4 Introduction This document was written by Patrick Sims to detail the various new features in the Medilink ESI R1 & R2 release. Please refer to previous feature list documents where you have skipped releases etc. Some of the features listed in this document were available in 2013 R3, which was actually released early As they were undocumented in the 2013 R2, they are documented here Advanced Professional Systems Pty. 5 Medilink Features Accounting Screen GUI Changes Next of Kin/Emergency Contact displayed. Next Appointment colour changed (was too bright). Referral section grey s out if referrer is deleted. Prompt Child Claimant To ensure a claimant is set when billing a child patient. Change Future Appointment Status There is now an (optional) warning when changing the status of an appointment in the future, (except confirmations/cancellations). Recurring Appointment Intervals Added 20 minute option. Appointment Colour Code When using the appointment codes, (i.e. colour coding), the appointment background can now be coloured instead of the text. Note: you may have to change colour codes to pastels if you intend on implementing this otherwise it s too hard to read text. Appointment Book Mouse Scroll Wheel The mouse scroll wheel has been implemented in the appointment book. Normal scrolling controls the vertical scroll bar, holding the Shift key while scrolling will scroll horizontally Advanced Professional Systems Pty. Ltd. Page 2

6 User Based Provider Sort Order Each user can now modify their own appointment book provider sort order, independent of other users. This setting applies per user in the Medilink system, i.e. it does not matter which computer you are using, just who you have logged in to Medilink as. Unable To Empty Bank Table There is now an easy way to resolve this common problem. Click the Tools Menu, then Fix Bank Table. DVA Batching Radiation Oncology Items This group of items will now be filterable in the batching screen, (to avoid batching a mix of item types). Un-apply Credit A utility has been written to allow credits to be unapplied. Labels A few new fields have been added to the label system: Alternate patient name format (for addressing). Town state postcode format (for addressing). Account type. Fee column. Recent Patients List There is now a list of your recent patients in the File Menu. This means you can quickly see the last 10 patients you ve had on screen, and flick back to them where necessary. Note: Currently this information is only stored in memory, when you close Medilink it will disappear. User Permissions Advanced Professional Systems Pty. Ltd. Page 3

7 There have been a few tweaks to the minimum user level for some functions: Appointment Reports (Management) Reverse Receipt (Optional enforce admin) Clinical (Office) Patient List DOB and Mobile Phone added. MRN instead of File# optional. Audit4 Patients In Format Can now export patient changes to the PATIENTS.IN file using the Audit4 format. Appointment Book Patient Search This dialog has been revamped. The columns are now resizable, it can be sorted in reverse order by clicking the header. These changes also apply to the cancelled appointment search, (which utilises the same screen ). Quick Letters You can now get in to the letters dialog much quicker, without choosing referral details. These will be chosen later when you click New or New3. Issues Resolved Easyclaim accounts have mobile number greyed out. Editing referral duration does not update the screen unless the patient is cycled, (caches old duration). Third party show work phone instead of fax. Double clicking on next appointment can go to a cancelled appointment if cancelled appointment in between today and the real next appointment. Appointment book patient search doesn t do reverse order. Patient Did Not Attend Report missing details. Audit trail greyed out if no patient selected Advanced Professional Systems Pty. Ltd. Page 4

8 Multi-day service prepaid then refunded can cause crash in specific circumstances. Only show providers with outstanding bulk billing when batching option not working correctly, (showing duplicates). Could not set claimant if not registered for Medicare Online, (claimant option necessary for Easyclaim too). Easyclaim transactions not updating last seen and patient outstanding balance correctly. Extras not saving unless specific fields changed, (need to expand so that any field change will save Extras). AHM still using AHSA rate. Fees dialog would sometimes crash on closing it. Unable to save surgical record error, need more robust surgical id management. Default to Easyclaim option overrides IMC, even when billing from ECLIPSE screen. A5 duplicate invoices over date range, service date and invoice number overlap. Personal account patients getting claimant not set error, (should not occur for personal accounts the patient is always the claimant). Incorrect patient letters being shown due to WinAPI FindFirst function returning invalid match, (need to double check files found). Send letters via not working. from Review letters via Appointment Book choosing the patient in Accounting Front Screen not the patient for selected letter. HIC.PSI in server data folder propagating even if it is older than the one on client computer. MD Link turning off automatically in certain circumstances. MediLinkIt not closing when registering Medilink. Provider Banking Information dialog crashes on exit. PATIENTS.IN flagging as update for some patients that should be flagged as append. Payment screen prefilling cheque even if prefill cheque option off. Referral start/expiry calculation should ignore corrected services and services older than referral letter date. Item Activity Unpaid Report should not show invoices that are fully corrected. Assorted Reports use Dr for all provider salutations. 9 Document Management System Features Letter Add/Edit/Delete You can now add, edit and delete letters from the DMS. The DMS performs all of the New Letters functionality, (i.e. if a new letter is triggered from Medilink or EHR, it actually is created by DMS). Carbon Copy Letters You can now CC multiple referrers for each letter, and have these CC referrers printed on the base of your letters. Referrers You now can select multiple referrers from the DMS when clicking the to button. DOCX Compatibility Main Templates & Letters can now be DOCX format. Bulk Folder Poll/Import The Bulk Scanning sub-module can now poll on a folder and auto import. This is handy for non-twain scanners, (i.e. you use built in software to export to a folder, Bulk Scanning picks it up, later you sort through the bulk scanning and assign documents to patients). Letter Fields A lot of new letter fields have been added: Account details. Consultation details Advanced Professional Systems Pty. Ltd. Page 6

10 Additional patient details: Medicare Expiry, Referral Expiry, Next Appointment, Full Fund Name. Address blocks. Username. Template Creator Templates can now be created in the DMS Template Creator submodule. This gives you a handy interface for modifying templates. Issues Resolved Advanced Professional Systems Pty. Ltd. 11 DPI drop-down stuck on Loading. DMS list not loading if letter filenames invalid. If doing letter (triggered from EHR) with no referral for patient, DMS crashes. TWAIN reliability issues. Note: If you continue to have TWAIN scanning issues we recommend un-ticking Hide Scan Dialog, which will then revert to using the native scanner manufacturers dialog. Bulk scan locks up DMS under certain conditions. Letter template generator not saving main file. When generating letter for Provider whose internal id is 100 or greater, various errors occur. Creating letter in DMS when triggered from Medilink Appointment Book, is not progressing appointment status to green R. Deleted referrers showing in referrer list when creating letter. Electronic Health Records Features Overhaul Consult Notes The EHR consult notes screen has been completely revamped. Handwritten Consult Notes There is now a handwriting mode for consult notes. Either the whole consult can be handwritten, or you can use the standard or template consultation, and handwrite in the individual sections. Note: this was in some very late 2013 versions of Medilink, but further improved in Duplicate As New Consult You can now click an existing consultation and convert it to a new one, with all of the fields prefilled as per previous. This is handy if you just need to change 1 or 2 things for this new consult, but want to leave everything else Advanced Professional Systems Pty. Ltd. Page 8

12 Quick Consult Create Double click consultation node to create new consultation. Current Medications Free Text You can now enter current medications using a free text field, (used to have to choose from list only). Close Options When closing you are now taken back to summary screen. We do this as a last chance to ensure current consult is finalised. GUI Update Various changes to better suit smaller form factors, (i.e. Surface tablet). Highlight Consult Types To differentiate between templates/handwritten notes. Print Template Consults From Summary Previously this was only possible from the edit consult screen. Progressive Consult Notes You can now have a grouped progression of consultations, each following from the last. Handy for specialists dealing with a predefined management process, (i.e. pregnancy). MIMS Install This has been improved and is now able to run in the background while you use the EHR Advanced Professional Systems Pty. Ltd. Page 9

13 Result Speed Up The loading of results has been tweaked, (now faster and more robust). Patient Search The patient search in EHR has been improved. Add Patient From Results From the Results sub-module you can now add new patients. Add Recalls From Results Recalls can now be added from Results sub-module. Auto Attach Patient On Result Actioned If you action a result it assumes the likely patient found is correct, and automatically assigns the result. Re-Attach Result If a result was incorrectly attached, you can now detach and reattach to the correct patient. Print Results You can now print results from the results preview screen. 14 Changed the way this was displayed to make it more obvious and easier to disable. Issues Resolved Authority scripts not printing DVA/Benefit/Pension Crash when editing/viewing communications. Exception when logging in as non-provider user. Consultation fields not saving properly in specific scenario. Consultations not prefilling patient details. Painfully slow when typing text in to notes. Addendums not saving. Tab order out of whack. Adding non-drug allergy only saves reaction, not allergy name. Diagnosis/treatment in wrong order. Consult handwriting full screen not working. Template selection box coming up twice. EHR logout then back in again creates errors. Result patient matching algorithm issues. Multiline consult notes crashing consult letters. MIMS install causes EHR crash. MIMS install download starts twice. Consultations defaulting to invalid template type. Adding a communication from patient summary choosing wrong patient. Object Reference exception when printing scripts. Null Object exception in EHR consult summary (loading list). PrintRichTextBox exception in results. Results matching algorithm confused by middle initial. Healthscope HL7 results preview not loading. Normal results marked as abnormal (in specific set of circumstance). No preview when initial loading of results, have to re-load them, (cached). Results and EHR crash when attaching result to patient (in specific set of circumstance). Some HL7 results not being processed, invalid HL7 from various vendors. This is a work in progress as there are various interpretations of HL7, (we use an international standard library for 2.x HL7). Printing result does not show collection date in header. Results configuration screen exception. New results incoming count is incorrect. HL7 Medicare number missing, (one vendor storing in alternate field than most). 15 Scripts printing blank in specific set of circumstance. Script printing overlapping provider name, address, and prescriber number. Script printing consultation date. EHR not starting up without MIMS installed. Print template button not working. EHR taking too long to load, (when patient has a lot of letters). EHR patient right-click context menu non-functional, (temporarily removed, will introduce at a later date). EHR protected memory exception. Summary just says loading for all types. Crashing when showing preview in specific set of circumstance. Variable name appears in template consultation preview. Template notes are too limited in size, (has now been greatly expanded). Templates saving to wrong fields, (caused by overlap). Adding allergies to problem lists creates duplicates of existing problems. If printing a result and patient doesn t exist or isn t attached, exception occurs. These appear as meetings on the device that the provider is using, (i.e. smartphone, tablet, computer), via the device s /calendar system. This will be extremely useful for providers who travel regularly, but do not necessarily have/need access to the full Medilink system. The system allows for 2 way message back via their device s interface, for the practice to then action. For example, if the provider replies that he/she cannot attend the meeting and gives a reason, the practice can then phone the patient to reschedule the appointment etc Advanced Professional Systems Pty. 18 Installer SharedMem Configuration Added auto-configuration of the BDE to resolve the SharedMem bug. File/Registry Virtualization The installer will now (optionally) disable the Windows OS virtualization, (i.e. the VirtualStore folder), as this can cause issues for Medilink. You may have to reboot for this to take effect. Medilink Folder Permissions There is now an option in the installer to give Everyone full control of the Medilink folder. This is a failsafe to ensure all users have access to this folder, (which is necessary for Medilink to function correctly). Shortcuts Shortcuts to Medilink will now be prefilled with the Start In field pointing to the Medilink bin folder. The legacy launcher and utility icons have now been removed from the desktop. They are still accessible from the Windows Start Menu. This means we will only have the new Medilink Launcher shortcut on the desktop. We do want to encourage use of the new Medilink Launcher as it contains useful links, all of the utilities, important information, and the current version is just as easy to use as the old login screen, (more info in the relevant Medilink Launcher section). Java JVM 6 is required for Medicare Online , and is bundled in the current Medilink installer Advanced Professional Systems Pty. Ltd. Page 15

19 Fees The fee importer has been tweaked for stability and speed, and field quantity and number of patient seen items. Medilink Launcher The new Medilink Launcher has had another overhaul in The website and all sorts of other useful links are at your fingertips, including our remote support utility. Other existing utilities are also available from the new Medilink Launcher. We have tried to make it as simple to login using the old Medilink login screen, for example if you don t have a password, simply pressing enter twice will login and start Medilink as normal. MediLinkIt EventLog EventLog is now only written to in test mode. Tyro Optional Tyro terminal selection dialog at point of raising billing/claim. Terminal switching on the fly is now supported, this is necessary for multiterminal remote desktop servers. 2Hippo Fixed old SMS replies re-appearing in pop-up messages bug. Hidden billing appointments were causing the SMS sending process to terminate early, this bug is also now fixed. Speed improvement in the reading of appointments Advanced Professional Systems Pty.
