1 De Aston School Boarding House Boarding Staff duties Basic Responsibilities As residential communities are required to provide a Safe Environment for the young people in their care it is the responsibility of the staff on duty to see that an appropriate level of behaviour and discipline prevail at all times. They should also ensure that the boarders adhere to House routines, rules and guide lines. Staff are, within reason, expected to provide for the individual and group needs of the boarders within the House to the same level as would be expected from a parent within their family. This will include: 1. Encouragement, facilitation and supervision of hobbies and other leisure activities. 2. Provision of an appropriate environment for Prep and Private Study 3. Appropriate Health Care (see Sickness and Accident Document) 4. Provision of Trips and Outings 5. The opportunity for companionship and a listening ear. Staff undertake duty in teams of between 2 and 4 depending on the time of day, the numbers of pupils in The House and the activity that is taking place. To aid communication staff on duty are to: 1. Record incidents and information of value to other duty staff in the appropriate book 2. Record medical treatment and requests 3. Use the white board for messages 4. Report and discuss serious matters with the Head of Boarding at the earliest possible moment. In his absence staff should consult with the Head or another member of SMT if they feel the issue can not wait. 5. Attend House Staff Meetings 6. Complete the accident logs 7. Record any breakages in the maintenance book. Resident Staff are required to live in the Boarding House during term time. They take responsibility for the House overnight on the nights when they are on duty. The staff will take it turns to hold the Night Time Emergency Bell. They are also required to contribute to the daily life and routines of boarders outside their normal duty hours. Non Resident Staff undertake exactly the same duties as the resident staff with the exception of the overnight responsibilities. Staff are to remember that the Boarding House is the students home. In the interests of Duty of Care staff should be able to go to anywhere in the House the following conventions apply. Staff should knock on bedroom doors and wait for a response before entering. Female Staff can do duty in the boys areas. They should not normally cross the threshold of Washrooms, WCs etc. Page 1 of 6
2 Male Staff are not to visit the girls areas when the House is open to boarders. In cases of emergency, when a visit may be needed, male staff should ideally be accompanied by a female companion. All such visits should be recorded on paper and reported and discussed with a line manager as soon as possible. Page 2 of 6
3 A Typical Weekday 07:15 Check Daily Logs Wake Up Calls 07:30 Breakfast to 08:30 Check that the boarders are making beds, clearing up, wearing school uniform, taking the laundry and generally getting ready for school. No audible music should be playing Distribute Medication 08:30 Ensure boarders leave for school Do paperwork. If necessary escort students to medical appointments. Help with household chores. 11:10 to 11:30 Long Break help serve break in the Games area 13:30 to 14:30 Lunch Time be around the Office Area, House and Field 15:00 to 15:15 Duty Teams hand over session Ensure that boarders provisions are topped up 15:30 to 17:00 General supervision organise medical visits work with the boarders Move Students towards prep 17:00 Prep 18:00 Tea Time 19:00 to 20:00 Years 7 9 Activities Years 9 13 Second Prep 20:00 to 20:50 General Supervision [Distribute Medication at 20.15] 20:50 to 23:15 Bed Time Routines. Lock bedroom zones at the end of the duty. Check Fire Doors are closed Bed Time Routine Involves: getting the boarders to their rooms on time registering the boarders are in their dorm ensuring the boarders shower etc., place dirty clothing on the laundry bins, prepare uniform and bags for the following school day. ensuring the boarders are quiet after lights out mobile phones, walkmans, DVDs etc are switched off. during bed time there should be no audible music playing Younger pupils will need more help than the older ones particularly over personal hygiene Time for counselling etc is limited once the boarders have started to go to bed and may not be possible. Staff will have to use their judgement on whether a case is urgent enough for immediate attention or whether help can be delayed to later on in the evening. Page 3 of 6
4 During these bed time hours it is probable that a certain amount of policing and firm handling are required to ensure that routines rum smoothly. Inevitably, this will be the case if counselling is being undertaken by other members of the team on duty. Students in Years 7 to 11 are not allowed to visit the town in the evening. {This is different in the Summer Months}. Year 12 and 13 (Year 10 and 11 in Summer Months) can visit the town with good reason. The boarders should clearly state where they are going. It is important that they are given a time within 40 minutes by which time they will be at the school. On return they are to report in to staff on person. The information will be recorded in the leave book. All students should be back at school 15 minutes before their bed time. Visiting Dorms Boarders are not permitted to visit each other s rooms without the permission of staff. On no account are boarders allowed to visit the rooms of the opposite sex. Typical Weekend Routines For Boarding Purposes the weekend starts after school on Friday and runs through to Sunday evening. Friday 3.30pm to 5pm Help supervise tea in the Games Room Encourage Yr 7 11 to change and take their uniform to the Laundry for washing etc. See weekly boarders and boarders on leave off the premises Do the washing if there is time this will take longer than 30 mins. Distribute Medication at 4.30pm Roll Call/ Get Together in TV Room. Plan the weekend activities. 5.15pm 3.30pm to 5.45pm Students have access to Prep facilities 5.45pm onwards Tea in the Dining Room After tea encourage students to take all their school bags to their bed areas. 7.15pm ish Roll Call followed by an organised activity cinema trip, football game, sports hall activities 8.00pm Distribute Medication 8.00pm ish Junior Film if there is demand pm Roll Call Years 7 9 Bed Time (may alter in Summer Term for Yr9) 10.00pm ish Year Senior Film to 11.45pm Settle the House. Lock bedroom zones. Check Fire Doors are closed.. Saturday 8.15am 8.30am Start morning. Check Logs etc. Set up and supervise Breakfast for all in the Games Room Page 4 of 6
5 9.40am Check that students are awake and moving 10.00am 12.30pm 1.30pm 5pm 7.30pm ish Check bedrooms are tidy and that laundry has been taken to be washed Common Rooms also need to be tidy Ensure that all Laundry is down. If needed hold a Roll Call review the days arrangements collect info. Distribute Medication L[Br]unch in The Dining Room (Distribute Medication) Afternoon Trip out Tea in The Dining Room (Medication) Roll Call followed by Supper in The House (Medication) Junior Film or activity if required 8.15pm ish pm Years 7 9 Bed Time (may alter in Summer Term for Yr9) 10.00pm ish Year Senior Film to 11.45pm Settle the House. Lock bedroom zones. Check Fire Doors are closed.. Sunday 9.00am Presence in the House. Check Logs etc Boarders can sleep in if they so wish 9.10am Breakfast in The Games Room for those who want it (Medication) 10.45am ish Wake up those boarders still in bed Arrange for all Dirty Washing to be brought to the Laundry Start the Laundry. This is to be continued throughout the day; as long as time and circumstances permit. Check the state of the dorms and common rooms. Arrange for them to be tidied if necessary to 12.30pm Brunch in The Dining Room (Distribute Medication) 1.00pm Afternoon Trip out 5.30pm Tea in The Dining Room (Distribute Medication) Followed by general clear and tidy up. Boarders to collect Laundry 6.30pmish Room Check 6.50pm Roll Call followed by Evening Activity 8pm Supper in The Dining Room 8.30pm Distribute Medication Bed Times as on a week night 11.15pm Settle the House. Lock bedroom zones. Check Fire Doors are closed.. Page 5 of 6
6 General Points about the weekend Meal Times All students need to be accounted for at Meal Times either present or their names should be in the leave books. It is usual to base weekend medication around meal times. Leave Out from the House Students are allowed leave out from school with a good reason this includes trips to Lincoln/Grimsby. They should clearly state where they are going etc. It is important that they are given a time by when they should be back and a person to report to. If the trip is beyond Market Rasen please check the transport arrangements. This information should be recorded in the leave book. Students are to be discouraged from going out on their own. All Year 7 9 students should be back by 9.00pm at the latest All Year students should be back by 9.40pm at the latest Year 12/13 students are permitted to go out to Market Rasen on a Friday or a Saturday night it is normal for students to be given on leave for one of these nights only. Trips out on other nights are not to be sanctioned unless it is a special event. The students are to be back no later than 11pm and should go straight to up to their rooms when they return. If they are over the top when they return the matter needs to be reported to the Head of Boarding. Overnight Leave should not be granted, as this should have been arranged before hand with The Head of Boarding. If students are granted leave out they should have received an invitation and permission from their parents/guardians. It is good practice to randomly check that the pupils are staying where they claim to be visiting. Visiting Dorms Boarders are not permitted to visit each other s dorms/bedrooms without the permission of staff. On no account are pupils allowed to visit the dorms of the opposite sex. Boarders can invite friends to stay overnight. This needs to be checked out with their friend s parents/guardians before permission is granted. See the Boarding House visitors policy for further details. On no account is any one to stay in the boarding house without the signed form giving the medical and contact details.
