1 Notebooks for Teachers & Principals Program Overview- The Notebooks for Teachers and Principals Program provides notebook computers for use by eligible Victorian Government school principals and teachers. The Department leases notebooks from a lessor on three year leasing cycles and provides notebooks to Program participants who contribute towards the costs of the Program. The Program is available to Teacher, Instructor and Principal class officers employed in Victorian Government Schools. Both contract and permanent officers are eligible to join the program. All recipients must be on the central payroll and must have an EduMail account. All correspondence relating to the Program will be via EduMail. The Program supports and encourages principals and teachers to effectively integrate the use of learning technologies into the classroom and administrative practices of schools. Principals and teachers participating in the program are expected to demonstrate a commitment to ongoing professional development in the use of Learning Technologies. School Notebook Representatives (SNRs) Admin Pages Login: Each school elects a notebook representative to carry out administrative tasks at the school level. SNRs can be any full time staff member with an 8 digit record number (no TSSPs) who is well organised and willing to liaise with notebook recipients and the Notebook Team. SNRs are responsible for the following tasks throughout the year: Reallocating / Returning Notebooks Reallocating mid-lease notebooks that have been returned by recipients, using the correct online form. Instructions: If reallocation is not possible, returning mid-lease notebooks to the Department, using the correct online form. Notifying the Notebooks Team if a staff member fails to return a notebook. Placing eligible staff without notebooks on our waiting list. Acting as a point of contact between recipients and the Notebooks Team. Acting as a contact person for couriers collecting and delivering notebooks. SNRs are responsible for the following tasks during a replacement rollout:

2 Collecting replacement notebook preferences from all staff members who will be receiving a notebook in the rollout. Nominating these staff members for the correct model by the due date given, using the online nomination form. Distributing new notebooks to the correct recipients when they arrive. Ensuring new notebooks are not given to recipients who have not returned their old notebooks. Overseeing the data changeover from old to new notebooks and configuration of new notebooks (to be actually completed by technicians). Processing old notebooks for return to the lessor by the due date given, using the correct online returns form. New Applicants Applications to join the Notebooks for Teachers and Principals Program may be made at any time. Approved Applicants can then be placed on our waiting list for spare notebooks. Teacher and Principal Application forms can be downloaded from the above URL. Replacement Rollouts The Department leases notebooks in cycles. As per current policy and leasing arrangements with the lessor, the Department is contractually obliged to return all end-of-lease notebooks to the lessor. Eligible notebook recipients have the option to receive a replacement notebook before their current notebook is required to be returned. This is referred to as a replacement rollout. All end-of-lease notebooks must be returned by recipients by the due date given. Recipients, school notebook representatives (SNRs) and principals will be notified via EduMail when a particular round of notebooks is due to be returned. Instructions and deadlines for the nomination, delivery and return processes will be outlined. Terms and Conditions Licence Agreement A copy of the licence agreement that is signed off by teachers online is below: Principals_Program_ Licence_Agreement_v1_10_ pdf Before a notebook is sent, applicants are required to complete an online acceptance of the terms and conditions of the Program. On being reallocated a notebook, recipients must immediately complete the online acceptance agreement. The online acceptance agreement can be accessed by current recipients at by logging on using their Edumail login details. As per clause 3 of the terms and conditions of the Notebook Program, recipients must return notebooks to the school notebook representative (SNR) or principal of their school as soon as they:

3 resign, retire or cease employment with the Department cease to be paid from the central payroll (i.e. paid from local payroll only) commence leave without pay for a period any longer than six months (notebooks to be returned before commencement of leave) commence Work Cover in excess of 52 weeks commence payment from superannuation and/or temporary disability benefit are no longer eligible for a notebook due to change in their classification (i.e. no longer teacher, principal or instructor classification). Loss or Damage Lost/Stolen Notebook Claim process Lost or stolen notebooks supplied by the program must be reported immediately to the Police and the Notebooks Team. The Police will provide you with a Police Report that must be submitted with the necessary claim forms. The following forms are required to be completed: Insurance Claim Form - Notebook for Teachers (PDF - ) Insurance Claim Excess - Loss/Stolen (PDF - ) Payment by credit card or cheque/money order is required before claim can be processed. Completed forms, along with a $200 excess payment and Police Report are to be sent to Echelon Claim Services. Echelon Claim Services Level 17, 607 Bourke St, Melbourne, VIC, 3000 Phone: (03) / Fax: (03) Claims will not be processed until all relevant forms and payments have been submitted. Once the claim forms are processed, a replacement notebook will be ordered and then sent to the recipient. If the recipient wishes to withdraw from the program, an accompanying cover letter must be sent with the claim forms indicating this. Notebook contribution payments will continue to be deducted during a claim process, unless the recipient officially withdraws from the program. If a replacement notebook is not received within three weeks of the insurance claim being completed (i.e. all relevant forms and payment submitted), overpayments will be reimbursed. Please contact the Notebooks team if this occurs. Notebook recipients should exercise caution to reduce the risk of the theft of their notebook. See the Accidental Damage Claim Process Accidental damage to a Lenovo notebook Recipients must call the Lenovo helpdesk on who will assess the notebook and repair it. An Insurance Excess Payment (damages) form must be completed and forwarded to the Notebooks Team along with payment of $100 per claim.

The insurance broker will determine the closest/most convenient repair location for the recipient and the centre to notify them that a DEECD repair will be sent to them. The will authorise the repair centre to examine the notebook and provide a repair quote. The notebook recipient will be required to drop their computer into the repair centre where it will be assessed and a repair quote issued to the insurance broker. The insurance broker will authorise the repairs on behalf of DEECD. The recipient must complete an excess payment form for damages and pay a $100 excess payment payable to DEECD Att: Notebook Team Department of Education and Early Childhood Development Level 2, 2 Treasury Place, East Melbourne, 3002 Or alternatively fax to (03) Insurance claim Excess Damages (PDF - ) Uneconomical to Repair If the notebook is deemed uneconomical to repair, Apple/Lenovo may issue you with a quote. You must then send this to Echelon Claim Services along with the following forms. Insurance Claim Form - Notebook for Teachers (PDF - ) Hardware Support All notebooks supplied by the program are covered by a three-year, onsite warranty. Warranty enquiries are to be made directly to the appropriate supplier. Software support should be provided by the school based Technicians and/or the Department s TSSP Specialist Technicians. Please ensure that any additional software that is loaded on the notebook is licensed and does not impact on the Department image to cause software problems. Warranty support covers hardware problems / faults only.
