3 General content of the course Escom Gaav 2 is a software developed by ESCoM which controls each step of audiovisual archives publishing process. Users can manage parameters of the video storage, the web site, the database and the medias format (Windows Media, Real or Quicktime). The interface offers a complete management of archives: users, video flux, web pages, etc. Each scientific event of an archive is published as a dynamic web site. Videos and web files are automatically copied to the servers by network or ftp connexion. indicates that the term is explained in the glossary
4 General content of the course Archives can be remotely managed, using a simple Internet connexion. For each audiovisual archive, the interface shows the number and the total duration of published videos, the publication state of a scientific event, the filing of tapes or CD-ROM, etc. Data generated by Escom Gaav 2 are saved in a Microsoft SQL Server database, then usable by any other interface executing requests on the server. indicates that the term is explained in the glossary

8 1 st Part - Escom Gaav Interface -
9 1 st Part : Escom Gaav Interface At the beginning, the user must authenticate itself : Data are protected, User only see his own events in work, The available tools depend on user s rights.
10 1 st Part : Escom Gaav Interface After the authentication, the software tests the connexions for files transfers : Network s shared folders accessibility : a message box shows the properties of failed connexions.
11 1 st Part : Escom Gaav Interface Ftp servers accessibility : the program tries to connect to the servers, using authentication parameters indicated by the user. Afterwards, these parameters are saved : ftp files transfers are executed automatically, without asking the user for authenticating again.

13 1 st Part : Escom Gaav Interface The interface contains : A menu bar (a), A tool bar (b), An explorer showing the archives content (d), represented by icons depending on the kind of item they represent, A view showing the content of the selected item (e), Information about the selected item (c, f), Information about the connected user (g).
14 1 st Part : Escom Gaav Interface The tool bar buttons are : 1. New Creates a new item in the selected item. 2. Open Shows the content of the selected item. 3. Preview Opens the file corresponding to the selected item using an adapted program, or opens the web site of the event using the Internet navigator. 4. Properties Shows many information about the selected item. 5. Edit Shows the form for editing the selected item. 6. Delete Deletes the selected item.
15 1 st Part : Escom Gaav Interface 7. Refresh Updates the view of archives content, requesting to the database. 8. Parent folder Shows the parent item s content of the selected item. 9. Events Determinates which events to show in the explorer : - A filter enables to show only events in work and/or only events managed by the connected user, - An advanced search engine enables to define personal criteria of view. 10. View Determinates the view mode of the icons (Large, small, list or details). 11. Management parameters Enables to set the management parameters of an archive or a scientific event.

17 1 st Part : Escom Gaav Interface The advanced search engine enables the user to select events according to many criteria defined by himself : general criteria : name, id, publishing state, type, protagonist of the event, etc.. advanced criteria : director, theme, shooting s date, publishing s date of the event. filing criteria : storage place of the films (tapes, CD-ROM), state of the making-of CD-ROMs and DVDs of the event, etc.
18 1 st Part : Escom Gaav Interface The user can personalise his connexion modes by using the menu Tools > Connexion parameters : For each files server, network or ftp connexion. For the database, network or Internet connexion. Default configuration (distant or local access) enable to define these parameters quickly.

20 2 nd Part : Audiovisual Archives Management Before publishing scientific events in an audiovisual archive, the characteristics of the archive must be set. An archive is divided in several kinds of items : The protagonists are the persons who take part in the scientific events of the archive. The directors represent the persons who work for the realisation or the publishing of events. The themes are the domains used to classify the events : History, Social Sciences, Economics,
21 2 nd Part : Audiovisual Archives Management The formats represent the available flux for the online broadcast of videos : 56kb/s, 256kb/s, The types are the different kinds of events proposed : interview, seminar, conference, The pages and documents by default correspond to the web pages and documents automatically integrated in a web site at the creation of an event. The events are sorted by types : when they are created, they appear in the folder of their type. Pages and documents by default can be defined for each type of event. These pages and documents are automatically integrated in a web site at the creation of an event corresponding to this type. Every theme, director, type or format used in an event should have been defined on the archive by an administrator.
22 2 nd Part : Audiovisual Archives Management The management parameters of each archive must also be correctly defined. They concern : Connexion to the database where data of the archive are stored, Storage of videos, web pages, documents and pictures. The user can define the address for network, Internet and ftp access. The medias format : Windows Media, Real or QuickTime. A meta file is generated for each video, using the standards of the type of media chosen.
23 2 nd Part : Audiovisual Archives Management Creating an event, it inherits the management parameters of its archive. A folder called by the event s id is created on each address defined for the storage of videos pages and documents. The folders corresponding to the shootings of the event will also be created in this folder. The menu Management parameters enables to create or edit the archive s parameters, and to edit the parameters of an event :
24 2 nd Part : Audiovisual Archives Management For each archive, 3 kinds of users can be defined : Administrator : the user has a total control on the archive. Director : the user has a total control on the events, but no right on the archive parameters and characteristics. Disabled account : the user has no right. He can t log on, but can be defined as a director of an event if he took part in its realisation.

26 3 rd Part : Publishing Scientific Events When the connected user creates an event, he is automatically saved as a director of the event. The pages and documents by default of the archive and type of the event are also added to its Page and Documents folders. Here is the event s structure : Each event is divided in shootings. Each shooting can be divided in chronological parts. It is possible to define protagonists, themes, pages an documents in every event, shooting or part. It is possible to define videos in every shooting or part (in the Videos folder). The user can add as much videos as defined formats in the archive.
27 3 rd Part : Publishing Scientific Events An example : the interview «Les modalités du temps chrétien» the event is divided in : 1 shooting called «entretien», 2 themes classifying the event, 6 web pages web which compose the web site of the event, 1 online document, 1 director of the event. There is no protagonist associated with the event.
28 3 rd Part : Publishing Scientific Events The shooting «entretien» is divided in : 10 parts, 1 protagonist : the interviewed researcher, 1 director. The folders Videos, Themes, Pages and Documents are empty.
29 3 rd Part : Publishing Scientific Events The part «Le temps chrétien dans l Occident médiéval» is divided in : 3 videos corresponding to the video of the part in 3 formats : 56 kb/s, 256 kb/s and 1600 kb/s. The folders Protagonists, Themes, Pages, Documents and Directors are empty.
30 3 rd Part : Publishing Scientific Events There are 3 types of publishing states for an event, a shooting or a part : in work : state by default when the item is created. coming soon : the item is being published and can be announced in the web site. online : the item is published in the web site.
31 3 rd Part : Publishing Scientific Events When the user creates of a video, a page or a document, he has only to indicate the corresponding file in his hard disk. Then, the file is automatically copied* to the specific address of the event or shooting (in the case of a part, the file is copied to the address of the shooting). This address depends on the management parameters used for the event. *In the case of a video, the user can differ the copying process.

34 4 th Part : More Tools of Escom Gaav The properties forms show many information about an item, as its attributes, the items it contains, its statistics, its parameters, the location of the file eventually associated,
35 4 th Part : More Tools of Escom Gaav A picture can be defined for an event, a shooting, a part or a protagonist, in their edit form. In the Picture tab, the user can select the picture from his hard disk, or from a picture already used in the archive :
36 4 th Part : More Tools of Escom Gaav When the user creates a protagonist, if the name already exists in the database it appears while he s filling the name. So, the user can check if the protagonist or a homonym already exists in the archive : A button called generate the meta files is accessible from the edit form of a type, an event, a shooting or a part. It generates automatically the meta file of every video associated with the selected item.
37 4 th Part : More Tools of Escom Gaav During the creation of an item, a message box suggests 2 creation modes : The first mode corresponds to the default mode : using a form. The second mode enables to copy an existing item. For example, in the case of an event, the new event would have the same attributes, shootings, parts, protagonists, directors and videos than the selected event.
38 4 th Part : More Tools of Escom Gaav In the edit form of an items folder, the last tab enables to do different tasks. The buttons are : New : creates a new item. Edit : edits the selected item. Delete : deletes the selected item. Up : moves the position of the selected item to the top. Down : moves the position of the selected item to the bottom.

42 Glossary The most complex terms (followed by the sign) are explained in this glossary : Attribute (of an item) : It represents a property of the item, as its name, its description, its id, Audiovisual archive : Collection of scientific events films that can be screened on the Internet. Flux : Quantity of data broadcasted in a second on the Internet. For example, a 56kb/s video will be broadcasted to the Net surfer with a speed of 56 kilo-bytes per second. Id : This is the unique integer which represents an item in the database. Item : In Escom Gaav, an item represents every type of object the user manipulates : an archive, an event, a theme, a protagonist, a page, a video,
43 Glossary Meta File : In Escom Gaav, we call streaming file a file used for the progressive download. This file contains the address of the media file. For a Windows Media file, the streaming file has the extension wvx or asf. Parent item : This is the item which contains the current item. For example, the parent item of a shooting is an event. Progressive download : it enables the Net surfer to start to screen an audiovisual file before it has been completely downloaded : the end of the file is being downloaded while the beginning is being played. It is useful when the web site is unable to broadcast medias using streaming. Scientific event : A scientific event can be an interview with a researcher, a seminar, a conference, an exposition,... Streaming : this technology enables to broadcast a media file without it is downloaded by the Net surfer.
