1 Elmwood Park School District #401 Request for Photographer Services High School Services Fall/Spring Pre-Pay Program Photograph all students and staff and furnish the following: Two to three weeks turnaround on all student and staff portrait packages. 800 toll-free telephone lines for customer and school use. Competitive packaging and pricing. Easy package distribution at schools. Packages are sorted and bundled by a/lab-teacher for easy distribution to students at school. Schools will receive a list of student packages ordered. Complimentary picture package for all faculty and staff. Retake/Absentee fall picture day scheduled at the school. 100% satisfaction guaranteed refund or no questions asked retake. Picture day promotional items personalized flyers and posters. Complimentary CD-ROM with all student images if requested Provide a Photo-directory to each school. Parents may purchase the entire package or custom design a package to suit their needs. No burden to the school. Schools will not count money or do any reporting. Studio-style backgrounds and posing. Individual day of graduation with students dress in caps and gowns FTP or similar digital transfer of pictures which passes PCI compliance

2 Student Identification Services The first ID card is to be produced by photographer from PowerSchool using sy photos. Subsequent pictures for ID cards must be coordinated with yearbook pictures CD rom provided to District for PowerSchool upload capabilities ID cards are to be delivered no later than August 21 of each year of the contract. Photographer to be at school one day after beginning of school to photograph all new students ID cards will be color coded for bus ride privileges... data provided by EPHS The vendor is to provide training, ID administrative software, hard-card printer and camera for the district to produce their own ID cards during the remainder of the school year. High School Services Senior Program The school will provide an Excel file of all seniors to include name, address and phone number. Senior proofs will be mailed or sent electronically to the student within 10 days of being photographed, No charge retakes, provided there is not a change in hair or clothing. Offer a wide choice of backgrounds. There may be changes of clothing with different sitting options. Deliver senior portraits for the yearbook on a CD-ROM by the deadline date. Complimentary computer printout to the yearbook advisor of all seniors photographed, and the seniors not photographed. Photograph seniors over the summer at the school, and again after school has started. All dates to be set up with the yearbook advisor. Vendor will not schedule any senior photography dates less than 30 days prior to the senior deadline date. Seniors may be photographed for the yearbook only at no charge. No student is under any obligation to purchase.

3 High School Underclass Program The school will provide an Excel comma delimited disk of all underclass students to include name, grade, ID#, and address. Mail home underclass flyers to each student. Provide portrait cameras to photograph students on the dates established by the school. A retouching option will be offered to all students. Provide a yearbook CD-ROM for the yearbook publisher within 3-4 weeks after the final retake day. This will include all students and staff that are photographed. Color glossies will be delivered on or before the school s deadline. Glossies will be individually cut, fully identified, and in alphabetical order. Underclass pictures will be delivered in 30 working days or less from the final date of shoot. Faculty members will be provided with a FREE underclass package at no charge, if they are photographed. Complete computer printout of all underclass students that are photographed along with their package ordered. High School Sports Program Photograph all teams and individuals wishing to purchase. Two color enlargements will be processed in two to three days, or a CD-ROM available immediately if needed, and delivered to the yearbook and/or athletic department for school use. Deliver individual portraits packages within three to four weeks of picture day. All coaches will receive a complimentary package of their individual portrait and an 8xl0 color team picture at no charge. The Athletic Director will receive an 8x10 color team picture of all teams photographed. The school will receive one head and shoulders photograph of each varsity player for the Athletic Department s use. Provide, at no cost to the school, an 8x10 or 11 x14 (to be determined by the Athletic Director) color photograph of any team or player for the Wall of Fame. Provide double prints of Varsity Sports (action photos). One copy to the Athletic Office, other copy to yearbook sponsor.

4 High School Dance Program Photograph couples at Homecoming, winter dance and Prom. Couple packages will be mailed home within 10 working days. Candids will be taken at Homecoming, winter dance and Prom. High School Yearbook Participation 800 toll-free telephone lines for customer and school use. Provide photographic coverage of school activities/athletic events.. Number of dates you will provide Color film, processing and printing to the yearbook staff at no charge for film supplied by vendor, return of prints within 7-10 days of the event. School may use a digital loaner camera in lieu of film and processing. Yearbook staff may call or their scheduling requests. Personal service provided with regularly scheduled meetings to insure that all deadlines and expectations are met. Vendor will provide a printout of all events scheduled for coverage. Vendor will conduct a photography seminar for the yearbook staff to help them with their photographic skills. Further Considerations The school will exclusively use the photographs taken by the vendor in the underclass and senior sections of the yearbook. All portraits are 100% guaranteed. Photo-directory

Please submit a written proposal outlining your experience in conjunction with the requirements as outlined within this document. At this time, the District will enter into a one year agreement, with provisions to extend to a multiyear agreement.
