1 Ideas and Information from the Medical Software Experts June, 2008 TIP OF THE MONTH Monthly Posting Comparison Report (Main Menu > Reports > Income) This is an excellent report for creating a three-year comparison of some, or all, of the posting codes (payments and adjustments). A suggestion is to limit to just the payment codes by checking the Receipts box, but you can also limit to just a few or a single payment, such as Medicare payments. If the default detail format is taken the report will include a breakdown for each payment type. The summary format will display the aggregate totals only. Below is a representative sample of the breakdown for a single posting code. For each month of the 3- year period you see the number of payments posted and the total amount that corresponds.

3 NEW FEATURES The following is only a partial list of features intended to illustrate our continuing progress with the ProVision System to provide an idea of what to expect in future upgrades. Please contact your sales representative for additional information and to inquire about the availability of new features and schedule of future upgrades. No Overbooking The request to include the option to mark selected time increments for No Overbooking is available through the Staff Hour Set Up feature. A simple check in the no overbooking box, that is associated with the selected time, will prohibit the entry of two appointments for that provider at that time. To inform the user that certain time slots are no over book areas the system displays an exclamation point as a reminder 3

4 If this time is used for a patient s appointment and is selected again for another appointment, the system will alert the user with a message. Adding New Patient Accounts Entry of a patient name automatically produces the Patient Scan feature with a display of existing accounts in that alphabetic range for the user to determine if the patient has been registered and therefore is an existing account. When the patient requested is not shown in the display and it is determined the account does not already exist the new account can be added by selecting the Add Patient option. The Add Patient selection will produce the updated entry screen to begin the new account entry process. The updated fields are shown here. 4

5 The Master Menu adds an option to select either Basic or Quick Patient providing a fluid and userfriendly access to this popular view of demographic data. Both Basic and Quick Patient have HIPAA privacy in mind by allowing the user to clear the screen of patient information with the use of the added Next button feature. 6 ELECTRONIC NEWS Trailblazer Medicare B Submitters DE/MD/DC To all current submitters of Medicare B to Trailblazers: please fax the submitter setup letters that you are receiving from CMS/Highmark Medicare Services to C&S at These are part of the centralization process that Medicare is going through as part of HIPAA. States in Jurisdiction 12 currently going to Trailblazer for Medicare B & some Part A are being moved to processing through Highmark Medicare. Testing will be done sometime after the receipt of your submitter information. The date that migrations can begin for production Medicare B claims is July 11, NEWS Offsite Data Back-up and Disaster Recovery Plans Every Office using one of C&S systems is setup to perform regular system back-ups containing both data and programs and all settings. It s important for every organization to ensure consistent data backups are occurring as planned. One way for an organization to obtain even greater protection of their data is to set-up offsite storage of data back-up. C&S offers this service and it is designed to be used in addition to regularly scheduled system backups. It s easy to set-up and, like your onsite back-up, is automatic. The fee is monthly and is based on the size of your database. System back-up and off site data storage and data recovery procedures are integral parts of a larger Disaster Recovery and Business Continuity Plan. Every organization, large and small, should have some sort of plan in place that will allow them to continue operations in a timely manner and no loss of data. This is especially true for medical offices with sensitive information that is relied upon for proper patient care.
