To help you with your studies, we have provided this Orientation Handbook which we hope will answer many of the questions you have about studying and living here. Please read the handbook carefully and if there is anything you don t understand, please ask your teacher or a staff member to explain. Remember to help yourself improve your English ability by speaking only English in the college at all times and talking in the evenings as much as possible with your Homestay family and Australian friends. 5 Emergency Procedures In the event of a fire/emergency please follow the directions of the college staff. You will be escorted out of the building if the fire alarm sounds. Stay calm. Leave any heavy or bulky items (eg backpacks or suitcases in the classroom.) Take your valuable and personal items such as a wallet, handbag or daypack with you. Close the classroom door after you leave the room. Do not lock the door. Use the stairs either at the front or the back of the building. Do not use the lifts. Meet your class group at the George Street end of the Queen Street Mall check your name off your teacher s class list. Stay with your class group until your teacher tells you it is safe to return to the building First Aid Viva College has trained First Aid officers on staff so if you need assistance, please ask any member of staff. 7 English Language Levels and English Courses at Viva College There are six levels of General English at Viva College each of which is taught over a twelve week period and Progress Tests are held every four weeks. After your test, we review your progress and decide the most suitable class for you, and from there all classes are reorganised. This means that some students move on to the next level, some continue at the same level, and sometimes students might move down a level. Specialized courses (ESP) are available to students from Intermediate level and higher. Students must take a pretest (Wednesdays at 3pm) to check if their English language level is suitable for the following ESP courses: IELTS, Preparation for EAP, EAP, Cambridge examination preparation. Course Structure What are ESP courses? Beginner Elementary Pre Intermediate Smart Talk 4-8 weeks A functional course for Speaking. Preparation for EAP 12 weeks An introduction to basic research, note-taking, assignment- writing and presentation skills. EAP 12 weeks English for Academic Purposes. Excellent course if you are planning to study in Viva s Business courses, at University or TAFE. IELTS weeks International English Language Testing System. This internationally recognised test is usually a requirement for entering Australian colleges and universities, and for immigration. There are three levels for IELTS classes at Viva College Cambridge 10, 11 or 12 weeks An internationally recognised testing system offering four levels; PET, FCE, CAE and CPE. 9 . Study Materials Core class: Your core class teacher will issue you with a textbook (Student Book) on your first day in class. You will receive a new Student Book when you change levels. If you lose your Student Book you will have to pay for another one. Please see your teacher if you lose your book. Elective class: There are class sets of texts in most elective classes. Your teacher will hand them out and collect them back in at the end of every elective class. Do not write in these books. Your teacher will provide copies of teacher-created resources and photocopiable resources for you to use in classes where there are no class sets. Your materials fee also allows you: free internet access free use of study resources in the library Viva College writing logbook- Remember to write your name on the front cover. various supplementary materials that your teacher will give you in class. Core class and elective class: Every class at Viva College has a planned and structured syllabus. This means that each class at the same level, for example, Intermediate A, B or C or Speaking A or B, will study the same material in the same week. Core classes focus on presentation and practice in all macroskills of Reading, Writing, Speaking and Listening. You will also study relevant grammar and vocabulary topics at each level. Elective classes: It is usual for students to feel a difference between the core and elective classes. The focus of all elective classes is to offer practice in different skill areas - for example, Speaking focuses on speaking fluency, Academic English focuses on the skills required for academic study at College or university. Your teacher will use many different teaching methods to provide variety in your elective classes sometimes you will study in pairs, sometimes in small groups and sometimes individually. Your teacher will introduce you to language activities which will help you practise the target language in a fun way. Talk to your teacher: Your core class teacher is an expert in English language teaching and will get to know you well. If you are worried about your English language development, your class or study plans, you should first discuss it with your teacher. Generally, you can do this during the scheduled class time. However, if you need more time, please make an appointment to meet your teacher before/ after your class time. Course Progress Viva College is serious about helping students to achieve their goals in English language learning. Teachers are required to monitor all students, ensuring that they are in the most suitable class and level, and that they continue to make satisfactory progress. Viva College defines satisfactory progress as having the ability to maintain a 75% grade point average over a 12 week period. If, after at least 4 weeks study at Viva, a student receives less than 60% then they are deemed to be in danger of not being able to make satisfactory progress. 10 Attendance Policy 1 All students enrolled in an English course at Viva College are required to attend a minimum overall attendance of at least 80% of their classes. This is Satisfactory Attendance. 2 If students are going to be absent from class for any reason, they can tell their teacher, or phone Viva College before 9am on the day you are going to be absent. This information will not necessarily prevent them being marked absent. Viva s phone number is: If students are absent from school through illness, they are advised to see a doctor and get a medical certificate, stating the dates they cannot attend school and the medical reason for their absence. Medical certificates may be accepted as evidence to support absence from school. Students should keep the original medical certificate in a safe place in case they are reported for unsatisfactory attendance. 4 In order to minimise disruption caused by late arrivals, Viva has a 5 minute late policy for all classes (morning, afternoon and night). If students arrive more than 5 minutes late, they cannot enter class till the start of the next hourly block. e.g: if the start time is 8.15am they can enter class at 9.15am If a student is absent for more than 5 minutes during each one hour period (except for toilet breaks), they risk being marked absent. Unsatisfactory Attendance Your attendance will be recorded by your teacher for each hour of class every day (maximum 5 hours per day). The Director of Studies will warn you if your attendance is nearing the level considered Unsatisfactory (i.e. if your attendance is 80% or below.) If you have more than one enrolment at Viva College, your attendance will be calculated separately for each enrolment. Three - Step Counselling Procedure for Unsatisfactory Attendance Student Visa-holders Non student visa-holders STEP 1 If your overall attendance falls to between 85% and 90%, you will receive a warning letter signed and issued by the Assistant Director of Studies. Please talk to your teacher or the Director of Studies if you have a problem and cannot attend class. STEP 2 If your overall attendance falls to between 80% and 85%, you will be required to meet with the Director of Studies or Assistant Director of Studies to discuss your absences from class. You will receive a second warning letter explaining the consequences of continuing further absenteeism. STEP 3 Student Visa-holders Non student Visa-holders If you continue to miss class and your overall attendance falls below 80% (= If you continue to miss class and your overall attendance falls Unsatisfactory Attendance), you will receive a letter from the Director of below 80% (= Unsatisfactory Attendance), you will not receive a Studies stating Viva college intends to report your poor attendance to the Graduation certificate from Viva College.* (You will receive a Secretary of DEEWR, who will report you to DIAC. 11 English Only Policy The English-Only Policy has been established to assist you to maximise your English language practice time and develop confidence in a supportive environment while at Viva College. While at the College campus, you must communicate (speak, listen, read and write) in English only. This includes the classrooms, corridors, the bathrooms, student lunch area and the library. It does not include the entrance to the Queen Adelaide Building or any area off the school premises (except if you are with your teacher on a class excursion.) The Reception area is also the ONLY area in Viva you may use your own language. English must be spoken at all times and in all places on the campus. The Library Students must communicate with each other and with their teachers in English at all times in the Library. The only exception is: The Computers: Students are allowed to read and write s and access web sites in their own language in their class break and lunch times, before and after school. Computer use during class time is restricted to English only. Students are not permitted to use for personal use during class time. Note: Even when you are ing in your own language, you must still speak in English while in the Library. You must use the computers in Reception if you want to use VOIP/SKYPE to speak in your own language. Mobile Phones: Mobile phones must be turned off in the classrooms. If you need to use your mobile phone to speak your own language, you must go to Reception. If it is an emergency, please tell a staff member who will make a private room available to you for you to use your mobile phone in your own language. Excursions Students must communicate in English on excursions with their teachers and classmates. Students must communicate in English during Viva College activities (eg Movie Club and Conversation with a Conversation Partner) Dictionaries Students are encouraged to use English- English dictionaries at Viva College. Penalties If a student breaks the rules of the English-Only Policy, s/he will receive a penalty: Penalty #1 Frist Warning Penalty #2 Second Warning Penalty #3 Third Warning and meeting with the Faculty Head Penalty #4 The student will not be permitted to remain at Viva College. Rewards Students may earn Reward Cards by choosing to use English when they don t have to. For example, two students of the same language group may choose to speak English outside of the school (eg in The Mall). Each week the student who has accumulated the most orange card will win a prize (2 Movie tickets) Please note: A Reward Card cannot cancel a Penalty Card. 12 Rules and Procedures Student Leave (Holidays) All students: Should have completed 12 weeks of study at Viva College before applying for a holiday. Must give Viva College a minimum of two week s clear notice. The maximum number of holiday weeks students may take is four (4). Must have a current attendance of above 80% Must have a valid reason for taking a holiday Must apply for a holiday in one-week blocks from Monday to Friday. Will have the holiday approved only if their visa gives them enough time for the holiday time to be added onto the end of their course. Cannot take the Viva College progress assessment test if their holiday is in Week 4, 8 or 12 of Viva s 12-week cycle. Note: Exceptions to these rules may be made in the case of a documented emergency. Students will need to talk to the Faculty Head about this. Please note there are no classes on Australian Public Holidays, and the College is closed. We will tell you when a public holiday is coming. Please do not pay for travel arrangements until your holiday application has been approved by the Director of Studies. Extending Your Course at Viva Ask at Reception for a form called Extending your course. Complete the form which will be processed by the Registrar. It would be appreciated if you could give Viva College at least one week s notice if you are going to extend your course so we can make sure we keep a place for you in your class. Shortening/ Cancelling Your Course at Viva Ask at Reception for a form called Shortening/ Cancelling your course. Complete the form. You will be asked to meet with the Director of Studies to discuss: why you want to shorten your course. if you want to put your course on hold Viva College s Refund Policy (please see next page for details) Changing your address in Brisbane Inform Reception staff when you change your address. DIAC requires that the college keep a record of your current address while you are in Australia. From time to time the Immigration Department will write to that address and if the letters are returned unanswered, the Department may cancel your visa without notice. You should therefore notify the college if you intend to change your address at any time. This should be done a few days before the change if possible. Changing your Viva Homestay If you want to change or leave your homestay family, you must tell Viva College and your homestay family at least two (2) weeks before the change. 13 Student Visa Extensions If you are on a student visa and wish to extend the visa, you can do so at DIAC. You will need to take the following; Your passport A Certificate of Enrolment form (COE) A satisfactory attendance report from the college Please remember that to extend your visa, your attendance must be satisfactory (80% attendance or more). If you wish to extend your visa, you need to book an appointment with DIAC by phoning When you call you will need; Your passport Address in Australia (Street name, suburb and postcode) Name and date of birth If you need help, ask at the inquiry desk. Overseas Student Health Cover All students on a Student Visa are covered by the Overseas Student Health Cover insurance (OSHC). Your health cover membership can be organised by the college and when your Health Cover card arrives at VIVA, you will be contacted (usually in orientation). For more information please ask at Reception. Part-time Work Students with Australian Study Visas who wish to work part-time (maximum 20 hours per week) while they are studying must apply at the DIAC office for a work permit. You need to take a letter from the college confirming your attendance. 14 Student Grievance Procedure At VIVA College, we try our best to give our students top quality teaching and excellent personal care. Please use the following guidelines to help your solve your problems. You may be accompanied and assisted by a support person at any relevant meeting. 16 Certificate II in Business (BSB20107) Course Length: 22 weeks Entry Requirements: 5.0 IELTS or equivalent The Certificate II in Business will help students to develop the foundation knowledge and skills needed to commence study or entry-level work in the business field. Certificate III in Business (BSB30401) Course Length: 28 weeks Entry Requirements: 5.5 IELTS or equivalent The Certificate III in Business Administration is designed to improve your employability and prepare you for further study gain essential skills in customer service, word processing, data entry & typing. Certificate IV in Business (BSB40207) Course Length: weeks Entry Requirements: 5.5 IELTS or equivalent Develop your academic skills and prepare for University in Australia by gaining essential project management and leadership skills needed to succeed in business. Teaching English to Speakers of other Languages (TESOL) Viva offers a range of Teacher training courses for both native and non-native English speakers. These intensive programs give students a thorough grounding in the theory and practice of teaching English. For more information about any of these courses ask the Marketing staff or make an appointment at Reception to talk to the Director of Training and/or the Director of TESOL. College Facilities and Services Opening Hours The normal office hours are between 9am and 5pm and there will be no appointments available after 5pm. Free Study Assistance (Monday 2:30-3:30pm and Wednesday 3:30-4:30pm) Viva College offers a free workshop to help you to improve your reading and writing skills. If you would like to attend, please sign up at Reception. Please note: a maximum of 18 students may sign up for each workshop session. Free Conversation (Tuesday 4-5pm and Thursday 2:30-3:30pm) Viva College offers a free workshop to help you to improve your speaking and listening skills. If you would like to attend, please sign up at Reception. Please note: a maximum of 18 students may sign up for each workshop session. Job Club Viva College operates a professional job assistance program to help you find employment in Australia if your visa allows. The job club is a fee-based service, and if you are a member of job club we will: help you to write a personal resume to present to employers; help you get permission to work in Australia; help you get your Tax File Number; help you practice interview sessions; Library (open Monday Friday: 8:30am 5:00pm) The library has a wide range of English Language resources, including text and reference books, newspapers and magazines and selfstudy tapes and videos. 17 Computers (available in the library and also near the telephones) Computer and Internet use are available free of charge outside of class times. You can make a booking to use a computer, or wait until one is available. You will be issued a password and user name when you first join Viva College, which will allow you to log on to the computers. Please note that there is a download limit of 100Mb a week per student. You can borrow headphones from the library staff. Viva College also provides wireless access for laptops all through the college, so please notify Reception staff if you want to set this up. Please note that downloads are unlimited if you use wireless access. Access to the Internet and computer use may be withdrawn by Viva College if they are used inappropriately or illegally, or if students do not follow the English only policy. Please do not eat or drink while using the school s computers or equipment. Telephones There is one telephone in the Reception area for student use. Local calls are paid for by Viva College. This service is only for current Viva College students. Telephone cards can be purchased from most newsagents if you wish to phone internationally or within Australia. Student Mail You may have your mail sent to the college's address. If a letter or package comes for you, we will send you a note through your teacher, telling you to collect it from Reception. Please direct your mail to Viva College at your own risk. Student Cards You must have your student card on you at Viva at all times. You will be asked to leave class if you do not have it. You may go home to get your card and be marked absent for the time you miss in class OR go to reception and pay $15 for a new card. Your student card will get you cheaper prices at most cinemas, theatres and other amusements. Please remember to take care of your student card. If your card is stolen you will need to bring the police report as proof. Emergency Help Line A member of the College staff is available to assist you 24 hours a day if you have a genuine emergency. The number should be kept with you at all times: Security VIVA has video security cameras in the reception and Self-Access Library for your protection. However, you also need to be careful with your bags and belongings. Don t leave your bag unattended in the classroom during breaks. For security, the lift will be locked at 7:30pm every night. Lunchroom The lunchroom has a refrigerator, microwaves and hot water for your use. Please remember to be careful when this area is busy and make sure you clean up, using the rubbish bins and replacing the furniture after you have finished. The lunchroom provides a reasonable amount of seating, but cannot provide a seat for every student. If the room is full, please remember that there are also many food courts, and parks near the school where you can eat your lunch. Please do not eat or drink in a classroom or the Library Smoking is not permitted anywhere inside the building There are smoke detectors in all rooms and in the stairs. The College will be given a $500 fine for setting the alarms off. This will be passed on to the smoker who set them off. If you want to smoke, please leave the building. Please don t stand in the doorway or stairs. This is illegal in Queensland. Viva College Brisbane Campus Updated June 2013 Page 17 of 20
18 Local Information: Banking Reception staff can assist you in opening an account at the ANZ Bank. If you would like to open a bank account, it is very important that you open the account within your first 6 weeks in Australia. It is very difficult and troublesome to open a bank account after the first 6 weeks. In fact, it can be very expensive because you may need new identification and documents translated. In order to open a bank account you need to present your passport. You only need a small amount of money to open an account in Australia. Banks are open from 9:30am to 4:00pm Monday to Thursday and 9:30am to 5:30pm on Friday. Some are also open on Saturday morning. For example, the Queen St. Mall ANZ branch opens 9am-5pm Monday to Friday, and 10am-pm on weekends. Some banks also have some speakers of foreign languages. Automatic Teller Machines (ATMs) are located throughout the city and you can access them 24 hours per day. Post Office You will be shown where the closest post office is when you go on the city tour during Orientation. The cost of mailing a standard letter is 50 cents anywhere in Australia. Overseas mail is charged according to weight and the cost also depends on the country it is going to. Post Offices are open from 9:00am to 5:00pm. Shopping Supermarkets in Brisbane are generally open 7 days a week and some are also open 24 hours per day. Brisbane will offer you a large variety of fresh meat, fish, fruit and vegetables at reasonable prices. China Town, on the edge of the city in Fortitude Valley has a large number of Asian shops and restaurants. Transport Buses and trains are an easy way to travel to and from the College. The bus station is right under the college and the train station is just two blocks away. Most students buy a daily or a weekly ticket. With these you can make as many journeys as you want in the time allowed. There are also tickets which allow you to take ten trips. These are cheaper than paying each time you travel. Driving You can drive in Queensland using the driver s licence from your home country, for a limited period. However, you must also carry an official translation of your licence. You may also use an International Driver s Licence. The Queensland traffic rules are detailed in The Queensland Driver s Guide and may be purchased at newsagents. Swimming Warning The Queensland coast is famous for its beautiful beaches, but a surf beach can be extremely dangerous for people who are not used to it. Make sure you always swim in a patrolled area between the yellow and red flags. They tell you where it is safe.
