A company s first impressions can have a lasting influence on a new hire - good or bad. Dr. Marla Gottschalk, an Industrial/Organizational Psychologist, describes a recent grad s first day at a new job: He had been impressed by the recruitment process...and from every indication was about to embark upon a truly great career. Then he arrived on-site for his first day of work; there was no plan for his arrival. His direct supervisor was not present. There was trouble ascertaining if he had been assigned a workspace or a computer. 2

3 Within 6 months, the new hire was moving on and the employer was back to square one with recruitment. You are already aware of the wasted time and money associated with needlessly losing new hires. But, it s not easy to remember every single onboarding task...until now. BEFORE THE START DATE The following checklist contains the tasks you should complete before your new hire starts. Most items are required for a seamless transition and to comply with Canadian labour law. 3

4 NEW HIRE CHECKLIST BEFORE THE START DATE Item Actions to Take Employment Contract Send contract to new hire for review (Contract Example) Arrange meeting to review and sign contract Plan Orientation Day Set a start date for new hire: Notify manager and department of start date Create Orientation Package (see next page) Workplace Set-Up Arrange and set-up workplace furniture Set up any phone or mail directories required Arrange for building access (keys, access codes or fobs) Arrange for parking space Technical Set-Up Set up computer with temporary login and password Set up company address with temporary login information Set up company Internet/Intranet access on computer Set up and activate a company phone 4

Have the required forms ready and make yourself available for questions and guidance during the first week. Item Actions to Take Payroll Fill out these fields in a New Hire Form: (Download Template) Start Date Salary Department SIN Number Date of Birth Address Emergency Contact Information Arrange to receive a void cheque from new hire Have new hire fill out Form TD1 (Download Form) Validate the new hire s SIN number Calculate CPP, EI and federal tax deductions Input payroll information into payroll & HR software (Learn how Paysavvy will do a lot of the work for you) 6

7 NEW HIRE CHECKLIST ON AND AFTER THE START DATE Item Actions to Take Benefits Communicate benefits plan coverage specific to new hire Arrange meeting with benefits administrator Have new hire fill out enrollment or waiver form Input new hire information into benefits online system and HR software Confirm that employee receives benefits packet (Approx. 2-3 weeks) Workplace Safety Administer appropriate workplace safety testing Provide location of safety equipment and evacuation procedures Provide training and copy of Violence and Harassment Policy (Example Template) Keep records of all testing forms signed - typically with HR software Mentorship Assign a workplace mentor to work with the employee for the day Check in with new hire after the first day, first week and first month 7
