This packet contains a group user agreement and basic information about use of the facility. Should you have any questions about the agreement or your reservation, please call our camp office at Please note that before your reservation date is confirmed the Group User Agreement and $250 deposit must be received by our office. The Group User Agreement must be signed by a designated group leader before it can be processed. Also enclosed you will find general information about Pleasant Ridge Camp and Retreat Center, rules, regulations, and emergency procedure guidelines. Please be sure to distribute this information to your participants. If your group will use our Know Boundaries Challenge Course you will also find information and consent forms for the course attached. The minimum age for participants on the challenge course is 8, and all participants 17 and under must have parents or guardians permission to participate. Please note that the use of the Know Boundaries Challenge Course depends on the availability of the facilitators. We recommend at least 21 days notice for use of the Know Boundaries Challenge Course. 2 Pleasant Ridge Camp and Retreat Center Group User Agreement Updated May 2012 We, Upstate Scrappers (hereinafter called group ), herby agree to the reserve the services and facilities of Pleasant Ridge Camp and Retreat Center / Greenville County Recreation District, for the period beginning on February 8, 2013 and ending on February 10, 2013 at the fees as shown on the invoice. Our arrival time will be 5pm. Departure time will be 5pm. Payment Schedule: A deposit of $ is due upon receipt and must be accompanied by this signed user agreement. Cancelations made 14 days prior to your arrival date will be refunded the amount paid less a $125 processing fee. No refunds will be given for cancelations made within the 14 days of your arrival, early departures, or inclement weather. Final payment will be due two (2) weeks prior to group arrival date: Final payment is due January 31, Lodging: Groups staying overnight in our cabins will need to provide a total count for overnight guest two (2) weeks prior to the groups arrival date. When applicable a male/female breakdown will be required. Meal and Program Services: The group must provide a final count for meal service and any program facilitated by Pleasant Ridge Camp and Retreat Center Staff two (2) weeks prior to the arrival date. Know Boundaries Challenge Course: As required the group will provide signed release forms for participation on the Know Boundaries Challenge Course. These forms may be brought and given to the Administrator on duty at the time of check in. Policies and Regulations: By signing this user agreement the group acknowledges that it has read and fully understands Pleasant Ridge Camp and Retreat Center s rules and regulations, emergency procedures, cancelation and refund policies, and reservations and payment schedules. 3 General Information Reservations, Deposits, Cancelations, and Refund Policy Pleasant Ridge Camp and Retreat Center is conveniently located in the beautiful mountains of northern Greenville County. We are 20 minutes away from downtown Greenville and 15 minutes away from Hendersonville NC. Our setting provides a beautiful backdrop for group outings large or small, where you can sit back and let us provide your program or bring your own program - either way we are available to help make your visit a memorable one. Pleasant Ridge Camp and Retreat Center was built to be the home of Camp Spearhead and Camp Courage. Camp Spearhead is a camp for children and adults with special needs. Camp Courage is a camp for children with cancer and blood disorders and is provided through the Greenville Hospital System s Children s Hospital. These two camps utilize our facility during the summer months; therefore the facility is usually not available for lease mid May through mid August of each year. However our Know Boundaries Challenge Course and other areas may be used during that time on select dates. All group reservations for Pleasant Ridge Camp and Retreat Center will be made through the Pleasant Ridge Camp and Retreat Center office. A non-refundable deposit of $250 must be paid at the time your reservation is made to hold your date. This deposit will be applied to your balance. When applicable the deposit and user agreement are due in our office at least 21 days prior to your scheduled arrival. Cancelations made 14 days prior to your arrival date will be refunded the amount paid less a $125 processing fee. No refunds will be given for cancelations made within the 14 days of your arrival, early departures, or inclement weather. Full payment for the lease must be made 14 days prior to your arrival or sooner. Groups will not be allowed to check in until full payment has been received. Please contact us two (2) weeks prior to your scheduled arrival date to confirm dates, program and number of participants. This confirmation will serve as a guarantee for the number of persons from your group that will be served in our dinning hall. Your group will be charged this guaranteed number for meals, even if you bring less people than you guaranteed. All meals are served family style and are all you can eat. Please help us reduce waste by taking only what you plan to eat. Thank you. Pleasant Ridge Camp and Retreat Center is a new facility and we hope to be able to serve groups here for a long time, creating memories and great traditions along the way. We expect groups who visit us to help keep our facility looking great; please inform your group to clean up after themselves, and to notify Pleasant Ridge Camp and Retreat Center Staff of any issues with the facility or property. Each group will be held responsible for any damages caused to property during your stay and, where applicable, will be billed for any and all repairs required. 3
4 Pleasant Ridge Camp and Retreat Center Rules and Regulations Group Use 1. Use of Pleasant Ridge Camp and Retreat Center (PRCRC) is reserved only for those groups who make reservations and complete in full the use agreement form. 2. During your stay at Pleasant Ridge Camp and Retreat Center there may be other groups present. Please be sure those in your group are familiar with the rules and regulations and that they are respectful of other groups on site. 3. User groups are advised to obtain the following participant information: name, address, emergency contact info, information on allergies, health conditions requiring retreatment, and/or restrictions. 4. This is a smoke free facility: No Smoking Please. 5. Quiet hours are from 10PM to 7AM unless otherwise posted. 6. The following items are not allowed at PRCRC: fire arms, alcoholic beverages, pets, fireworks and all terrain vehicles or golf carts. No personal archery, climbing gear, or other personal sports equipment is allowed. Safety 7. Please be advised the following areas are off limits unless accompanied by a certified member of PRCRC Staff: Know Boundaries Challenge Course, Archery, Riflery, Sling Shots, Swimming Pool, and Kitchen. 8. PRCRC staff will supervise all specialized recreational activities; otherwise user group leaders are fully responsible for the welfare and supervision of their group. 9. In the event of an emergency please contact the Administrator on Duty. Contact information will be posted on the side door of the camp office and inside each cabin. 10. Incoming calls should be for emergency use only. Should someone need to contact a member from your group, the main office number is Pleasant Ridge Camp and Retreat Center is not responsible for providing first aid care and emergency care. However, if needed our camper care facility with first aid equipment and supplies may be used by groups. 12. Pleasant Ridge Camp and Retreat Center does NOT provide accident/illness coverage for participants. Vehicles 13. Please park in designated areas. Main camp is restricted to pedestrian traffic only. The only exception are facility vehicles used for program or maintenance clean up. 14. Only authorized Pleasant Ridge Camp and Retreat Center Staff may drive facility vehicles. 15. It is prohibited to transport people in vehicles or parts of vehicles not designed for passengers (back of trucks, etc.). 16. Pleasant Ridge Camp and Retreat Center is not responsible for providing emergency transportation; however PRCRC can assist user groups in contacting emergency services if transportation is needed. Facility Use 17. Please bring your own bedding, pillows and/or towels these are not provided. 18. Please do not remove furniture from cabins or other buildings. Outdoor furniture may be moved, but must to be returned to its original location after use. 19. Fires are allowed only in the fire rings and fire places and must be approved and supervised by PRCRC staff. 20. Check in and check out will be coordinated through the camp office. We will work with your group to meet your needs for arrival and departure. A cabin clean up list is posted in each cabin and should be followed for check out. 21. Please help us to keep Pleasant Ridge Camp and Retreat Center clean and beautiful. Place all trash in receptacles, do not cut down or remove any living plants, and do not feed the wild life. 22. Please be aware of your surroundings. Wild animals are common in and around camp; we ask that you do not feed, harass, or approach any wildlife during your stay. Enjoy what you see from a safe distance. 23. Please follow specific guidelines posted in and around camp; i.e. dinning hall, cabin, and program procedures. For Groups with Minors or Special Needs 24. All persons 17 and under must be accompanied by an adult. Parents and guardians are responsible for youth participants behavior at all times. If staying overnight, there must be at least one same gender chaperone for each gender of youth. User groups are advised to obtain a signed permission to seek emergency treatment statement for minors on site without their parent/guardian. 4
5 25. Groups are advised to provide each at least one adult chaperone for each activity or event. 26. Groups are advised to follow these guidelines for adult to youth ratios: Camper Age Adult to Camper ratio Age adult to every 7 campers Age adult to every 6 campers Age 11 and under 1 adult to every 5 campers There are no exceptions to these ratios. Additional guidelines for special needs participants: Camper Description Staff Participant Needing constant and individual assistance or supervision 1 1 Needing close but not constant assistance or supervision 1 2 Needing occasional assistance 1 4 Needing minimal assistance We advise groups to consider activities, locations, or situations where a minimum of two staff/adults must be present with minor/special needs participants (i.e., bathing, toileting, trips, etc.). 28. We recommend all groups screen/background check any staff responsible for minors and/or participants with special needs, and identify appropriate staff to camper ratios for those participants. Food Service and Refrigerators 29. If the Food Service is used, the normal meal times are: breakfast- 8AM, lunch- noon, and dinner - 6PM. The food service is available for one hour at each meal time. Food will be served in Luttrell Lodge and by request at Fireside Hall. Your group may share dining space if more than one group is on campus at a time. 30. No outside groups can use the PRCRC kitchen. If your group caters a meal with an outside vendor, PRCRC can supply tables and chairs, ice, water, and waste disposal. 31. Refrigerators with thermometers are available in cabins for groups staying overnight. If you use the refrigerators, please check to ensure the temperature stays at 40 F or below. Contact PRCRC administration if the temperature goes higher. 32. Changes to food service policy must be requested in writing in advance and approved by PRCRC. Failure to comply with these rules and regulations may result in your group being asked to leave the property. Thank you for following PRCRC rules and regulations. 5
6 Pleasant Ridge Camp and Retreat Center Emergency Procedures: For emergencies call 911. Remember to give location and type of emergency, and stay on the line until the 911 operator tells you to hang up. Main Street in Travelers Rest Pleasant Ridge Camp and Retreat Center Office Phone During the day the PRCRC staff will be on site and available to assist you. In the evening an AOD (Administrator on Duty) will be assigned. AOD contact information will be posted on the side door of the camp office. Please contact the AOD with any needs you my have. The AOD will begin their duty following all evening activities. Pleasant Ridge Camp and Retreat Center does not provide medical care. Should an emergency occur, call 911. For other medical emergencies, the North Greenville Hospital is located 12 miles away at 807 North Main St, Travelers Rest, SC Each cabin is equipped with a first aid kit and AED locations are clearly marked. The bell located in the middle of camp by the flag pole is for emergency use only. Please refrain from ringing it. AED Locations: Luttrell Lodge, Fireside Hall, and Camper Care Center Severe weather: Pleasant Ridge Camp and Retreat Center staff will monitor the weather throughout your stay. In the event of a thunderstorm the pool and challenge course will be closed and will not reopen until 30 minutes after the last sign of the storm. In the event of a tornado or other severe weather, our staff will direct you in the appropriate procedures. Fire emergencies: In the event of a fire on site, immediately call 911 and then notify the site manager. In addition, alarm pads with fire buttons and pull stations are located in each facility. If you see a fire or smell smoke, press the fire button or pull the handle to sound the fire alarm. Evacuate everyone to the flag pool area, stand clear, and wait for fire and rescue services to arrive. In addition, every building is equipped with a fire extinguisher your safety - please do not remove or tamper with this equipment. Missing Person: Should a member of your group go missing, immediately report this to the site manager. The site manager will organize and implement a search of the grounds. To help in preventing missing persons, ask members of your group to communicate if they are planning to go on a hike or leaving the property for any reason. A good idea is to have a sign out sheet or do periodic gatherings to verify your group is still all present. Children should always travel with a group and should never be left alone. Intruder/Unwanted Person PRCRC is open only to guests and staff. If you encounter someone who is belligerent, dangerous, or they are not part of the group s registered with PRCRC, contact the Administration immediately and call 911 if you feel there is an immediate threat. 6
