1 Take-a-Payment Merchant User Guide Introduction Users who have purchased Take-a-Payment will be able to create custom payment buttons and upload them to their existing websites so clients can make payments and donations online. After users have logged into their Take-a-Payment account the first step to accepting online payments from customers is to set up a payment in the Payment Setup tab. Step 1: Creating Your First Payment This section is where you will create a custom payment button that will be copied onto your existing website. A preview of what the customer will see is shown to the right of the screen. Follow the instructions for filling out the various fields. Enter payment information Name: Enter the name of the Payment for example, Lawn Care Service Description: Describe the service the customer is paying for and include instructions on what they need to include for the payment. For example, the Invoice Number from their last bill. Please pay the full amount. If you need an extension on your due date, please call 888-XXX- XXXX) Payment Amount: Here is where you can set the minimum and maximum payment amounts you will accept from clients. Custom Label Name: Create a custom label so you can collect information such as Invoice Number or Job ID. Upload Image: Click this button and select an image file from your computer to upload onto Take-a-Payment 1 Take-a-Payment User Guide

3 Step 2: Choose a Button The next step is to create a payment button to be added to your existing website. You will be given the option to either select a button or create your own. Select a button: Click the Select a button radio button to choose a button from the drop down list Button Type: Select the type of button you would like to make from the drop down menu. Button Size: Select small, medium, or large for the size you want your button to appear on your website. Upload your own image: If you prefer to upload your own image you can do so easily. Click the upload image button to select your own image to upload for your button. The uploaded image can be previewed to the right of the button. 3 Take-a-Payment User Guide
4 Step 3: Copy the HTML code for your button Click the Get Button icon and the HTML code for your payment button will automatically be copied to your clip board so you can paste it directly onto your website. 4 Take-a-Payment User Guide
5 Step 4: Configure Your Company Settings In the Company Settings tab users can designate accounts for notifications about payments to customers and their business. They can also enter payment settings and view invoice and confirmation samples. Click the Company Settings Tab on the left to bring up the Settings Page. Your Company Info- Enter Information regarding your business and designate an address you would like to receive notifications to. Company Name- Provide the name of your company as you want your customers to see it. Address to notify you of payment- Input the address you would like to receive notifications from when a customer makes a payment. Payment Settings Site Currency- Select the currency your business will be accepting 5 Take-a-Payment User Guide
6 Acceptable Credit Cards- Mark all credit cards your company accepts. Choose from MasterCard, American Express, JCB, Visa, Discover and Diners Club. Time Zone- Choose the time zone that applies to the location of your business Customer Order Confirmation Address your customer will see: This will be the address your customers receive notifications and payment receipts from. Name your customer will see on confirmation- Input the name you want your customers to see when they receive s from Take-a-Payment. 6 Take-a-Payment User Guide
7 Step 5: Managing and Processing Your Payments In the Payments section users can see an overview of their customer s payments. They can sort the list by categories such as Order # and customer name by clicking on the headers. Users can also see the status of the payment as either paid, declined, or to be processed. If you want to the specific details of a payment double click on the row of the payment you want to view. This will open up the Payment Details page Payment Details When you click on a specific payment from the Payment Summary Page it will bring up the Payment Details of the payment. Users can see the Order #, Customer info, payment detail, and product information related to the payment. Order #- The order number is displayed in the top left. Make sure the order number matches up with the correct invoice you are processing. Customer Info- Customer information is collected from Take-a-Payment and displayed to the left of the page. Customer information includes: o The name of the Customer o The Customers address o Customer phone number o Customer 7 Take-a-Payment User Guide
8 Payment Details- collect information to process the customer s payment from the payment details. The payment details include the following: o Date o Payment amount o Name on card o Card Type o Card Number o Expiration date Product Info- The box to the far right includes the product or service s name, image, and invoice number. 8 Take-a-Payment User Guide
9 Processing Orders Processing an order from Take-a-payment is easy and can be done in three easy steps: 1. Collect payment details from TAP-Simply take the information from the Payment Details and enter it into your virtual terminal or processing gateway 2. Charge their credit card- Enter the information into your virtual terminal or processing gateway. 3. Set the payment to either Paid or Declined: o Paid-If the charge is accepted, users can set the payment as paid in the payment details. This will send a notification to the customer informing them their invoice has been paid. o Declined-If the card is declined or there is an error with the payment, the User can set the payment as declined. This will send a notification to the customer informing them their payment has been declined. It is a good idea to follow up with the customer on the reason why the payment is declined. If the customer wants to make the payment again they must go to the user s website and go through the Take-a-Payment process again. 9 Take-a-Payment User Guide
