4 The Perfect Tool for HR and Payroll Professionals NGA HR has worked in partnership with HR and payroll professionals from around the world to develop ResourceLink. This has led to a highly configurable solution that recognises how different people often require a different user experience to get their job done effectively. Using automatic workflow routing to key personnel, cases can be attached to an employee and given a status, with definable types that can range from employee queries to disciplinary cases. Case information can also be reported on and analysed by authorised users, enabling your organisation to identify potential trends and update corporate policies and strategies. Each user in HR or payroll can define and tailor their own dashboard in line with their responsibilities, creating favourite fields and screens to record and maintain specific data. Workflows can be created, task alerts and reminders set up, cases initiated and a calendar maintained. Users can also choose which KPIs to display on their dashboard. They can then review their KPIs at a glance and go deep into the detail when required. Document management and workflow The solution also offers the ability to store documents within the system, at an individual employee level or at an event level such as a training course or recruitment campaign. This allows authorised users to store and view relevant documents from within a single repository. 5 Self-Service Included within the main ResourceLink product is our self-service solution. This helps to engage employees in a range of peoplerelated issues, empowering them to take more responsibility while relieving HR and payroll staff of a number of administrative tasks. Within a secure, controlled environment employees can modify non-sensitive HR data held about them, cutting workloads of busy HR staff to let them focus on more strategic goals. For managers, things go further still as they can use self-service for everything from approving leave requests and managing personal development plans to accessing and analysing data about their teams. It is a web-based solution that has been designed to be as easy to use as possible. Employees are generally not users of HR software so the language, look and feel of the self-service application has been adapted to reflect this. Pay and expenses Employees can view their total pay, total deductions and net pay for the most recent pay period. They are also able to view their total expense payment for the most recent expense run. Leave requests From this screen an employee is able to request different types of leave. They can view their entitlement quotas for previous, current and upcoming years. Employee directory Employees can search the company directory in ResourceLink, which also enables them to make phone calls or send texts by clicking on the relevant contact fields. 6 NGA ResourceLink for HR What makes ResourceLink such a useful asset for HR functions is its employee data capability. It brings all of the data into one place and makes it easier to retrieve and process. So everything from simple administrative tasks to strategic decision making can be done faster and more effectively. Information can be recorded on a wide range of areas, from personal details, training and qualifications, through to benefit maintenance and absence. ResourceLink is designed to integrate well with other systems, so information held elsewhere can also be accessible from a single front end. Recruitment ResourceLink can manage recruitment end-to-end, from posting the job advert on a website and completing online application forms through to interview, job offer and automated onboarding. This removes duplication and unnecessary administration, bringing efficiency to the recruitment process whilst saving a great deal of time for HR staff. The Business Alerts Manager facility delivers this data to line managers when they need it. KPI s can be configured to monitor objectives, triggers or deadlines on metrics like absenteeism, training days, dismissals, CRB check completion, recruitment efficiency and labour turnover. 8 NGA ResourceLink for Payroll Paying people accurately and on time is of course a non-negotiable obligation for organisations. ResourceLink has a comprehensive range of functionality to handle even the most complex public and private sector payroll requirements. This functionality includes flexible pay run processing, back pay calculations, net to gross capability, retrospective processing rework, and the capability to work with multiple legislation and currencies. The recording, calculation and payment of expenses can be easily and accurately administered reducing time for employees, managers and HR. This efficiency is enhanced with self-service tools for online expense management. There is also an integrated tool for the recording of expenses and benefits for statutory BIK processing, further reducing the administration burden to the payroll department. ResourceLink also administers flexible benefit packages designed to attract the best applicants and engage the workforce. Employees can use an online system to log in and choose their benefits, changing them as their lifestyle and priorities change. Finally, ResourceLink Pensions has been developed to make it easier and quicker to run your pensions scheme, providing confidence to trustees. The system is capable of producing all relevant P45, P46 and P35 returns and generates these files in the correct format for uploading to ROS. In addition, the system can accommodate uploads of data for categorisation of employees and pay types to facilitate quarterly EHECS returns for the Central Statistics Office. The system provides for production of the EHECS return in XML file format so that it is ready to upload directly to the CSO web site. The system also generates an accompanying suite of reports detailing, at employee level, the make-up of the summary data contained on the EHECS return. ResourceLink also supports SEPA payment returns for all of the banks operating in Ireland. 10 Deployment Options Across ResourceLink there are three ways that the solution can be implemented: On-premise For many clients we have implemented ResourceLink on an on-premise basis. This either uses an existing server within the client s IT infrastructure or they purchase and configure one. Some clients choose this arrangement because they have significant IT resources and are comfortable taking on an additional system. Cloud Increasingly, clients are choosing to implement via the cloud. This reduces implementation timescales, provides a reliable user experience and frees up valuable IT resource that can be deployed elsewhere. The NGA HR cloud is delivered from two data centres that provide a resilient and virtualised infrastructure aligned to ITIL best practice. A dual feed two-way link between the data centres ensures peace of mind and the ability to keep working in the unlikely event that one site is compromised. Cloud deployment removes the need for you to fund your own server purchases or maintenance. It also provides you with cost benefits and additional peace of mind due to our commitment and investment in this infrastructure. Managed service (HR outsourcing) Organisations can choose to outsource their HR, payroll or both to NGA HR as a fully managed service. The majority of clients that do so are happy with the solution being hosted on the NGA Secure Private Cloud.
