1 Replicon Quick Reference Guide October 2015
2 Overview Replicon is the web-based, third-party tool CARA uses to track consultant time. Replicon provides you with a weekly timesheet where you enter your daily hours, for all your CARA projects, along with status of your work. You must submit your timesheet by noon every Friday. The rest of this guide describes how to: Navigate and login to Replicon Enter time Check timesheet status Troubleshoot common issues October
3 Navigating and Logging into Replicon We recommend you access Replicon using an Internet browser. The mobile app is in beta and has proven unreliable during testing. To navigate and log into Replicon: 1. Navigate to Replicon in one of the following ways: Enter in your browser s window. Click the link in the introductory sent to you by Replicon. If you can t find the , check your Spam folder. 2. In the Customer Login pane, complete any empty fields. Type Cara in the Company field. Type your in the User Name field. Type your password in the Password field. If this is the first time you are logging in, type password. 3. Click Login. 4. If this is the first time you are logging in, specify a new password in the Change Password screen. Then, click Change password and login. October
4 Entering Time After you login to Replicon, the current week s timesheet appears by default. To record your billable time: 1. Confirm the correct week is highlighted in the calendar. 2. Confirm all your current projects are listed in the Client Project Task section. 3. If a project is missing, add it. Click Add Time Row. Click the empty field and select the project from the drop-down list. If you don t see your project or are unsure what to select, contact us at CARAaccounting@caracorp.com. A new CARA project number is created when you receive an extension at an existing client. You may need to add a row for the new project number in order to track your hours. October
5 4. For each date cell: Enter the time you worked. If the project is active but you didn t work that day, enter 0. Press Tab. 5. Enter status of your work via the comments field. On the last day of the week, provide a high-level status report that includes: Activities you completed this week Activities planned for next week Issues or risks on the project If you entered 0 hours for the entire week, note the reason why 6 Click Save to record, but not submit, the information. 7. Click Submit when you are ready to send the timesheet to CARA and the client. You cannot edit a submitted timesheet. Marking a Project as Complete When you complete a project, be sure to mark it as complete. Otherwise, you continue to receive reminder s regarding your timesheet. To mark a project as complete: In the date cell after the last day you worked, enter 0. In the comments field, enter Finished Project. October
6 Checking Timesheet Status To determine the status of a submitted timesheet, click the links in the Timesheets section in the lower-left corner. October
7 Troubleshooting Consult the following table for help troubleshooting common Replicon issues. If you need more help, contact us at or Problem My project is not listed in the Client Project Task column of my timesheet. I m working multiple projects and unsure which row in my timesheet applies to which project. I submitted a timesheet with errors. I forgot my password. Solution First try adding a time row for the project as described in Step 3 on page 3. If you don t see your project listed in the drop-down, send an to CARAaccounting@caracorp.com specifying Can t Report Time No Project in the Subject field. Contact CARAaccounting@caracorp.com Send an to CARAaccounting@caracorp.com with the edits you require to the timesheet. 1. Navigate to the Replicon Customer Login page. 2. Click Forgot Password. 3. In the field, type your Click Reset Password. 5. In the sent by Replicon, click the link. 6. In the Password Reset pane, type your new password twice. 7. Click Reset Password. October
