3 Outline of Workshop Over the hour and a half we will: 1) Introduce you to the two different NOAMA grants and outline the differences between the two 2) Introduce you to a successful NOAMA grant and outline why it was successful 3) Share with you a Tips document created to increase your chances of success in writing a NOAMA grant 4) Break off into group to create your own NOAMA grant 5) Score the mock NOAMA grant (if time permits)
4 Northern Ontario Academic Medical Association Grant Writing: Dos and don ts The Northern Ontario Academic Medical Association (NOAMA) has two calls each year for clinicians who wish to undertake projects aimed at improving health outcomes for patients. Identify strategies for writing a successful NOAMA grant proposal. Clarify difference between Clinical Innovations Opportunity Fund (CIOF) and Alternative Funding Plan Innovation Fund (AFP) relevant to successful grant proposals. Discuss the process of evaluation and review of NOAMA grant projects.

9 Eligibility Project Lead must be a Participating Physician as described in the AFP Agreement. A participating physician is a physician who: a) holds a faculty appointment at NOSM and; b) has forwarded a signed Declaration and Consent (D&C) form to the NOAMA office. 10 AHSC AFP Innovation Fund Provincial Fund $10 million available to Academic Physicians 17 AFP Agreements Established Framework and Process NOAMA s annual allocation - $430,000
11 AHSC AFP Innovation Fund Intent support the development of new and innovative approaches to health care delivery provide leadership in the dissemination of new knowledge across the healthcare system provide (one or two year) seed funding to enable academic physicians to develop programs to qualify for additional support, and evaluate strategies to transform health care delivery in Ontario Don t : Use as opportunity to fund older well known clinical models. Do: Use it to evolve or support trial of new approach to care.
12 AHSC AFP Innovation Fund Provincial framework provided criteria for projects deemed Innovative if: Have definite potential to impact health care delivery Are implementable (realistic project goals) Have clear measurable metrics for success Offer opportunities to translate new knowledge into medical practice Are transferable to other institutions or regions of the province Support multi-sited projects: multiple groups across the province Do: Take time to creatively think of how you will meet these criteria. Reviewers like to be inspired. You know your field best, inspire reviewers. Don t: just think a good idea is enough. Needs to be packaged with these specifics.
13 NOAMA AFP Innovation Fund NOAMA Definition of Innovation Projects will be deemed innovative if there is potential for implementation of a new or significantly improved practice, service, protocol, process, method or organization that impacts health care delivery within Northern Ontario. Do: Creatively think about how to study changes in your practice and why that may be important to your community.

18 Clinical Innovation Opportunities Fund Background Established by NOAMA Board $1.5 million available
19 Clinical Innovation Opportunities Fund Intent Supports physician clinical faculty in the development and implementation of new evidence based enhancements within their clinical practices resulting in better care. Focus is on quality improvement to patient care through a change in clinical practice. Possible opportunity for research oriented projects previously funded by the AHSC AFP Innovation Fund to be implemented in actual clinical practice. This funding is designed to support NOSM s vision of innovative education and research for a healthier north by facilitating the targeted integration of positive clinical research outcomes into the day to day delivery of community care by clinical faculty.
20 Clinical Innovation Opportunities Fund The Clinical Innovation Opportunities Fund is directed towards actual clinical practice, incorporating evidence based changes and practice patterns into different environments following through with NOSM s innovative education and research, and improved patient accessibility, with an emphasis on better care. Examples of clinical innovation include the following: Changes in practice which encourage patient engagement and patient centered care Meeting community needs through integrated clinical care Improving quality and patient safety Innovations in health human resources including interprofessional initiatives Innovations in health promotion Innovations in health information management including improving patient accessibility to information Improving efficiency through process redesign
21 Clinical Innovation Opportunities Fund Process and Guidelines Normally 2 competitions per year - spring and fall Clinical Innovation Sub-Committee reviews submissions and recommends projects to NOAMA Board Sub-Committee is primarily practicing physicians Limit of $50,000 funding per project submission, unless extenuating circumstances: Example: Project is considered to transform health care Do: Recognize Clinical Innovation priorities vs AHS Innovation grant. Don t: Assume that a proposal is transferrable between the two

26 AHSC AFP INNOVATION FUND LOCAL GUIDELINES AND APPLICATION PROCESS
27 2.3 Submission Requirements (including Budget): The proposal must include a target start date: -an implementation plan -a budget -provide indicators of progress against which the success of the project will be measured The Provincial Guidelines stipulate what budget items are acceptable and what documentation is required. -documentation includes budget assumptions as well as supporting calculations and explanations for the individual budget items
28 2.3 continued Physician compensation -Is eligible for funding based on the time involved at a -Rate no higher than the OMA per diem rates whether or not remuneration is for Actual clinical activity (see Appendix D OMA 2013 Claim Guidelines). -This time should not otherwise be clinically remunerated. Participating physician -Maximum of two days per week/ per year Do: Include some budget for your time. Don t: Make it excessive as not a cost recovery for MD. Ie $3-5k (10%) easy to support.
29 2.3 Continued Resource implications for other Institutions must be considered -If there are resource implications (space, staff, and resources) to other institutions such as a hospital, research institute -Formal written approval by the institution is required Articulate a continuity plan if the project term exceeds the funding term Do: Seek institution support where you work Don t : Assume support, nor wait, plan ahead
30 2.4 Ethical Review The release of funding -conditional upon receiving ethical clearance(s) from an Research Ethics Board (REB) -or a letter from the NOSM Associate Dean of that REB approval is not applicable for the project(s). Do: Get early REB consult/advice to facilitate. Ie Ghislaine, NOSM Res. Support Don t: Assume, underestimate potential delays.
31 2.5 Funding Management Demonstration of an appropriate transfer payment agency or accountability mechanism for the monies must be made. Where there is no appropriate transfer agency, the funding will be transferred to NOSM Research Unit for administration. Project Leads are required to follow the approved procedures of the transfer payment agency.
32 3.0 Application Process 1) The format of the documentation must adhere to provincial requirements. 2) Applications must be submitted by to the Innovation Fund Sub-Committee, c/o the NOAMA Office at by October 18, Incomplete applications will not be considered. **NOTE** Please do not submit printed copies of your proposal.
33 Review Process Reviewed and rated by the Innovation Project Review Team RECOMMEND to: Innovation Fund Sub-Committee. This committee has comprehensive membership representing all signatories to the NOAMA agreement Recommends to NOAMA board Recommends to IFPOC (Provincial Committee) Almost always accepts NOAMA recommendation
34 Review Process... Provincial application criteria followed Scoring system similar to the CIHR Scoring System will be used to determine the score of each project. Applicants whose projects do not merit funding are provided reviewer comments
35 AHSC Grant Review Process Team reviewers will evaluate each project assigned to them prior to the team meeting, enter scores on the sheet provided and submit the score sheet to NOAMA The Primary Reviewer will present their grant evaluation form results at the review meeting, and explain the merits and the rationale behind the rating. The Secondary Reviewer will provide their evaluation and rationale for their rating. Discussion regarding dissenting views

I have created two files, word documents that contain the components of the 1. Project summary sheet, and Form 2 2. Project proposal, details, budget and justification 3. Copy of references for text. 4. endorsements from partners. Note that 1. one LHIN endorsement is verbal but hope to receive written soon and will forward. 2. Formatting of the Summary Sheet seemed to alter in my writing process using the document from the original mail out. sorry. I look forward to the committee's response. 41 Tips for a Successful Grant from the NOAMA Review Committee Tips from the NOAMA Review Committee While writing a proposal for consideration, the review committees ask that you pay particular attention to these parts of the proposal The Project Give a clear hypothesis. State what is to be discovered in the proposal. Include specifics wherever possible: who is to be studied, why, how many, expected results, what type of study is this?
42 Tips Cont d State the outcomes of the proposal. How will they be measured? Who will measure them? Why is it important that they be measured? Who will benefit from this information? Provide background information. State what is currently known about the area you are proposing to study. Is there a lack of information in the scientific literature? Do you think there are conflicting results? Are you planning to expand upon what is already known? Be sure to use appropriate scientific references to back up your assertions. A thorough literature search prior to writing the proposal is necessary. If you are unsure on how to do a literature search, please contact the Health Science Library at NOSM. 43 Tips Cont d Project Evaluation Outline a plan to analyse the results. Use clear metrics. Using clear language state how the project will be measured and how the project s success will be determined. Relevance to the North Wherever possible indicate how this project will benefit the North. How will it impact the North? Is this an area of study which is often overlooked because it affects the North, or affects the North at higher rates?
44 Tips Cont d Innovation Make sure that there is an innovative component to the proposal. Projects that are replications of large scale studies in urban areas are generally not considered innovative. Be sure to include enough background information so that the reviewers understand that the proposal is innovative.
45 Tips Cont d Knowledge Translation It is important to include how you will disseminate the knowledge gained from the project. Please include a plan for this. What are the different mechanisms by which you will tell others about your findings? How will your findings feed back into other research questions? It is also important to show what the next steps are for the project. Are you planning to take these results and apply for other funding? Where do you see this project going in the next few years?
