Cancellation policy. Should you need to cancel your pitch, please note the following charges will apply: Before the payment due date 10 deposit will be forfeited. After the payment due date and more than one calendar month before the event 50% of the cost of the pitch. One calendar month or less before the event 100% of the pitch cost is payable. If we have to cancel the market, you will receive a full refund of the pitch cost you have paid. If you cancel any of the markets, you will not receive the November offer. Payments must be made in advance. Preferred method of payment is via online banking/bacs. Other payment methods are available if you cannot pay this way. Details of how to pay will be provided with the confirmation notice. Please note you must provide proof of your public liability insurance before you will be allowed to trade. Insurance costs as little 8.90 for one day or 45 for a full year. An annual policy would then enable you to trade at all markets/fairs in the country. If you do not have insurance, we have included details of some companies you buy insurance from with this form, which you may find useful.

4 We provide 6 tables. If your goods are not suited to a table and you would like a 'walk in' exhibition space or rails with or without a table, please contact me with the size you require. The markets will be open 10am to 4pm. Set up is from 7.00am. No trader can pack up their stall until 4.00pm, any traders found flaunting this rule may not be allowed to trade at future Kings Hall Markets. 7 To be observed by all persons to whom any hall, room, or any part or parts of any Town Hall premises in the City shall be let or granted. The Hirer shall pay for all damage that may be done or occasioned to the Town Hall premises or to the fixtures, fittings, furniture, articles and things belonging to the Council therein during his occupation, and shall leave the Hall and the fixtures, fittings, furniture, articles and things therein in as good order and condition as they were at the time of entry. The Council shall not be responsible for any loss or damage suffered by or to the Hirer or any other person as a result of a breakdown, leakage or accident whatsoever, necessitating the cancellation or interruption of the hiring and the Hirer shall indemnify the Council against any costs, claims or demands arising out of such breakdown, leakage or accident. The Director of City Renewal Services or his representative shall have power to close the doors of the Hall or the Town Hall premises and refuse further admissions thereto should he consider such further admissions to be improper, dangerous or undesirable. In the event of the Hall or Town Hall premises being required by the Council for any public purpose of which the Council shall be the judge, other than for a Local or National Emergency (which is dealt with in Clause 16), on any other day on which the Hall may have been let or granted, the Hirer will be required to give it up on that day, on receiving not less than fourteen days notice from the Director of City Renewal Services. The Council may offer an alternative date and/or time when the Hirer may use the Hall but shall pay no compensation of any kind on that account. The advance payment will be refunded. The Council reserves the right:- to cancel the booking of rooms in Town Halls (other than Stoke Town Hall) if the date falls on either of the two days before the date of a General Election, but in such event at least fourteen days notice shall be given to the Hirer and the Council will pay reasonable out-of-pocket expenses in respect of such cancellation. to cancel the booking of rooms in Stoke Town Hall if the date falls within fourteen days prior to the date of the next General Election, but in such event at least fourteen days notice shall be given to the Hirer and the Council will pay reasonable out-of-pocket expenses in respect of such cancellation. In the event of the Hall or Town Hall premises being required for a Local of National Emergency the booking may be cancelled without prior notice and no compensation of any kind shall be payable by the Council on that account. The Hirer shall indemnify the Council against all sums of money which the Council may have to pay by reason of any infringement of copyright occurring during the period of hire covered by this Agreement. All furniture, apparatus or appliances delivered to the Hall by or on behalf of the Hirer must be unloaded, placed in a position and removed by the Hirer or persons employed by the Hirer for such purpose, at such times as shall be agreed by the Director of City Renewal Services or his

8 representative and no such furniture, apparatus or appliances shall be delivered to or placed in position in the Hall without the previous consent from the Director of City Renewal Services or his representative. The Hirer shall be responsible for:- Indemnifying the Council from and against all actions, costs, claims, demands and damages arising from accidents or injury sustained by any persons in the Hall. All actions, costs, claims and demands in respect of damage to or loss of property, articles or any items whatsoever placed in or left upon the premises by the Hirer, or any other person using the premises and shall indemnify the Council from and against such actions, costs, claims and demands. Carrying out his obligations under the Health & Safety at Work Act 1974 not only in respect of the Hirer s employees but also in respect of the employees of the Council and members of the public. The Director of City Renewal Services or his representative is responsible for the enforcement of these regulations and is required by the Council to prevent the use of any article, appliance or apparatus and to prevent any event, exhibition or performance which he may consider objectionable or dangerous and the Hirer will comply with his directions. No nail or fastening of any kind shall be driven or put into any wall, floor or partition, pillar or other fitting or furniture or any other injury, spoil or damage done to the interior thereof, nor shall advertising bills or placards be put up or displayed in the Hall, or in any part of the Town Hall premises, nor shall any nail or fastening of any kind be driven into, or any board or placard whatsoever fixed in or on to, the exterior of the Town Hall Premises Insurance Companies

9 There are a number of suppliers of insurance aimed at market traders, designer-makers and craft businesses. This is by no means an exhaustive list but here are a few companies you can get policies from to give you a starting point for your search. IRO Start-Up Insurance is a 'ready made' policy, specifically designed for the Retail Market Trader who is new to the business and just about to start a career in market trading. These policies provide basic, yet essential cover for a whole year. The current fee is 8.90 for one day or 45 per year for 5 million product and 5 million public liability insurance plus 10 million employer s liability. You would be covered when you trade from a table, stall pitch, fixed unit, indoor or outdoor market, craft fair, shows, exhibitions or shopping malls and shop type units within a market. G.M. Imber & Sons Limited Insurance Brokers do starter craft insurance which includes 5 million product and 5 million public liability insurance plus 10 million employers liability for National Market Traders Federation (NMTF) 12 months membership (currently 112), which includes public liability up to 5 million, product liability up to 5 million and employers liability up to 10 million. Ian W. Wallace: An insurance scheme designed specifically for Crafts People (Individuals / Partnerships/ Companies etc.) and Craft Groups and Clubs in the UK and Republic of Ireland. This offers three different limits of up to 1 million, up to 2 million and up to 5 million which costs approx. 100 annually. Combined Market Traders Insurance: CMTIA offer annual PPL insurance with cover up to 5 million for 48.
