1 ULearn: Learning Management System (LMS) Update for April, 2012 HR Pros Meeting

2 What is ULearn? Learning Management System Records training taken by employees of the University Register for courses, launch online courses, find course resources, complete evaluations and assessments, and track completion of training/education on a transcript Captures non-credit and external training 2

3 ULearn is a hosted System ULearn is hosted by ADP Software as a Service model (SaaS) Configurable, but not customizable Upgrades or updates occur quarterly and are our choice we turn on the functionality An enterprise system without the IT overhead costs 3

4 Why do we have ULearn? PeopleSoft system (current system) has limited functionality PeopleSoft retiring the module Needed a new system to meet University-wide training and tracking needs Ability to report compliance with training and education requirements Supports the talent management and employee engagement initiative Supports PULSE survey for employee development 4

5 Impact on You Register for courses in one location, regardless of the provider Launch online courses, materials, evaluations and assessments Manage your learning activities in one location Access Request Form process not changing, will be separate Transcript will record any training completed after ULearn implementation Historical transcript available by datawarehouse or UMReports.umn.edu/Training History 5

6 University Impact Supervisors can work with their team to identify and assign training Required training can be pushed to learners as needed System can capture interests and needs assessment data Future expansion to talent management activities possible: Performance reviews, IDP s, and career tracks (no planned date yet) 6

7 Project Update In development Training took place at end of March User Acceptance Testing (UAT) in May Expected rollout in July Access and Data Feed Discussion 7

10 User Record Data Feed Status All Staff and Faculty, full or part time, actively employed Employees on leave or short work break All student workers and seasonal workers 10

11 Primary vs. Secondary Jobs Primary: Record with highest number of standard hours Secondary: Record with second highest standard hours 11

12 Registering for Courses Find courses directly in ULearn: Search by course title Search by training unit provider (i.e. Training Services) Browse by subject of training Search by event calendar Find courses on training unit provider s website and link to registration in ULearn 12

13 Choosing Learning Activities Events are classroom based or delivered face-to-face Online classes are self-paced online modules. Most in Moodle but connected to ULearn. Tests are quizzes and assessments that are graded Materials are documents or files to support training or provide directions Curricula are sets of courses (events, online classes, tests, materials) that are packaged together to manage pre-requisites and post training requirements 13

14 Managing Transcripts Comprehensive list of activities a learner has in the system: Display all types of learning activities Launch online learning Open materials Check and manage pre-requisite Complete evaluations Complete tests Enter external training Learners will use the transcript to manage most activities and tasks in the system 14

15 My Team Supervisors have an added feature to manage their staff s learning Assign training Track progress on training Check for pre-requisites and completions Future activities related to performance management 15

16 Costs for Training Some training has a minimal charge associated with materials (i.e. MBTI) Financial system chart of accounts information will be captured via a form at the time of registration Note: Non-credit training will prompt learners to pay with invoice or credit card. 16

17 Reporting Training Learners will have access to standard reports Learners can print their transcript UMReports: Training History report will compile historical records (PeopleSoft) and ULearn records into one report DWHR will combine historical records (PeopleSoft) and ULearn records 17
