1 DOCUMENT MANAGEMENT SYSTEM SOFTWARE IN LIBRARIES MR. KUNDAN JHA Assistant Librarian Hon ble Judges Library High Court of Chhattisgarh, Bilaspur, E mail:[email protected] ABSTRACT This paper highlights major open sources software and advantage of using open source software. This paper also describes in brief about the Logical DOC, Open Doc Man, and Open KM which are useful for developing document management system in libraries. KEY WORDS- Open Source Software, Document Management System Software, Logical DOC, Open Doc Man, and Open KM. 1. INTRODUCTION- Open source software (OSS) is an application software and specially design by any special group and user with its source code made available with a license in which the copyright holder provider the rights to the study, change and distribute, developed the software to another for any purpose and users have the freedom to run and distribute the software without any restriction. Open source software which can be used modified and improved by any person and any group of institutions. In other word we can say that open source software is software that users have the ability to run, copy, change, study, edit and share and improve for any purpose. Open source library software does not need the initial cost of commercial software and enables library to have greater control over their working environment.

This paper also describes in brief about the Logical DOC, Open Doc Man, and Open KM which are useful for developing document management system in libraries.

2 Normally small and medium size libraries feel automation, digitalization or digital library and institutional repository software as a financial burden due to the high price of proprietary Software, to which OSS is one of the best option. The basic features of OSS are: 1.1 It can be downloaded freely 1.2 Source code is accessible to the user by which users can customize the software as per requirements 1.3 Manufacturer, developer or designer do not claim any price or royalties on the distribution or use. 2. OPEN SOURCES DEVELOPMENT- Open-source software development is the process by which open-source software, or similar software whose source code is publicly available, is developed. These are software products available with its source code under an open-source license or general public license to study, change, edit and improve its design. In 1997, Eric S. Raymond wrote The Cathedral and the Bazaar. In this book, Raymond makes the distinction between two kinds of software development. The first is the conventional closedsource development. This kind of development method is, according to Raymond, like the building of a cathedral; central planning, tight organization and one process from start to finish. The second is the progressive open-source development, which is more like a great babbling bazaar of differing agendas and approaches out of which a coherent and stable system could seemingly emerge only by a succession of miracles. The latter analogy points to the discussion involved in an open-source development process. 3.ADVANTAGE OF OPEN SOURCES SOFTWARE- The basic advantage of OSS are: Lower software cost Simplified License Management Lower Hardware Cost

3 Support Unified Management 4. OBJECTIVES- The main objective of study is identified/ analyzed in the following : To consolidate the information on Open Source Software (OSS). To know five open source software and their feature. To find out the facilities provided by Open Source Software (OSS) to their users. To know the advantage of Open Source Software (OSS). To know the open source document management system software. 5. METHODOLOGY- For data collection methodology, the main source of data collection are various observations which are from primary (journal and conference paper) and secondary source (Books and Handbook) of information and different type of search engine such us Met crawler, Google, yahoo, msn, 123, and other type of search engine. 6. It features are web based access, fine grained control of access to files, and automated install and upgrades Open Knowledge Management Open KM is web base open access document management application software that uses standards and Open Source technologies. Open KM provides various tools i.e. full document management capabilities including version control and file history, metadata, scanning, workflow, search, data retrieve and more. It also allows the social activities around content to be used to connect people to any other people, information to information, and people to information, helping to manage, more

5 efficiently, the collective intelligence of the human resources of the company or any institutions FINDINGS It gives a wide area of digital library/ electronic library and library automation. This facility is available easily anywhere and anytime. Open Doc Man and Open Knowledge Management software are available under the. Logical DOC software is available under L licenses. Open Doc Man and Open KM software is available under licenses. Logic Doc software is used Java DJK, My SQL, and Postgrs SQL platform for supporting database. Open Doc Man software is used Apache, My SQL, IIS and PHP platform for supporting database. Logic Doc software is used Java J2EE platform for supporting database. 8. CONCLUSION The library and information science professional are expected to adopt technology depending upon their needs.
