5 SpectorSoft Disk Monitor Help Getting Started SpectorSoft Disk Monitor Help SpectorSoft Disk Monitor is a network wide disk monitoring tool enabling System Administrators to centrally monitor free disk space, utilization, SMART predictive failure notifications, directory sizes, largest files, temporary files, access permissions, file extension break down and active or idle files. Features at a Glance Monitors free disk space, change in free space, SMART predictive disk failure notifications and online status. Automatically creates disk utilization summary reports ideal for large networks. Displays standard SMART variables such as disk temperature and raw read error rate. Automatically defragments disks and deletes temporary files on all networked computers. Monitors directory sizes, change in directory size and number of files. Provides access permission reports to aid systems administrators during compliance auditing cycles. Generates largest files, file extension break down and active or idle file reports. Sends notification and saves history when files and directories are changed, created, renamed and deleted. Creates directory size and sub-directory detail summary reports suited for comparing directory structures and content across multiple computers. Automatically publishes summary and free disk space reports to your Intranet web server. 6 SpectorSoft Disk Monitor How it Works Components SpectorSoft Disk Monitor consists of three (3) major components: The User Interface is used to review disks and their contents as well as configure monitoring and automatic reports. The Windows Service monitors disk and directories, generates scheduled reports, and automatically starts to monitor newly discovered computers. The Tray Icon fires user interface alerts such as message box, sound, and system tray popups. Implementation SpectorSoft Disk Monitor is an agentless system. The software is installed on a single computer. Administrator shares are used to access disk space and directory size information. To retrieve SMART information, SpectorSoft Disk Monitor uses Microsoft s Windows Management Instrumentation (WMI). Alerts are sent one time only until the Alert Status is cleared. Once cleared, the next scan can generate an alert. The service generates Disk and Directory summary reports. Other reports such as largest files and temporary files reports are generated within the user interface. Disk summary and detail can optionally and automatically be saved to your Intranet web site. If configured, the service can automatically scan your Active Directory tree for new computers. Each newly discovered computer can be assigned a disk monitoring configuration template enabling automatic monitoring of new computers. 8 SpectorSoft Disk Monitor Free Disk Space and SMART Status Monitoring This tutorial will step you through the process of selecting computers and disks to monitor, setting thresholds and applying alerts. From the File menu item select New Monitor. When the Disk Monitor Wizard opens the Disk monitor type is already selected. Click the Next button. The Select Computers page should now be displayed. This page enables you to select the computers to monitor. Select the method to find your computers: Browse Network Browse Active Directory Browse Mapped Computers Map Computer Select Localhost For this tutorial select Localhost SpectorSoft Corporation, All rights reserved

9 Free Disk Space and SMART Status Monitoring Click the Next button. The Specify Logon As Credentials page should now be displayed. This page enables you to specify alternate logon as credentials when necessary. Please note you only need to specify alternate credentials if the target computer is off-domain as the service should already have domain administrator credentials assigned. 10 SpectorSoft Disk Monitor Click the Next button. The Select Disks page should now be displayed. This dialog enables you to apply configuration templates or simply select the available disks. Please note local disks are displayed as C: whereas remote disks are displayed as C$. Select your local C drive. Click the Next button. The Disk Space Monitor page should now be displayed. This page enables you to specify the schedule to scan the target disks. You can setup frequent schedules such as every 5 minutes or less frequent schedules such as daily or weekly. Click the Schedule button and set the schedule to every 5 minutes SpectorSoft Corporation, All rights reserved

11 Free Disk Space and SMART Status Monitoring Click the Next button. The Disk Space Monitor Alerts page should now be displayed. This page enables you to specify thresholds and apply alerts and actions. Check the Warning and Critical free disk space options. Set the warning threshold to 30% and the critical threshold to 10%. Click the warning Add button. From the Assign Action dialog, click the Actions Manager button. From the Actions Manager type Alert in the Name text box. In the Type combo box select . Add your address to the Message recipients text box and press Enter or click the Add button. Click Apply then Close. From the Assign Actions dialog double-click the new action. Add the same action to the critical alert. To receive an every hour the disk space continues to exceed the warning threshold, check the warning Clear alerts after option and specify 1 Hours. To receive an every 15 minutes after the disk space continues to exceed the critical threshold, check the critical Clear alerts after option and specify 15 Minutes SpectorSoft Corporation, All rights reserved 7

13 Free Disk Space and SMART Status Monitoring scan the SMART status every ten minutes and send no more than one a day. For this tutorial use the default values then add the alert you created earlier. You have now completed the configuration. Click the Close button. When prompted save your changes. The service will now scan the local disk every 5 minutes and fire an alert every hour free disk space is less than the warning threshold or every 15 minutes free disk space is less than the critical threshold. The service will also scan the SMART status every 10 minutes and fire an alert every day the status is any value other than OK, for example Degraded SpectorSoft Corporation, All rights reserved 9

From the File menu item select New Monitor. From the Disk Monitor Wizard select Directory. Click the Next button. The Select Computers page should now be displayed. This page enables you to select the computers to monitor. For this tutorial select navigate to Program Files, check the directory then click the Add button. Notice once you add the directory it is listed at the bottom of the page in the Selected Directories list box. When re-configuring a computer all directory monitors are listed in the Selected Directories list box. Click the Next button. The Configuration Template page should now be displayed. This page enables you to save the current monitor settings to a template which can then be re-applied when creating a new directory monitor SpectorSoft Corporation, All rights reserved

17 Directory Size Monitoring Click the Next button. The Sub-Directory Exclusions page should now be displayed. This page enables you to exclude sub-directories from the scan. For this tutorial type Corner Bowl Software then click the Add button. When the scan is run this sub-directory will be bypassed. Click the Next button. The Directory Size Monitor page should now be displayed. This page enables you to specify the schedule to scan the target directories. 18 SpectorSoft Disk Monitor minutes or less frequent schedules such as daily or weekly. Click the Schedule button and set the schedule to every hour on the hour. Click the Next button. The Directory Size Monitor Alerts page should now be displayed. This page enables you to specify thresholds and apply alerts and actions. Check the Warning and Critical Size exceeds check box. Set the warning threshold to 3 GB and the critical threshold to 4 GB. Click the warning Add button. From the Assign Action dialog, click the Actions Manager button. From the Actions Manager type Alert in the Name text box. In the Type combo box select . Add your address to the Message recipients text box and press Enter or click the Add button. 19 Directory Size Monitoring Apply then Close. From the Assign Actions dialog double-click the new action. Add the same action to the critical alert. To receive an every day the directory size continues to exceed the warning threshold, check the warning Clear alerts after option and specify 1 Days. To receive an every 4 hours after the directory size continues to exceed the critical threshold, check the critical Clear alerts after option and specify 4 Hours. You have now completed the configuration. Click the Close button. When prompted save your changes. The service will now scan the local Program Files directory every hour and fire an alert every day the directory size exceeds the warning threshold or every 4 hours the directory size exceeds the critical threshold SpectorSoft Corporation, All rights reserved 15

20 SpectorSoft Disk Monitor Scheduling Disk Defragmentation Overview Disk Monitor includes functionality to defragment disks on both local and remote disks. To defragment disks, Disk Monitor uses WMI to remote execute defrag.exe located in the Windows System directory. Once the process is started Disk Monitor can optionally execute an action that notifies the administrator the process successfully started. This tutorial will show you how to configure this software to schedule disk defragmentation on multiple computers. The Tutorial Select New Monitor from the File menu item. From the Disk Monitor Wizard select Disks. Click the Next button. The Select Computers page should now be displayed. Select several computers of interest. Click the Next button. The Specify Logon As Credentials page should now be displayed. If the remote computer is off domain, use this page to specify or update the logon as credentials. Click the Next button. The Select Disks page should now be displayed. Check the disks to defragment. Click Next through to the Disk Defragmentation page. The Disk Defragmentation page should now be displayed. Check Defragment the selected disks, select a schedule, and optionally apply an action to execute upon completion SpectorSoft Corporation, All rights reserved

21 Saving History to SQL Server Click Next through to the Error Notification page. The Error Notification page should now be displayed. To receive notification when the defragmentation command fails, enable the error notification and assign an action. Click the Close button and save your changes when prompted. You have successfully completed this tutorial. Each disk should be defragmented on the schedule you have defined. Saving History to SQL Server In this tutorial, we walk you through the process of configuring SQL Server. Once completed, we will configure SpectorSoft Disk Monitor to use SQL Server as its data repository. Lastly, we will scan a disk then verify the data was written to the database. Step 1: Create the database and user login From the Start menu, navigate to the Microsoft SQL Server 2008/2005 shortcut folder, select Microsoft SQL Server Management Studio and login to your database server. From the left pane called the Object Explorer, right click on Databases and select New Database. Specify diskmonitor in the Database name text box. 22 SpectorSoft Disk Monitor From the Object Explorer right click on Security and select New Login. Specify the diskmonitoruser in the Login name text box. Select SQL Server authentication. Specify a password. Deselect Enforce password policy. In the Default database combo box select diskmonitor. 23 Saving History to SQL Server From the Object Explorer expand Databases\diskmonitor. Right click on Security and select New User. Specify the diskmonitoruser in the User name text box. Specify the diskmonitoruser in the Login name text box. From within the Database Role Membership list check db_owner. 24 SpectorSoft Disk Monitor You have now created the database and assigned login credentials. Step 2: Configure SpectorSoft Disk Monitor to use SQL Server Open SpectorSoft Disk Monitor, select Options from the Tools menu item and then select the History tab. From the Provider combo box select SQL Server. Use the Server name text box to specify the host name or IP address the database resides. Type diskmonitoruser in the User name text box. Type the password you assigned the user account when created within SQL Server Management Studio. Type diskmonitor in the Database text box. Once complete click the Test Connection button. If you were unable to connect, verify you created and assigned the user account to the database as well as typed the connection information correctly. 25 Saving History to SQL Server When a monitor runs for the first time a history table is automatically created. The table name is a GUID which by itself is impossible to link to the monitor, however, this information is provided in the Disk and Directory Properties dialogs. Step 3: Test Create and schedule a disk monitor. Once the monitor runs at least twice, from the Navigation pane right click on the monitor and select Properties. From the Properties dialog, select the History tab. The graph should be populated and the host, database and table name should be listed at the bottom. Finally, go back to your Microsoft SQL Server Management Studio, select diskmonitor database followed by the Tables tree node. You should now see a new table for the monitor. If you see the table, you have successfully scanned the disk and saved the results to SQL Server SpectorSoft Corporation, All rights reserved 21

26 SpectorSoft Disk Monitor Saving History to MySQL In this tutorial, we walk you through the process of downloading, installing and configuring MySQL. Once completed, we will configure SpectorSoft Disk Monitor to use MySQL as its data repository. Lastly, we will scan a disk then verify the data was written to the database. Step 1: Download the MySQL Community Server MySQL can be downloaded from the MySQL web site located at: Choose the Pick a mirror link next to either: Windows (x86, 32-bit), MSI Installer Essentials Recommended Windows (x86, 64-bit), MSI Installer Essentials - Recommended When prompted to create an account or login, click the No thanks link at the bottom of the page. Click a link from one of the mirror sites. When prompted click the Run button. The installation will automatically begin. Follow the instructions selecting all default options. Step 2: Download the MySQL GUI Tools The GUI Tools include the administrator which we will use later to setup your database. The MySQL GUI Tools can be downloaded from the MySQL web site located at: Choose the Pick a mirror link next to: Windows (x86) When prompted to create an account or login, click the No thanks link at the bottom of the page. Click a link from one of the mirror sites. When prompted click the Run button. The installation will automatically begin. Follow the instructions selecting all default options. Step 3: Create the database and user login From the Start menu, navigate to the MySQL shortcut folder and select MySQL Administrator. Login with the credentials you specified during setup. Please note the initial username is root not sa. From the top left pane, select Catalogs. From the bottom left pane, right click in the Schemata list window and select Create New Schema. Specify diskmonitor in the schema name text box and click OK. When you are finished you should see the following: SpectorSoft Corporation, All rights reserved

27 Saving History to MySQL From the top left pane, select User Administration. From the right pane, select Add new user. Specify diskmonitoruser in the MySQL User text box and specify a password. Click the Apply changes button. When you are finished you should see the following: From the right pane, select the Schema Privileges tab. Select the diskmonitor database. When you are finished you should see the following: You have now created the database and assigned login credentials. Step 2: Configure SpectorSoft Disk Monitor to use MySQL Open SpectorSoft Disk Monitor, select Options from the Tools menu item and then select the History tab. 30 SpectorSoft Disk Monitor Using Gmail as a Backup Server This tutorial will show you how to configure this software to use your Gmail account to send alerts when your primary server is unavailable or unable to send. To configure Gmail From the Tools menu item select Options. Select the tab. At the bottom of the tab check Use a backup server when this servers unavailable or unable to send. Click the Configure Backup button. You should now see the Configure Settings (Backup) dialog. This dialog enables you to configure your backup server. Specify the following values: server (SMTP): smtp.gmail.com:465 Check Use Secure Socket Layer (SSL) Username: Enter your username Password: Enter your password Once complete enter the address you want to send the alert to. Typically this would be your Gmail account, for example, your_gmail_user_name@gmail.com. Click the Test button. The packets will output to the Test Status window. Once complete a message will popup that shows the success or failure. Log into your Gmail account and verify you received the test message SpectorSoft Corporation, All rights reserved

31 System Requirements System Requirements Supported Operating Systems Windows Server 2008, 7, Vista, Server 2003 or XP. Supported CPUs Our software is compiled with the latest version of the.net Framework which allows us to compile the program once for any CPU. This means SpectorSoft Disk Monitor can run natively on both 64- bit and 32-bit hardware. Memory 2 GBs of available memory, 4 GBs suggested for large networks..net Framework 3.5 The installation detects if.net Framework 3.5 is already installed. If not, the framework is automatically downloaded from Microsoft and then installed. Please note the framework takes a significant amount of time to install. Please be patient while the installation completes. Domain Administrator Account To access remote administrator disk shares and SMART information both the logged in user and the Windows Service must have domain administrator rights. The first time the application is run, you will be prompted to assign domain administrator credentials to the service. Windows Management Instrumentation (client and server) SMART information is retreived using Microsoft's Windows Management Instrumentation (WMI) API. WMI is preinstalled on all supported operating systems but may require some configuration SpectorSoft Corporation, All rights reserved 27

32 SpectorSoft Disk Monitor Registration To register your software, visit and purchase a license. Once purchased, we will automatically you a license key. After you receive your license key, select Register from the Help menu item. When prompted, specify the address the license key was ed to and the license key. Click Submit. Our software will transmit the address, license key, and the active IP address s MAC address to our registration web service running on our web server. Once verified a digitally signed license file will be transmitted back to you. This file will automatically be saved to your program data directory. If you are running on an isolated or secure network, please support@spectorsoft.com with your order information and target system s MAC address. A license file will be created and ed to you. If you are moving your license from one computer to another, please contact support@spectorsoft.com with your order information and we will reset or re-assign your license. Update Service All or our software supports automatic updates. At startup, each of our user interfaces downloads an XML file from our web server. Using version information, our software determines if an update is necessary. License information may be transmitted to our registration web service, also running on web server, to determine upgrade eligibility. 33 User Interface Components How To User Interface Components The user interface consists of several views: Dashboard This view displays the service status, monitor alert states, temporary file management information, and report status. Use this view to display all disks and directory monitors that have crossed a monitor threshold. Disk Explorer This view enables you to navigate your network selecting disks or directories to run functions such as largest files. Disk Monitors This view lists all monitored disks. Use this view to re-configure and display utilization information. Directory Monitors This view lists all monitored directories. Use this view to re-configure and display size information. Reports and Views This view lists all reports and views. Use this view to re-configure and display reports and views. Service Output The SpectorSoft Disk Monitor Windows Service writes status messages to a log file. This view tails the log file and displays each status message. 34 SpectorSoft Disk Monitor Action Tags Action Tags are used to insert variable values when firing actions. When necessary each tag is parsed out and replaced with the appropriate value. 40 SpectorSoft Disk Monitor Actions, Alerts, and Notifications When a monitor threshold is crossed or a report generated any one or combination of the following actions, alerts or notifications can be fired: Pager (SMS) Message Box Sound Tray Icon Tray Icon Popup Event Log Entry Syslog Message Start Process SNMP Trap Sends an message. Sends a text messages using Clickatell s web -to-sms online gateway service or any third party -to-sms gateway. Displays a custom message box that stores alert history so your desktop does not fill with hundreds of messages. Plays a sound. Updates the tray icon with the current global status. Displays a balloon window above the tray icon that contains the failure or recovery. Writes the alert or report to any Windows Event Log. Forwards the alert or report to your syslog server. Runs an interactive or background process on the local server or remote executes a process on another computer. Sends a SNMP trap via Microsoft s SNMP Service. All string based alerts can be customized using action tags. For more information, see: Action Tags Active Directory Disk Monitor interfaces with Active Directory and other generic LDAP servers in several ways. By default our software automatically connects to the Active Directory server on your domain controller. If you are not connected to a domain or want to use another LDAP server you can configure the connection via the Options dialog. You can configure as many Active Directory and LDAP servers as you need. 41 Active Directory Filters Active Directory Filters Disk Monitor enables you to create Active Directory Filters which can be applied when selecting computers to monitor or when configuring the Auto Configurator. How to scan Active Directory when configuring computers When using one of the wizards to create a disk or directory monitor select Browse Active Directory from the Select Computers page. From the Browse Active Directory dialog, click Select Specific Computers. From the Select Specific Computers, dialog click Filter Manager. From the Filter Manager, create a new filter, apply your criteria then select the new filter. From the Select Specific Computers dialog, click OK. You will be prompted to scan the currently selected Active Directory node or recursively scan all child nodes. If you choose to only scan the selected node the child computers will be scanned and checked as appropriate. If you choose to recursively scan all child nodes, the computers which pass the filter are stored, the Browse Active Directory dialog dismissed and finally the results appended to the Select Computers page within the wizard. How to apply an Active Directory filter to the Auto Configurator From the Active Directory menu item, click Auto Configurator. Add the appropriate Active Directory paths to scan then click Next. Navigate through to the Computer/Device Filters page then click Filter Manager. From the Filter Manager, create a new filter, apply your criteria then select the new filter. When the Auto Configurator runs the filter is applied to each computer. All accessible computers that pass the filter will be configured. 42 SpectorSoft Disk Monitor Auto Configurator The Auto Configurator enables you to configure this software to automatically manage computers as they are added to your network. For example, if on average you add 5 workstations a week to your network, you can use the Auto Configuration to monitor the directory entry those computers are placed. Once discovered, a disk monitor template is assigned to all admin disk shares. Using the Auto Configurator Before you use the Auto Configuration you must first must create the configuration templates you want to apply. For more information see Configuration Templates. Once you have your configuration templates complete, select Auto Configurator from the Active Directory menu item. From the Auto Configurator Wizard, use the Add button to add each directory entry to monitor. There is no need to add child directory entries unless you want to apply different templates to each child that may contain computers. When finished click Next to move to the Schedule Scan page. If you have multiple directory entries configured the Schedule Scan page lists each directory entry in the Active Directory Entry combo-box. You can fine tune each configuration by selecting the directory entry or you can configure all the directory entries at once by selecting (All) and then making your changes. If you need to temporarily disable a scan, de-select Enabled. Specify the schedule to scan the directory entry. If you want the Auto Configurator to recursively scan each sub-directory entry check the recurse option. Once complete, click the Next button to navigate to the Configuration Template Assignment page. From the Configuration Template Assignment page select the configuration templates to apply when a new computer is discovered. If none appear, exit the wizard and create your configuration templates via the Disk Monitor Wizard. For more information see Configuration Templates. Once you have assigned your templates click the Next button to navigate to the Computer/Devices Exclusions page. From the Computer/Devices Exclusions page add computes or devices that you do not want configured. Please note you do not need to add computers and devices already configured. This option is available to you so you can ignore computers you are not interested in managing. Once you have assigned your exclusions click the Next button to navigate to the Results page. From the Results page specify an address to send the scan results to. Please note you will only receive a results report if new computers or devices are added to the system. 43 Backing Up and Restoring the Configuration Options Backing Up and Restoring the Configuration All configurations and settings are saved to binary.dat files stored in the application data directory. Windows Server 2003/XP c:\documents and settings\all users\application data\spectorsoft\disk Monitor Windows Server 2008/7/Vista c:\program data\spectorsoft\disk Monitor For ease of use we have included a backup and restore function within this software. Please note when restoring from a backup set of files all configurations and settings will be replaced. To backup the current configurations and settings From the Tools menu item select Backup Configuration. Select a destination directory and click OK. All of the.dat files within the application data directory will be immediately copied. To restore from a backup set of files From the Tools menu bar select Restore Configuration. Select the source directory and click OK. All of the.dat files within the source directory will be immediately copied. The user interface will take a few moments to load the restored configurations and settings. NOTE: When moving the installation to another computer these files can be transferred, however; the installation directory and target OS should be identical as path information may be listed in any of the configuration files. If the paths are different be sure to reset the HTML templates and any other options that contain path information within the Options dialog SpectorSoft Corporation, All rights reserved 39

44 SpectorSoft Disk Monitor Browsing Computers Throughout SpectorSoft Disk Monitor you are prompted to select computers or devices via our many different browse computers dialogs. When configuring disk monitoring you have the option to browse and select computers by: Network Mimics Windows Network Neighborhood Active Directory Navigate your directory service tree Mapped Computers Select from a list of computers you have previously manually added to the system or specified access credentials. When configuring a report you are prompted to select computers from a list of configured computers. To select computers To select a computer from any of the browse dialogs check the computer or computers and click the OK button. To search and select specific computers Some of the browse dialogs allow you to search for computers that contain specific characters or are of a specific type. For example, SpectorSoft Disk Monitor can automatically check all computers that start with SRV and are running any of the Windows Server operating systems. 45 Clearing the Alert Status Clearing the Alert Status The Alert Status is displayed within the application as Warning, Critical or Error. To reduce alert spamming actions are not re-fired until the alert status is cleared. Alert status is displayed within the Dashboard and Disk/Directory Properties dialogs. All monitors optionally support automatically clearing alerts after a configured period. If you have resolved the issue or you simply want the next scan to generate actions, as in the case of testing, you can manually clear the alert. To manually clear an alert From the Disk/Directory Monitor pane within the Navigation view, right click on the monitor and select Properties. From the Disk/Directory Properties dialog select the Monitor State tab. If enabled, click the Clear Alert Status button. To manually clear all alerts Select Dashboard from the View menu item. From the Dashboard View select the Disk Monitors tab, click anywhere in the detail view then press Ctrl-A, right click, and lastly select Clear Alerts. Configuration Templates To aid in configuring new computers, SpectorSoft Disk Monitor enables users to save a configuration to a template. Once saved, users can quickly apply the configuration to another computer or device. To save a disk monitor configuration to a template Form the Disk Monitors pane within the Navigation view, navigate to and right click on the computer of interest. Select Disk Monitor Properties Wizard. The wizard automatically opens at the Disk Space Monitor page. Click the Back button once to the Select Disks page. Click Save As Template. Please note templates use a single disk configuration to later apply to all local disks or administrator disk shares. By default the c: disk will be saved to your new template. From the Save To Template dialog specify a name for the new template or to overwrite an existing template select from the list of available templates. Specify a description and click OK.
