3 Dear Canadore Students Council Candidate, Thank you for your interest in the upcoming Canadore Students Council Elections. The Canadore Students Council acts as a representative body for the students of Canadore College, to negotiate and agree, on the behalf of the student body, to develop and maintain a responsible student government and to foster the growth of the students to the betterment of the individual and the College. The Canadore Students Council will provide guidance, direction and facilitate student leadership by advocating on behalf of the students both on and off campus. The following positions are up for election: President Vice-President of Operations Vice-President of Student Life Campus Representatives (Aviation, College Drive, Commerce Court, and Parry Sound) Important Dates: March 2 nd - Nominations Packages are officially available to Canadore College Students March 6 th - All nominations packages are due by 12:00pm-no late pages will be accepted March 6 th - 4:00pm All candidates meeting held in The Welcome Centre March 9 th - 17 th - Official Campaigning Days March 16 th - Candidate Speeches- 1:00pm (Location TBA-must attend candidates meeting for further details) March 18 th, 19 th, 20 th - Voting Days March 20 th - Ballots will be counted at 2:00pm. 4 1.0 Eligibility 1.1 Any student in good standing enrolled at Canadore College, deemed Full Time in accordance with the Ministry of Training Colleges and Universities Admission policy. 2.0 Election Rules 2.1 Slander and libel are prohibited. 2.2 Loitering around polls on any election days are prohibited by candidates. 2.3 All campaigning must comply with Canadore College policies and procedures regarding posters, advertising and rights and responsibilities of students. 2.4 Tie vote is defined as any count of ballot that results in a difference of zero for the same position. In the event of a tie, a re-vote will be held to determine the successful candidate within 7 days. 3.0 Failure to adhere to Election Rules 3.1 If the candidate fails to adhere to the election rules the current CSC members and the CRO will notify the candidate of the infraction of the rules in writing within 72hrs of notification. 3.2 If the current sitting council, CRO and Office Coordinator shall deem the candidate in violation of the rules they have the right to disqualify the candidate warranted 72 hrs. notice. 4.0 Campaigning 4.1 All campaigning shall be positive in nature and in accordance with the Code of Ethics at Canadore College. 4.2 Campaigning in areas such as classrooms, the library, residences and CSC office are strictly prohibited. 4.3 It is strictly prohibited to use Canadore Students Council resources and The Welcome Centre for the purpose of campaigning including the storage of campaign materials. 4.4 It shall be strictly prohibited to use in anyway, the CSC or Canadore College logos on any campaigning materials. 4.5 All campaign materials must be approved in advance by the Election Committee. 4.6 All printed campaign materials shall include: a) The name of the candidate b) The position being sought 2
5 c) Voting dates 4.7 Campaign materials shall be limited to posters, flyers, banners, and digital screens. a) Content for digital screens must be formatted in JPEG 11x8 (landscape) No copyright or profanity materials will be accepted. All content must be submitted no later than March 11 th by 12:00pm. Late submissions will not be accepted. b) Posters, flyers, and banners can only be advertised in designated areas. These areas include main entrance hallways, the cafeteria (notice boards, community boards and tables-posting on walls is unacceptable), bulletin boards, and any sign holders that are available. Specific Restrictions: Signs are not permitted to be posted on the windows On brick surfaces ONLY tape is to be used (no duct tape or packing tape) Only General bulletin boards are to be used (No Department Bulletin Boards) On non-brick surfaces, only Dixon-Hold (Must be non-staining) All materials MUST be removed within 24hrs of when the last poll closes Failure to adhere to the following regulations is warrant for disqualification. 4.8 Subject for approval by the CRO or Office Coordinator and other campaign materials can include pre-packed food, and branded materials (pens, t-shirts). 4.9 Candidates under any circumstances, must not tamper with, move or alter another candidate s campaign material. 5.0 During voting days candidates shall be prohibited within a 20 meter radius of all voting stations. 5.0 Timelines 5.1 Application packages will be available on Monday, March 2 nd, giving candidates 21 days notice before elections take place. Packages are due no later than Friday March 6 th at 12:00pm. No late nomination packages will be accepted. 5.2 Elections will be help on March 18 th, March 19 th and March 20 th. 5.3 Voting times will run from 8:30am-10:00am with the exception of Friday March 20 th with voting hours running from 8:30am-1:30pm. 3
6 6.0 Nomination Procedures Notice of nominations will occur once the candidate s application form is submitted and all requirements are met. Nomination days are held 21 days before the Election dates. No forms will be accepted before or after these designated times. All application packages must be signed and dated by a member of the Election Committee or the Office Coordinator of Canadore Students Council. 7.0 Voting 7.1 Designated voting stations will be located at each of our 4 campuses in the main hallway. Polling stations will be monitored by Council Advisors, non-nominated student members and volunteers of the Canadore Students Council. 7.2 A list of eligible students will be provided by the Canadore College Registrars office, all students must show their student card in order to cast a vote. 8.0 General Duties 8.1 To advocate on behalf of students 8.2 To be accountable for the assets of the CSC and the actions undertaken by the CSC. 8.3 To promote and follow guidelines set forth in this document 8.4 To abide by the policies and by-laws of the College, our association and our affiliates 8.5 To follow all policies, procedures and established Student Codes of Conduct 8.6 To uphold the integrity of the council, Canadore College and its associates. 8.7 To be accountable to the council, other members of the council, and to the general student body. 8.8 To foster a collaborative working relationship with other council members and through teamwork, develop a cohesive council throughout the term. 8.9 To recognize the need for the maintenance of the representative body to voice the opinions and concerns of Canadore College students. Additionally we, as a council, will strive to foster leadership and provide diverse programming for all students at Canadore College. We will maintain and further the growth of effective cooperation and communication between 4
7 Canadore College, its Board of Governors, its association, community partnerships and the Canadore Student Body. 9.0 Duties of the President 9.1 The President shall attend all scheduled meetings of the CSC, work alongside the Office Coordinator in the general management and operations of the CSC. 9.2 The President shall perform all duties with due diligence, and at the highest integrity. 9.3 The President shall work with other members of the Executive Committee and Advisors of the Committee to meet the goals and objectives of the CSC. 9.4 The President shall be available for the student body at all possible times, participate in decisions of the CSC at meetings, have voting rights, represent the student body on various college committees, and be a full time student in good standing as defined by the Ontario Ministry Colleges and Universities. 9.5 Be a student in good financial standing within the College. 9.6 Meet all requirements of the By-Laws and the appropriate job description and other duties that may arise. 9.7 The President shall be the official representative of the CSC on all suitable occasions. 9.8 The President will be paid in accordance to the compensation chart-appendix Duties of the Vice President Operations 10.1 The Vice President shall assume the duties and rights of the President in their absence Lead, motivate, advocate for all students Responsible for all issues regarding Campus Representatives 10.4 Facilitate and coordinate programs with Office Coordinator Represent the student body of various college committees Participate in discussions of the CSC at meetings Have a vote Ensure all policies are up to date 5
8 10.9 Be a student in good financial standing within the College Meet all requirements of the By-Laws and the appropriate job description and other duties that may arise The Vice President shall be a full time student in good standing as defined by the Ontario Ministry Colleges and Universities Oversee the operations and finances alongside the Office Coordinator The Vice-President of Operations will be paid in accordance to the compensation chart- Appendix Duties of the Vice President Student Life 11.1 Lead, motivate, advocate for all students Facilitate and coordinate programs with Office Coordinator Represent the student body of various college committees Participate in discussions of the CSC at meetings Have a vote Be a student in good financial standing within the College Meet all requirements of the By-Laws and the appropriate job description and other duties that may arise The Vice President shall be a full time student in good standing as defined by the Ontario Ministry Colleges and Universities Handle student complaints and assist students with resolving issues Sit on appeals as required, may include academic, involuntary withdrawn, and residence evictions Shall be responsible for all facets pertaining to Clubs and Associations The Vice President of Student Life will be paid in accordance to the compensation chart- Appendix 1. 6
9 12.0 Duties of Elected Campus Representatives 12.1 Campus Representatives shall bring the needs, views and opinions at each of their perspective campuses to the attention of the CSC Campus Representatives shall participate in all decisions of the CSC at meetings Represent the student body on various college committees Campus representatives will have a vote Campus Representatives will be paid in accordance to the compensation chart-appendix 1. 7
10 APPENDIX Compensation Chart Maximum work hours will be 15hr/week. Executive members will receive hourly pay for their duties at a specific rate for their time President: The President will receive hourly pay for their duties at a rate of $17/hr. for their time. Maximum work hours will be 15hrs/week Vice President of Operations: The Vice President of Operations will receive hourly pay for their duties at a rate of $14/hr. for time spent. Maximum work hours will be 15hrs/week Vice President of Student Life: The Vice President of Student Life will receive hourly pay for their duties at a rate of $14/hr. for time spent. Maximum work hours will be 15hrs/week Campus Representatives Campus Representatives will receive hourly pay for their duties at a rate of $11/hr. for time spent. Maximum work hours will be 15hrs/week. 8

All student signatures must be student in good standing enrolled at Canadore College, deemed Full Time in accordance with the Ministry of Training Colleges and Universities Admission policy. 13 16.0 Ethical Pledge As a candidate of the Canadore Students Council executive committee, I pledge; I. To promote and follow guidelines set forth in this document II. To abide by the policies and by-laws of the College, and this document III. To follow all policies, procedures and established by Student Codes of Conduct and this document IV.
