Carefully managing your network-connected devices (for example, HP printers, scanners, and SureStore CD-ROM Servers) can go a long way toward improving performance. HP Web JetAdmin is the tool you need to manage and optimize your network-connected devices. HP Web JetAdmin s intuitive browser interface lets you remotely manage a wide range of network-connected devices across platforms from anywhere in the world that you can access your local intranet. 17 You can use HP Web JetAdmin to perform the following management tasks: create print queues configure printer options create multiple print queues at once troubleshoot printer problems schedule discoveries to update the device cache during off-peak hours search for a specific printer or group of printers based on a wide variety of criteria, such as IP address, color capability, or model name check a printer s current status check the status of a printer s consumables, such as paper and ink levels verify the type of media loaded in a printer s trays verify a printer s capabilities organize printers by logical groups create a virtual office layout with dynamic site maps You can do all this, and more, with multiple levels of security. HP Web JetAdmin saves you time, increases user productivity, and reduces the total cost of ownership for your network peripherals. Ease of Use HP Web JetAdmin has an integrated Web server, which means that installation is an easy, one-time task. Installing HP Web JetAdmin is easy because you do not have to install any client software. You can also configure printer options for multiple HP JetDirect-connected printers at the same time. EN 17

18 Enhanced Print Job Management Capabilities What happened to my print job? Before today s sophisticated network technology, printer administrators focused much of their efforts on managing the jobs that users sent to printers. Although this constitutes only a small percentage of today s network printer administration, it continues to be an important function. The high volume of printing tasks that today s network printers must process requires an effective solution for accommodating changing print job priorities and resource requirements. Network administrators and help desk personnel can use HP Web JetAdmin to ensure that jobs flow smoothly through the network printers and to implement changes with minimal impact on user productivity. For example, they might use HP Web JetAdmin to perform the following tasks: check a print job s status verify information about a print job, such as the print job s owner verify that the appropriate media is loaded Timesaving Features HP Web JetAdmin saves you time in many ways. Remote status, diagnostics, and configuration information helps you identify and resolve printing problems before user productivity is affected. The configurable alerts feature sends notifications of printer problems to the appropriate person as soon as they occur. The industry s most advanced discovery feature reliably finds devices on the network and adds them to a cache, eliminating the need for you to manually enter each printer into the cache. 19 The device group and site map features organize devices into workgroups with virtual office maps for easy management. The enhanced consumables status feature uses HP toner gauge technology to provide the status of toner and paper consumables for selected HP devices. HP Web JetAdmin provides a toner gauge for any Standard Printer MIB-compliant printer. Integrating HP Web JetAdmin into Your Network HP Web JetAdmin supports the broadest range of printers, peripherals, server platforms, and browsers in the industry. HP Web JetAdmin provides the industry s most complete, multi-vendor printer management using the Standard Printer Management Information Base (MIB), which is defined by Request for Comments (RFC) If you prefer to manage your printers from within your existing network or systems management packages, HP Web JetAdmin integrates into several of the most widely used solutions, including HP TopTools, HP OpenView Network Node Manager, CA Unicenter, IBM Tivoli Enterprise Manager, and IBM Tivoli NetView. Protocol Support HP Web JetAdmin supports both the TCP/IP and IPX/SPX protocols. 21 Security Server Devices Access control list Device group password Device password Profiles Password for Admin profile HP Web JetAdmin provides multiple levels of security to ensure access control. Access control list Limits access to HP Web JetAdmin to machines with specific IP addresses. Password for the Admin profile Prevents unauthorized users from changing system-wide settings, starting discoveries, and creating device groups. Profiles Controls which product features various classes of users can access. Device group password Prevents unauthorized users from making changes to a device group. Individual device password Prevents unauthorized users from changing a network device s settings. These levels of security provide the control you need to customize and protect device management on your network. Additionally, Web browsers and intranets have vendor-supplied security measures of their own, and HP Web JetAdmin works within these environments. Note HP Web JetAdmin does not use passwords to control print queue creation on the network. HP Web JetAdmin relies on the security of the network operating system where it is installed. By default, passwords are not assigned in HP Web JetAdmin; you must assign them. You can use the multiple device configuration feature to assign a device password to more than one device at the same time. After you define passwords, users must supply the password before HP Web JetAdmin will save the changes they make to a device s settings. EN Integrating HP Web JetAdmin into Your Network 21

22 If you want to delegate routine maintenance and administrative tasks for particular devices, you can configure the required security passwords so that authorized users have access to the devices without compromising overall network security. For example, you might want to authorize someone in each department or area of a building to oversee the devices there. That person could check the status of all of the devices in the group, add new devices, or change existing devices as needed without your help. Other privileges would still be reserved for you. A supplemental security option, known as the Set Community Name, is also available. The Set Community Name prevents the devices that HP Web JetAdmin manages from acknowledging unauthorized copies of HP Web JetAdmin on the network. To use this security option, you must define a unique Set Community Name in HP Web JetAdmin. Note HP JetDirect firmware version x or greater is required to support the Set Community Name. Benefits for Network Administrators HP Web JetAdmin Printer is online From a remote location, the network administrator finds that a printer is offline and puts it back online. HP Web JetAdmin provides numerous benefits for network administrators. Economical You can download HP Web JetAdmin free of charge from HP s Web site. If you already have a corporate intranet set up, HP Web JetAdmin integrates into your intranet seamlessly. If you do not, there is no need to purchase Web server software separately because HP Web JetAdmin acts as its own Web server Introducing HP Web JetAdmin EN

23 Installs quickly and easily You only have to install HP Web JetAdmin once on a machine that is centrally accessible on the network. You do not have to configure the Web server. HP Web JetAdmin sets up the Web server automatically. You do not have to install special software on client workstations. Only a supported Web browser is required. Consistent look and feel HP Web JetAdmin looks and works the same regardless of which operating system the workstation is running or which platform HP Web JetAdmin is running on. HP Web JetAdmin remains consistent even if you are managing devices that run on different network operating systems or platforms. Convenient You can use HP Web JetAdmin to perform the following tasks: Configure and diagnose printers and create print queues remotely, all from one software package. Configure multiple devices at once, eliminating the need to type configuration options over and over. Configure alert notifications for a single device or for multiple devices. Update HP JetDirect firmware. You no longer have to use separate downloaders for printers in different environments or manually find new firmware images on the Web. Access HP Web JetAdmin from any location that lets you connect to your corporate intranet. For example, you can respond to a pager call immediately, no matter where you are. Use the search function to quickly find devices. You can search for devices based on criteria such as capabilities, status, location, or model name. Check a device s status, diagnose problems, and often put printers back online or reset them remotely. Monitor the toner and ink levels in devices remotely. You can proactively order and replace consumables, minimizing downtime. Create groups of printers, scanners, and other devices. You can more easily manage resources. Manage groups of devices from a remote location, which gives you and your users greater flexibility. Create an image map that displays a group of devices, showing their locations. 24 Third-party vendor support HP Web JetAdmin supports devices from many third-party vendors. These devices must be Standard Printer MIB compliant. Extensive diagnostics HP Web JetAdmin provides the most extensive diagnostics available in any Web-based device management package. Enhanced feature set HP Web JetAdmin provides an enhanced feature set, including the following: scheduled discoveries multiple device configuration customized site maps device group management multiple levels of security support for HP device alerts cross-platform firmware downloader toner and ink gauges Benefits for the Help Desk Using HP Web JetAdmin, help desk personnel are better able to assist end users. From a local or remote location, they can perform the following tasks: Check the status of network devices. Determine which printers support the features that particular jobs require and which ones can print the jobs most efficiently. Receive notification of device problems through configurable HP device alerts. Determine what type of intervention a printer needs, such as toner low or out of paper. Find out who is responsible for a device and let that person know when the device needs intervention. Turn HP JetDirect print servers and some printers off and back on remotely. 25 Even if your company outsources help desk support to third-party vendors, HP Web JetAdmin provides effective device support with minimal training. You do not have to be a Microsoft Certified Support Engineer or Certified Novell Engineer to use HP Web JetAdmin s intuitive Web browser interface. Benefits for Other Network Users HP Web JetAdmin also provides several benefits for other network users. Using HP Web JetAdmin, they can perform the following tasks: View the status, configuration, and capabilities of printers, scanners, and other devices. Quickly find the devices that they need to use. Users can search for devices based on criteria such as capabilities, status, location, or model name. View the device groups that you have set up, as well as monitor the status of those devices. Allowing other network users to perform these simple tasks reduces their dependence on network administrators and help desk personnel, freeing their time for other tasks. Comparison of HP Web JetAdmin and HP JetAdmin HP Web JetAdmin has evolved from a utility designed to complement the functionality of HP JetAdmin into a feature-rich replacement for HP JetAdmin. The following table provides a comparison of the features for HP Web JetAdmin and HP JetAdmin. Unlike HP Web JetAdmin s integrated firmware download manager, HP Download Manager is a platform-dependent application. 3 HP Web JetAdmin does not include this feature because the default parameters, such as resolution, are overridden when you install printer drivers and model scripts. 4 HP JetAdmin must be installed separately on each system where it will be run. Consequently, each HP JetAdmin workstation must maintain its own discovery and configuration. HP Web JetAdmin, as a Web-based application, centralizes discovery and configuration. Migrating from HP JetAdmin to HP Web JetAdmin Some HP JetAdmin customers are apprehensive about migrating to HP Web JetAdmin. Some question whether HP Web JetAdmin will fit into their existing network management architecture, leverage their existing investments, or require an existing corporate intranet. In fact, you can integrate HP Web JetAdmin into most network environments with minimal effort and training. Additionally, some customers who tried early versions of HP Web JetAdmin were disappointed with the reduced feature set. But that is no longer the case HP Web JetAdmin is now a complete replacement for HP JetAdmin, providing the same rich feature set with numerous enhancements, including the following. Broader management support from one application HP Web JetAdmin supports all Standard Printer MIB-compliant printers. HP Web JetAdmin also supports the HP JetDirect-connected devices that HP JetAdmin supports. You can use one management application in environments with devices from multiple vendors. Install once, access from anywhere You can access HP Web JetAdmin from any location where there is Web browser access to your corporate intranet: any corporate site, from home, or while traveling. You do not have to install HP Web JetAdmin on every workstation Introducing HP Web JetAdmin EN

27 Minimize network traffic You only have to install HP Web JetAdmin once, as opposed to the multiple installations required for HP JetAdmin. A single installation reduces network traffic because there is only one copy of HP Web JetAdmin performing discoveries. System design effectiveness A server-based design for device-management software is superior to individual workstation installations in accessibility, network traffic, security, and support of the application itself. True cross-platform support in one product You can manage all Standard Printer MIB-compliant printers in different network operating system environments. You no longer need HP JetAdmin for multiple operating systems to view and manage devices in different environments. Management application flexibility You can use HP Web JetAdmin by itself to provide rich information about supported devices. If you prefer to use broader-based management applications, HP Web JetAdmin integrates seamlessly into applications such as HP TopTools (version 3.0 and greater), HP OpenView Network Node Manager, CA Unicenter, and Microsoft SMS. Additional integration into industry-leading management applications is planned for the future. 38 Overview HP Web JetAdmin provides documentation in three formats: printable manual, browsable help, and context-sensitive help. The following sections discuss each of these formats. Printable Manual The printable manual is a Portable Document Format (PDF) file that you must download from HP s Web site. This manual contains conceptual information about HP Web JetAdmin s features. To view the PDF file, you must install Adobe Acrobat Reader for your operating system. Once you open the PDF file in Adobe Acrobat Reader, you can print the entire manual, the current page, or a range of pages. Browsable Help The browsable help is an HTML version of the printable manual. It contains all of the information that the printable manual contains. You can access the browsable help directly from anywhere within HP Web JetAdmin. To access the browsable help 1 On the task bar, select Help from the Choose drop-down list. 2 Select HP Web JetAdmin from the first Select drop-down list. 3 To display the browsable help in the same browser window as HP Web JetAdmin, select Browse from the second Select drop-down list. - or - To display the browsable help in a separate browser window, select Browse in new window from the second Select drop-down list. 4 Click Go. When you first access those pages, the context-sensitive help contains general information about the page. If you click the help icon, HP Web JetAdmin replaces the general information about the page with specific information about that particular text box or option. The context-sensitive help window has three buttons: What, Why, and How. Clicking these buttons changes the information that HP Web JetAdmin displays in the context-sensitive help window. The What button displays a general description of the page, topic, task, or option. The Why button displays a general description of why you should be concerned about that page, topic, task, or option or the impact the settings on that page have on network performance. 41 4 Getting Started for the First-time Administrator This chapter is a guide to help you get started with HP Web JetAdmin. You can use this as a checklist when implementing HP Web JetAdmin. Note Even though HP Web JetAdmin provides many features, you do not have to use them all. For example, if you have a small network, it might not be necessary for you to create device groups and site maps or use the multiple device configuration feature. Install HP Web JetAdmin HP Web JetAdmin requires minimal effort to install in most environments. See Chapter 6, Installing HP Web JetAdmin for instructions. Configure discovery mechanisms Configure the way HP Web JetAdmin finds devices on the network. See Chapter 14, Configuring Discovery Mechanisms for instructions. Configure HP Web JetAdmin s preferences Configure the options that determine how HP Web JetAdmin looks and works. Set security options HP Web JetAdmin provides multiple levels of security that let you control who can access the product and its features. You can create an access control list that limits access to HP Web JetAdmin to machines with specific IP addresses. See HTTP (Web) Settings on page 100 for instructions. You can assign a password to the Admin Profile, preventing unauthorized users from changing system-wide settings, starting discoveries, and creating device groups. 46 Phase 1: Determining What You Want to Accomplish Non-system-based and System-based Tasks For a successful implementation, you need to perform two types of tasks. Non-system-based tasks are business and management decisions that describe why you should implement HP Web JetAdmin and how you will determine what system components and features will be most useful for your organization. Examples of non-system-based tasks include deciding how many printers you will manage with HP Web JetAdmin, how many network administrators and users will be responsible for monitoring and maintaining printer resources, and the business needs that make implementing HP Web JetAdmin necessary. System-based tasks produce the tangible results that are a direct result of using computer and networking technology, including HP Web JetAdmin itself and the servers and workstations where you will install and use HP Web JetAdmin. Examples of system-based tasks are defining device groups that contain the printers that particular users will manage and monitoring the use of consumables to determine how much monthly inventory you should keep on hand. After you have pinpointed the non-system-based tasks that you need to accomplish, you can determine which system-based tasks will help you meet your goals. Determining Your Implementation Goals You may have unique situations where you want to use HP Web JetAdmin to enhance network printer management. HP Web JetAdmin offers specific benefits for each one. The following table categorizes HP Web JetAdmin s features according to various implementation goals. This table also shows who might use the features. If you know who will be using HP Web JetAdmin, you can choose your implementation goals based on those users functions within the organization.
