Rentsafe is a performance warranty on our ability to manage your investment, no tenancy can impact your rental cash flow. With Rentsafe, if we have not secured a tenant for your investment within 4 weeks after being vacant, we will pay you an agreed amount per week until it is tenanted. This in turn places responsibility on us to ensure the right amount of attention is placed on your property. If we do not help make you money, we lose money too. That is our commitment to you! 4 Property Leasing Advertising At Domain Charter Group the standard marketing process in leasing our properties includes the following: > Listing the property on the rental list and Domain Charter Group website; > Internet Marketing includes a detailed write up, inclusive of photographs; the advertising will be shown on three websites and The optional extra marketing strategies offered at no additional cost are the following: > Featured property on realestateview.com.au and realestate.com.au. The property will be featured on the top of the website page for approx 30 days. > Newspaper advertising through the local paper The Leader Newspaper Group > Lease board is erected on the property to maximise the exposure within the area. Tenant Selection Selecting a suitable tenant for your property is a very important procedure. Once a tenant has viewed the property with the Property Manager, they are asked to complete a detailed application requiring current and previous residences, employment history, personal references and the number of people occupying the property. In addition, we also request the driver s licence and where possible passport identification, together with current payslips and bank statements. A Tenancy Application will be completed by each adult who will be occupying the property. The property management team conducts all reference checks, where personal details are verified and confirmed. Once all details are approved we can then conduct a search within the National Tenancy Database file, which can access personal information Australia wide. All suitable applications, such as court judgments, bankruptcies and credit checks. All suitable applications are then discussed with the landlord. Once the landlord is completely satisfied that the recommended tenant is the right one for their property, the tenant is then notified that they have been successful and a commencement date is secured. An Owners Instruction Form is required by the client, to confirm the bank account, insurance, etc these details are securely kept on file
5 Tenancy Agreement Preparation As part of the tenanting process, the successful tenants secure a mutual commencement date with the Property Manager or their assistant. The leasing documentation will then be prepared. The tenant is advised of the required one calendar month s rent, within 48 hours of being approved, to secure the property, along with the bond money, also equivalent to one calendar month s rent. All tenants are encouraged to pay their rental payments via our Direct Debit system only. Our tenants are advised of the commitment and agreements they have made; when signing the lease, also the regular inspections to be conducted by the property management team, including the handling of all maintenance issues they may require in the future. Rent Arrears Whilst the majority of our tenants pay their rent on time, there will be occasions when unforeseen circumstances prevent this from occurring. The following steps are taken when recovering rent arrears: > 0-3 days this time frame allows the Direct Debit to clear, which can take up to 3 days. > 3-5 days in arrears the tenants are contacted via phone and SMS, notifying them of their overdue rental payment. > 5-10 days in arrears the Property Manager makes further phone contact with the tenant, advising them if payment is not received further action will be taken, as per the Residential Tenancies Act. > 15 days in arrears a 14 day Notice to Vacate the premises is issued. If payment is not received within 3 business days, an application for a Warrant of Possession is made. > No formal action for recovery of outstanding rent can be undertaken until the tenant is 14 days in arrears, as per the Residential Tenancies Act. These actions are carried out automatically and are done to minimise the possibility of loss of rent which could eventuate.
6 Insurance Building Insurance - Building insurance is a necessity for every home owner. Unless your property forms part of an Owners Corporation, it is imperative that cover is placed from the day of settlement. There are many companies which provide this service eg. AAMI, RACV, Allianz, CGU, GIO etc. Building insurance covers events such as fire and storm damage, caused to the building itself. Landlord Insurance Domain Charter Group highly recommends our Landlords to obtain Landlord Insurance; covering rent loss, malicious and accidental damage, including coverage of fixtures and fittings. Please note: it is the responsibility of the tenant to insure their own personal contents. Many of our clients hold policies with Terri Scheer Landlord Insurance Specialists; in most cases Domain Charter Group cover the excess within a claim within these policies. As part of our service, Domain Charter Group lodges all claims on your behalf, to ensure maximum remuneration. Open for Inspections/ Routine Inspections At Domain Charter Group we conduct open and private inspections, to ensure we secure an excellent tenant for your property. Our Property Managers are available to conduct these inspections, within a mutual time frame, with all prospective tenants. Our office highlights the importance of conducting regular routine inspections to ensure tenants are treating your property with the utmost respect, maintaining an excellent standard at all times. These inspections are carried out after the first 3 months of tenancy, with bi annual inspections thereafter. Routine inspection reports are kept on file, with a copy including photographs, being forwarded to you for your records.
7 Maintenance Domain Charter Group has a well structured Maintenance Department, working in accordance with our Property Management team. Our Maintenance Manager liaises with builders, and highly qualified tradesman, including our employed gardener/handyman ensuring all maintenance is completed in a timely and professional manner. Property Maintenance Program This program is designed for the astute investor, who understands that from time to time there will be maintenance issues that arise. The program alleviates any concerns about lump sum repair bills i.e.: hot water service replacement at a cost of approximately $1,380.00, dishwasher at $ etc. Please note that the annual fee for the Property Maintenance Program is $ this is fully tax deductible, as it falls under the banner of Management Fees. Our investors have recognized, in the event of a major appliance breakdown or replacement, the item is repaired or replaced without you incurring the full cost. If the item is replaced you will be able to claim depreciation, while your monthly statements will include all invoices reflecting reimbursements, for your records.
8 Payment of Accounts At Domain Charter Group all payments are disbursed via EFT. Landlords can expect to receive payments within three to five business days from the rental paid date. A monthly statement is issued with each disbursement, detailing a payment summary, including an attachment of all paid invoices. In addition, Domain Charter Group also offer to pay Council Rates, Water Rates, and Insurance etc. on behalf of our clients, from the rent collected. This can only be initiated on instruction from our clients to the utility supplier. Our Owners Instruction Form will also reflect the authority given. It is imperative you return this form, to not only provide your banking details, but to nominate whether Domain Charter Group is to organize insurances and payment of the above mentioned accounts on your behalf. This gives our clients peace of mind, as they can be confident these accounts will be paid on time and without fuss. Rental Reviews Domain Charter Group encourages rental Increases on all properties every 6-12 months. Our Property Management team conduct a comparison in the area and take into account the current market conditions. Once all research has been completed, we then proceed to negotiate the appropriate rental increase, once we have gained the approval of the Landlord. Within the Act, a Notice of Rental Increase is mailed to tenants, after verbally a verbal conversation, advising & confirming the required 60 days notice.
9 Management and Letting Fee Structure At Domain Charter Group we believe our fees are very comparable to other agencies. We have listed all items included within the Management Fee and Letting Fee, whilst under management with DCG. We offer an ongoing Rental Performance Warranty (Rent Safe) at $200 per week whilst under management with DCG. The Letting Fee incorporates the stages between when we first receive the tenants 28 days notice of intention to vacate, (or 4 weeks prior to settlement) until the day the tenant occupies the property, including the following points: Let Fee: (an initial fee of 5.5%, inclusive of GST, of the yearly rental income) > Once a 28 day notice of intention to vacate is received a folder is prepared with all relevant documentation. > The tenant is issued with vacate documentation, including a guide to vacating the property. > A final inspection is attended, with an exit condition report being conducted, including photographs, to ensure your property is being returned in excellent condition. Your Property Manager will reconcile all keys with remotes being retrieved. > When, and if the property is returned damaged, unclean, gardens unkempt or with rental arrears, Domain Charter Group will organise required maintenance and repairs. If necessary, your Property Manger will attend the Victorian Civil and Administrative Tribunal (VCAT) for the release of the bond. (Most agencies charge a minimum of $ per hour for this service). > We organise an insurance claim on your behalf, where there has been damage and loss of rent, at no extra cost. > Scheduling and attending open or private inspections as required. > Processing applications including National Tenancy Database and Public Record searches on all applicants. > Preparation of lease agreement and RTBA bond documentation. > Tenant screening through NTD at a cost to us of $14.50 per candidate. > Preparing the lease agreement and bond/guarantee documentation. > Detailed entry condition report, including photographs. > Finalizing all insurance and maintenance documentation, when required. > The successful tenant is met at the property, for signing of the lease documentation and handover of keys. > If an insurance claim has been lodged, this is finalized on your behalf at no extra cost. Management Fee: (monthly fee of 8.25%, inclusive of GST, for rental recovery) Management Fee: 8.25% (all inc. GST) Statement Fee: (banking & admin) $3.30 End of Financial Year Statement Fee: $16.50 Re-leasing to existing tenant Fee: $82.50 Our fees are inclusive of the following: National Tenancy Database Checks $12.65 Public Record Search Checks $11.50 Lodgement of all Insurance Claims Minimum 4 hours of administration Registered Posts $5.50 VCAT Applications $72.50 Warrant of Possession $82.50 VCAT appearances $ per hour Colour photos and documentation Minimum 2 hours for VCAT hearings administration Additional banking charges $2.50 per tenant direct debit Please note: While we incorporate all of the above within our fee structure, other agencies will itemise and charge you for each item as required.
