1 New Employee Manager s Checklist New employees are a tremendous asset to your company as they are your most critical investment in achieving our vision, mission, and goals. Long term retention of any new employee starts at recruitment. Now that you have your new employee recruited with a planned start date, you want to foster their (and your) success. Use these checklists to ensure that you have all of the needed elements to help get your employee off to the best start possible. Employee Name: Start Date: Before the Start Date Schedule and Job Duties Contact employee Set up meetings with critical people for the employees first few weeks Confirm start date, place, time, dress code, parking, etc. employee link to for new hire paperwork at so they can submit paperwork on their first work day. Remind them to bring their verification documents on their first day for the Form I-9 (requirement) Add to new employee s calendar Have a copy of the Employee Guidebook, operating policies or other procedures ready Create action plan/tasks for the employee s first day Put together welcome packet from the department and include: Socialization Notify your department of the new hire Contact MidwestHR Human Resources if additional copies or a digitized version is needed. Job description Welcome letter Employee Guidebook Job classification guidelines Contact names for the department Schedule for first week Benefits packet Department/unit organization chart Department/unit phone/ list Map of worksite (if applicable) Parking and transportation information Include start date, what their job will be, and employee biography (if applicable) Send via to department Copy the new employee, if appropriate MIDWESTHR All Rights Reserved
2 Benefits Contact your HR and Benefit Coordinator at MidwestHR Work Space Clean the work area Pull together basic office and/or desk supplies Have key made/order card access (if appropriate) Obtain benefits packet and information Make welcome sign (or card) and have department members sign it, if appropriate. Verify working computer Order business cards, name tag, and name plate Technology Related Access Order computer Contact computer tech team to have the system set up in advance Arrange for phone installation Submit requests for access to company system/software Training/Development Arrange pertinent trainings required for the job. If needed. Consider software needs of the job such as: Calendaring system platform Daily software needs Printer connections Departmental portal and network access : 2
3 Employee s First Day Welcome them upon arrival Provide overview of the first day and work week Introduce them to department and team members Review and collect mandated and required paperwork Introduce them to work area Introduce them to the department/unit Arrange to bring them to lunch on the first day Understand that they may be nervous; try not to overwhelm them. Introduce mentor or trainer (if using one) Break/lunch areas Restrooms Building access cards/keys Review contents of welcome packet, give them time to look through it on their own Collect and review on-boarding paperwork for completeness. Complete Page 2 of the Form I-9 using the certification documents provided by the employee. Obtain signed Confidentiality Agreement, Non- Compete and/or Terms and Condition agreements (if applicable) Review time keeping mechanism (time sheet, time clock, etc.), if applicable Discuss how to sign up for benefits and review pay statement Supply them with key(s), ID, or other items to gain access to office Show them how to order office/desk supplies Overview of software and other technology use (calendar system, phone/voic , computer, , etc.) Safety procedures/policies (if applicable) Introduce them to system Introduce them to the office computer network (shared files and/or drives) Show them how to use the copier/fax Take them on a tour of the building Show them elevators, stairs, exits, restrooms, kitchen area (if available), break room (if available), lockers/closets (if available) Show them copy room, office supply area, mail area Introduce them to key departmental people Show them how to open/close office (if appropriate) Provide tour of different area(s) of worksite, as appropriate to their position Include other employees if possible 3
4 Review department and/or job classification policies Discuss transportation and parking Review job description Give them their first assignment Process and recording for sick leave, sick child, and vacation time/requests Company calendar, holidays and events Dress code Emergency procedures Security protocols and building hours Overtime policy (if appropriate) On-call/After hours requirements (if appropriate) Probationary period Phone and computer use Timecard procedures (if appropriate) Discuss expectations for job Review first week schedule Make it small and doable so they feel like they have already accomplished something 4
5 First Week Show them training schedule Technology check-in Pre-schedule trainings if possible Talk about overall training timing Verify working computer Departmental access/portal Printer hook-up Software needs Calendar Phone/voic Other requirements Review org chart for the department Meet or touch base with new employee daily to answer questions Inquire how first week went Make time to listen to any questions Encourage them to ask questions Explain your work style and discuss how it will fit with the style of the new employee Provide list of current department projects and cyclical programs, highlighting roles of other department members Inquire if questions on benefit and pay statement (if appropriate) Discuss training policies and procedures Who to contact Where to go with questions Online options 5
6 First Month Weekly or bi-weekly meetings with new employee Check in about benefits and pay statement Discuss process for reviews Review performance standards Review job description Discuss job rules and regulations Check in on mentor/trainer Answer their questions and help foster engagement with the organization Ensure that they have submitted forms Answer any questions that they have or direct them to MidwestHR Benefit Department Make sure they are receiving their pay stubs and/or direct deposit Talk with mentor/trainer (if appropriate) Talk with new employee about mentor/trainer relationship (if appropriate) 6
