1 The transition has begun! We are very excited and look forward to meeting you and working together to complete a smooth transition. We both have a lot of work ahead of us, but if we work together, we can assure this process runs smoothly. The information below will provide you with a guide and a timeline of what you can expect from Sonesta and what is expected of you. In addition to your General Manager, there are many resources within Sonesta to assist in this process. This will be very exciting for all of us! Timeline Below is an outline of action steps and a timeline of what you can expect over the next five weeks. Instructions related to How to complete the action steps are included below. Week of June 15 th Your hotel has been assigned a Sonesta Representative and he/she will visit your hotel to introduce Sonesta to you! We think you ll like what you learn about us. They will conduct a Welcome Session where you can learn about Sonesta and working for Sonesta. We encourage you to ask any questions that you have. You should begin the application process right away. The faster the better. No Later Than Tuesday June 23 rd Your application and background check authorization should be complete. Sonesta will process your applications and background checks as soon as they are received. Beginning Week of June 29 th through July 22 nd Sonesta will begin to send offers of employment, following the successful completion of the Sonesta hiring process. This will be an ongoing process. There is no specific date to send all offer letters. Once we receive your completed application and background check, we will begin processing them, making decisions and extending offers. Employees complete Sonesta Onboarding, following written acceptance of an offer of employment. After you sign your offer letter and return it to your General Manager, you will begin your on-line onboarding. July 22 nd & 23 rd Sonesta Representative on site Conversion! Celebration!
2 What is Sonesta s application process? There are several steps in our hiring process. The faster these steps are completed, the faster we can process applications and extend offers. Your General Manager will work with you if necessary to assist you in making sure all the steps in our hiring process are complete. Applying for your job The Application is available on the Career Site portal. Just click on the link Sonesta.com/applynow. You can apply on our Career site by using any computer at work, at home, a library etc and typing in the Sonesta.com/applynow link. You can also use your iphone by typing in the Sonesta.com/applynow link into your browser. If you need assistance in applying, you can click on the How to Apply link to get information on how to complete the application. Your General Manager can also provide you with a hard copy of this guideline if you prefer and can assist you with the process. Once you are on the Career Site, simply click on the Apply Now link and complete the Sonesta Application on-line. You should apply for your current position, which you will find on the Apply Now link. You will need a work or personal address to apply. If you do not currently have an address you have two options. See below. Addresses If you do not have a work or personal address, you can either: 1. Use the address of a family member or friend. This should be an address that you will use and can get access to easily as it will be used for background check and onboarding. 2. If this is not an option, then please see your General Manager for a temporary address. Your Sonesta Representative can also assist you. Background Check Complete the Background Check authorization. You will be sent an with an authorization form to the address you provided on your application. Please check for an from eservices@geninfo.com, so that you can authorize a background check. This link expires within seven (7) days, so please check your regularly. If you provided us with the temporary address, you will need to complete a hard copy of the two authorization forms. The two authorization forms titled 1. Written Disclosure form and the Authorization and 2. Consent to Request Background Report is
3 available on the Career site. You can print them out from the Career Site or see your General Manager to give you the forms. Please make sure these two forms are signed and return both to your General Manager as soon as possible. Predictive Index Completion of our Predictive Index form. This applies to the following positions only- General Manager, Operations Manager, Director of Sales, Sales Manager, Maintenance Manager, and Housekeeping Manager. As soon as we receive your address either from your General Manager or from your completed application, we will send you a link to Predictive Index. Instructions to complete the Predictive Index are provided in the link. Allow yourself minutes of uninterrupted time to complete the Predictive Index form. Once we receive completed applications and background checks, we will begin to process them immediately to assure that the hiring process operates as smoothly as possible. This process could take up to two weeks, so it is very important to begin as early as possible. No offers will be extended without a clear background check. Offer Letters Once the above steps and our hiring evaluation process and decisions have been made by Sonesta, we will issue offer letters to confirm the details of employment with Sonesta. Please make sure you sign your Offer Letter, keep a copy and give the original to your General Manger as soon as possible. The faster we receive signed offer letters back, the faster we can begin the Sonesta onboarding process. We re almost there.. While you will have your offer letter to join Sonesta, we still need you to complete your onboarding and particularly to review and sign several key documents. Onboarding Once we receive your signed offer letter, we can begin your onboarding to Sonesta as an employee! We will manage the forms part of your onboarding through our on-line HR system called Workday. Workday is the system Sonesta uses to onboard new hires, maintain employee record-keeping, employee benefits enrollment, and other HR related activities.
4 You will be sent an with Onboarding instruction to the address on your application. These are instructions to log into Workday to begin your onboarding. If you provided us with the temporary address, your General Manager will provide you with access to Workday for Onboarding. You can complete your onboarding from any computer at work, at home or any public location as well. It is important that this is completed as soon as possible, but no later than July 22 nd. Required Forms in Workday You will be allowed to work once we can verify that the required forms are completed as part of your onboarding in Workday. Copies of the documents below can also be found on the Career Site. These are: o Sonesta Arbitration Agreement o Sonesta Code of Conduct o Sonesta Employee Handbook o Sonesta Attendance Policy o Federal Form, I-9* o Federal Tax Form o Benefits Enrollment, if applicable o Direct deposit or a different State Tax exemption, these forms can be completed on paper and sent to Sonesta-CentralPayroll@sonesta.com. *You will need to provide documents to support I-9 form within three days of their first day of employment. Benefits You will have the opportunity to learn about the Sonesta benefits at the Welcome Session. Additionally, benefits information is located on the Career Site and you are welcome to contact either of our benefits specialists-see below. Keeping Track of Status of your Application and Onboarding Process We understand there is a lot to do in a short period of time and we want to make this as stressfree as possible. Your General Manager will be helping you to keep track of what needs to be completed and your Sonesta Representative will be able to assist when he/she is on site. Congratulations! Once all the above steps have been successfully completed, it ll be time for big Congratulations and to begin to work together.
