Outline of the Course Coding Structure For NC Public Schools SIMS and NC WISE LEAs please use only those portions of this document that have application for your system. K-12 Curriculum, Instruction and Technology
Code Structure The course coding system has a blocked structure. Each course is identified by a seven digit code. These seven digits are grouped into four blocks. The first block (first four digits) identifies the subject area. The first two digits of the subject area block identify the DISCIPLINE, and the third and fourth digits identify the individual COURSE within the discipline. The second block of the one digit (fifth digit of the course code) indicates the ACADEMIC LEVEL of the course. The third block, again one digit (sixth digit of the course code), indicates the GRADE LEVEL for which the course is designed. The last block of one digit shows the LENGTH of the course. Symbolically the course code and its four blocks look like this: DD CC A G L Discipline/Course Academic Level Grade Level of the Course Length These four blocks are explicit in the coding structure and have the following content breakdown: FIRST BLOCK: Subject Area Digits One and Two: Discipline The first two digits identify the discipline to which the course belongs. Code 0X Description Courses that have no identifiable discipline or those that consist of several disciplines. These generally are blocked courses. The 0 in the first digit and a non-zero in the second digit indicate that the course is a blocked course with a combination of disciplines. The space marked X is used for combination courses. When this second digit is also 0, the course has no identifiable discipline such as a self-contained elementary grade course. 10 Communication Skills and Foreign Languages. Includes Reading, English and Language Arts. 20 Mathematics 30 Science 40 Social Studies
50 Arts Education Vocational Education 90 Health and Physical Education 95 Miscellaneous 99 Non-classroom activities A course taught by the same teacher all day in a self-contained class would have 00 in the discipline digits. A blocked or departmentalized course that consists of a combination of disciplines such as Social Studies/Math/Science will be coded as The 0 in the first digit and a non-zero in the second digit indicate that the course is a blocked course with a combination of disciplines. Each digit following 0 shows the first digit of the discipline combinations: 4 the first digit of Social Studies, 2 the first digit of Math, and 3 the first digit of Science. Combination courses are offered mostly in elementary and middle grades. Digits Three and Four: Course The third and fourth digits identify the specific course. Within each discipline, the coding structure allows up to 100 distinct courses. The courses that have similar subject matter are grouped together. For instance, algebra, geometry, trigonometry, and calculus are grouped together within mathematics and numbered sequentially with space allowed for additions to the curriculum in the years ahead. The subject groups constitute an implicit classification level although they do not require a separate code block. For instance, all math courses that are numbered between 20 and 29 (third and fourth digits) are various algebra courses. All science courses in the same code range are biological sciences. Self-contained classes with the same children and no single subject content would have 00 in the third and fourth digits. SECOND BLOCK: Academic Level The academic level of one digit indicates the academic rigor of the course and the depth of treatment of the subject. The purpose of this block is to distinguish standard, advanced, advanced placement, etc., versions of a course in a given subject. This same digit is used to indicate non-classroom activities of school professional personnel.
Note: In the descriptions that follow, the N.C. Standard Course of Study is abbreviated as NCSCS. Most Frequently Used Code Descriptive Titles Description 0 Special Education To be used for courses which are designed primarily for most trainable mentally handicapped, multi-handicapped, severely/profoundly mentally handicapped, and autistic students. 1 Abridged/Adapted The contents of the NCSCS are abridged (Remedial) and/or adapted. To be used when the academic rigor of the standard course is reduced in order to make the subject accessible to more students. (Example: the standard first year chemistry course is coded 30502XY, while the abridged/ adapted chemistry course is 30501XY). Academic level 1 is also used for remedial courses and for some exceptional children courses. 2 Basic/Introduction This is the standard version of any course. The to.. (Standard Version emphasis is on providing grade level content of Course) substantially similar to that described in the NCSCS with occasional content enrichment where appropriate. 3 Applied/technical Emphasis on the practical rather than on the theoretical side of courses offered within the science program. This is a special code for science courses only. 5 Honors/Advanced/ The topics selected and the depth of treatment Academically Gifted/ put high expectations on the student. The etc. content and goals are substantially higher than those described in NCSCS. Emphasis is on providing content challenge to academically mature students. Most systems offer weighted grades for this level of course and offer a standard version of the same course. 6 Cooperative Education A vocational course using the cooperative method of instruction where on-the-job training
is provided. To be used for vocational courses only. 7 Advanced Placement The material covered and the level of treatment is substantially the same as that provided by the College Board. The course is geared to enable students to pass AP (Advanced Placement) tests given by ETS (Education Testing Service). Only those courses which are marked with an asterisk on the subject code list can be AP courses. 8 International The material covered in the course must be Baccalaureate that of the standard IB curriculum. 9 Non-Classroom Activity to be used with all non-classroom activity codes ( ). THIRD BLOCK: Grade Level of the Course This block shows the grade level(s) for which the course content is designed not necessarily the grade level of the students enrolled. Specific Code Description P Pre-Kindergarten K Kindergarten 1-9 Grades 1 through 9 (1 = Grade 1, 2 = Grade 2, etc.) A 10 th grade B 11 th grade C 12 th grade T Community/Technical Colleges U University/Colleges The following codes have been used in the past only when the course is designed to be taught in any grade of each school type. Due to No Child Left Behind regulations, these should no longer be used after the school year. They are included here for historical completeness. Specific Code Description X High School (9-12) Y Junior High/Middle School (6-8) Z Elementary School (K-5)
FOURTH BLOCK: Course Length The first three codes given below should be sufficient for most purposes except for special electives and some vocational courses. In rare instances a course is several week long; in such cases, numbers 1-9 (1 = 1 week, 2 = 2 weeks, etc.) indicates course length in weeks. Code Description Y Entire school year Q Quarter S Semester (half year 75 clock hours per semester) B Block schedule (135 clock hours ) 1-9 Length in weeks (1 = 1 week, 2 = 2 weeks, etc.) IMPORTANT NOTE While this document provides the basic course codes for coding courses students may take for credit in the public schools, it is highly recommended that the NC WISE course coding list entitled Active Course Coding List located at be consulted to see all the iterations of each course code. The NC WISE list is, at any time, the current, correct and default list of course code possibilities available from the Department of Public Instruction. If a desired course code possibility is not available in this list, no other codes will be developed to suit individual needs. Schools and systems will have to work within the current generic codes; to include special topics, community college, university or online codes; that are already available to denote the wide range of potential courses. It is suggested that the number and/or name of the special topics, community college, university or online course be placed in the long title so that it will show up on the transcript. We will only develop new codes when dire or particular circumstances warrant it. Due to the time consumed and the system s limitations, we are unable to continue developing unique codes for individual courses for which we currently do not already have codes. For further details see Appendix F at the end of this document.
ACADEMIC LEVEL INDICATORS COURSE CODE COURSE NAME NOTE: For special community college generic courses, there may be multiple course titles for a single course number. The institution course number and title should be placed in the electronic long title so that it will display along side the generic number on the transcript. This is also the case with university courses and online courses. In addition, the community college work around should be used to accurately describe the actual course taken in the long title. To do this, go to the UNC-G ischool website at locate the actual UNC-G course number and title, and then place this number and title in the long title in NC WISE. This will enable the actual UNC-G course number and title to show up on the transcript along side the generic public school course code (9565W).
APPENDICES Contents Appendix A: Middle School Courses For High School Credit Explains how to code courses that may be taken at the middle school level for high school credit in either one year or over a period of two years. Appendix B: Translation Table For 5th Character Of State Approved Courses Provides an explanation of characters that may be used in the 5 th digit position to distinguish various attributes of courses. Appendix C: Honors Credit For Community College And IHE Courses Explains how to designate honors community college courses and to award credit to courses that must be taken in sequence to fulfill alignment with the North Carolina Standard Course of Study. Appendix D: Memorandum Of Understanding January 16, 2004 Explains the number of quality points that may be assigned to different kinds of courses for the purposes of determining grade point average and class rank. Appendix E: Comprehensive Articulation Agreement December 16, 2003 Lists the courses that may be taken at the community college level and receive honors credit. Appendix F: Use Of Generic Codes For Community College, University And On- Line Courses Explains the use of generic codes and the 5 th character for those community college, university or online courses that are not already provided in this Outline.
Appendix A Middle School Courses for High School Credit The following policy is for middle schools that need to code mathematics, science, and second language courses students take at the middle school level for high school credit. Since some schools offer second language courses that may be taken over two years, as well as, courses that may be completed in one year, the sixth character block in the course code structure will be used to make this distinction. Along with the high school course code four-digit number and the fifth character (grade and academic level), the sixth character block will be used to record the length of the mathematics and second language courses taken in middle school for high school credit. For courses that are offered in two sequential years, each half of the course must be coded differently. The first year of the course would be coded in the sixth character block as a K for part one and the second year would be coded as an L for part two of the course. If the course is taught and completed in a single year, it is coded with a Z in the sixth character block. NOTE: High school mathematics courses taken at middle school may only be offered as a single yearlong course. Other middle school elective courses that are taught for less than a block or full year may not be used for high school graduation requirements. If an eighth grade student takes 1052 Spanish II for high school graduation credit in one year at the middle school level, the course would be coded Z (the course code, fifth character of 2 and sixth character of Z ). The last two and Z would appear in the fifth and sixth character block respectfully. If that student takes the course but it is spread out over two years, then the first year course would be coded K and the second year course would be coded L. An example of the coding for a high school second language course offered in single and a two-year period is provided below. 30 Appendix C Honors Credit For Community College And IHE Courses October 10, 2007 To: From: LEA Superintendents Robert Logan HONORS CREDIT FOR COMMUNITY COLLEGE AND IHE COURSES Background In 2004 the State Board of Education endorsed a Memorandum of Understanding (MOU) signed by the Presidents of the University of North Carolina and the NC Community College System. This MOU outlined the method that grade point average and class rank shall be calculated and reported on the standardized transcript. This MOU includes the 2003 transfer course list. This list does not include physical education courses, the three health courses (HEA 110, 112 and 120), and the following pre-major/elective courses: BUS 110, CHEM 115 and 115A, FRE 111 and 181, GER 111 and 181, LAT 111 and 181, PHS 110, SPA 111 and 181. Revised 2003 Transfer Course List To maintain consistency with State Board of Education policy, the 2004 MOU with its attached list of courses will continue to be followed. A copy of the 2004 MOU and transfer course list is attached. Please note that no other transfer course list has been approved for use for honors course designation; consequently, later versions of the transfer course list should not be used. Honors and/or.5 Credit for Selected Community College Courses Community College Courses are tracked back to the high school transcript using the state course codes. Designate honors community college courses by placing an I in the fifth character field. Selected community college courses must be taken in sequence to fulfill alignment with the North Carolina Standard Course of Study. These courses have been coded as Part I and Part II and have been awarded.5 units of credit. Both Part I and Part II must be taken to receive one unit of credit. For additional information on course coding for community college courses, please note the September 5, 2007 memo that can be accessed using the following URLs: and Questions If you have questions or need additional information, please contact Wandra Polk Director of Middle and Secondary Education Division, [email protected]. 31 Appendix D January 16, 2004 Pursuant to G.S (10a), The University of North Carolina through its President and the North Carolina Community College System through its President agree that the grade point average and class rank shall be calculated and reported on the standardized transcript for all NC public school students according to the following method: 1) Grades in Standard high school courses as defined by DPI will continue to receive up to 4 quality points. 2) Grades in Honors courses as defined by DPI will receive up to 5 quality points. We strongly support the review of the standards for honors courses as proposed by the State Department of Public Instruction. 3) Grades in community college courses that have been approved for the Comprehensive Articulation Agreement (CAA) will receive up to 5 quality points. This list includes courses that have been reviewed and approved for transfer by the Transfer Advisory Committee, but does not include any of the physical education courses, the three health courses (HEA 110, 112 and 120), and the following pre-major/elective courses: BUS 110, CHEM 115 and 115A, FRE 111 and 181, GER 111 and 181, LAT 111 and 181, PHS 110, SPA 111 and ) Independent colleges and universities and UNC campuses may also have any of the CAA courses (lower division courses typically taught in the freshman or sophomore year of college) taught by their colleges receive quality points in the same way as provided in #3 for the community colleges. Each independent college and university and UNC campus may forward to DPI a list of general education courses and/or any pre-major or elective courses that match courses from the CAA course listing except for those course exceptions as noted in item #3. 5) Grades in AP courses, IB courses, and upper division (junior and senior level) college courses may receive up to 6 quality points. Implementation of this agreement will commence with the incoming 9 th and 10 th grade classes in Fall Current 11 th and 12 th grade students in Fall 2004 will continue under the original weighted grade agreement that is currently in place. Comparability studies will be conducted by UNC and NCCCS faculty no less than every five years at the request of either of the chief academic officers of UNC or NCCCS. Only courses accepted in the CAA (except as noted in item #3) will be eligible for awarding of additional quality points.
A review and study of the policies and impact of the new weighting system will be conducted following the fourth year of implementation. Results of the study and any recommendations will be presented to the Education Cabinet by December 31 of the following academic year. 46 Appendix F Use Of Generic Codes For Community College, University And On-Line Courses The Department of Public Instruction is receiving numerous on-going requests for new course codes to satisfy specific courses being offered in venues other than the public school classroom. All of us are concerned about the growing number of codes we are being asked to add, just after we completed months of trying to clean up course codes and bring some standardization to the system. We all agree that we cannot continue to spend time trying to contrive codes for every individual request. Therefore and after discussions with all internal stakeholders, we have determined a temporary way to deal with the situation, pending further direction or policy that may be determined by leadership at a later time. All the 5th character codes listed below were in or have been added to the NC WISE internal course code list. Until further notice, for all courses being offered in venues other than the public school classroom that do not have an end-of-course test: There will be no new codes developed for community college, university or on-line courses. The following methods should be used to code and title these courses: Any community college course that does not already have a code possibility in the internal NC WISE course code list, to include subject specific generic codes, will have to use the generic 9575 (Community College Courses) code with one of the following appropriate fifth characters: 2 (HS, Standard) - Invalid after 7/1/ (HS, Honors/Advanced) - Invalid after 7/1/2009 I (Community College, Honors) T (Community College, Honors and On-line) U (Community College and University Standard) Any University course that does not already have a code possibility in the internal, course-coding list will have to use the generic 9576 (University Courses) with one of the following appropriate 5th characters: 2 (HS, Standard) - Invalid after 7/1/ (HS, Honors/Advanced) - Invalid after 7/1/ (HS, Advanced Placement) - Invalid after 7/1/2009 J (University, Honors) V (On-Line, Other) - Invalid after 7/1/2009 W (UNCG ischool Courses) U (Community College and University Standard)
Any on-line course that is taken from a Community College, University or other provider source and does not already have a code possibility in the internal, course-coding list will use the generic 9565 (Virtual H.S. Course) with one of the following 5th characters: 2 (HS, Standard) - Invalid after 7/1/2009 Q (NCVPS) I (Community College, Honors) - Invalid after 7/1/2009 V (On-line, Other) J (University, Honors and On-Line) T (Community College, Honors and On-line) 5 (HS, Honors/Advanced) - Invalid after 7/1/ (HS, Advanced Placement) - Invalid after 7/1/2009 W (UNCG ischool Courses) NOTE: For consistency, those courses above that are marked "Invalid after 7/1/2009,' are in the coding system but will be removed after that date. This will allow those that might be currently using these codes with the 5th character not to have to change them. If you have not used any of these codes, you should continue to refrain from using them since they will be ended on 7/1/2009. Furthermore, it is highly recommended that schools or systems place the community college, university or online provider course number and title in the long title field. Doing this, will allow any repeated generic code number to show the actual provider course number and title on the transcript. This will be an alternate way to define these generic codes and to actually describe them accurately on a transcript. It is our hope and intent that this temporary measure will assist SIMS and NC WISE personnel across the state and reduce the number of issues and questions around the coding of these three types of courses.
