6 1 Reactec Analytics Platform The Reactec Analytics Platform (RAP) is a group of hardware and software components which allow the collection, organisation and analysis of HAV (Hand Arm Vibration) exposure data relating to the use of vibrating equipment. The system relies on one of two types of hardware to collect the exposure data as summarized below. While the hardware is not interchangeable the data collected from each hardware system is reported in a common reporting platform. HAVmeter System HAVmeter Basestation Communication Module HAVmeter Tags HAVwear System HAVwear Docking Station HAVwear tags Operator ID Cards Analytics Software Figure 1: RAP data flow HAV exposure data is collected and calculated during tool use by the HAVwear or HAVmeter. Operators are informed of their HAV exposure by a display and indicator lights on the HAVwear or HAVmeter. At the end of each shift the operators return the HAVwear or HAVmeter to a Docking station or Basestation respectfully which collects the HAV exposure data. Proprietary - See Copyright page
7 1 Reactec Analytics Platform The HAV exposure data is transmitted to the Analytics Software where it can be analysed. The Analytics Software allows organisations to monitor HAV exposure levels and trends, so enabling them to implement corrective action plans. 1.1 Vibration Regulations The traffic light systems employed in the Reactec Analytics Platform for the HAVwear and HAVmeter indicator lights are related to the HSE Control of Vibration at Work Regulations 2005 (the Vibration Regulations). The Vibration Regulations include an exposure action value (EAV) and an exposure limit value (ELV) based on a combination of the vibration at the grip point(s) on vibrating equipment and the time spent using it. EAV - daily exposure to vibrations of 2.5 m/s 2 over 8 hours that represents a clear risk requiring management Equivalent to 100 points ELV - daily exposure to vibrations of 5 m/s 2 over 8 hours that represents a high risk above which employees should not be exposed Equivalent to 400 points Individual operators may have modified EAV and ELV values based on their risk factors or historical vibration exposure. Organisations may also use alternative values to suit their policies. The HAVwear and HAVmeter calculate and record the HAV exposure caused by operating the tool. The HAVwear and HAVmeter display shows the number of points the operator has accumulated during a shift as they work with vibrating tools. In addition, a 3 colour-coded indicator show the operator's HAV exposure relative to their EAV and ELV. Table 1 HAVwear and HAVmeter indicators GREEN GO Below EAV. Aim to stay in this region. AMBER BE AWARE EAV exceeded. Reduce tool usage, share workload supervisors on alert. RED STOP ELV exceeded. Stop using hand-held power tools. 1.2 Employers Responsibility Tag Programming It is the employer s responsibility to adhere to legal requirements applicable to workplace health and safety and to determine vibration values that are representative of the actual vibration emissions applicable during tool use. Further detailed information is available on the HSE web site: Commonly there are two sources of vibration data to use for the purpose of calculating HAVs exposure points; The published Manufacturer s data, or Vibration measurements taken by a competent person in the workplace. 8 1 Reactec Analytics Platform Measurement results can be highly variable, and manufacturer s test methods may not represent the levels in the workplace. In either case, the employer should assess the reasonableness of using such values, and the influence of factors such as variation over time, variation by specific task, variation by user, and correct maintenance of tools and accessories HAVmeter Exposure Points The HAVmeter calculates exposure points using the HSE points system as explained on the HSE website: The HAVmeter calculates vibration risk exposure points based on the length of time a tool is in use (trigger time) and the vibration value that is programmed on the HAVmeter tag, It is therefore important that the employer programs the HAVmeter tag with a vibration value that is representative of the actual vibration emission of the tool over time. This should take into account the specific tasks it is used for and other parameters that may cause variation. The HAVmeter does perform a triaxle measurement of sensed vibration but this is never used to calculate vibration risk exposure points as the HAVmeter is not mounted on the grip of the tool HAVwear Exposure Points The HAVwear calculates exposure points using the HSE points system as explained on the HSE website: The HAVwear calculates vibration exposure points based on two methods. 1. Tool Exposure Points (TEP) - the length of time a tool is in use (trigger time) and the vibration value that is programmed on the HAVwear Tag, It is therefore important that the employer programs the HAVwear Tag with a vibration value that is representative of the actual vibration emission of the tool over time. This should take into account the specific tasks it is used for and other parameters that may cause variation. 2. Personal Exposure Points (PEP) - The HAVwear has an internal capability to perform a triaxle measurement of vibration level sensed at the point to which the HAVwear is attached to the wrist. This measurement is not compliant to the ISO standard due to the measurement is not made on the tool. However the HAVwear uses the HSE calculation methodology to calculate Personal Exposure Points based on the - the length of time a tool is in use (trigger time) and the vibration value calculated by the HAVwear during use. This functionality is included for customers to determine if the sensed vibration is a more realistic representation of the risk experienced by the tool user than the static data programmed in the tool tag. The employer of the tool user is responsible for determining if the HAVwear PEP is a safe estimate of the risk faced by their employees should they use this data to manage their employees risk 1.3 Vibration Measurement Guidance Reactec report the measured data from the HAVmeter and HAVwear within the Reactec Analytics Platform because the measurement at the point of attachment of the HAVwear to the tool operator's wrist or the HAVmeter to the tool can be useful for the following: Proprietary - See Copyright page
9 1 Reactec Analytics Platform To indicate a more representative vibration exposure Identify tool tagging errors as indicated by large variations to tool tag values Monitor the wear of tools as indicated by changing measured values with time Identify potential operator misuse or unsafe use of tools as indicated by large variations to the tool tag data and or large variations between operators using the same tool Assess tool tag programmed values for appropriateness to the actual use of the tool. 1.4 Data Group Management To help analyse and report on operator HAV exposure, HAV data can be organised into groups to create granular reports. The Analytics Software can filter all reports to allow viewing of HAVS data by Group, Region and/or Division. Data can be assigned to Groups to reflect these relationships, for example, by project. You can capture additional levels of organisation by categorising Groups by Region and Division. There is no hierarchy between Regions and Divisions. An organisation works on civil engineering projects throughout the UK. Management responsibility is organised by region and project type. Therefore, the management requires HSE reports for individual projects as well as for each region and project type. This can be described by the following organisational units: Organisation Regions: for example Scotland, Northern Ireland, England, Wales Organisation Divisions: for example Roads, Rail, Demolition Individual projects split across locations To produce the required Reports for this organisational structure using the Reactec Analytics Platform, you can set up the Analytics Software in the following manner:: 1. Create a Group for each project. 2. Assign operators or Basestations to the appropriate Group. This ensures that HAV exposure data for operators working on a project is assigned correctly, regardless of their location. 3. Create Divisions for each of the project types, and categorise the Groups (projects) to the appropriate Division. 4. Create Regions for each of the UK regions, and categorise the Groups (projects) to the appropriate Region. Reports can now be run by filtering on parts of this organisation as required by management. 10 1 Reactec Analytics Platform For more information on setting up a group structure see section 4.4 Creating a Group in the SW Administration Guide 1.5 Tool Management To help analyse and report on tool performace, utilisation and to support maintenance schedules the Analytics Software categorises tools into tool families and tool types. The HAVmeter and HAVwear tracks trigger time activity to provide the data which reports tool use by manufacturer, tool family and tool type. 11 2 Operator Record Management 2 Operator Record Management To allow the programming of RFID Employee Cards or CSCS Cards, a Reactec Analytics Platform account is required. From within the Analytics Software Operator details can be entered and updated by users with the appropriate permissions. These details can then be used so that RFID Employee Cards or CSCS Cards can be programmed or re-programmed for the required Operators. The information recorded for an Operator has been extended to include First Name, Last Name, DOB, CSCS ID and NI Number. The Analytics Platform has been designed with additional employee data to allow indisputable employee identification when searching individual's historic records. This data is stored only on the Analytic Platforms encrypted data servers. The minimum mandatory fields for the system to function are Operator ID, Firstname, Surname, EAV and ELV. 2.1 Add an Operator To add an Operator, login to the Analytics Software either as a Group Administrator or Customer Administrator. Click 'Data/Project Manager' on the top menu. Click 'Operators' on the side menu. The Operators List page will appear. On the Operators List page, click 'Create New'. Within this page, complete the Operator details. Click 'Create' 2.2 Edit an Operator On the Operators List page, click 'Edit' next to the Operator that you want to change. Within this page, update the Operator details. Click 'Update'. 2.3 Bulk Upload of Operators On the Operators List page, click 'Bulk Upload'. Within this page, click 'Download template' to access a spreadsheet to populate. Populate the spreadsheet, entering the Operator details, and save file to a known location. Click 'Choose File' and select the populated spreadsheet. From the drop down list next to 'Group ID', select a group that these Operators have to be associated with. Click 'Import'. 12 3 Operator Identity Cards 3 Operator Identity Cards Operator Identity Cards are provided to each operator to uniquely identify them in the Analytics Platform. Figure 1: Operator Identity Cards Operator identity cards are used to sign out a HAVmeter or HAVwear at the start of a shift. This identifies the operator with the HAVmeter or HAVwear ensuring the correct exposure action value (EAV) and exposure limit value (ELV) data is used. There are three possible types of Operator identity cards 1. RFID Cards (MIFARE Classic 1KB) 2.RFID CSCS Cards 3.Magnetic swipe cards for use with HAVmeter system only Each operator must have their own Identity Card programmed with individual information. For more information on how to create operator identity cards refer to the "RFID Operator Identity Card programming Guide" or "Magnetic Swipe Card Programming Guide" 3.1 Prerequisites for creating a RFID Employee Card or CSCS Card Ensure you have the following before programming a RFID Employee Card or CSCS Card: A valid Reactec Analytics Platform company account. In the case of using a CSCS card as an identity card, a user must recognise user against a recognised Reactec customer account to be able to read only that customer's data from Reactec's encrypted data slot on the CSCS card. Reactec RFID Card Manager software installed on a PC. See section 'Install Reactec RFID Card Manager' RFID Reader/ Writer - HID Omnikey 5021 CL. Driver software for RFID Reader/ Writer installed on a PC. See section ' Install RFID Card Reader/ Writer'. RFID Employee Card or CSCS card. 13 3 Operator Identity Cards 3.2 Install RFID Card Reader/ Writer Install Hardware Connect RFID card Reader/ Writer, HID Omnikey 5021 CL, to any USB port of a PC/ Laptop Install Drivers The drivers for the HID Omnikey 5021 CL may not require to be installed. If, however, the driver does not install automatically the driver software is available from the Analytics Software; Login to the Analytics Software using the RAP login credentials. Click on the download icon, as shown below encapsulated in the red square. The user will then be presented with the download screen, as shown below, where the software can be downloaded from. Note: On successful installation of both the hardware and software, white light will be visable on the edges of the Omnikey 5021 CL RFID Reader/ Writer 3.3 Login to Reactec RFID Card Manager Connect RFID Card Reader/ Writer to the PC/ Laptop and place RFID Employee Card or CSCS card on the Reader/ Writer. Open Reactec RFID Card Manager by clicking either of the two shortcuts. The 'Login window' as shown below will be visable. Proprietary - See Copyright page

15 3 Operator Identity Cards 3.4 Using Reactec RFID Card Manager Login to Reactec RFID Card Manager Connect RFID Card Reader/ Writer to the PC/ Laptop and place RFID Employee Card or CSCS card on the Reader/ Writer. Open Reactec RFID Card Manager by clicking either of the two shortcuts. The 'Login window' as shown below will be visable. Proprietary - See Copyright page

17 3 Operator Identity Cards Program a RFID Employee Card Click on the 'Write a card' button on the 'opening window' as shown in the 'Login to Reactec RFID Card Manager' section of this user manual. Reactec RFID Card Manager will import a list of Operators that belong to this users account (based on the RAP login credentials) from RAP and will display to user in a table format. The red box towards the right side shows the status of the RFID Employee Card. At this point, because no RFID Employee Card is placed on the RFID card Reader/ Writer, a red cross will be displayed in the box next to 'RFID Card Status'. If a user attempted to write a card at this point the error message shown below will be displayed Place the RFID Employee Card that is to be programmed onto the RFID card Reader/ Writer. As soon as the RFID Employee Card is placed onto the Reader/ Writer a green tick will appear in the box next to 'RFID Card Status' as shown below. Proprietary - See Copyright page
18 3 Operator Identity Cards Click on the 'WRITE' button at the end of the line to write this Operators data onto the RFID Employee Card. For example, click on the 'WRITE' button associated with the third record. On clicking this button the user will be prompted for confirmation to write this information to the card as shown below. If this information is to be written onto the card that is placed on the RFID card Reader/ Writer then click 'Yes' to proceed. After the data has been successfully written onto the card, the user will notified with the 'Completed' message as shown below. Proprietary - See Copyright page
19 3 Operator Identity Cards Note 1; Minimum data required to write a record onto a RFID Employee Card is 'Forename, Surname, Operator ID, EAV and ELV. Note 2; Only one Operators details can be written onto a RFID Employee card at one time Program a CSCS Card The process for programming a CSCS card is similar to programming a RFID Employee Card. The only difference between the two processes is that while programming a CSCS card, the CSCS ID and Surname of the data to be programmed must match the CSCS ID and Surname printed on the CSCS card or programming will be prevented. Note 1; Minimum data required to write a record onto a CSCS card is 'Forename, Surname, Operator ID, CSCS ID, EAV and ELV. Note 2; Three different customers details can be written on a CSCS card. If new data is to be programmed onto a card that already has three customers details residing on it, the oldest customers details will be overwritten, Read or Amend a RFID Employee Card Connect the RFID card Reader/ Writer to the PC/ Laptop and login to the Reactec RFID Card Manager. Place the card that is to be read/ amended onto the RFID Reader/ Writer. Click on the 'View a card' button on the 'opening window' If the RFID Employee Card is blank (if it is a new RFID Employee Card) then no fields will be populated. If the RFID Employee card placed onto the Reader/ Writer contains Operator details that are from a different RAP account the details will not be able to be viewed and a error message will be displayed. If the RFID Employee card placed onto the Reader/ Writer is not a new card and contains Operator details for the same RAP account that is logged in, the user will see the card details displayed as shown below. 20 3 Operator Identity Cards The only details that can be modified using the Reactec RFID Card Manager are the ELV and EAV levels. if other details are to be modified then these should be modified through the Analytics Software. If Operator details are updated within the Analytics Software whilst being logged into the RFID Card Manager, these details can be viewed by clicking 'refresh'. Once modified these details will be updated when logged back into the Reactec RFID Card Manager. Edit the EAV and/ or ELV levels and click 'Update' to write the altered levels to the card. If the update is successful a 'Completed' message will appear, as shown below. Updated EAV and ELV levels will not appear in the Analytics Software until the Operator has signed out a HAVmeter or HAVwear & returned it to the Basestation or Docking Station respectively and the data file has been processed Read or Amend a CSCS Card Connect the RFID card Reader/ Writer to the PC/ Laptop and login to the Reactec RFID Proprietary - See Copyright page
21 3 Operator Identity Cards Card Manager. Place the CSCS card that is to be read/ amended onto the RFID Reader/ Writer. Click on the 'View a card' button on the 'opening window' If the CSCS card is blank (if it is a new CSCS card) or does not contain any details for the same RAP account that is logged in, only limited card details will be displayed, namely Forename, Surname and CSCS ID. If the CSCS card is not a new card and contains details for the same RAP account which is logged in, the card details will be displayed, as shown below. The only details that can be modified using the Reactec RFID Card Manager are the ELV and EAV levels. if other details are to be modified then these should be modified through the Analytics Software. If Operator details are updated within the Analytics Software whilst being logged into the RFID Card Manager, these details can be viewed by clicking 'refresh'. 23 4 Sign Out HAVwear Using RFID Employee Card or CSCS Card 4 Sign Out HAVwear Using RFID Employee Card or CSCS Card Operators must sign out a HAVwear at the start of each shift. This can be done using a RFID Employee Card or CSCS Card. 1. To allow sign out using a RFID Employee Card or CSCS Card the Docking Station must have connected to the Analytics server and the customer must have a Reactec Analytics account. 2. Hold the RFID Employee Card or CSCS Card on the Docking Station over the screen. 3. After holding an ID card against the Docking Station a green LED light will begin to flash. Select the HAVwear module from the bay with the flashing LED. The LCD on the module will also activate at this point. This HAVwear is now assigned to the operator until it is returned to a Docking Station. The operators first initial and first 3 characters from their surname are displayed on the HAVwear display. 4.1 Sign out HAVmeter using RFID Employee Card or CSCS Card. Operators must sign out a HAVmeter at the start of each shift. This can be done using a RFID Employee Card or CSCS Card. 1. To allow sign out using a RFID Employee Card or CSCS Card the Basestation firmware must be at version or above, the Basestation must be connected to a Communications Module and the customer must have a Reactec Analytics account. 2. Hold the RFID Employee Card or CSCS Card on the Basestation keypad area. The Basestation display shows collect flashing HAVmeter, and all three indicator lights on the allocated HAVmeter flash. This HAVmeter is now assigned to the operator until it is returned to a Basestation. The operators initials are displayed on the HAVmeter display. A HAVmeter cannot be signed out until all data has been transferred to the Basestation and it is sufficiently charged. The Basestation chooses the HAVmeter with the most charge. If no HAVmeters are available to be signed out, the Basestation displays No Units Ready. when a sign out is attempted. 4.2 Sign Out HAVwear Using RFID Employee Card or CSCS Card Operators must sign out a HAVwear at the start of each shift. This can be done using a RFID Employee Card or CSCS Card. 1. To allow sign out using a RFID Employee Card or CSCS Card the Docking Station must have connected to the Analytics server and the customer must have a Reactec Analytics account. 2.
