7 Introduction Guide Overview This manual is intended to give you an overview of the recommerce capabilities and features of the Liberty4 software program and to instruct you on the use of functions associated with the program. Until the manual s index can be created, it is recommended that the electronic version of this guide be used; so that the Adobe Reader search tool may be utilized when looking for key related topics. This guide will cover the following steps which will allow you to set up your system quickly and easily. We will go into detail on each of the following steps: Registration and configuring recommerce options Customizing your storefront website Setup Shipping methods for Adding and posting items to your Shoprw website and Ebay Uploading consignor account information Managing orders and shipping Additional recommerce information and features What does recommerce do for you? Liberty4 provides consignment stores with a complete array of functions which control the entire business process of a typical e-consignment business. Liberty4 allows you to easily track consignors, their inventory, launch items to the Web, retrieve and process orders, calculate payouts and keep track of all the accounting which relates to these functions. By working in conjunction with ShopRW.com, you can easily add items associated with a consignor, specify online features and parameters and launch those items directly from your desktop. In addition to launching items to the Web, the software also provides you with a fully functional order management tool for managing your online orders. With features such as automatic ing, shipping, and invoicing, you can easily keep track of and manage sales and delivery information. Finally, Liberty4 allows you to upload consignor data. This will provide your consignors with the ability to login and check current moneys owed, sales information and items that have been sold through ShopRW.com. This alone will save your store the time spent on fielding phone calls and in-store inquiries regarding payouts. Copyright 2010, Resaleworld.com, Inc. 7
8 Registration Where to register for recommerce In order to register for recommerce, you must first sign-in to your account at Please login using the address you provided to Resaleworld and RSW ID as your password. The RSW ID may be found by clicking on Help then License Information in the Liberty4 Inventory Module. Once you have logged into your online account, click on the recommerce tab to begin the registration process. Copyright 2010, Resaleworld.com, Inc. 8
9 The next screen will appear. Registration Form Instructions Click anywhere on the logo that appears as the one above. The following registration form will appear. 10 Please be sure to type your desired Username correctly as this will be used as the sub-domain for your online store. If the username is MyConsignmentShop then your website name will be After completing the registration form, be sure to double check all fields for spelling errors or typos. Also, be sure to read the terms and conditions before checking the, I agree checkbox and clicking on the Sign-Up Now button. Next, enter you credit card information to complete your order. STORE ADMINISTRATION LINK: USERNAME: MyConsignmentShop PASSWORD: password The administration link will allow you to setup your payment methods, shipping options, welcome messages, store options and much more STOREFRONT: This storefront website address will be the one you may provide to your customers and consignors to visit. SHIPPING SETUP FORM: The shipping form is provided so that you may choose your desired shipping services and have a Resaleworld technician configure them on your online storefront. 12 Getting Started Enable recommerce Modules To get started, we first need to check the box to enable your ecommerce buttons for them to show on the main menu. This may be done by clicking on Tools > Options > General in the Inventory Module. Step 1 Step 2 Click Apply then OK to save and close the dialog box. Copyright 2010, Resaleworld.com, Inc. 12
13 You will now see the following buttons appear on the Inventory Module toolbar. This button is used to access and maintain Ebay items. This button will be used to access and maintain Shoprw items. This button is used for receiving and tracking online orders. This button is used for sending status s for online orders. Each button shown above represents a Liberty4 software module that may be needed to upload items, upload consignor transactions, download online orders and customers. 14 ecommerce Options Overview The ecommerce Options dialog window, is the main area through which most recommerce settings are found. All fields should be answered and completed correctly before attempting to upload items to Ebay or Shoprw. The ecommerce option window is found by clicking on Tools > ecommerce Options from the main menu in the Inventory Module. The following window will appear. Copyright 2010, Resaleworld.com, Inc. 14
15 The ecommerce options are divided into three sections: General Settings Shoprw.com Settings ebay Settings General Settings General this is where you configure settings such as your online Sales Tax State, Image preferences and your Automated Synchronization settings. Connection This is where you tell Liberty4 how you connect to the Internet, whether through a high-speed/local Area Connection (LAN) or through dialup. (If you choose dial-up, you will need to enter your username and password that lets you connect to the Internet). Settings This is where you will need to enter your Outgoing Mail Server (SMTP) information and the SMTP port # (25). If your server requires you to login, there is also a field to enter your username and password. Get with your ISP for this information. Headers & Footers This is where you enter the text that will go out with your report-specific s. Without header/footer information, you will not be able to send out certain s such as Item Lists, Payout Details, etc. ShopRW.com Settings The ShopRW.com Settings tab controls how you connect to your recommerce storefront. Here, you can control the following: Enable ShopRW.com as a Marketplace Enter your Resaleworld Registration Information Configure item requirements before items are uploaded to your website Setup online markdowns and dual marketplace listing options Copyright 2010, Resaleworld.com, Inc. 15
16 ebay Settings General This is where you configure many of your ebay-specific defaults. These settings will greatly enhance your item-entry process by auto-setting options, such as your Duration, Starting Price, accepted methods of payment, etc. Features This tab allows you to set a dollar amount for multiple features that you may pass to your consignors for listing upgrades. Listing upgrades may be used to enhance your ebay listing to attract more attention to customers. Setting any of these values to On will auto-enable that feature on each of your listings. You can override the enabled features on each item if needed. Accounts This section will allow you to enter the ebay Auction Account(s) you will be using to list items to ebay and ebay Motors with. Policies If you have any particular policies that you would like auction viewers to be aware of (Payment Policies, Shipping Policies, etc.), this is where you can enter that information. Shipping This tab allows you to set your Shipping Profiles. You can select Flat Rate, Calculated, Free or Other shipping methods here. Each Shipping Profile will also indicate which countries/regions you ship to. You can also set your Default Package and Handling Cost. For a Flat Rate profile, this will act as the initial S & H Fee. For a Calculated profile, this will act as the additional padding you add to each shipment. Image Hosts This is where you select which Image Host you will use to host the pictures in your ebay listings. If you are using Resaleworld.com as your Image Host, simply select Resaleworld. If you plan on using your own Image Host, click Add and then enter the information Liberty4 will need to login and upload images to the Image Hosts server. You can Test your custom Image Host settings. This will prompt you to locate a JPEG file that Liberty4 will attempt to upload to your Image Host. If your settings are correct, you will see the image appear within your web browser. If you receive any kind of errors, please contact your Image Host or ISP to verify your settings. Images for items going to your ShopRW.com storefront will be sent to Resaleworld automatically. Preview Image Size This area allows you to specify pre-defined image pixel sizes, so they may be chosen for images during item entry. Copyright 2010, Resaleworld.com, Inc. 16
17 General Settings General Sales Tax State This allows you to set the online Sales Tax State. Source Directory for Images This field allows you to specify a path or directory where images may be easily retrieved from when applying them to items. This directory will be the folder you save your photos to from your camera, flash drive, SD card, compact disc or other media device. When the button is clicked from the add item photo area, the selected source directory will immediately appear displaying your pictures. A browse button is also provided for easy access to your directories when making a selection for your source directory. Remove Selected Images from Source Directory If [Yes] is selected; this option allows you to have pictures quickly removed from the source directory after being applied to an item. This option may help prevent your system from running out of storage space for having too many pictures. If there is a requirement to keep a copy of every picture then answer [No], but please ensure your computer has enough space. Number of Images to Load from Source Directory When adding pictures to an item from the source directory, the amount specified in this field will indicate how many pictures will appear for your selection. If [10] is entered then only the first ten photos from the source directory folder will appear. The photos are shown in the order they were saved to the specified directory. If an eleventh photo is added to this folder, it will not appear when I click on the button because I have specified to only show the first ten images. Copyright 2010, Resaleworld.com, Inc. 17
18 Directory where Images are Stored This directory will be where all images applied to items in Liberty4 will be stored and uploaded from. These images will always remain in this directory which is why Liberty4 allows images from the source directory to be removed. This way you do not keep two copies for every picture thus, causing your storage space to fill up quickly. If you are networking or using Liberty4 on more than one computer, it is crucial that every computer has the stored directory set to the same location. If the stored directory is a folder named My Pictures on your server s local drive C:\, than all other computers must contain a mapped drive that points to that same location on the network. The mapped drive created on each additional workstation will need to be chosen as the stored directory. This will ensure that all photos applied to items from any computer will properly upload. Note: The Source directory is the folder where items have been saved and will be retrieved from when the button is clicked from the add item photo area. The Stored directory is where your photos are copied after they have been applied to items prepared for upload to the Web. Maximum image size expected This field is used to provide a default image size you feel comfortable with. Any image applied to an item with a larger file size will initiate a warning prompt to be displayed. This warning prompt is to acknowledge that a photo with a larger size than expected is being added to an item. Warning Sample: Note: It is not recommended to apply image files larger than 2 MB as this may cause long synchronization times, upload connection failures, and undesired photo sizes on your Ebay listing or Shoprw website. If you notice you have to scroll over just to see the entire image, your images are too large. It is best to set your digital camera to an optimized setting (such as 800 x 600) so you don t have to edit/adjust every image before you list your item to ebay. 19 Automatically Synchronize Liberty provides you with the ability to automatically synchronize your Liberty data with the Web. With this set to Never, you will have to manually synchronize in Auction Items, Storefront Items or Order Manager, respectively. 2-3 times an Hour will work out to be about every minutes. Keep in mind that the next synch is based upon when the last synch ended. Note: To keep your local Liberty data in-synch with your online storefront, we recommend setting this to 2-3 times an Hour. This way, if items sell in your physical store, the will be updated online and vice versa. Connection This section is where you may specify the connection type you will be using to connect to the internet. Your connection type to the internet is either through a high-speed/local Area Connection (LAN) or through dial-up. If dial-up is chosen, a username and password will be required. Please contact your Internet Service Provider (ISP) or network technician to request this information. Note: Dial-up connections are not recommended for consignor transactions and item uploads. Unfortunately, very slow connections may cause persistent failures. Copyright 2010, Resaleworld.com, Inc. 19
20 Settings This section is where your Outgoing Mail Server (SMTP) information and the SMTP port number may be entered. If your provider requires you to login, please check the box and enter your username and password. If you do not have this information, please contact your provider or network technician to request this information. Note: Liberty4 software does not currently support (SSL Authentication) which is required by some providers. host providers that require SSL Authentication such as AOL, Yahoo, Hotmail and Gmail may not properly work. It may be recommended that you create an account with the same company you have your internet service through. This next field is where you may enter your address. Please be sure to type your address correctly. This address will appear on your receipts and s sent through Liberty4 as the reply-to address. Note: If your store has been using an account that is not supported because of SSL Authentication restrictions, you may still be able to use that address as your store address. This is acceptable only if you are able to use an alternate supported provider as your Outgoing Mail Server. You will still need to contact your alternate provider or ISP (Internet Service Provider) for the required SMTP information. Copyright 2010, Resaleworld.com, Inc. 20
21 Headers & Footers This section allows you select one of multiple report types that Liberty4 currently supports so that a header and footer may be applied. Just click to highlight the desired report name and then type your header and footer in the specified fields. Note: In order for Liberty to send Reports and/or Item Lists via , you will need to enter text into the Headers & Footers section for each report/list. 22 ShopRW.com Settings Registration After registering for recommerce, the next step would be to check the Enable Shoprw.com as a Marketplace check box so the storefront account information may be entered and validated. Resaleworld Registration Information This section is where your account name and authorization code will need to be entered. This information is provided on the sent to you after registering for recommerce. First, click the Apply button before clicking on the Validate Account button. If your account information is correct, the following prompt should appear after clicking on the Validate Account button. Options Before Uploading Items This section will allow you to set requirements you may feel to be necessary for items that will be uploaded to the Shoprw.com website. If one of the options is chosen, then the information the option refers to will need to be applied to every item before it may be uploaded to the Web. These options may be changed at any time and will only affect items not yet uploaded. Copyright 2010, Resaleworld.com, Inc. 22
23 Confirm Each Item The first option that reads Confirm Each Item (Manually set item to Ready) means, that if the option is checked, every item will await your approval before being uploaded to the Web. This is done by having to check an extra box that will read This item is ready to list on the add item entry screen under the Finish tab. If this option is not checked, the items will automatically be placed in a ready status and upload during the next automatic synchronization. Require at least one Image If this option is checked, then at least one photo will need to be applied to every item before uploading to the Web. Require Shipping Amount If this option is checked, then a shipping & handling fee amount will need to be entered in the S&H field located on the add item screen used for item entry. The shipping amount field will appear like this: Require Shipping Weight If you plan on offering shipping services to customers purchasing items on your ShopRW.com website then this option should be checked. A weight of 1 lb. or more is required on every item for your shipping services to appear during the online checkout process. The weight field will be found on the add item screen used for item entry. The Weight field will appear like this: ShopRW.com Options This section allows you select additional options for storefront items. Copyright 2010, Resaleworld.com, Inc. 23
24 Use Automatic Markdowns in Storefront Allows you to specify if you would like to have markdowns applied to the items uploaded to the Web. Be careful to check this option, because changing this option later will only affect new items listed from the time this change it made. All existing items on your storefront will still appear with the markdown price. Display Active Auctions in Storefront This option will allow items that have been uploaded as Ebay auctions to appear on the ShopRW.com website as well. Items listed on an Ebay auction cannot be purchased from your ShopRW.com site. The item will only appear as a thumbnail with an Ebay logo on the item list. If a ShopRW.com customer clicks on the thumbnail, they will be re-directed to the live Ebay auction in order to place a bid on the item. Copyright 2010, Resaleworld.com, Inc. 24
25 ebay Settings General Default Duration This option allows you to specify a default auction listing duration. An auction duration is the amount of days you would like your ebay auctions to remain active on ebay. For example, if you choose 7 from the drop down menu, then your items will default to a 7 day ebay auction. Once the seven days has passed, the auction will end regardless if an auction bid has been placed or not. Starting Price The starting price field is used to specify a default starting bid amount for ebay items. If you enter $1.00 then all items will be uploaded with a starting bid amount of $1.00. This amount may be changed for any specific item during item entry process. HTML Template Liberty4 provides several ebay templates that may be used to customize your ebay listing. These templates may each be previewed during the item entry process. Once you have found an acceptable template you wish to have applied to your ebay items by default, you may select the template from the list. These templates may found on your Liberty4 server in the following location: C:\RWD\AuctionTemplates. Although templates are not supported by Resaleworld Support, you may modify the existing Liberty4 templates to meet your needs. ebay Site ebay provides multiple marketplace websites where items may be sold. Be sure to choose the correct ebay site you already have an ebay account with and utilize to sell your items. Location The location entered into this field will appear on your ebay listing. This will inform your potential customers on where the seller is located. You ay specify your city, state or both in this field. Copyright 2010, Resaleworld.com, Inc. 25
26 ebay Country Please select your country code from the drop down menu as this option will be used to determine what shipping options will be available for you to use. ebay Currency Please choose the currency you plan to use for pricing your ebay items in this field. Use Proximity Search If you have this option checked than your item(s) will appear if a potential customer chooses to search for items from the same category using the distance filter on ebay. This allows the customer to narrow their search by finding sellers located within a specific XXX mile radius. Require Linked PayPal Check this option to have a PayPal link integrated in your ebay listings. You will need to have a PayPal account setup prior to offering it as an acceptable form of payment on your ebay listings. Payment Types This section will allow you to enable multiple payment types that may be accepted. You will need to confirm that the payment options you select are valid for the selected ebay site. 27 Features ebay provides additional listing enhancements that may be used to attract further attention to your ebay listings. This section allows you to choose which of these enhancements you would like to have turned on by default. Be careful, as ebay will charge a fee for each of these features if used on any of your ebay listings. It will be your responsibility to check ebay s site for pricing information on each of these features. Once you have confirmed how much each feature will cost, the amount may then be added in the Fee fields beside each feature you wish to enable. The fees and features are often changed, so be sure to check back with ebay for any updates. Please visit: for additional information on listing upgrade fees. If you plan to use features with ebay Motors as well, you will need to select ebay Motors from the View Features for drop down. Note: These features are only set as defaults and may be removed at any time during the item entry process. Copyright 2010, Resaleworld.com, Inc. 27
28 Accounts The accounts area will be where you ebay account information will need to be entered. The desired ebay marketplaces will need to be enabled by checking the boxes displayed at the top of the dialog window. Note: Prior to entering your ebay store account information, you must subscribe your ebay account as an ebay Store. You will NOT be able to synchronize items to ebay until you are an ebay store subscriber and ebay has confirmed your submitted credit card information. Please visit the following site provided by ebay for more information on how to subscribe as an ebay store. Resaleworld Registration Information The account and password provided for ebay integration is no longer required. These fields may be left blank, regardless of which recommerce plan you have signed up for. Resaleworld is now utilizing your Shoprw.com account and authorization code to track billing and provide image hosting. This section will be removed on a future update if still visible on your current version of Liberty4. Auction Accounts This section is where the ebay store account information may be entered and authorized. These steps will be required to upload items to ebay. Copyright 2010, Resaleworld.com, Inc. 28
29 To add an ebay store account, click the window will appear: button and the following dialog Type your ebay username, phone number, address, and PayPal address in the fields provided in the dialog window then click [OK] to continue. The next step to setting up your ebay store account in Liberty4 will be to click on the button. The following screen will then appear: Click the button to continue authorizing your account. You will then be redirected to an ebay website to login using your ebay store account. This will grant access to Liberty4 to integrate with your ebay store account. This procedure is required by Liberty4 for your items to synchronize with ebay. Once you have logged into ebay with your ebay store account, you will be prompted to answer [YES] to grant permission to Liberty4 Resaleworld to integrate with your ebay account. 30 Policies This area will allow you to specify your payment, shipping, and return policies. Plain text or HTML may be entered into the policy fields which will later appear on your ebay template once the item has been synced to ebay. Copyright 2010, Resaleworld.com, Inc. 30
31 Shipping The ebay shipping section is where you may setup shipping profiles. Each shipping profile may be setup with different shipping options so that different shipping services may be offered depending on the package type. Multiple shipping profiles may be created, but Liberty4 will already come with two profiles. One profile is setup for calculated shipping and the other is setup for flat rate shipping. Each of these shipping profiles may be modified to meet your needs. By selecting a shipping profile and clicking on the edit button more options will available to modify the shipping profile. 32 Shipping Type This field allows you to specify what shipping method is being applied. The shipping types available are calculated, flat rate, free, or local pickup. Calculated shipping will cause Liberty4 to create an XML file with an item s package information. This XML file will be sent to the shipping carrier. The carrier will then respond with the calculated shipping amount that will be applied to the item s total during the checkout process. This process is performed behind the scenes and will help alleviate the time it will take to determine how much shipping should be charged. Flat rate shipping will require you to determine how much shipping will need to be charged. Be sure to charge enough when using choosing flat rate shipping. Insurance Type This field is where you can specify if insurance will be offered. Since Liberty4 does not have a field to enter an insurance amount, it is recommended to include your insurance amount as part of the S&H Fee. The S&H fee field will appear on the add item screen during item entry. Package Type You may specify a package type from this field by clicking on the drop down arrow. Be sure to check what package types are supported with different shipping methods. This information may be found by clicking on the Help on Package Weight and Size link. Ship To This field will allow you to specify which countries you will ship to. Click on the browse button to make your selections. Copyright 2010, Resaleworld.com, Inc. 32
33 When the browse button is clicked, the following dialog box will appear. Default Package Handling Cost If a Calculated shipping type The amount entered into the default package handling cost field will be used as padding if you have chosen to use a calculated shipping type. If the real-time calculation is $10.00 and the amount in the default package handling field is $2.00 then the following will be true $ $2.00 padding = $12.00 shipping charge. The real-time calculation will be automatically calculated based on the package dimensions and ship to location. Copyright 2010, Resaleworld.com, Inc. 33
34 The amount entered into the default package handling cost field will appear again during the item entry process under the Shipping Info tab. A different amount may be entered on any item during the item entry process. Note: The real-time calculation has not yet been added and will not appear until a potential buyer has entered their zip code during their purchase. The handling fee will appear as padding to the full shipping amount. Note: Default handling fee will not be applied to existing items. Only new items will have the default amount applied. This is to prevent exiting handling fees from being changed. If a Flat Rate shipping type If the flat rate shipping type is used, then the amount entered into the default package handling cost field will be a set shipping amount to charge. 35 When flat rate is used, a cost factor may be entered to increase the flat rate charge based on the shipping service selected by the customer. If the default handling charge is $10.00 and the customer chooses UPS GROUND, then the shipping amount is $ If they choose UPS 3 Day Select, then the shipping amount is $ The default handling fee is multiplied by the cost factor entered beside each shipping service. This same approach is applied to the International services section as well. The amount will also appear during the item entry process and may be changed for any item. A 2 nd item shipping amount may also be entered during the item entry process if additional quantity is available. Note: You will notice that when flat rate is used, the default handling amount appears in the S&H Fee field instead of the Handling Fee field during item entry when calculated is used. This is because when calculated is used the default package handling field is used as a padding for handling only since the shipping will be calculated by the provider (UPS, USPS, etc.). 36 Image Host The image host section will allow you to specify your own image host if you choose not to use the hosting services provided by Resaleworld. If you have signed up for recommerce, then image hosting will be provided by Resaleworld and the remaining options will be automatically populated once Resaleworld is selected from the first drop down menu. Be sure to check the Default Items to this Account check box. If you plan to use your own image host, simply click on the button and enter the appropriate information in the remaining fields. This information would be provided to you by the image host company. Preview Image Size This area will provides control over ebay image sizes. There are four possible image sizes that may be preset and used. During the item entry screen, an image by set to one of the four preset image sizes for better formatting. This will depend on the original image size or the pixel settings set on the camera used to take the photo. It is best to first test each image size before applying and uploading your item. Note: Be sure to apply the correct photos before the synchronization occurs. If an incorrect image is uploaded, you will need to end the auction, make corrections, and then re-sync the item again. You will be responsible for having to pay for ebay listing fees a second time. If a bid was made on the item or the auction is set to end within the next 24 hours, ebay may not allow you to end the auction. You will also be at risk of receiving negative feedback from a customer for prematurely ending an auction. Resaleworld will not be responsible if such action was to occur. 37 ShopRW.com Administration Settings The ShopRW.com administration site will provide control over the look and feel of your site. It will also allow you to setup shipping, payment and online store options. Shipping and payment options for your ShopRW.com website are separate from ebay and must be configured in your Shoprw.com administration area. To get started, login to your Admin Area using the link and login information provided in the registration response . If your online store address is myshop.shoprw.com, then your administration area will be accessible by visiting myshop.shoprw.com/admin. The administration site is your ShopRW.com website address with /admin added to the end of the address. 38 The administration area is broken into two sections: Inventory Look and Feel Each link provided under each section will allow you to control how your website will operate and display information to your consignors and customers. Inventory Destination zones This section allows you to define the destination zones that may be used in flat rate shipping and tax calculations. You may leave the default zone Zone Default set to all addresses or you may add additional zones if a different shipping amount must be calculated for a specific address. 39 To add an additional zone, click on the button. The next screen will provide zone detail options that may be used to choose specific countries, states, cities, zip codes and addresses. The location selected for your new zone will be used to determine how to define shipping tax calculations. In the example below, I have chosen Orlando, Florida United States for my Test zone. Your website will then determine which zone their address applies to in order to properly calculate shipping and taxes. Be sure to click the button to save your changes. 40 Shipping Charges This section is used for defining the shipping rates for each shipping method you choose to offer by zone. Shipping rates may be calculated by weight range, order subtotal, flat rate amount, per item charge, percent or per pound (lbs.). Each zone may have multiple shipping methods, each with its own shipping rate calculator. The example below shows the Standard Shipping method that has been applied to the zone named Zone Default. This specific zone is applied to all addresses. This may be edited by re-visiting the Destination Zones link under the Inventory section. (Cont d) If you choose calculate shipping rates by weight, then be sure to enter the correct weight range. A weight will need to be applied to every item during the item entry process. The weight will be applied in pounds (lbs.). When items are uploaded to your website, a shipping rate will be determined by weight using the flat rate amount specified or real-time calculation. Multiple flat rate amounts may be applied by utilizing weight ranges. To add a range or additional shipping method, scroll down to the section that reads Add shipping charge values. 41 For example, if I needed to add a second weight range to Standard Shipping, then I must choose the same shipping options as the existing standard shipping method. You will then be able to edit the weight ranges and flat charge amounts as needed. In the example below, I have added another shipping method that matches the existing standard shipping method that already appeared under Zone Default. This will add a second sub-section under Standard Shipping so that a range may be applied. Example: Before: After: As you will see above, I can now charge a flat rate amount for items that weigh up to 100 lbs. and a higher flat rate for items that weigh over 101+ lbs. Discounts This link will allow you to define purchase discounts for your online store. A discount applied, is used to provide automatic savings on every customer order that is over a certain amount. To utilize this feature, enter an order subtotal minimum, discount amount and discount type. Please ignore the membership option as this feature is not currently active or integrated with Liberty4. 43 Coupons In this section, coupons can be created and customized to meet your needs. This feature will allow you to create a coupon that offers a (%) percentage off, ($) dollar off or free shipping on the next customer purchase. The coupon code may then be ed to your customers to help promote and market your business. The Apply discount if section will allow you to specify a sub-total amount that must be met for the coupon to be applied during the purchase. The customer will see a coupon code field where they may enter the coupon code ed to them. You may also opt to have the coupon redeemable only when specific items or items from specific categories are purchased. Note: If the free shipping option is chosen, it will apply to all items in the entire cart if one or more items in the cart meet the subtotal requirements of the coupon. Special Offers Special offers may be offered throughout your online store. This section provides a walkthrough wizard that will guide you through the process of creating special offers for your website. Simply click the button that appears on the special offers page to get started. The remaining screens will prompt you to specify conditions, bonuses, and promotional information. The Update Contact Information link allows you to update your phone number, address and . You may also upgrade your store plan on this page as well. The Update Billing Information link will allow you to update your credit card information on file. Edit Profile This section, will all you to modify your ShopRW.com website profile. Your admin area login username and password may also be updated in this section. Configurations The configurations section provides fields and options that enable you to control the store operation. The configurations area is broken into four sections. The four sections are: Image Uploads E-Commerce Settings Store Tracking Miscellaneous Options Each section is broken down and explained into detail as you read on. 45 Image Uploads This first section, found under the configuration link will allow you to upload your store logo to your online homepage and invoice. Store Logo/Header Options This area will allow you to browse and upload your logo so that it appears on your homepage. Simply click the button to search for the logo image on your computer. Once you have selected your image and clicked the button, the path will appear in the browse field. You may now click on the button to have your logo uploaded to your homepage. By default, the logo will appear on the top left hand corner of your homepage unless the Center Picture option is checked. Sample: The store logo/header options area will also allow you to create a custom html header. This feature provides more flexibility and customization options for your homepage header. 46 If you are familiar with HTML (Hypertext Markup Language) programming, simply enter your html code in the specified html header field. An editor is provided to assist you in customizing your html header. The WYSIWYG or What You See Is What You Get editor will allow you to customize your header without having to know HTML. Simply click on the WYSIWYG editor link to have the editor dialog screen appear. There are several formatting options available that will allow you to customize your html header. The editor will allow you to include images and hyperlinks that may be used to direct your customers to your Facebook, Twitter, or MySpace account. You may also provide links to third party affiliates. Just be sure to click the button when you are done to save your changes. After applying your changes in the WYSIWIG editor, you must next click on the button, found under the html header field to finish. Note: The WYSIWIG editor will be provided throughout the options that control the look and feel of your website. All website messages may be edited utilizing the WYSIWIG editor. Note: HTML programming and website customization is not covered under a Resaleworld Support contract. However, Resaleworld does offer customization packages for a fee. Please visit for pricing information. Upload Invoice Logo This feature provides the ability to upload your store logo so that it appears on your online invoices. 47 E-commerce Settings The second section under the configurations link provides control over payment methods, gift certificates, Google checkout, coupons, and additional shipping options. Payment Methods In this section, you will be able to setup which payment methods you will be accepting on your ShopRW.com website. A list of payment options are available and may be selecting the corresponding checkbox. You will need to setup a online merchant account for online credit card processing. Some of the more commonly used online merchant companies are PayPal, AuthorizeNet, and Global Transport. A list of Additional payment gateways are provided at the bottom of the page and may be added to the list of acceptable payment methods. Each online merchant company option will contain a configure link where your merchant account information may be entered. After clicking on the configure option next to your merchant company, a new screen will appear where your merchant account information may be entered. 48 Any buyer with a PayPal account can pay using their PayPal account. Buyers have the option as a PayPal account holder to pay with almost any credit card, or checking / savings account or money already in their PayPal account which they have earned (like money earned from an ebay auction). Fees to the seller are typically fixed at about 2.9% + 30 per transaction for most transactions. The seller has to have a PayPal account to accept these types of payments. Withdrawing your PayPal money is arranged with PayPal. For additional information please visit PayPal - Advantages o PayPal claims to offer an additional level of protection for the buyer, gives the buyer an additional feeling of safety when purchasing (PayPal s opinion). o Buyer can easily integrate their Checking / Savings account if they do not have a credit card. o Buyer does not have to type in their credit card information every time they make an online purchase this information is stored in the buyer s PayPal account. o Buyers with money in their PayPal account can quickly use that money if the seller offers PayPal as a form of payment. PayPal Disadvantages o As a merchant you need to make sure you keep on top of PayPal s terms and conditions, policies etc. o Fees to the seller are typically always going to be higher than accepting payment directly through a normal credit card merchant account like Global Payments. 49 o Buyer must have a PayPal account (unless you subscribe to PayPal Pro Solution which is similar to Global Payments but usually more expensive 2.2% - 2.9% + 30 ). This limits your consumer base if this is your only option. An alternative online payment method is Global Payments which allows direct credit card payments from the buyer utilizing a merchant account. This would be similar to accepting credit card payments in your store. Rates typically vary depending on the exact credit card used from 2% - 3% with a small transaction fee per transaction and a small monthly statement fee. To setup an account with Global Payments you can elect to have a representative from Global Payments contact you when you signup for your recommerce store. Global Payments - Advantages o Anyone with a credit card can simply type their credit card information directly into your website just like most shopping websites. o Transactions rate (fee) is typically going to be the best for the merchant (seller) and cost you the least to accept this type of payment. When configuring your online payment methods, different information may be requested if another online merchant company is chosen. For example, AuthorizeNet will request your API Login ID and Transaction Key which your AuthorizeNet representative will you. After making your selections and changes, be sure to click on the button found at the bottom of the page to save your changes. Note: You will notice that on each merchant company configuration screen there is a field labeled Order Prefix. Please enter ShopRW.com into this field as it will be used as a description to define where transactions originated from on your monthly statement. 50 Gift Certificates This link provides a wizard that will help walk you through creating gift certificates that may be ed to your friends and family as a gift. Just click on the button to get started. Complete the form by filling out the information requested. After creating your gift certificate, you will need to change the order status to Active before an is sent to the recipient. The REM./Amount column shows the amount remaining on a gift certificate. The recipient will then receive an will include the Gift Certificate ID they may use during their next purchase and instructions on how to use the gift certificate. Below is a sample that the gift certificate recipient will receive. Note: Currently, Resaleworld does not offer the ability to customize the gift certificate that is sent to the recipient. 51 Setup Google Checkout Google checkout is another payment method available to accept online payments. This module is not enabled by default and will require you to check the Enable Google Checkout checkbox found in the Store Options area under the E-Commerce Settings section. The Google checkout feature will require you and your customers to have a Google Checkout account already established. This feature provides an easy way for customers to pay for items online by simply entering their Google login information during the checkout process. After enabling the Google Checkout option, please return to this section to enter your Google merchant account information. Please read the instructions provided in the Setup Google Checkout section for more information. Google Checkout - Advantages o Less expensive than PayPal, but not always less expensive than a normal merchant account like with Global Payments. o Stores that offer Google Checkout as a payment option get additional promotions on ( (Buyers can then be able to search / display only stores who offer Google Checkout as a payment option.) o Ease of shopping for the buyer, they do not have to enter their credit card information every time they want to buy something (this information is already stored in their Google account). Google Checkout Disadvantages o Buyer is required to have a Google Account. This limits your consumer base if this is your only option. o Slightly higher fees than using a normal credit card merchant account (like Global Payments). Store Coupons In this section, coupons can be created and customized to meet your needs. This feature will allow you to create a coupon that offers a (%) percentage off, ($) dollar off or free shipping on the next customer purchase. The coupon code may then be ed to your customers to help promote and market your business. Please read section Coupons for more information. Shipping Options This section will allow you to configure Real-Time shipping for your website. Before getting started, you will need to already have an account setup with USPS or UPS. 52 Click on the button to turn on Real-Time shipping. After you click to enable real-time shipping, the page will refresh then allow you to also enable the UPS Real Time Shipping Calculator. If the UPS Real Time Shipping Calculator is enabled, then you will need to enter your UPS account information. To begin, click on the underlined link labeled Configure your UPS information. On the next page, click on the button to be directed to the UPS Online Registration Wizard which assist you through entering the required UPS account information. Click on the button to continue. 53 The next page, will display a UPS registration form where your UPS account information may be entered. You may also choose to have a UPS account representative contact you to provide further assistance pertaining to your UPS account. Click the button again to complete the registration process. 54 It is recommended that you have a UPS representative assist you in setting up the UPS online tools. This section will require you to correctly complete each field so the correct UPS real time shipping rates are applied. This form will require you to specify your UPS account type, default package dimensions, service options, declared value, COD options, cost conversion, and address validation. After all required information has been filled; you may perform a test to ensure your shipping rates are being calculated correctly. Click on the button found at the bottom of the UPS online tools configuration page. The next screen will allow you to specify a origin address and ship to address for testing. Once you have clicked the submit button, the calculated UPS shipping rates will appear at the bottom of the page. Note: Although assistance is provided, account information for shippers is not provided by Resaleworld Support, as we do not have the resources to control or manage UPS or USPS accounts. Store Statistics The store statistics area provides the following information: Note: Another website statistics application that may be utilized is Google Analytics. For the purpose of this guide, this feature will not be explained in this manual. For more information about this feature, please visit the Resaleworld Message Board forums at and type Google Analytics in the search engine. 59 Search Engine Options This link provides the ability to add META descriptions and keywords for your online store. This section is completely optional and changes are not required. Although available, there is no guarantee that this feature will help navigate more traffic to your online store. Miscellaneous Options This fourth and final section provides control over adding and configuring static pages, online featured products, ebay options, Google Base options and store options. Navigation Bar This section provides the option to enable or disable links that appear on your ShopRW.com website. Below is a sample of how the links appear on your website. Add Static Pages Static pages may be added to your website as a source for additional information you would like your customers to see. An example of a static page would be an About Us page, a webpage that offers coupons or links to other related resources. 60 The next screen, will allow us to create and customize a new static page by entering a page name and adding text. The WYSIWYG editor will allow you to easily enter text, pictures and hyperlinks to the static page. The page name entered is used to define how the link will appear on your website. After entering a page name, click on the WYSIWYG editor link to use the word processor for entering your text. Step 1 Step 2 Step 3 To add a picture, click on the button that appears on the WYSIWYG editor toolbar. The following dialog box will appear: The add image section will allow you to specify the source or URL link to your hosted image. You may also enter an image name and specify the alignment. Image hosting companies such as Photobucket and Snapfish may be used to host your images. After you have uploaded your image to the image host, a URL link is created for your image by the image host. Be sure to refresh your web browser for the change to take effect. Front Page Featured Products This section will allow you to add featured items to your homepage page. This feature may only be utilized after items have been synchronized to your website. To enable this feature click on the button to select an item from an available category. The next screen will provide a list of categories. Select a category from the list then click on the button. If no items are available for the selected category, a message will appear explaining that there are no available products. If a product is available, it will appear under the products window pane. 64 Buy Now button You may have a buy now button appear next your items when customers view the online item list on your website. If this option is checked a buy now button like the one that appears below will appear beside each item when viewing the item list on your storefront. Markdown Schedule Having this box checked will display items with a markdown schedule. 65 Products on Hold This option allows you to define if customers are allowed to place items on hold, number of days the items may be left on hold and maximum amount of days the items may be left on hold. First time customers will be prompted to register and create an account before being allowed to place items on hold. A button that reads Put on Hold will appear beside each item when viewing an item list. As mentioned, first time customers will be prompted to register should they choose to place items on hold. Consignor Transactions Fees Consignors may be given the choice to have their account information uploaded to your ShopRW.com website. If consignor account information is being uploaded, this option will control the ability to allow consignors to view their transaction history or just the amount owed on the account. Additional options are available on the Google Checkout configuration page that will offer more control on how orders will be treated if paid through Google Checkout. Any buyer with a Google Checkout account can pay you using their Google Checkout account. Google Checkout provides a virtual wallet for the buyer, containing their credit card information. Google Checkout fees to the merchant are typically about 2% + 20 per transaction unless you are a non profit (Fees may vary for non-profit). If you already plan on providing additional advertisement for your shopping website using Google Ad Words ( then you could get Google Checkout processing for free or at a reduced price. For every $1 you spend on Ad Words each month, you can process $10 in sales the following month for free through Google Checkout. (For more information on Google Checkout fees and setup visit The seller must have a Google Checkout account to accept payments. Site Addresses This section is where you may define what addresses you wish specific types of s to be received from. Use Fancy Image Gallery This additional feature if enabled provides a customizable image gallery for your online items. If you choose to customize the image gallery, you will need to locate the slideshow.cfg file located on your Liberty4 server computer. The SlideShow.cfg file is located in the C:\RWD folder. It is recommended that you use Notepad.exe to open the file and modify the element names. Example of the SlideShow.cfg file when opened in Notepad.exe. Please use the document provided when you click on the Specs Sheet link for instructions on to enter added and modify elements. 75 Google Base Setup This section will allow you to configure Google Base to work with your ShopRW.com website. Creating a Google Base account and entering your Google Base account information into your ShopRW.com administration area, will allow your items to appear on the Google Products website. This feature provides a source for free marketing and allows you to tackle a larger customer base. Be sure to click the download link found at the top of the Google Base Setup section. The Adobe.PDF document provided will instruct you on how to setup a Google Base account and how to get the information requested by your ShopRW.com webpage. Once your account information is entered into your admin area, a data feed from your online store to Google Products will occur every night. For instance, if you have uploaded 10 items to your online store, the next day the 10 items will be searchable through Google Products by potential customers. 76 Functionality for the Google Base product feed has been recently enhanced. Since Google Base now requires a condition when sending items to Google Products, an attribute labeled Condition will need to be created in Liberty4 Inventory Module under the Category Editor > Attributes tab. The values allowed for the condition attribute are Used, New, and Refurbished. The attribute named Condition will need to be applied to all Liberty4 categories. That way when items are entered into Liberty4, a condition can be easily selected and applied to the item. This will allow you to specify what condition the item is so that it appears on the item detail when displayed on the Google Products webpage. 77 Adding & Selling Inventory on ShopRW.com After reading the Liberty 4 Consignment Getting Started Guide, you should have an understanding of how to add items to inventory. This section will explain step by step the additional options and requirements necessary for using your ShopRW.com website as an additional marketplace to sell those same items. Please use the prior sections titled ecommerce Options and ShopRW.com Administration Settings for reference when default options are mentioned in this section. Adding Items Step by Step Step 1 Open the Liberty4 Inventory Module. Step 2 Open or add a consignor, store, or retail vendor account. Step 3 Add or edit an existing item from inventory. Step 4 On the item detail screen, choose ShopRW.com as the Marketplace. Note: If you do not see the Marketplace field, it might be disabled. To have the Marketplace field appear on the item detail screen, click on the button located on the top left hand corner of the screen and click on Edit Layout from the menu. Search for and select the Marketplace field from the list provided. Be sure the Marketplace option is highlighted then click on the button to have the field appear on the item detail screen. Note: In this scenario, the S&H Fee amount entered will be added to the flat rate or calculated shipping rate determined by the shipping methods or shippers you configured in your ShopRW.com administration page. Step 6 Include an extended description if applicable. Type the [F3] key on your keyboard while the cursor is positioned in the description field. An HTML editor will appear that allows you to further edit your description. The ability to add enhancements such as hyperlinks and custom formatting may be used for attracting potential customers. 79 Step 7 Click on the ecommerce Details tab that appears the moment you choose ShopRW.com as the Marketplace. Step 8 Apply photos to your item by selecting one of the following options: If the button is clicked, the images contained in the folder specified as the Source Directory for Images will appear on the screen. The directory may be specified by clicking on Tools > ecommerce Options in the Liberty4 Inventory Module. If the is clicked, a browse for file dialog window will appear. 80 If the button is clicked, a screen capture utility will appear that allows you to connect your camera and capture pictures in real-time. The images will appear on the right side so that you may check to select each individual picture you wish to apply to your item. Note: In the past, Resaleworld had provided a list of cameras that had been compatible with the Liberty4 capture utility. However, with recent advancements in technology and enhanced screen capture applications being offered by most camera manufactures, another method is offered for screen capture. Regardless of the camera model being used, if the camera includes its own screen capture software, it is recommended that it be used instead of the Liberty4 screen capture utility. Both Liberty4 and your third-party screen capture application will need to be run simultaneously. You will need to ensure that the location where images are stored from your third-party capture application matches the Source Directory specified in Liberty4 under Tools > ecommerce Options. 81 Step 9 When the images appear on the photo selection screen, double-click on each photo you would like applied to the item. When images are selected and moved to the Gallery section, they are renamed to the Item ID assigned by Liberty4 and saved to the directory where images are stored. 84 Manage ShopRW.com Inventory If necessary, items may be easily edited and tracked after being saved into inventory in the Storefront Items screen. The Storefront Items screen provides accessibility to items requiring additional information; are ready to be uploaded or are currently active on your ShopRW.com website. This will help save time in searching for online inventory that is scattered across multiple accounts. Storefront Items Screen The Storefront Items screen can be accessed from the Liberty4 toolbar. The Item detail for newly entered items will appear under the Ready tab unless otherwise specified. Items that appear under the Not Ready tab might either be missing required information or have not yet been set as ready to list from the Finish tab screen. Items may also be moved to the Not Ready status if an error occurred during the synchronization. The Active tab will display inventory currently residing on your ShopRW.com website. 85 A search option is also available by column name. Click on the column header that corresponds to the data you would like to search by. For example, if you need to search by Item ID, click on the Item ID column header so that you may then enter an Item ID number into the search field. Note: If you are missing items please be sure that they are not being filtered by the Show only last amount of day s option. The show only the last filter is based on the item received date of the item. Manual Synchronize Regardless of which synchronization sequence option you chose, your item may be manually synchronized by clicking on the synchronize button. As explained previously in the ecommerce Options section, the synchronization sequence may be defined by navigating to Tools > ecommerce Options in the Inventory Module. 86 When synchronization occurs, a tab will appear on your Windows taskbar. This tab corresponds to the RWX Helper tool utilized to upload/download your items. View Log The tab may be clicked to view the current status of the upload. A log of each action occurring during the synchronization is created and saved for viewing if necessary. When an item is uploaded to your ShopRW.com website the following information should appear in your log file. The log file may be retrieved at any time by clicking on the View Log button. 87 Add & Manage Online Retail Inventory Retail Inventory is handled differently then consigned and store items. When adding inventory to a retail vendor account, you will notice that when the ShopRW.com Marketplace is selected, no ecommerce Detail tab appears. The item may only be further modified from Storefront Items screen. If the ShopRW.com Marketplace is applied to the item and saved; the item will automatically appear under the Not Ready status tab in the Storefront Items screen. 88 To further edit the item in preparation for your ShopRW.com website, you may double click on the item line or highlight the item then click on the Edit Item button. Additional options may then be applied if applicable. The Auction Account and Sub-Title fields are only required if the item will be listed to ebay. 89 Retail items may be uploaded to your ShopRW.com website with associated variations. For example, if you have entered one retail item as Red T-Shirt and another as Black T-Shirt, each item may be paired with the other when uploaded. The items must have the same category and be from the same account. In the following example, all retail items share the same categories and account number except for the color and size. One item is Black, the next is Blue and another is Brown. You will only need to apply the variations to one item. The remaining items must remain under the Not Ready tab. Do not attempt to manually upload every variation as this will cause a Duplicate key 2 error when synchronizing. The log file will display the following error shown below. 90 The following dialog window that appears allows you to define which available variations you would like to apply to the selected item. Click to highlight the desired available variation then click on the top arrow to move the variation to the left window pane. After desired variations are moved, click the button to continue. Important Notice: If the extended description is modified on an active storefront retail item with variants, the changes will not appear online. This issue has been submitted to development (Issue ID #6522) so please check myresaleworld.com for future updates. Please search for issue ID # provided when reading release notes prior to installing updates. How to Remove Items from Storefront To remove items from your ShopRW.com website, open the storefront items screen and click on the Active tab. 92 View/Add Note to Item If necessary, notes may be added to individual storefront items. From the storefront items screen, right click on the desired item and select to click View/Add Note. The following dialog window will appear. Adjust Column Layout View The column layout of the storefront items screen may be adjusted by width and placement. To change the placement of a single column, first place the mouse cursor over the desired column header (preferably the column name) then press and hold the right mouse button until a bold vertical line appears on the screen. While keeping the right mouse button pressed down firmly, move the entire mouse from left to right until the bold vertical line appears at the location you would like the selected column to appear. 93 The width may also be adjusted for each individual column. Adjusting the width of columns can help free space so that more information may be viewed without having to use the scroll bars provided. To adjust the column width simply hover the mouse cursor over the right column header break until the cursor changes into a double arrow. When the mouse arrow changes to a double arrow, press and hold the left mouse button and move the mouse left or right to reach the desired width. 94 How Items Appear on Storefront Search Options When customers arrive at your ShopRW.com website they will be able to search items by category, brand and Item ID. Customers may also search by item title and descriptions by using the Advanced Search option located below the logo header. Keywords may be used in the advanced search field to help narrow the search results. Note: The ShopRW.com website service does not currently provide a Search by Size option to customers. If this search feature is necessary, we recommend adding the item size into the item title or item description fields so that the items may be found using the Advanced Search feature. You may provide instructions on your Welcome Page on how to use the Advanced Search if applicable. Items will appear on a list view when a category or brand is selected. 96 Put on Hold You can enable or disable the Put on Hold option. The administration area will also allow you to define how many items may be placed on hold and for how long. Customers may login at any time to view their products on hold by first logging in the Authentication section found on your homepage. They must be a registered customer and logged in at the time they click on the Price Alert button corresponding to a specific item. Once they have logged in, they may click on the bonuses link to locate how many points they have earned. The next page will display any available special offers and bonus points earned. 114 Consignor Login The ShopRW.com website provides consignors the ability to login to view their transaction history and total amount owed. This will help cut down on phone calls to the store from customers asking, How much do I have on my account. If a consignor would like this feature enabled for them then the upload account checkbox will need to be checked on their account. To do this, open Liberty4 Inventory Module then open the consignors account. On the consignor s account detail screen, check the box labeled, Upload Account Info. Note: It is the consignor s responsibility to remember their new password as you will not have access to retrieve what the consignor s new password is. 120 The following screen will then be displayed to the consignor. The consignor will need to enter the same address that was provided to the store and is listed on their account in Liberty4. After entering their address and clicking on the Send Password button, an will then be sent to the consignor. The will appear like the following example. 121 If needed, you may reset a consignor s login password by clicking on the change password button beside the corresponding consignor account. The password will be simply reset to the consignor s address. Note: If an address is changed in the Liberty4 software then the new address will be the username the consignor will need to use next time they login. In other words, the address is the only item that may be updated from Liberty4; the same password used prior to any changes will still need to be used by the consignor to login. Once the customer has selected a payment option they will be asked to confirm their shipping and billing address. The customer may also select a shipping service from the list provided on screen. The shipping methods defined in your ShopRW.com administration area will be available to customers if their address is included within your shipping destination zones. By default all addresses are included in the zone labeled Default Zone. The checkout option will allow the customer to specify if they will be using a gift certificate, credit card or PayPal. If gift certificate is chosen as the form of payment, the next screen will provide an invoice with purchase details, shipping and billing information. 128 Adding Items to ebay After reading the Liberty 4 Consignment Getting Started Guide, you should have an understanding of how to add items to inventory. This section will explain step by step the additional options and requirements necessary for synchronizing items to ebay and ebay Motors marketplace. Please use the prior sections titled ecommerce Options and ebay Settings for reference when default options are mentioned in this section. Adding Items Step by Step Step 1 Open the Liberty4 Inventory Module. Step 2 Open or add a consignor, store, or retail vendor account. Step 3 Add or edit an existing item from inventory. Step 4 On the item detail screen, choose ebay as the Marketplace. Note: If you do not see the Marketplace field, it might be disabled. To have the Marketplace field appear on the item detail screen, click on the button located on the top left hand corner of the add item screen and click on Edit Layout from the menu. Search for and select the Marketplace field from the list provided. Be sure the Marketplace option is highlighted then click on the button to have the field appear on the item detail screen. There is also an insurance field where an insurance amount may be added if insurance is offered on the item. Insurance options must be configured in the shipping options in Tools > ecommerce Options > ebay Settings > Shipping. Step 8 Click on the photos tab to begin applying photos to your item. On the bottom right hand section of the photos screen, you may choose from one of the following options to add your images. If the button is clicked, the images contained in the folder specified as the Source Directory for Images will appear on the screen. If the button is clicked, a screen capture utility will appear that allows you to connect your camera and capture pictures in real-time. 132 Note: In the past, Resaleworld has provided a list of cameras that had been compatible with the Liberty4 capture utility. However, with recent advancements in technology and enhanced screen capture applications being offered by most camera manufactures, another method is offered for screen capture. Regardless of the camera model being used, if the camera includes its own screen capture software, it is recommended that it be used instead of the Liberty4 screen capture utility. Both Liberty4 and your third-party screen capture application will need to be run simultaneously. You will need to ensure that the location where images are stored from your third-party capture application matches the Source Directory specified in Liberty4 under Tools > ecommerce Options. This will allow you to capture snapshots and have the images load into Liberty4 when the button is clicked. 133 When images are selected and moved to the Gallery section, they are renamed to the Item ID assigned by Liberty4 and saved to the directory where images are stored. If multiple images are used a letter will be added to the Item ID. For example, the filename to the images may be 1050A.jpg and1050b.jpg. Step 10 Click on the auction information tab to define additional ebay options. Step 11 Select the appropriate ebay online categories. Category options will be provided from the drop down menus. 135 Step 13 Complete the general information section. Each option is explained in detail as you continue to read on. Please read before continuing to the next step. The duration option allows you to define how long you would like the auction to remain active on ebay. You may also specify a starting bid amount and set a reserve price that must be met by potential bidders before the item can be claimed by a winning bidder. If the buy it now option is selected then the item may be purchased at a fixed price without a required bid. You may also choose to enable the allow best offer option which allows potential customers to submit a best offer directly to you. ebay allows sellers to receive multiple best offers so that they may be reviewed prior to choosing the highest offer made. You may also specify a decline below amount so that only serious offers are submitted. If any submitted best offer is below the amount specified then the submitter would receive an offer declined notice in response. A dialog will appear so that a declined offer message may be created. 136 The buy it now option will display the amount listed in the item price field. If chosen it will override the auction altogether. Per ebay policy, you cannot specify a Reserve Price when utilizing the buy it now or best offer options. If you place an amount in the starting bid field with no reserve price, but have the buy it now option enabled only the price of the item will appear on the ebay listing. The buy it now price is inherited from the amount entered into the price field. If the buy it now option is checked then the starting bid is ignored. This means that the price on the item is less than the decline below price specified. The price on the example above was only $10.00 so the decline below amount cannot be greater than $ If your decline below amount exceeds the item s specified price, please make the necessary changes to continue. The ebay results for an item listed with a best offer option would appear like the image below. Important Notice: If an item is set to Buy it now only fixed price, it may be displayed on both ebay and your ShopRW.com storefront. This will depend on which recommerce plan you have signed up for and if you have chosen to display ebay auctions on your storefront under Tools > ecommerce Options > ShopRW.com Settings in the Liberty4 Inventory Module. A Buy it now item may be purchased through ebay and your ShopRW.com storefront. However, if the item was listed to ebay as an auction only with a specified starting bid amount, the item will still appear on ShopRW.com. The item will only appear as a thumbnail with an ebay logo above the item s image. When a potential customer clicks on the thumbnail from ShopRW.com, they will be directed to ebay so that they may place a bid on the item. 139 Step 14 Review the Store category section if applicable. The Store Only option will allow you to define if the item will be listed directly through your subscribed ebay store or remain as an auction item. When this option is checked the item will be listed as a Buy it now item with a fixed price. The second option will allow you to upload your Liberty4 categories so that they appear as your internal ebay store categories. When a potential customer navigates to your ebay store, the same categories configured in Liberty4 may also be utilized on your ebay store. Provided below are some of our customer s examples. 140 Step 15 Review and select optional ebay auction features. These options may be configured under Tools > ecommerce Options > ebay Settings > Features in the Inventory Module. It will be your responsibility to maintain the auction feature fee amounts by frequently visiting ebay fees help website. Step 16 The next option allows you to define which HTML template you would like to apply to your listing. Several templates are available and may be selected from the drop down menu. The button may be clicked to view how the auction listing template will appear on ebay. Some templates do offer a slide show feature that will appear on the template. Note: Images will not correctly display on the template preview window if Mozilla Firefox web browser is used to view the preview, unless an IE viewer add-on has been installed. The auction templates may be customized by you and at your expense and is not in anyway covered under the standard Resaleworld support contract. Step 17 After all options have been properly selected and/or entered, click the Finish tab. This section will allow you to set a quantity to list, delayed listing date and item to a ready status. 142 Manage ebay Inventory Auction Items Screen The Auction Items screen can be accessed from the Liberty4 toolbar. The Item detail for newly entered items will appear under the Ready tab unless otherwise specified. Not Ready tab screen might either be missing a price or an error occurred during the synchronization. Ready tab screen is where items marked as ready to list are held until the next automatic synchronization. Active tab will display inventory currently listed on ebay s marketplace website. Closed items have been purchased and are waiting to be paid and processed. These items may also come from expired auctions in which there were no winning bids. 143 A search option is also available by column name. Click on the column header that corresponds to the data you would like to search by. For example, if you need to search by Item ID, click on the Item ID column header so that you may then enter an Item ID number into the search field. Note: If you are missing items please be sure that they are not being filtered by the Show only last amount of day s option. The show only the last filter is based on the item received date of the item. 144 As explained previously in the ecommerce Options section, the synchronization sequence may be defined by navigating to Tools > ecommerce Options in the Inventory Module. When synchronization occurs, a tab will appear on your Windows taskbar. This tab corresponds to the RWX Helper tool utilized to upload/download your items. The RWX Helper Client tab may be clicked to view the current status of the upload. View Log A log of each action occurring during the synchronization is created and saved for viewing if necessary. When an item is uploaded to ebay marketplace the following information should appear in your log file. The log file may be retrieved at any time by clicking on the View Log button found in the Auction Items screen. 145 Re-Listing Items Online auctions are a great way to sell items; however, they may not always be successful. In any case, if the auction is not successful, a Re-list option is available and acceptable by ebay. To re-list items click the Re-List Items button. 146 Again, for items to appear on this list, they could not have sold on their first auction listing. Below is a sample of how the re-list screen would appear if any items met the criteria. Note: If an item is uploaded to ebay with a quantity and one item should sell, the entire listing would be moved to Closed or Completed. The item will not appear as a re-list item because one did sell. The item could be listed again as a new item. EBay s re-list policy only applies to items that did not sell any amount of quantity. A re-list option can not be performed on items listed with a quantity and had least one piece sell. Items may also be re-listed by right clicking on the item and selecting the relist item option. 147 How to Remove Items from ebay To end a live auction or buy it now listing, right click on the individual item from the Auction Items screen and select the, End Listing Now option. A dialog window will appear that provides a synchronization log. The following message is true for items that have had their listing manually ended. 148 View/Add Note to Item If necessary, notes may be added to individual ebay items. From the auction items screen, right click on the desired item and select to click View/Add Note. The following dialog window will appear. Adjust Column Layout View The column layout of the auction items screen may be adjusted by width and placement. To change the placement of a single column, first place the mouse cursor over the desired column header (preferably the column name) then press and hold the right mouse button until a bold vertical line appears on the screen. While keeping the right mouse button pressed down firmly, move the entire mouse from left to right until the bold vertical line appears at the location you would like the selected column to appear. 149 The width may also be adjusted for each individual column. Adjusting the width of columns can help free space so that more information may be viewed without having to use the scroll bars provided. To adjust the column width simply hover the mouse cursor over the right column header break until the cursor changes into a double arrow. When the mouse arrow changes to a double arrow, press and hold the left mouse button and move the mouse left or right to reach the desired width. Release the left mouse button after resizing the column width. Print List The print list option provides a printable version of the inventory list that appears on the ebay items screen. 150 How Items appear on ebay Online ebay Listing After adding your inventory to Liberty4 and synchronizing to ebay, auctions may then be previewed by right-clicking on a desired line item from the active items section on the auction items screen. Your default internet web browser will appear and direct you to the selected ebay listing. 154 ebay Fees Web Listing Fees ebay reserves the right to charge web listing fees to sellers. In most cases the fees are applied the moment items are listed on ebay via your auction account and due monthly or shortly after the ebay listing has ended. The money is normally debited from your bank or charge card on file with ebay. With regards to consignment items, web listing fees are always passed on and charged to the originating seller/consignor. This process can be easily automated by applying web listing fees to price code(s) in Liberty4. Please follow the steps provided below to configure automated ebay web listing fees. Open Liberty4 Inventory Module and click on Tools then Price Codes from the menu that appears. Step1 The price code maintenance dialog window will appear like shown below. 155 Next, click on the web listing fees tab #5. Step 3 On this next screen, listing fee options can be configured. Step 4 Each listing option available on this screen is explained further as you continue reading. Use Starting Bid as Price The starting bid field displayed during the item entry process under the Auction Info. Tab may be used as the price. If this option is checked, then the starting bid amount is treated as the price and used as the, inventory priced from amount when configuring fee amounts on the next step. 156 Charge fees when* Item is added to Inventory If this option is selected, the associated fee will be charged to the seller/consignor the moment any item is saved to inventory with the corresponding price code. The fee assessment will appear on the consignor s account transaction screen. The fee amount will count against the consignor s total payable amount, thus possibly creating a negative balance that appears in red with a parenthesis. The transaction will be described as a web listing fee when viewed from the consignor s account transaction screen. Item is actually listed to a website The web listing fee can also be applied at the time the item is actually listed to ebay. This option is only effective if auctions are delayed for a period of days or weeks from the date the items were received. Recharge Fee when Re-listing Currently, ebay will not charge an additional web listing fee on an item not sold on the first listing attempt. This courtesy does not apply to items listed with a quantity where not all quantity sold. If this option is selected, then the same web listing fee can be charged a second time to the consignor. The item and Auction ID must remain the same and meet all ebay re-list requirements to properly synchronize. Charge ebay Reserve Fee If you specify that there will be a "Reserve" amount on one of your listings, ebay will charge 1% of reserve price (up to $100) of this amount to your ebay Seller ID. In order for Liberty4 to acknowledge this fee, you must follow these steps: First, make sure the Price Code you are listing this item with has a check-mark next to "Charge ebay Reserve Fee" (Tools > Price Codes) Second, the Web Item itself must have a defined Reserve amount entered on the Auction Info. tab during item entry. Third, once the item has successfully listed to ebay and becomes "Active" in Web Items, you will be able to refresh within the consignor's account on the "Transactions" tab and should see a "Reserve Price Fee" with the appropriate fee percentage deducted. Note: While Liberty4 allows you to turn the Reserve Fee on or off, ebay controls the percentage that is charged. If you have any questions regarding ebay Reserve Fees, contact ebay.com. Multiply Fee by Quantity Web listing fees can be charged to every individual item included and listed as a quantity. 158 Final Value Fees Final Value Fees are charged only when an item sells on ebay. Just like web listing fees, all final value fees are passed on and charged to the originating seller/consignor. You will still receive an invoice from ebay directly, but the expenses can be recuperated form your consignors prior to paying them out. This fee is applied as a deduction to the consignor account only if the item sells. The final value fees in Liberty4 works exactly like ebay's graduated scale to ensure accuracy when estimating final consignment split amounts. As of 9/2009, ebay's Final Value Fees: If you wanted to configure Liberty's Final Value Fees to match ebay's, verbatim, it would look like the price code example provided below. 159 A $100 item sold/processed via Order Manager generates a $4.81 Final Value Fee. 8.75% of the first $25 works out to be $2.19. The remaining $74.99 gets hit with a 3.5% Final Value Fee ($2.62). The FVF, grand total becomes $4.81. Note: The FVF is based on what the inventory is sold from, not priced. To create or edit final value fees, open the Liberty4 Inventory Module and click Tools then Price Codes from the menu that appears. 162 Charge Fees Up-Front Certain ebay drop-off stores collect money up-front for certain fees that ebay charges - i.e., Reserve Fees, Gallery Featured, etc. To collect this money up front, you would want to follow these steps: 1. Launch the POS (Point of Sale) module. 2. Select the customer you wish to sell this fee to via the "Select Customer" button or by hitting "F9" on your keyboard. NOTE: If this Customer does not already exist, you can add a new account for them by clicking the "Add Account" button. 3. Once you select the account, you should now see this customer's name and account number in the "Customer" field at the top of the POS window. 4. 163 5. When the "Select Fee" window appears, click on the fee you wish to sell to the customer NOTE: To create new Fee Types click on Setup > Maintain Fee Types from within the POS window. 6. It also seems that certain ebay drop-off stores will credit or refund this money only if the item sells on ebay. If this is the case for your store, you can "automate" this. 167 5. Type in the amount of the "deduction" you wish to credit the consignor back. Important: Instead of just typing 20 for a $20 deduction, type in (-20). You are now "deducting a negative amount" which in fact, is a credit! NOTE: $20 is only and example. Please enter the amount(s) that apply to your store's policy. 6. In the "for Inventory sold up to" field, enter NOTE: This is if you credit all of the money back across the board. You may only refund part of the money collected up front or you may have a very specific matrix as far as, "for items sold up to $100, credit back $5, for items sold up to $200, credit back $10, etc. 7. If you wish to only have 1 "line" of credits here, you can delete any other lines that are created 8. Once you click "Save," your Price Code should look something like the example below. Since the Price Code(s) process tabs 1, 3 & 4 only if the item is marked "Completed" in the Liberty4 Order Manager, the Client will not receive a credit back unless the item is actually sold and completed within Liberty4. 168 Order Manager Order Manager Screen The Order Manager module is used to create and retrieve online orders. These orders may be tracked from the time of purchase to when the order is shipped and completed. Click on the Order Manager icon from the Liberty4 Inventory Module to begin using. 169 Options Bar The options bar provides easy access to the following options: This option allows you the ability to create manual orders. The new order option should only be used by Liberty4 Trading Assistants users unless otherwise recommended by a Resaleworld support technician. The older versions of L4TA software did not come with a Point-of-Sale module, so if orders failed to download from ebay a manual order could be created using this option. Note: Manual orders should be performed through the Point-of-Sale module. If the payment type used is a credit card, the customer will need to provide their credit card information to you by phone or fax. Since manual orders for Liberty4 are processed through POS, the same tracking options are not available as they are for orders processed through the Order Manager. Please be sure to keep a record of any shipping information for manual orders if necessary. It is recommended that you continuously check for updates as these options may be enhanced on future versions of Liberty4. Orders may be marked as shipped at ay time by first selecting an order from the paid orders screen then clicking the mark shipped option. A dialog window like the one displayed below will appear so that a shipping method, service level and tracking number may be entered. Note: If the order is marked only as shipped it will be moved to the Shipped Orders screen. 170 The print invoice option simply prints the selected order s invoice. You may also choose to print multiple orders by specifying an order date or order status on the dialog window that appears when this option is clicked. The delete option simply allows you to delete unpaid orders if needed. As a safe guard, paid, shipped and completed orders can not be deleted. If you attempt to delete any order outside of the unpaid orders screen, the following dialog window will appear. The refresh option may be used to update the display to reflect any recent changes made. For instance, if synchronization has recently occurred, the refresh button may be used to force the new orders to appear on the paid orders screen. The same applies to orders that have recently had the order status changed. Meaning, if an order that has been marked as shipped does not immediately appear under the shipped orders screen, the refresh button may be clicked to force the update so that the screen reflects the most recent changes. 171 For troubleshooting purposes, the view log feature may be used to view a log history of how many orders have been synchronized. Additional upload information is provided on the log to help specify exactly when an error may have occurred. The image below shows an example of how the log will appear. Search Options Orders may be found by multiple data types. For instance, if you need to search for an order by receipt, click on the column header labeled receipt then enter a receipt number in the search field. 172 Order Status Orders that are paid online will appear under the paid orders tab. These orders will be waiting to be marked as shipped and/or completed. The status to an order may be changed by first double clicking on the order s corresponding line item. A dialog window will then appear displaying all related information of the selected order. 173 If the order is also marked as completed then it will be moved to the completed orders tab. It is very important to remember that consignors will not be paid for sold items until the corresponding order has been marked as completed. This is to ensure that the consignor is not paid for the item(s) until it has been confirmed that the customer has received the order without incident. Resaleworld support strongly recommends orders are not marked completed until the order has been paid, shipped, and properly received by the customer. Order Detail Detailed information of orders is provided on the Order Manager screen. By simply clicking once any order that appears on the order list, the order s detail will appear on the bottom half of the screen. 174 Notes on Orders Notes may be added to orders by customers during checkout or the store through the order manager. During the storefront checkout process customers will see the following screen which allows notes to be added on the order. The customer note added to each order along with all customer purchase information is downloaded to Order Manager when synchronization occurs. 176 Order Management Create Orders Should you need to create a manual order, you may do so by clicking on the New Order option on the Order Manager screen. This option provides the ability to create manual orders. The new order option should only be used by Liberty4 Trading Assistants users unless otherwise recommended by a Resaleworld support technician. Older versions of L4TA software did not come with a Point-of-Sale module, so if orders failed to download from ebay a manual order could be created using this option. Note: Manual orders should be performed through the Point-of-Sale module. If the payment type used is a credit card, the customer will need to provide their credit card information to you by phone or fax. Since manual orders for Liberty4 are processed through POS, the same tracking options are not available as they are for orders processed through the Order Manager. Please be sure to keep a record of any shipping information for manual orders if necessary. It is recommended that you continuously check for updates as these options may be enhanced on future versions of Liberty4. If a customer buys multiple items from your ebay store and/or is the winning bidder on multiple auctions, their items may be merged into one order. Next, click on the items section. button from the The following dialog window will appear so that additional order s belonging to the same customer can be merged. Click OK to continue. The next option will allow you to specify if the order should be taxable. A note may also be added to the order in case any special shipping or delivery instructions were provided by the customer. 183 Note: Be careful when manually updating the status of orders to shipped or completed without entering a tracking number if one is available. Keeping a record of all tracking numbers for shipped items is good practice and may be used to assist customers with lost shipments. Update Orders Orders may only be updated before they have been marked shipped and/or completed; so be very careful when creating manual orders or updating existing orders from the paid orders section. To make changes to orders simply double click on the corresponding line item of an order. The invoice dialog window will appear for the order selected. Once the order detail screen appears, additional items and payments can be added to the order. The order s status can also be updated and marked as shipped and/or completed. Next, click on the button in the Buyer/Ship To section and then select or enter the customer who originally purchased the item(s) to be refunded. 189 Restocking Fees Restocking fees may be charged to customers for refunded items; however it is recommended that your return policy clearly states that a restocking fee may be assessed if an item(s) is returned to the store. Before you can apply restocking fees, the order must have first been completed in Order Manager so that the fee can be assessed when a refund is performed. Before a restocking fee can be applied, a transaction type named, Restocking Fee should be created. To create a new fee type, click on Tools > Maintain Fee Types in Order Manager. Having this option checked simply ensures that an account is created for customers that purchase your products online when an order is created and downloaded to Liberty4. The account is created using the contact information provided by the customer during the checkout process. Customers that have accounts can have their purchases tracked so that accurate sales reports be generated for accounting. 196 Item Detail This last section offers the ability to specify what information you would like included on your printouts. Connection This section allows you to define what type of connection you will be using to synchronize orders between your computer and the internet. If you are using cable or DSL (Digital Subscriber Line) then please select, Use LAN Connection. Although Dialup is an option it may not be sufficient for synchronizing items and orders. Connection failure and/or time out errors may occur when trying to synchronize. Settings Your settings may be entered into this section so that marketing , item list s and item status s may be sent via Liberty4 to your customers and consignors. Although the use of this feature is completely optional, it can come in handy should you find the need to organize or manage your orders differently. Maintain Fee Types Additional fees may be created and applied to orders to help cover any additional expenses. Additional store expenses may involve, but are not limited to services required for the item(s) to be shipped, delivered or picked up. This next feature allows you as the store to create your own fee type(s) so that they may be applied to orders when needed. Click on Tools from within the Order Manager module. To add additional payments to an order, click the Add button on the payment section. On the dialog window that appears, select a payment type and enter any additional amount received by the customer. 205 Note: When a green check mark appears next to the total due amount, it indicates that the total amount due has been paid in full. When fees are applied and paid on completed orders, the amount of income received for the customized fee will appear on the End of Day Sales Detail report. See below for an example of the transaction detail that appears on the sales detail report. The sales detail summary section of the End of Day Sales Detail report will also show the amount received on all customized fees under All Others like shown below. 208 Maintain Payment Types Additional payment types can be created from within the Order Manager. This feature is optional, but it can be utilized to create customized payment types if needed. For example, if you have created your own money like store bucks, then a new payment type labeled store bucks can be created and used as a form of payment towards purchases. To create new payment types, click on Tools then Maintain Payment Types from within the Order Manager. Click the button to begin creating your new payment type on the next dialog window that appears. 209 On the next window, type the desired name of your new payment type in the specified description field. Also make sure that the Active checkbox is checked before clicking OK to continue. If you left the credit card payment type mapped to Web Sale, then when a customer pays using a credit card online the payment is applied as if the Web Sale payment type in Point of Sale was used. 213 Event Manager The Event Manager is a tool you can use to build tasks that will automatically queue and send s to designated recipients when you synchronize. You can configure the Event Manager to scan for specific event statuses so that when an item or order accomplishes a specified task an event is created and an is sent. Event Manager can be configured to create tasks for both Web Item and Order Manager Status changes. It can basically be configured to monitor Web Item status changes to generate s for the seller or consignor when either an item s or order s status has been updated. Order status updates can also be ed to sellers and/or buyers when configured in the Event Manger. Web Item Tasks - (To Seller): Active, Closed, Error, Not Sold on Re-list, Paid, Ready, Re-list? & Re-listed. Order Manager Tasks - (To Seller or Buyer): Completed Orders, Shipped Orders, Unpaid Orders & User-Defined tabs/statuses. 220 Appendix B Technician s Notes If you are having difficulty in trying to synchronize Liberty4 with recommerce, please troubleshoot the following: Please check your internet connection to be sure your system is online. Temporarily disable windows firewall then try to synchronize again. Turn off any third-party security software to test. (Norton and Norton 360, MacAfee, AVG, Kaspersky, Trend-Micro, Pc-cillin, PC Doctor, Microsoft Essentials, Eset 32, and Microsoft Windows Defender) have been known to cause issues with Liberty4 if not properly configured. Please disable all packaged features and attempt to synchronize again. If this repairs the problem, please ensure that all Liberty4 applications are excluded from being blocked by your security program. Please contact your security software vendor for assistance with configuring your anti-virus program. Although wireless connections will work most of the time, Resaleworld does NOT recommend that this type of connection be used. Our support department does receive numerous calls from customers that experience several connection issues with wireless networks. So, again, please stay away from this type of connection if you can help it. Please check to ensure that all necessary information is correctly entered in Tools > ecommerce Options. If your Resaleworld registration information is not entered, you will not be able to properly synchronize. All registration information is provided via immediately after you first register for recommerce.
