1 Call Forwarding Options in ShoreTel Web Communicator Login to the ShoreTel Web Communicator Open a browser and type the following URL: communicator.wm.edu/login Use your W&M user name and password to login. You will need to include the domain name (campus) followed by a \ with your user name. Type your password; then click Submit or hit Enter. NOTE: the web version of Communicator can only be used when you are on campus. In the following sections you will be using the Options and Preferences box. You might notice that after clicking on the appropriate menu item, the Options and Preferences box does not appear to open. Usually the box does open but opens behind the browser window. You may have to minimize your browser or drag it to the side of the screen to see the Options box.
2 Turn on a Call Handling Mode Click the drop-down arrow next to Standard. Click on a Call Handling Mode. Record a New Message for a Call Handling Mode Click More on the Main Menu. Click Preferences. This will open the Options and Preferences box. Click on a Call Handling Mode. To record a greeting you can: Pick up the handset and speak directly into it, OR Direct your voice toward the phone the phone s microphone will pick up your voice. Click on Record to begin recording. Wait for the phone to beep and then begin speaking. Click Stop to conclude recording. Click Save to save your recording.
3 Forward Your Calls to Another Campus Phone Click More on the Main Menu. Click Preferences. This will open the Options and Preferences box. Click Standard. Change Call Forwarding Condition to Always. Under Forwarding destination, in the Always box, delete the text Voice Mail Extension and type a Campus extension. Click Save, found at the bottom of the Preferences box. NOTE: if you are using a ShoreTel 230 phone, you will notice that your display reads: Standard (DND). This is a reminder that your calls will now be forwarded to another campus phone.
4 Assign Your Phone to an External Extension Note that the default office phone is active Primary Phone Click the drop-down arrow next to Standard. Click Configure Call Handling. Click Extension Assignment. Select the box for Enable Extension Assignment. (NOTE: if you unable to check the box, skip this step and continue with the following ones.) Select an Activation mode. In the Label type a name for the extension In the External number box, type a number with the area code. (Type the 10 digits with no spaces or hyphens.) Click Add. Note that Primary Phone has now been changed to the external extension. If you were unable to select Enable Extension Assignment previously, click the drop-down arrow next to Primary Phone and select the external extension. To turn off extension assignment, click the drop-down arrow next to the external extension and select Primary Phone. In the future, you can turn on extension assignment by selecting from the drop-down list. Incoming callers will not see your external number in caller I.D.; they will see your W&M office number. If you are using a ShoreTel 230, your display will read Anonymous after extension assignment is turned on.
5 Turn On Find Me Call Handling Click the drop-down arrow next to Standard. Click Configure Call Handling. Click Find Me. Be sure to read the instructions at the top of the box to learn how Find Me works. Enter 1 or 2 numbers where you can be reached. It is usually a good idea to change the number of rings. 3 may not be enough to reach your cell phone. Select other options as appropriate. Find Me is used in conjunction with a Call Handling mode. Select the appropriate Call Handling mode. Select Enable Find Me. Turn on the Call Handling mode. (See Above.) If necessary, record a new message. (See Above.)
6 Forward the Caller to a Co-Worker When You Are Out of the Office Click the drop-down arrow next to Standard. Click Configure Call Handling. Select the appropriate Call Handling mode. In the box next to When caller presses 0, transfer to: type the number of a co-worker. Turn on the Call Handling mode. See Above. Change the message for the Call Handling mode to something like: If you need to speak to someone right away, please press 0 anytime during this message. See Above. Callers have the option of either remaining on the line and being put through to your voice mail, OR of pressing 0 during the message and speaking to your co-worker.
