1 Landlord s Confirmation of Instruction (COI) (Version 4.8) - Remarketing Property address (uding postcode): We confirm and thank you for your kind instructions for Claire Lloyd Properties ( CLP ) to act as your Letting Agent for the above Property in respect of remarketing your property. This confirmation of instruction document as listed below together form the contract ( the Agreement ) between you ( the Landlord/you ) and CLP as your agent for the letting of your Property. (1) Landlord s Guide/Terms & Conditions Booklet (version 4.8) (2) Landlord s Acceptance of Fees /Declaration (3) Scale of Current Charges, CLP to Landlord Please sign and return this letter where indicated as your formal acceptance of the Agreement and return to CLP without delay along with copies of photo ID and proof of residency for each Landlord (if not already provided, and a copy of the buildings insurance policy for the property). Important, please note that should our agency not receive your signed copy of the Agreement, CLP will not proceed with the marketing of your property. If your Property is jointly owned, all names must be supplied and must appear on the Tenancy Agreement. If the Property is owned by a company the company s full name must appear on the Tenancy Agreement and an authorised signatory of the company must sign the Agreement. We would draw your attention in particular to the Landlord s Guide/Terms & Conditions Booklet requiring that a valid Gas Safety Certificate, Electrical Installation Condition Report & Portable Appliance Testing report and Energy Performance Certificate are provided for both Landlord and Tenant. This is the Landlord s responsibility but CLP can arrange these through our Aylesbury office with a card payment facility available for convenience. CLP require a signed copy of the Landlords Confirmation of Instruction for each new tenancy. If you require clarification on any points or additional information please do not hesitate to contact us. We are registering your details on the property portals and the CLP website and are looking to introduce a suitable Tenant to your Property as soon as possible. 2 Landlord s Acceptance of Fees/Declaration Claire Lloyd Properties have been appointed on the following terms as ticked. (Please tick the service required - see Landlord s Guide for a comprehensive break down of each level of service - Section 9). CLAIRE LLOYD PROPERTIES SERVICE FEE Please Initial Gold Managed Service Fully managed service with 24/7 Emergency maintenance provision. Property Visit with full report every 3 months (first visit at month 3). Complimentary Energy Performance Certificate and initial Gas Safety Certificate. 18% Silver Managed Service Managed service with 24/7 Emergency maintenance provision. Property Visit with full report every 6 months (first visit at month 3). 14.4% Rent Collection Service Marketing of property, referencing of tenants, preparation of legal tenancy agreement and registration of tenant s deposit, processing of rent with monthly statement of account. 12% Let Only Service Marketing of property, referencing of tenants, preparation of legal tenancy agreement and registration of tenant s deposit. Renewal of tenancy fee vat. 720 The Landlord(s) hereby declares that:- I/We are the sole legal owners of the freehold/leasehold interest in the property or I/We are the joint owners of the freehold/leasehold interest in the property. I/We agree and accept CLP s Confirmation of Instructions letter for CLP to provide the services noted above as defined in the Landlord s Guide/Terms & Conditions and Scale of Current Charges. I/We understand and acknowledge my/our obligations pursuant to the Furniture and Furnishings (Fire) (Safety) Regulations 1988 as amended 1993, The Gas Safety (Installation and Use) Regulations 1998 and the Electrical Equipment (Safety) Regulations 1994 and I/We accept and confirm I/We have full responsibility to ensure that I/We comply fully with their requirements before and during the letting of the Property.
