2 THINGS TO TAKE CARE OF PRIOR TO YOUR ARRIVAL 1. In order to fulfill the administrative portion of your administrative enrolment, please prepare the following documents in due time: A copy of your identity card A copy of your visa (for Non-European students) A copy of your health insurance certificate o For European students, either a copy of your European Health Insurance Card or, for those covered by a private health insurance, a copy of your private health insurance certificate clearly mentioning the health coverage in English or French. o For Non-European students, a you ll need to subscribe to one of the two compulsory student insurance plans provided by the University (a total sum of 211 to be paid during enrolment), except for those falling within the following categories: Quebecers who are covered by the RAMQ (Quebec s social security plan), in which case they ll be fully covered by the French social security equivalent during their stay in France (a.k.a. Caisse Primaire d Assurance Maladie). Students whose private insurance coverage is limitless, whereby the insurance company fully reimburses from the first euro onwards. In this case, you ll have to provide a copy of your private health insurance certificate clearly mentioning the health coverage in English or French. A passport photograph 2. In order to make a reservation for an accommodation at the CROUS University residence halls You need to pay a deposit of 350 to the University of Cergy Pontoise (UCP) since it acts as a guarantor for all incoming exchange students. o The payment has to be done via bank transfer to the university s accountant. Please contact the International Relations Department (IRD) Incoming Students Office in case you encounter any difficulties during the transfer. o The deposit shall be returned to you, by bank transfer as well, at the end of your stay; however, this will be done only upon proof of final discharge provided by the CROUS residence manager, certifying that the student has paid their rent in its entirety. N.B. Students who have paid a deposit to UCP in order to reserve an accommodation, but have ended up cancelling their reservation, are Guide for incoming students SRI Université de Cergy Pontoise October

3 entitled to a refund IF they inform the IRD in due time, i.e. September 20 th for 1 st semester students and December 10 th for 2 nd semester students. ONE WEEK PRIOR TO YOUR ARRIVAL Schedule an appointment with your coordinator during your first week in order to confirm and/or modify you Learning Agreement (i.e. list of courses you will be following during your stay) 1 ; THINGS TO TAKE CARE OF UPON ARRIVAL 1. In order to access your accommodation Drop by the IRD office to notify the day of your arrival, to ensure that you have all the required documents for the check-in, and to get your accommodation certificate. Once you enter your accommodation, you need to pay another deposit to the CROUS University residence (see accommodation form for the amounts) as well as you first month s rent. You will then need to fill in the incoming inventory of fixtures and then sign a form provided by the CROUS residence. 2. Enrolment at the University: compulsory procedure for everybody! (Important to get your student card, address and Wi-Fi login details etc.) Fill in the enrolment form Provide the documents prepared prior to arrival (see number 1 page 1) and your passport photo Provide a copy of your accommodation certificate provided by the IRD; for those in private housing, a proof of accommodation, i.e. a copy of your rental contract or electricity/water bill 3. 4 Drop by the IRD office with your passport and the form entitled VISA de long séjour demande d attestation OFII Provide a copy of your passport, your visa page and the page on which your arrival date appears. 4. Enrol at the CILFAC office (French classes) La tour (Maison des étudiants) 3rd floor office 317 (Opening hours: Monday and Friday from 9 a.m. to 12 a.m. and from 2 p.m. to 5p.m.Wednesday from 2p.m. to 5p.m.) 40 for a semester and 80 for the full academic year (payment by cheque or cash alone) Passport photo Student card 5. Open a French bank account (unless you ve already done so!) This is necessary mainly in order to receive a housing benefit to which your might be eligible (see details below) Some bank branches around Cergy-Préfecture o BNP o Banque Populaire o Crédit Agricole o LCL o Société Générale 6. Applying for a housing benefit (Caisse d Allocation Familiale - CAF) Upon entry into your accommodation, you have the possibility to apply for a housing benefit to the CAF. Visit the following link for a simulation which helps you estimate the amount you might be entitled to: ment. Pre-fill the online form by following this link ( Print out the form, sign it and double check to make sure you have all of the following documents (the residence manager can assist you): o A copy of your ID card or passport; those with a visa need to provide a copy of their visa as well o A proof of sufficient funds Guide for incoming students SRI Université de Cergy Pontoise October

5 o A copy of your birth certificate in a certified French translation, unless it is already in French o A housing certificate; it s a document you need to fill in upon arrival with your landlord (i.e. either the CROUS for university residence or the private landlord for those in private housing) o A copy of your proof of enrolment (received with your student card) o Your bank details. 7. How to obtain the Carte Imagine R This is a travel pass specifically aimed at students below the age of 26, allowing them to travel at a near 50% discount in trains, trams, metros and buses. You will need to subscribe for a full calendar year, and you get to choose the zones, between 1 and 5, for which you ll pay (e.g. zone 1 = Pars, zone 5 = Cergy). However, regardless of your chosen zones, you ll be able to travel for free throughout the whole region (zones 1 to 5) on weekends, school holidays and bank holidays. In order to get a pass: Fill in the Imagine R form you received upon arrival from the IRD; they are also available at the Cergy-Préfecture train station. Certificate of stay - departure If you have a certificate of departure to be signed, come to the IRD. The date of signature will be the date of your coming at our office (usually your last day at the university). 2. Quitus (Crous) for the reimbursement of the deposit (350 ) Just for those who are in student residence. Don t forget to give the quitus (proof of final discharge provided by the CROUS residence manager, certifying that the student has paid their rent in its entirety) to the IRD and your bank account information in your country (typed document).
