3 PROGRAM PHILOSOPHY The faculty strives to provide a positive, challenging, and supportive environment in which students are able to develop the skills necessary to succeed as medical assistants. Medical assisting faculty believes that the learning process is a shared responsibility between the faculty and student. The faculty lays the foundation for learning and the student exhibits the study habits and attitude conducive to learning. The medical assisting faculty is committed to providing students with a broad base of knowledge utilizing the most current technology and facilities available. In keeping with this philosophy, faculty members continually seek opportunities for professional development, certifications, and internships. In addition to providing students with the necessary clinical and administrative skills, emphasis is placed on the importance of treating all patients with compassion, empathy and tolerance. 4 PROGRAM OVERVIEW Welcome to the Lafayette campus of Ivy Tech Community College. The Medical Assisting Program was established in , early in the history of Ivy Tech in Lafayette. The purpose of the Medical Assisting program is to educate professional Medical Assistants, consistent with College and accreditation standards. The program continually seeks input from employers of recent graduates, recent graduates and other alumni, advisory committee members, and other interested parties. Since 1972, the program has undergone a number of curriculum changes in order to keep up with the changes in the practice of Medical Assisting, to meet the requirements for accreditation by the American Association for Medical Assistants (AAMA), and to incorporate improved general education and technical courses at the College. The current curriculum offers several options. There is a 48 credit Technical Certificate- CMA Track and (TC - Generalist) program, which can be completed in 12 months if a full-time load, is desired, or in a longer period of time if a part-time load is desired. The graduate of the 48-credit program is eligible to sit for the certification exam offered by the AAMA. The successful exam candidate will be awarded the Certified Medical Assistant (CMA) credential a nationally- recognized credential. The Associate of Applied Science degree is awarded to TC graduates who complete an additional 15 credit hours in advanced Medical Assisting and General Education. There is a 1-credit Technical Certificate track (TC - Administrative) that focuses on the "front office" or administrative aspect of medical assisting. The department also offers Career Certificates and Technical Certificates in Phlebotomy, and starting with the fall of 200, Insurance Coding. Graduates of the administrative TC and Career Certificates curriculums are not eligible to sit for the CMA exam. 5 MEDICAL ASSISTING ACCREDIDATION STATEMENT Ivy Tech Community College Medical Assisting Program is accredited by the Commission on accreditation of Allied Health Programs upon the recommendation of the Curriculum Review Board of the American Association of Medical Assisting Endowment. Commission on Accreditation of Allied Health Education Programs 20 North Wacker Drive, Suite 1575 Chicago, IL (800) Graduates of the GEN-TC are prepared to take the national exam to become a Certified Medical Assisting (CMA). The American Association of Medical Assisting Certifying Board (AAMA CB) awards the CMA credential after successful completion of the exam. The Commission of Accreditation of Allied Health Education Programs (CAAHEP), in collaboration with the Curriculum Review Board (CRB) of the AAMA Endowment (a committee on accreditation of CAAHEP), accredits medical assisting programs.

6 WHAT IS A MEDICAL ASSISTANT? A Medical Assistant is a professional, multi-skilled person dedicated to assisting in patient care management, primarily in a physician's office or in an ambulatory clinical setting. Certified Medical Assistants are the most versatile professionals in the healthcare society. A medical assistant serving in the office or clinical setting may be responsible for taking patients' histories, preparing patients for examinations, assisting the physician with procedures, or performing related procedures within their scope of training. Also, a medical assistant may be responsible for sterilizing and packaging equipment used in the clinical setting, and for preparing the clinical rooms for the next patient. A medical assistant may be responsible for performing certain laboratory duties such as phlebotomy, cultures, and various laboratory tests that may be ordered by the physician for the patient. Medical assistants perform these laboratory tests while under the supervision of the appropriate lab personnel, and must observe all safety and technical standards. A medical assistant may choose to work in the administrative setting of a physician's office or clinic. This area entails billing, filing, bookkeeping, transcription, patient scheduling, receptionist duties, and insurance filing. Many medical assistants function in a role combining both clinical and administrative duties. Applicants to the Medical Assisting Program need to enjoy working with people, and should have a caring attitude for others. A medical assistant must work quickly, yet accurately, in the tasks assigned, remaining calm while under stress and in emergency situations. A medical assistant must have a strong commitment to both patients and physicians, have physical stamina, and be thorough in completing the details of each task assigned. 4

7 CREDENTIALING REQUIREMENTS To sit for the AAMA Certification exam you will be asked the following question: Have you ever been found guilty of a felony, or pleaded guilty to a felony? Individuals who answer yes to this question are not eligible to take the CMA Exam. However, the Certifying Board may grant a waiver based upon mitigating circumstances, which may include, but need not be limited to, the following: - The age at which the crime was committed - The circumstances surrounding the crime - The nature of the crime committed - The length of time since the conviction - The individual s criminal history since the conviction - The individual s current employment references - The individual s character references - Other evidence demonstrating the ability of the individual to perform the professional responsibilities competently, and evidence that the individual does not pose a threat to the health or safety of patients If you wish to request that the Certifying Board permit you to take the test, submit written evidence with this application of mitigating circumstances, which, in your opinion, demonstrate that your felony conviction or plea should not prevent you from taking the CMA Certification Exam. RECOMMENDED TECHNICAL ABILITIES Applicants are advised to carefully read the following description of recommended technical abilities for the Medical Assisting program. Applicants are not required to demonstrate their own technical abilities, but they are listed here to give applicants an understanding of the normal physical activity required within the program. Applicants who have questions about these statements, or those who wish to seek accommodation for their unique technical ability limitations are encouraged to make an appointment with the program chair EARLY in the application process. The faculty, staff and administration of the College will work together with applicants to respond to all reasonable requests for accommodation. (Please see form on page 20.) ADMINISTRATIVE 1. Demonstrate fine motor dexterity of fingers and hands to perform a variety of lab tasks. 5. Communicate accurately with both verbal and written skills. 6. React with controlled emotions in emergency situations. 7. Relate to patient and patient's needs. 8. Demonstrate fine motor dexterity of fingers and hands in using needles, and performing venipuncture. 9. Work with minimal supervision. CLINICAL 1. Demonstrate fine motor hand skills and digit dexterity. 2. Visual acuity to see small print, gauges, and color vision to distinguish lab tests.. Acute hearing to hear muffled sounds and other sounds by using a stethoscope. 4. Work under stress and at a fast pace. 5. React quickly to emergency situations and control emotions. 6. Relate orally and with written clarity to individuals of different social and professional levels. 7. Use critical thinking skills needed to handle certain situations. 8. Relate to patient and patient's needs. 9. Work with minimal supervision. 6

9 TEACHING FACILITIES All facilities and resources of Ivy Tech Community College - Lafayette are available to medical assisting students. Students may use the college library (including inter-library loan and on-line services), the Open Computer Lab, the Learning Resource Center, Student Services, and other academic services. Courses are taught primarily in the IVY Hall building. All courses are taught by faculty members who have the appropriate degrees and credentials. Courses, with the exception of the externships, are taught in lecture and laboratory classrooms at the College. All laboratory classrooms have the most current equipment and supplies so as to realistically portray an actual medical office. The clinical and administrative externship courses are very important elements of the Medical Assisting Curriculum. Students are placed in medical facilities, such as physicians' offices or clinics, within the regional area. While in externship, the student is supervised by the medical office staff and the faculty of the Medical Assisting Program. Students enrolled in the Generalist program, must have completed all pre-requisite or foundation courses prior to being assigned to an externship site. A requirement to progress to the externship courses (MEA 120 & 121) is successful completion of prior MEA courses with a grade of C or better. The externships are scheduled within the same semester. The program maintains appropriate and updated clinical affiliation agreements with the externship sites, and informs the students and sites of the rules, guidelines, and expectations for student learning during the externship. Students do not receive remuneration for the externship experience. 7

10 MEDICAL ASSISTING ADMISSION PROCEDURE STEP 1 ACCEPTANCE TO THE COLLEGE DOES NOT GUARANTEE YOUR ADMISSION TO THE PROGRAM! It is very important that you carefully read and follow this guide concerning the admissions/applications process. It is your responsibility to become familiar with the information and seek advisement as needed. PROCEDURE FOR APPLICATION TO THE COLLEGE Complete the admissions application and return it to the Office of Admissions in the postage paid envelope provided in the admissions package, or in person. STEP 2 Take the College placement test, COMPASS. Contact the Office of Admissions to reserve a seat in a testing session and to obtain a sample test booklet. If you have previously attended an accredited college, your transcript(s) will need to be reviewed before you schedule testing. If you have taken the SAT or ACT, your scores may be considered for waiving of the COMPASS test. STEP APPLICATION TO THE MEDICAL ASSISTING PROGRAM Complete the transcript request card, also provided, and mail it to your high school. The high school must send an official copy of your transcript to the Office of Admissions. If you received a GED, complete the transcript request card and mail it to the site, which has your GED scores. STEP 4 If you have previously attended an accredited college(s), obtain additional transcript request cards from the Office of Admission. Complete and mail, with any applicable fees, to the college(s) attended. 8

11 STEP 5 The above steps should be completed at least three weeks prior to the start of classes. We suggest making an appointment with an academic advisor to assist with successful completion of the admissions steps. Contact the School of Health Sciences at or within Indiana , ext 20 to schedule an appointment. Applicants to the Medical Assisting Program may begin taking courses after completing the COMPASS test. Academic Skills Advancement (ASA) courses will be required if low placement test scores warrant. At this point in the application process, applicants would be accepted into the General Studies (GNS) Program. While in the GNS program, students may receive financial aid, and are considered degree-seeking students. Students may also take additional, non-asa courses, if they meet the prerequisites for those courses. Students are advised to take courses according to the recommendations for GNS students who are pursuing admission to Health and Human Services programs. Admission into the GNS program, and completion of ASA, general education, or general health courses does not guarantee that the applicant will be accepted into the Medical Assisting Program. STEP 6 Make an appointment with the Medical Assisting Program Chair if no ASA classes are needed, or the Division Academic Advisor until all ASA classes are completed. At this appointment, the applicant may be given additional forms, which must be completed prior to acceptance into the program or clinical courses. The program chair will also give the applicant any additional information about the program, which she deems necessary, and give the applicant an opportunity to ask questions about the program. You are encouraged to complete the application process 6 weeks prior to the semester for which you are applying. Only students who have completed the process will be considered for acceptance into the Medical Assisting program. All files and steps must be completed before the applicant can be accepted as a medical assisting student. A completed application file and process includes: 1. Completed and signed College application form for the Medical Assisting Program. 2. Up-to-date official copy of high school or college transcripts, or GED.. Copy of COMPASS scores. 4. Meeting with program chair, and completion of any additional forms as required as a result of that meeting. Applicants completing the process after February 1 will be considered only if space allows. Applications will be reviewed continuously from February 1 until the program is full. Review of additional applications after the program is full will occur prior to Summer, Fall and Spring semesters for the purpose of academic advising. Students not selected for admission for 9

12 the year in which they apply can keep their file active by contacting the School of Health Sciences office, and indicating their desire to continue to seek admission to the program for the next available opening. Files will be maintained for one year following application. After that time files become inactive, unless applicant makes notification of continued interest to the School of Health Sciences. It may be necessary to limit enrollment in the Medical Assisting Program due to externship availability. If there are fewer externship sites available than qualified applicants, a selective admission process will be used. - Overall GPA - Highest grades received for general education courses required in the Medical - Assisting curriculum. It is highly recommended, although not required, that applicants to the Medical Assisting Program complete some general education and broad technical courses prior to beginning the technical core sequence. This enables the student to reduce the heavy academic load, which would be necessary if all courses were taken as, scheduled. The applicant needs to be aware that 18 credit hours are required in fall and spring semesters in the first year of the Technical Certificate or Associate of Applied Science degree curricula. This is a heavier academic load than many students can manage. By taking a few of the courses before beginning the technical core sequence, the student can significantly reduce their academic load. Full-time is considered 12 credits, but you may opt to complete the General Ed and AAS in four semesters by taking 18 credits both Fall and Spring. AAS students can take 15 credits the last semester. Part-time students will be advised to take General Ed and Administrative courses first. 10

13 TRANSFER POLICY Transfer students from other Medical Assisting Programs, including those at other Ivy Tech campuses, may be admitted on a space-available basis and must submit all college transcripts, course descriptions, and notarized copies of original records describing the level and content of clinical competency. A written recommendation from the current Program Chair of the program from which the applicant is transferring is requested. All transferring students must comply with the current requirements for graduation. Placement in the program will be determined by competency and equivalency testing by the Ivy Tech Medical Assisting Program faculty. Students may request a transfer of general education or broad technical courses (ie, Medical Terminology and Medical Law and Ethics), if the course is less than 10 years old, the student earned a grade of "C" or higher, and the college at which the course was taken is accredited by a regional accreditation association (for this area, the North Central Association [NCA]). The student and academic advisor must complete a request for transfer form, and a copy of the appropriate college transcript must be submitted to the Dean of Academic Affairs for approval. A course description from the appropriate college catalog may also be required. The course content of the course for which transfer is requested must be very similar to the content of the required Ivy Tech course. Only courses required for the Ivy Tech degree or certificate will be transferred. It is the student's responsibility to initiate a request for transfer of credit, and to supply the needed transcript and course descriptions (if required). STATEMENT OF MATH COMPETENCY REQUIRMENT FOR TECHNICAL CERTIFICATE Students who are seeking a Technical Certificate must demonstrate math competency at the MAT 050 level or higher. This may be accomplished by one of three ways: Take the COMPASS test and score at a level recommended for enrollment in MAT 111 or MAT 112 or higher (ready for program-level math courses). Demonstrate math scores on the SAT or ACT test that waive COMPASS testing for math at Ivy Tech (SAT or ACT test must have been taken within the last four years). Take MAT 050, and achieve a passing grad (D or higher). (Students must also take and pass any required prerequisite math courses for MAT 050 with a grade of C or better.) A grad of C or higher in MAT 050 is required for a student to enroll in MAT 111 or MAT 112. Students pursing a Technical Certificate must demonstrate math competency in order to graduate from the program. Failure to establish competency in math at the MAT 050 level may result in the student not graduating or receiving the Technical Certificate. MAT 050 may be prerequisite for general education or professional/technical care classes in the Technical Certificate. 11

14 ASSESSMENT Ivy Tech Community College is committed to graduating students who have the appropriate technical and general education skills. Each approved technical program in the College annually assesses its program graduates for technical competence. As all graduates are to be assessed for technical competence, students are expected to participate in assessment activities as required by their program. General Education skills are assessed through an authentic assessment project that uses work submitted by students as a part of their regular course requirements. ACADEMIC INTEGRITY STATEMENT Academic dishonesty is not acceptable and it will not be tolerated. Several penalties should be expected by those who participate in cheating. 15 FINANCIAL AID Ivy Tech Community College offers a variety of financial aid programs to students who need assistance to continue their education. The College Financial Aid Office administers most programs for federal, state, and institutional air under specific policies and guidelines. Eligibility for most financial aid at the College is based upon the student's demonstrated financial need. Students can apply for financial aid and scholarships through the Financial Aid Office located on the first floor of Ivy Hall. Counselors are available to assist you in completing the financial aid forms and answer questions that may arise during this process. You should first meet with a financial aid counselor before dropping or adding courses during the semester because it could potentially affect your funding. Please refer to the Student Handbook, page for further information. VIRTUAL LIBRARY The Ivy Tech Virtual Library is available to student s on- and off- campus, offering full-text journals and books and other resources essential for course assignments. Go to and choose the Virtual Library link for your campus.
