1 Provider Portal Managing your catalogue Provider organisa.ons can manage their own catalogue that displays on the West Sussex Connect to Support site. Products/services can be amended, added and deleted. How do I manage my catalogue? 1. Log into the Provider Portal using your address as the username and the password provided either in your no.fica.on (if this is your first request) or the password you have been provided previously. If you do not know this or having issues logging in, please contact the s4s helpdesk. NB. You can access the Provider Portal by visi7ng h9p:// providers and clicking on the orange Login to provider portal bu9on. 2. Please navigate to Administra:on/Catalogue setup/catalogue products/live on the lek hand side of your screen as displayed below: 3. This will display your current live catalogue an example is displayed below:

2 Amending current entries 1. Open the product/service you would like to amend my using the pencil icon under the heading Ac.on. This will open the detail of that item. NB. If you use the magnifying glass you can only read, not edit. You can amend the following details on the main details tab; Product name Category Descrip.on

3 You can amend the following details on the Addi.onal details tab: Price Unit of measure Availability of service NB: If you wish to amend the image that is displayed, please this to and we will upload this for you as it needs to be re- sized to load. 5. Once you have made the relevant amendments to your entry, click Save & close bu[on and this will take you back to the overview page and your entry will automa.cally update on shop4support/ Connect to Support. Please remember to refresh your internet page to see the amendments. Adding a new product/service 1. Select the Add bu[on: and the following page will display: 2. You need to complete the following fields: Product Code (this can follow on from current codes or can be something you use internally) Product name this will display in the small box & once the item is opened up. Type Please select whether it is a product or a service (please ensure this is correct before moving onto the next tab as if incorrect you cannot amend) Category Click change and select the most relevant category for your product/service. Open the category headings to see the sub- categories.

4 Descrip.on Click Edit descrip.on to complete this. Please either type in manually or copy & paste from notepad as oken forma_ng will copy over and will make the text not look correct when published) There are func.ons within the descrip.on box you can use, for example bold and underline and the character count will change as you add text here max 5000 characters. Once the descrip.on is complete, click Save & close. Your logo will automa.cally display against any new products/services you add which will show once the entry has been published. If you wish to add an image here, please name the image the product code you have used and to so we can re- size and upload for you. 3. Click the Addi.onal details tab and depending on whether you are adding a product or a service, the following page will display: PRODUCT You need to complete the following fields; Vat % (if there is no VAT applicable, please leave as it is Unit of Measure Select the relevant unit of measure for your service/product Standard price Enter the price Unit quan.ty How many you receive for the price

5 SERVICE You need to complete the following fields; Vat % (if there is no VAT applicable, please leave as it is) Unit of Measure Select the relevant unit of measure for your service/product Standard price Enter the price The product service will last for Enter how long the user would get for that price. Examples: If it is an hourly rate you would select 1 hour, 0 minutes per day for 1 day per week for 1 week. For a weekly cost of 24 hour residen7al care you would select all day, 7 days per week for 1 week. 4. Complete the Availability sec.on of the page use the radio bu[ons to display the full op.ons, you can set 24 hours a day, 7 days a week or refine this to par.cular start/finish.mes for each day, depending on your service.

Click the Price list tab and the following page will display: The following fields need to be completed: Select the drop down All catalogue groups and select Public catalogue a second drop down will then appear to the right of it, select the op.on displayed when this is opened (should only be one op.on to choose from) and the Add Item bu[on should now be visible. 6. Click Add item (NB. You may get a pop up here asking if you wish to save what you have done so far, click yes. The informa.on you have inpu[ed will now display on this page, an example shows below; The following field needs to be completed:

7 Amend the radio bu[on from the price to 0.00 % of standard price (see arrow on the diagram above). This makes price amendments easier at a later date, click save & close. 7. Click on the A[ributes tab followed by Add and select the following; 1. WSCC Age 2. WSCC Areas 3. WSCC Condi.ons 4. WSCC kitemark Click save and close and you will see the following screen: 8. Open each of them up and select the relevant op.ons using the pencil and clicking save & close when completed; WSCC Age - Tick which age groups the product/service is suitable for WSCC Areas - Tick all of the areas you can provide the product/service into WSCC Condi.ons Tick all of the client groups your product/service is relevant for WSCC kitemark Tick which apply to this product/service note that all should have code of conduct.cked. When these are all complete, click Save & close, this item is now live within your store and can be seen on the West Sussex Connect to Support site. Dele:ng a product/service 1. Open the item you wish to delete by using the pencil icon under the Ac.on heading

8 2. Put a.ck in the box next to Disable product in all categories as per the diagram below: 3. Click Save & close this item will now move from the Live to the deleted folder and can be reinstated at any.me by opening up and removing the.ck again.
