1 1 Using Your Chapter Fundraising Page for Hosting Live Fundraising Events Are you planning to host a Miles In Our Shoes walk, benefit concert, or other live fundraising event? With a few tweaks, your chapter fundraising page can do a lot of the hard work for you. This guide will help you modify your chapter fundraising page so you can host a fundraising event on your campus. IMPORTANT: All funds raised through your chapter s fundraising page on go directly to the Active Minds national office and automatically credit your chapter toward your annual fundraising requirement. Please read the Fundraising FAQs for more information before getting started. Steps for Getting Started: 1. Edit the Chapter Fundraising Page 2. Registration Options 3. Event s 4. Test Drive 5. Publicize 6. Registration Reports 7. Revert back to the Chapter Fundraising Page Need more help? Use the Online Help Center in your Event Manager Center. 2 2 1) Edit Your Chapter Fundraising Page Update your chapter fundraising page with your fundraising event information. Login to the Event Manager Center to make the appropriate changes. Edit Greeting Page Add pictures, and text describing the event details (i.e. specific location and type of event). 1. Embed a Google Map so participants can see the location and address 2. Include Contact information 3. Don t forget to include links to social media outlets Create Additional Custom Pages 1. Click Create a Custom Page 2. Name the Page (i.e. Sponsors, FAQ) 3. Add text or images in Page Body 4. Click Finish Change Fundraising Goal 1. Click Event Center 2. Edit Event Options 3. Change Fundraising Goal Amount To Embed a Map: 1. Open Google Maps 2. Search for location 3. Click on Setting icon 4. Click Embed Map and copy the HTML 5. Click edit in Greeting Page, click HTML, and paste the code IMPORTANT: Copy and paste your current written information and pictures to another document so you do not lose them!
3 3 2) Registration Options If you are charging registration fees to your event, you can accept fees through your page. REMINDER: All registration fees collected on your chapter fundraising page contribute to your fundraising goal for Active Minds, Inc. You cannot access registration fees to offset the cost of event expenses, such as t-shirts, insurance costs, and decorations. You can set up this option by creating participant types and updating the registration fee: 1. Click the Event Center 2. Click Edit Participation Types 3. Click Create a New Participation Type (chapter member, supporter, sponsor, child, etc.) 4. Fill out Section A 5. Skip to Section G & click Finish At registration, a person must choose a participant type. You may add different participation types to distinguish between chapter members, general supporters, children, sponsors, and more. Creating multiple participation types opens the possibility of setting unique registration prices. For example, create a participation type called Student as an option at registration and set a lower ticket price.
4 4 Advanced Registration Options Once you set-up different participation types, you can add more options to fit your event needs. Add a Waiver for a walk/5k event. We suggest talking to your school s administration regarding waivers due to liability concerns. Make sure to print out the waiver before the event. Assign Race Numbers to participants and print out race bibs. To assign a race number: Click Create New Participation Type Click Section B Alter #3 Race Number Generation to either Generate Increasing/Decreasing Numbers Click Next to save the changes Collect additional information from participants. Use the optional Additional Questions function to gather important information from each participant at registration (i.e. shirt size). To create a question: Click the Event Center Click Edit Event Questions Click Add a Question Select the Question Type and click Next Enter the question text and response options Click Finish 3) Event s The Event s tab allows you to edit, create, and send s to participants and donors. You will primarily use Autoresponder and Coaching s. Autoresponders are sent automatically in response to a registration or donation. These messages serve as confirmation s and receipts. Edit the Autoresponders to provide more detailed information about your event and how to contact the event manager. Coaching s are sent only to participants and team captains. These s are a great way to motivate and remind individuals to promote their personal pages. Select a specific audience for each coaching by using filters. Customize the sample coaching or create new ones.
5 5 4) Test Drive Once your page is setup, you run a Test Drive. This allows you to simulate the experience of a site visitor, donor, and registrant. You can test your s and simulate registering and donating for the event. The key here is to make sure the process is easy for people to use. 5) Publicize Promote your event online. Post information on Facebook, Twitter, Tumblr, Instagram, and other social media sites. Another important thing you can do is customize your URL to make your event page easy to publicize and find. To customize your URL: 1. Click Event Center 2. Click Customize Event URL 3. Change your URL 4. Click Finish
6 6 6) Registration Reports Reports can tell you valuable information about registrations and donations. We recommend running the Registration Report at least bi-weekly to get a headcount for your event or to view a donor s information about a week before. To run a report: 1. Click the Reports navigation tab 2. Click Run next to the report 3. Label the report and click Next 4. Click the Run Report button 7) Reverting Page Back Upon completing your event, you need to change your Event Page back to an Online Fundraising Page. Unfortunately, you must manually change it back. To revert, simply undo the changes you made. Remember: Change your Greeting Page by removing the event information and embedded map, and replace it with what you previously posted (your chapter s information) Reset your Autoresponders Re-customize your URL Turn off the different types of participants, so people cannot register for your previous event Refer to the Setting up your Chapter Fundraising Page if you need extra help or contact us!
