Terhune PTO fb.com/aptelementaryschoolpto All APT PTO Committee Chair People are responsible for the following: * Attending monthly PTO meetings and reporting on committee events * Getting date/event approval from the PTO President (who will get approval of the Principal) * Sending info/flyer on your event/committee to PTO President for placement in the APT PTO Bi-Weekly * Send all Committee s or flyers to PTO President for approval before distribution. * Updating President during planning stages of Committee/Event * Contacting School Secretary 2 weeks in advance to set up teacher schedule for events (Photo Day, Book Fair, etc ) * Contacting the Volunteer Coordinators with needs about your event at least two weeks prior * Returning committee folder to the PTO Vice President within one month after your event/committee is over. Written information on contacts used for the event, current copies of invoices and any additional notes or suggestions need to be included. APT PTO Committee Descriptions ( ) BOARD OF EDUCATION LIAISON (1 2 Chairs needed) Attend Board of Education meetings and report information at monthly APT PTO Meetings. BOOK FAIR (2 3 Chairs needed) Organize with Scholastic for student book fair during a multi-day period once a year (February/March). Help children with purchases, set up, break down, decorate and set up teacher wish lists for book fair. Facilitate contest during book fair for movie day for 2 different grade levels Chair is responsible for coordinating teacher classroom visits (wish list and purchase visits), making sure all shifts are covered with volunteers, handling book credit per student on behalf of the PTO, all financials and movie day (set up, getting popcorn & water for winning classes & arranging with office and teachers) BOX TOPS FOR EDUCATION/LABELS FOR EDUCATION (2 3 Chairs needed) Collect, trim, count and mail box tops and labels sent in from classrooms. This is ongoing throughout the year. *Good committee for someone to do from home. Chair is also responsible for publicity to the student body on a periodic basis to remind them of deadlines, inform them of goals to meet and financial benefits to APT, maintain classroom leaderboard in APT hallway and announce rewards received from these efforts. BUTTERFLIES (1 Chair needed) Coordinate and ordering and delivery of butterfly/caterpillar larvae for Kindergarten, First and Second grades in conjunction with science unit. Chair is responsible for coordinating with Kindergarten, First and Second grade teachers and School Secretary for delivery. CLASS PARENT COORDINATOR (2 Chairs needed) Along with PTO President and Vice President, choose all Class Parents for the school according to PTO Procedures and Bylaws. Lists must be approved by PTO President and Principal. Coordinate class parent info with Nurse for notification of class allergies. Collect all class parent monies and distribute to class parents. At orientation meeting inform the class parents of their obligations and rules they will need to follow, as established by PTO Council. Chair is responsible for notifying all class parents (and alternates) that that have been chosen (September), distributing class parent rules and disseminating Teacher Appreciation week letter to class parents (April). Also responsible for notifying class parents that they are needed for field day (May) and organizing Class Parent Field Day list (including getting alternates if parents are not available) and distributing to Physical Education teacher, School Secretary, Principal and PTO President.

2 CULTURAL ARTS (2 3 Chairs needed) Research and arrange programs and assemblies for APT students. This is ongoing throughout the year. Work with PTO President (who will get approval from the Principal) regarding approvals and dates for programs Chair will work with Media Specialist to coordinate author visits. DIRECTORY (1 Chair needed) Collect all directory forms from PTO box and information such as name, address, phone number and . Once data is collected, the committee needs to create the directory in the format specified. This will be sent to the to Board of Education s copy center. Computer knowledge is essential. *Good committee for someone to do from home. 5 TH GRADE CHAIR POSITIONS You must be a 5 th Grade Parent to hold one of the following Chair People positions. A parent may be Chair Person for only one 5 th Grade Committee a year unless no other volunteers come forward. 5 th Grade Coordinator is responsible for overseeing the work of the subcommittees, coordinating and publicizing 5 th grade meetings and ensuring that all volunteers for 5 th grade events are paid PTO members. Order DARE shirts. (1 2 Chairs needed) 5 th Grade Advancement is responsible for coordinating decorations, refreshments, program and diplomas for advancement. Work with 5 th Grade Yearbook for the advancement slideshow. (2 3 Chairs needed) 5 th Grade Concert is responsible for the program, refreshments and gifts for music teachers. (2 3 Chairs needed) 5 th Grade Day is responsible for coordinating all aspects of Fifth Grade Day with the help of a committee. (2 3 Chairs needed) 5 TH Grade Mixer is responsible for coordinating all aspects of mixer with APT, Pines Lake and Theunis Dey Elementary Schools at SCMS in Spring (2 3 Chairs needed) 5 th Grade School Store 5 th Grade parents purchase and maintain supplies and train and supervise fifth grade students to run the school store set up in front APT hallway two mornings a week from 8:35am 8:50am (2 people Sept Jan & 2 people Feb June) Days of school store will be decided upon by Chair People and PTO President. One morning will be k-2 students and one morning will be 3-5 students. (2 Chairs, Sept Jan, 2 Chairs, Feb-June) 5 th Grade Yearbook is responsible for completing all aspects of composing the 5 th Grade Yearbook and work with the 5 th Grade Advancement show for the advancement slideshow. (2 3 Chairs needed) FALL FUNDRAISER (2 3 Chairs needed) Responsible for organizing fall fundraiser sale whether it is Coupon Books, Candy etc... handles publicity, distribution of materials and collection. Chair is responsible for all financials of the sale and organizes volunteers to collect unsold items. FALL AND WINTER PLANT SALE (2 3 Chairs needed) Run plant sales, handle delivery and distribution of plants and money handling. This takes place twice a year. Chair is responsible for organizing and implementing above as well as handling all financials from this event. FAMILY SPIRIT NIGHTS (2 3 Chairs needed) Organizing family fun nights for APT (PAL Student Bingo Night, Ice Skating Night, Jackals Night, etc ). Committee would be responsible for setting up dates with local merchants, advertising event to APT families and finances. Chair is responsible for booking dates, promoting event, collecting monies and distributing event tickets. FIELD DAY (2 3 Chairs needed) Organize and distributing refreshments and lunch during the day to the entire student body and staff. Attain refreshments through purchasing or donations. Chair is responsible for ordering supplies for field day. Oversee volunteers to work field day and assist with lunch. Work directly with Physical Education Teacher for schedule and Volunteer Coordinators for Class Parent Volunteers and Water Station Volunteers. FUNDRAISING SPECIAL EVENTS (2 3 Chairs needed) There are several family fun nights off sight as a fundraiser for APT (i.e., Wendy s, Chuck E Cheese, Panera s ) Committee would be responsible for setting up dates with local merchants, advertising event to APT families and attending event.

3 Chair is responsible for organizing and implementing above. PTO Committee Descriptions Continued HOLIDAY FAIR (2 3 Chairs needed) Organize and run the holiday fair where APT students are invited to purchase holiday gifts for their families and friends in time for the winter holidays. Help children with purchases during the three day selling event. Plus additional day to set up and second day for breakdown (5 days needed in total). Chair is responsible for implementing above, ordering/purchasing all merchandise, coordinating volunteers and handling all financials. HOSPITALITY (2 3 Chairs needed) Attain the refreshments for various PTO-sponsored events by soliciting parent donations. Set up and clean up at the events. Events include PTO meetings, Back to School Night, Teacher Appreciation, K Orientation Snacks, and other Special APT Events. Chair is responsible for refreshment solicitation and set up and clean up at events. MARKET DAY (2 3 Chairs needed) Work with Market Day company representative to distribute, collect and organize all materials and monies related to the monthly Market Day Food Sales at APT. Chair is responsible for promoting Market Day dates and distribution of orders. MEDIA CENTER (2 3 Chairs needed) Committee organizes volunteers to assist Media Specialist with checking books in and out, putting away books and assisting with special projects during each class weekly visit to the Media Center. Chair is responsible for the scheduling of volunteers and relaying information from the Media Specialist. MEDIA FUND (2 3 Chairs needed) Committee organizes donations to the Media Center to purchase books in honor or memory of an APT student. Chair is responsible for distributing and collecting the order form and payments and placing dedication labels in books purchased by the Media Specialist. Work directly with the Media Specialist. MEMBERSHIP (1-2 Chairs needed) Collect all membership forms and payments from PTO box and organize into a detailed spreadsheet. Coordinate a few times during the year, especially at the beginning, with the Volunteer Coordinator(s) to confirm that all volunteers at PTO events are paid members. Computer knowledge is essential. *Good committee for someone to do from home. Chair is responsible for distributing membership reminder note in October to those who have not handed in their membership dues. Also responsible for working with 5 th Grade Coordinator to distribute (November) a reminder note of unpaid membership dues to 5 th grade parents in order to allow them to participate at 5 th grade year end events. MOM S NIGHT S OUT/BINGO (2 3 Chairs needed) Arrange and execute APT Mom s Night Out(s) events and student Bingo Night at PAL (Winter) Chair is responsible for obtaining permits (if needed for raffles or bingo), finding location for event(s), soliciting donations of prizes, event programs, collect registration and monies and handling all event financials MOTHER S DAY PLANT SALE (2 3 Chairs needed) Run and organize full day plant sale, distribute memos, collect monies, arrange teacher schedule and set up and clean up (Friday before Mother s Day in May). Chair is responsible for contacting Florist to arrange for delivery and pick up of items as well as handling all financials PAVERS (1 2 Chairs needed) Distribute and collect order forms and payment for APT walk way pavers (May). Chair is responsible for contacting the Paver vendor and distributing order forms PHOTOS (2 Chairs needed) Assist with student picture day (late September/October), re-take day (November) and Spring Photos(traditionally March/April). Must be available to attend photo days. Chair(s) is responsible for coordinating teacher/class photo schedule, implementing photo day, handling financials and organizing volunteers.

4 PUBLICITY (2 Chairs needed) Take pictures at various APT events and submit photos and articles to local newspapers to be published. Committee member does not have to attend all events. Chair is responsible for organizing coverage for each event and updating Publicity Bulletin Board by school office (by Back to School Night). READING INCENTIVE (2 Chairs needed) Collect and organize student summer reading logs, order incentives (prizes or certificates) and assist in distributing them if needed (September). Chair will work directly with the Media Specialist in all aspects of Reading Incentive. SCHOOL BEAUTIFICATION/EARTH DAY (2 3 Chairs needed) Help enhance and maintain the outside grounds of the school during the year and on Earth Day (April) and maintain and decorate APT hallway bulletin boards (large one across from Main Office, and two smaller ones in front hallway) throughout the school year. Chair will work with APT teachers to arrange Earth Day events and coordinate/schedule bulletin board rotation with Committee Chair People (according to upcoming events). SCHOOL SIGN (2 3 Chairs needed) Update APT outside school sign as often as needed. (Usually bi-monthly) SCHOOL SPIRIT WEAR (2 3 Chairs needed) Work with clothing company for APT apparel and items to be sold twice a year. Handle distribution of order forms, collection of order forms and distribution of orders to classrooms upon arrival. On school color days (blue & white day, crazy hair day, sports jersey day, 80 s day, etc..) discreetly visit each class and count up and keep track of classroom with the most School Spirit to award prize(s) at end of year. Chair is responsible for working directly with clothing apparel company for merchandise and PTO President for School Spirit dates. Must be available to sell items at Ice Cream Social, Back to School Night and Kindergarten Orientation in the Spring. SPRING FUNDRAISER (2 3 Chairs needed) Responsible for organizing spring fundraiser sale, handling publicity and distribution of materials. Chair is responsible for all financials of the sale and organizes volunteers for assistance. SUNSHINE (2 3 Chairs needed) Purchase and send cards or gifts for Teacher Recognition and to PTO families and staff when family events occur. TEACHER APPRECIATION (2 3 Chairs needed) Organize a variety of appreciation activities for our teachers in various creative ways each day during Teacher Appreciation Week. (May) Chair is responsible working within budget, plan a luncheon and organizing volunteers throughout the week to assist. TERHUNE CARES (2 3 Chairs needed) Organize APT events that give back to Wayne Community and charities (Pink Out, Giving Tree, Hurricane Sandy Victims) throughout the school year. Chair will work with Spirit Wear Committee to order Pink Out Shirts and collect and distribute shirts. Work with PTO President to coordinate event dates. Work with APT Publicity Chair Person to promote APT Terhune Cares events. TO GO BAGS (1 2 Chairs needed) Replenish APT Teacher To-Go Bags with necessary items (water, etc ) in September. TRUNK OR TREAT (2 3 Chairs needed) **A basic outside event with trunks, treats, and a simple bake sale** Organize October event at APT for students to trick or treat from selected APT Parent trunks on APT Black Top. Responsible for recruiting APT Parent cars for participation, distributing student tickets, advertising event and arranging event bake sale. Must be available event night. Chair is responsible overseeing volunteers, securing APT grounds, setting layout of parking lot and handling financials.

5 VALENTINE S DAY SNACK (2 3 Chairs needed) Organize Valentine s Day snack for APT students on or near Valentine s Day. Chair is responsible for set up, clean up, overseeing volunteers, purchasing of all items, providing an allergy alternative treat and finances. VOLUNTEER COORDINATOR (1 2 Chairs needed) Responsible for maintaining a list of all committee chairs and volunteers, cross check with Membership Committee Chair that all PTO Volunteers have dues paid in full for the current school year. Coordinate event volunteer needs with committee chairs and solicit volunteers for each PTO event (and some school events such as Math Madness, Jump Rope for Heart, etc ). *Good committee for someone to do from home. Chair is responsible for final confirmation of shift lists to volunteers, committee chairs, PTO President, School Secretary and Principal before the event. WAYNE ALLIANCE LIAISON (1 2 Chairs needed) Represent APT at Wayne Alliance meetings, report information to APT PTO at monthly meetings, notify Wayne Alliance and APT if there are any elementary programs or grants to benefit APT for the school year, coordinate making a basket and selling tickets in school for their basketball game (Spring). (The Wayne Alliance is a group that provides information and resources about drugs and alcohol in our children s lives & provides valuable information on prevention and our community and schools with various programs.) Chair will attend the monthly Wayne Alliance meeting, held in the Wayne Health Center at 12noon on the third Wednesday of every month. Responsible for making a basket with APT Spirit Wear for Wayne Day at the request of the Wayne Alliance. WAYNE SPECIAL PARENTS ASSOCIATION LIAISON (1 2 Chairs needed) Attend WSPA meetings and report information to APT PTO at monthly PTO meetings, the happenings of the SPA meetings and lectures.
