focusing on web-design principles helps. For example, using small, expressive and dynamic dashboards linked together for chained analysis and drill-down, provides more interactivity. If the task is simply to engineer a very large list-style report for users to print out and manually identify the relevant information, this is not actually Business Intelligence. Instead, this is operational/ transactional reporting. It is recommended you clarify what the business goals are for the report. When the goals for what insight and decisions are to be made with the data as clarified, you can use Jedox exceptions and filters to display the most relevant information in an easily and intuitively understood format. Jedox Subsets enable sophisticated and highly customised filtering and sorting to be automated on reports without resorting to coding. Techniques such as referring subsets through previously filtered subsets, and cube design, can minimise data processing requirements. Jedox widgets enable you to add any other web page, service or custom code to a Jedox Web report and make this dynamically to interact with your Jedox actual and plan data. For example, you may desire a specific visualisation that is not within the standard Jedox toolset. The widget can be populated by linking through to report ranges for Jedox data or connect directly to the OLAP server using the Jedox Web Macro 15
language (with the Jedox PHP api). Because page performance is therefore dependent on this customised/3 rd party widget it is important to ensure this is efficient. Schedule large updates during off-peak times. Data sources may being updated in real-time but users only need data daily or weekly. Scheduling extracts, including dimensional rebuilds for off-peak hours can reduce peak-time load on both the source database and Jedox Server. System governance and administrator responsibilities are similar to other information management applications. Jedox enables customised roles to align with organisational requirements. This enables organisations to assign functional responsibilities as required. Jedox provides a 100% thin client administration. As a self-service solution, Jedox enables a federated approach to model administration. This means you can manage the server, while enabling domain/subject matter experts to manage their own component business processes with Jedox. This frees up IT from the chore of building reports and maintaining complex business structures and calculations in specific Jedox models. A model consists of a specific analytical application, for example the enterprise budgeting model, a customer profitability model. System Administrators have complete access to all software and functions within Jedox server. They can then assign select users to the can manage their own data models, ETL projects, web worksheets and other Jedox functionality. This allows each group to better manage their own needs. 16
Jedox supports complex business processes and analytical needs, server administration tasks are part time. After the initial setup, most organisations spend little time on server administration. The time required depends on number of users, frequency of user changes, and whether admin provides user support (typically business users have business and data questions, and these can be answered by designated power users). Administrative activities include Server responsibilities Software installation & upgrades Monitoring performance and server utilisation Processes that support security, backup and restore, and change management Managing licences Managing users, groups, roles Monitoring source data loads Managing Models (e.g. Finance model, Budgeting model) & data integration projects Managing user reports, planning templates and dashboards 17
Jedox enables IT to add value by providing a rich metadata layer, for example from an existing Data Warehouse, or any organisational repository - and then allow business users to extend it. This means the metadata layer does not require extensive modelling exercises before getting value from Jedox. Business users can even use the Jedox Modeller direct from Excel to update metadata structures, which make it very seamless and fits within their normal day-to-day activities. Jedox s metadata system provides multiple layers of abstraction. The first layer of abstraction is the ETL load which transforms source data, storing information in XML format. It includes attributes for the database, tables, views, columns, joins, or SQL to access the data. The ETL enables calculated measures on load. The second layer is the Jedox Model which defines cubes, dimensions, elements, attributes and measures. When connecting to cubes, the cell values are read directly from the metadata in the cube. The Jedox model enables in-memory Rules which recalculate on the fly for example when assumptions like fx rate or forecasts are updated. Jedox rules are declarative and highly powerful multi-cube, multi-dimensional expressions that are user-friendly and well-understood by an Excel proficient business analyst instead of requiring a programmer. They are easier to understand than a language like MDX or SQL because they are designed specifically to enable cube-calculations. The rules are auditable an end user who needs to understand how costs were allocated to their cost centre can right-click on the cell to view the calculation definition, description, and definition date. Jedox subsets are queries run over dimensions and cubes to return small datasets to the end-user. For example, a Top-10 report on top products. These are used through the client interface whether in Jedox Web or Jedox in Excel and can be combined with any user defined calculations using their familiar skills in Excel. As soon as metadata is updated, this is available on any relevant report or dimension. 18
For data governance and security, dimensional hierarchies make it easy to control access in changing data. For example, a salesperson may be responsible for a customer group and can only access this group for all reporting and planning. When a new customer appears under this customer group, the salesperson can automatically be granted access, through these cascading rights. Jedox technology requires few technical personnel because its reusable metadata is easier to maintain, requiring less redundancy. Jedox is easier to maintain because it provides end users with more self-service capabilities that offload work from the IT staff, and also provides a comprehensive suite of administrative tools, requiring few administrators. 19
Jedox delivers mobile reporting, analytics and planning with power and simplicity. Jedox s author-once approach to mobile BI means that a user can publish a dashboard, planning template or a dashboard in Jedox Web (either starting from Excel or created directly in Jedox web) that works automatically on both mobile devices and in a computer s web browser. There is no need for custom dashboard development as Jedox automatically detects the device and optimises the output accordingly with dynamic, finger scrolling, and pinch and zoom. Users see touch-optimised reports through any mobile or tablet browser. Users can report and write-back numbers and commentary and plan for forecasts and utilise Jedox planning functionality like top-down splashing. In addition to the cross-platform browser support, Jedox provides native apps optimised for tablet and a phone, with ipad app, iphone app, Android widgets and Android app. Jedox s mobile apps connect to any Jedox Server and provide native touch controls. Users can create their own views and dashboards get mobile experience including mapping, top/bottom 10, and adding multiple measures to any graph and toggle between graph, tabular, and map views. With BYOD, mobile device security is critical and is a concern for many organisations. Jedox mobile server enforces the same security for all views, including data-level and user-level security, whether they are served on the desktop or a mobile device. Since no data is stored on the device, there is little risk that lost or stolen devices will compromise data security. 20
Jedox provides an enterprise-class infrastructure that is secure and scalable. Jedox well-suited to complex modelling environments because it is in-memory and enables thousands of parallel calculations so business users can rapidly model multiple complex scenarios. By empowering business users, Jedox minimises IT support and administration overheads commonly found with traditional BI. With inbuilt Excel connectivity, Jedox is intuitive and easy to roll-out because the users are already familiar with the front-end. This means IT can direct data governance and information management, without being trapped in day to day user management and report creation. 21
Office products supported (Excel, PowerPoint, Word) Read & Write from Excel Leverage all BI reports and reporting objects Full new report creation Ability to save logic created in Excel back to enterprise metadata Persistent and interchangeable formatting across Office and Web Server based configuration for client settings, user, host, and IP address settings Jedox delivers the complete reporting, planning, and analysis environment to Microsoft Excel, PowerPoint, Word, and Outlook users. Jedox Office applications are linked to Jedox security and administration, ensuring 100% data consistency across the enterprise. Users are able to access existing reports or create new ones from within Microsoft Office applications. Changes made through Microsoft Office are immediately reflected across Jedox Office and Web interfaces and can be saved to the enterprise business logic metadata layer. Microsoft Office formatting changes are preserved after automatic data updates. The Web administrator can set client-side settings and security. Users can change their passwords through the familiar Microsoft Office interface. 22
Fully interactive interface with controls for data formatting, manipulation, and analysis Real-time changes without a publishing process Creation of report objects, such as prompts and filters, over the Web What You See Is What You Get (WYSIWYG) design and editing of any report type over the Web Zero-footprint Web interface from any browser Jedox puts wide-ranging control in the hands of business users, minimising the need for IT personnel to perform the same functions. Business users are able to rapidly create, manipulate, format, and analyse any report themselves, all through a single modern HTML5-enabled web interface. Report objects such as prompts, filters, derived metrics, thresholds, and totals can also be created over the Web. Individual columns and rows on a grid can be selected quickly and users can easily format, drill, pivot, and perform other tasks on-the-fly. Changes are available right away without any need to publish or export information to other environments. Business users create highly formatted reports using any metadata object using a zerofootprint, WYSIWYG design paradigm that drastically shortens report development time. Jedox Web is zero-footprint, and does not rely on Java or ActiveX. As a result, report designers and business users can use any browser to design and interact with reports. 23
